ThepurposeofthisdocumentistoestablishapolicytoensureefficientuseofCCPSscomputerand
Internetresources.CCPSprovidestechnicaltoolsandpowerfulresourcestoenhancetheoverall
educationalexperienceofitsstudentsandeducators.Thereareimportantrulesandguidelinesthat
youmustfollowtoensureasafeenvironment.CCPSmonitorsInternettraffictoensureoptimaluse
ofinstructionalresources.Followingaretherulesandguidelinesyoumustfollowthatgovern
acceptablebehaviorwhenusingCCPSscomputerandInternetresources.Failuretofollowanyof
theseguidelinesmayresultinconfiscationofCCPSsresources,suspensionofinternetaccessandmay
alsoleadtoadditionalactionbeingtakenbytheDepartmentofHumanResources.
1.ComputerandNetworkResources
1.1.Ownership.Thecomputer(laptops,notebooks,desktops,printers,smartdevicesetc.)and
peripheralsissuedtoaClaytonCountyPublicSchool(CCPS)employeearethepropertyofCCPS
andareforemployeeuseonly.ThecomputerandperipheralsissuedtoaCCPSemployeeareto
bereturnedimmediatelyifhe\sheisnolongeremployedbyCCPS.
1.2.Use.ThecomputerandnetworkresourcesareintendedforCCPSrelatedpurposesand
performanceofjobduties.Thetechnologyacceptableusepolicyappliestobothworkandhome
useofresources.
1.3.PersonalUse.Incidentalpersonaluseispermittedaslongassuchusedoesnotviolate
CCPSspoliciesasstipulatedinthisdocumentanddoesnotinterferewithschoolrelated
performanceofjobduties.
1.4.Security.Theuser(you)isresponsibleforalltechnologyequipmentissuedbyCCPS.
Technologyequipmentshouldbelockedandsafelystoredawaywhennotinuse.
1.5.ComputerLossorDamage.PromptlyreportstolenequipmenttotheTechnology
Department.Intheeventofnegligentlossordamage,CCPSreservestherightnottoissuea
replacementcomputerorperipheral.
1.6.AccountsandPasswords.Theusershouldconsidertheaccountandpasswordconfidential
andshallnotsharethepasswordwithanyotherperson.Accountsandpasswordsmaybe
terminatedifappropriateguidelinesarenotfollowed.

1.7.NetworkFileStorage.NetworkstoragefortheCLAYTONDOMAINIS250MBperuser.This
storageiscommonlyreferredtoasyouruserfolderorU/:drive.Thisfolderisforwork
relateddataonlyandnotforPERSONALfiles.Applicationsorprogramsshouldnotbeinstalled
orstoredinthislocation.Filesthatdoneedmeettheacceptablecriteriawillbedeletedwithout
notificationbytheDepartmentofTechnology.
1.8.ConfigurationandSoftware.Nomodificationsorconfigurationchangesaretobemadeto
thecomputerexceptuponinstructionbytheDepartmentofTechnology.Nosoftwareistobe
installedonthecomputerexceptuponapprovalbytheDepartmentofTechnology.Expressly
prohibitedarepeertopeernetworkssuchasKazaa,LimeWire,BitTorrent,andMorpheusor
anysoftwareinstalledwiththesolepurposeofbypassingCCPSssecuritypolicies.
1.9SmartDevices.Smartdevices(Blackberry,ITouch,Palm,etc.,)issuedbytheDepartmentof
Technologyaretobeusedasspecifiedbythesigneduseragreementformpriortoreceivingthe
device.TheTechnologyDepartmentwillnotsupportthesedevicesforanyotherpurpose.Non
CCPSissuedsmartdeviceswillnotbeallowedaccesstoCCPSsnetworkandwillnotbesupport
bytheDepartmentofTechnology.
1.10EmployeeDataonLocalMachine.CCPSisnotresponsibleforlostorcorrupteddatainthe
eventofahardware/softwarefailureorusererror.OnlydataontheUdriveisbackedup.Itis
theresponsibilityoftheusertomaintainabackupofhis/hercriticaldataonCCPSequipment.

1.11StudentAccess.Studentsareonlyallowedonclassroomdesktops.Educatorsshoulduse
CCPSissuedlaptopstoconductbusiness.Laptopsshouldbelockedwhennotinuseandshould
notbegiventostudentstoperformclasswork.Studentsshouldneverbegivenaccessto
gradebookoranyotherstudentdatarecords.
1.12RogueEquipment.Unauthorizeddevicessuchaswirelessaccesspoints,3Ghotspots,hubs,
orroutersareconsideredroguedevicesandmaynotbeused.Suchdevicesmayinterferewith
theCCPSnetworkWAN/LAN.Additionally,donotpluginanynetworkcableswithoutconsent
fromtheDepartmentofTechnology.

2.ElectronicMailResources
2.1.Purpose.Electronicmail(email)isprovidedtothestaffofCCPS(users)tofacilitate
informationexchangeconsistentwiththeeducationalmissionofCCPS.
2.2.Property.Theemailsystem,computers,anduseraccountsandaddressesaretheproperty
ofCCPS.
2.3.Privacy.Usersdonothaveapersonalprivacyrightinanymatterfromtheemailsystem.
CCPSmayattimesandwithoutpriornotice,monitorandreviewemailbyusers.

2.4.Confidentiality.Theconfidentialityofemailcannotbeassured.Suchconfidentialitymaybe
compromisedbyapplicabilityoflaworpolicy,byforwardingofemail,orbecauseof
unauthorizedaccess.Users,therefore,shouldexercisecautioninusingemailtocommunicate
confidentialorsensitivematters.
2.5.OutlookWebAccess.CCPSprovidesaccesstoitsemailviaawebbrowser.Ifyouareusinga
deviceotherthanthedeviceprovidedbyCCPS,itisimperativethatappropriatesecurity
software(enterpriseantivirusandantispyware)isloadedonthedevice.Pleaseconsultthe
DepartmentofTechnologyforadditionalinformationifneeded.
2.6.Storage.TheoutlookstoragesizefortheCLAYTONdomainis250MBor500MB(for
administrativeemployees).Usersareencouragedtostorelargeattachmentsreceivedviaemail
intoanotherlocation(Udrive/harddrive/externaldrive).Afterattachmentshavebeensaved,
originalemailscanbedeletedtofreeupspaceinthemailbox.
2.7.Restrictions.
2.7.1.Usersmaynotuseemailinanywayinconsistentwithorinviolationofthepolicies
setbyCCPS.
2.7.2.Usersmaynotuseemailforunlawfulactivities,commercialpurposesorpersonal
financialgain.
2.7.3.Usersmaynotdeliberatelydisruptemailservicesorperformactivitiesthat
interferewiththeuseofemailsbyothers.
2.7.4.Usersoftheemailsystemshallnotuseemailinanywaythatwouldbeconsidered
(a)damagingtoanotherpersonsreputation,(b)abusive,(c)obscene,(d)sexually
orientated,(e)offensive,(f)threatening,or(g)Harassing.(CCPShasmanytoolsinplace
tomonitorandcontroltheflowofemails,butcannotguaranteethatauserwillnot
receiveanoffensiveemail)
2.7.5.Usersmaynotseek,use,ordisclosepersonalorconfidentialstudentoremployee
informationexceptforproperschoolsystembusiness.
2.7.6.Usersmaynotsendmailtomorethan150addressesatatime.Mailshouldbe
senttoatargeteduserorgroup.CCPSemailresourcesmaynotbeusedforpersonal
gainorenterprise.Examplesincludepoliticalcampaigningandbusinesssolicitations.
2.7.7.Usersmaynotcreate,forwardorreplytochainlettersorsimilaremail.Chain
lettersincludebutarenotlimitedtoGetRichQuick,FeelGood,NewVirusHoax,
andGoodLuckletters.Ifyoureceivesuchemails,simplydeleteitfromyourinbox.
2.8.PersonalUse.CCPSemailservicesandaccountsmaybeusedforincidentalpersonal
purposesprovidedthatsuchusecomplieswithCCPSpolicies.CCPSdoesnotguaranteeaccessto

privateemailaccounts.Additionally,suchuseshallnotburdentheoperationoftheemail
systemoraddtothecostofsuchoperation.Emailsarisingfromsuchuseisthepropertyof
CCPS.
2.9SpamEmailUnsolicitedemails
2.9.1Phishingisamethodofspam email that attempts to persuade the user into
disclosing sensitive information such as network username and password. Please be
advised that this type of email does not originate from the Technology Department. The
Department of Technology will NEVER ask for your username and password via
email.Disclosing or compromising your network username and password is
significant and can negatively affect our entire email system.

3.InternetResources
3.1.UserswilluseappropriatelanguageontheInternet.

3.2.Userswillnotaccessortransferinappropriatematerials.Internettrafficismonitoredand
abuseswillbereported.

3.3.Userswillrespectandupholdcopyrightlaws.
3.4.Downloadinggames,videofiles,audiofilesorrunningstreamingmediawithouteducational
valueandwithoutapprovalfromtheDepartmentofTechnologyisprohibited.Streamingmedia
isbandwidthintensiveandcannegativelyaffectimportantinternetbasedapplicationsifnot
usedproperly.
3.5URLfilteringismaintainedincompliancewiththeChildrensInternetProtectionAct
regulations.Noattemptshouldbemadetocircumventsecuritymeasuresinplace.Contactthe
DepartmentofTechnologyshouldyouneedaccesstoasitecurrentlyblockedbytheURLfilter.

4.WebDevelopment
4.1.Schooland/orTeacherwebsitesmayNOTpublishphotosonpageswithoutconsentfromall
individualsandtheirparents/guardians.
4.2.TeachersmaynotlinktotheirownpersonalpagestopagesassociatedwithCCPS.
4.3.Nostudentemailaddresses,homeaddressesorphonenumbersshallbeonanywebpages.
4.4.NomarketingoradvertisingmaybedoneonTeacherorSchoolwebsitesexceptforPartners
inEducation

4.5.Teachers,webmastersandPrincipalsassumeallresponsibilityforallcontentdisplayed
withintheschoolsandtheteacherswebsites.

5.ExternalStorage(USBdevices\ExternalHD)
5.1Educator\DepartmentofTechnologymustperiodicallyauditexternalstoragedevices
5.2Onlyfilespertainingtoclassroomactivitiesmaybestoredonexternaldevices
5.3Virusscansmustbeperformedpriortotheusesuchexternaldevices
5.4CCPSsITdepartmentisnotresponsibleforrecoveringdatathatresidesonexternaldevices
5.5Confidentialorsensitivedata(studentdata,SocialSecuritynumbers,employeedata)
belongingtoCCPSmustnotbecopiedtoexternalstoragedevices.

Iunderstandandwillabidebythetermsandconditionsasstipulatedbythisdocumentforusing
technologyinClaytonCountyPublicSchools.Iunderstandthatanyviolationoftheregulationsmay
resultindisciplinaryactionagainstmeandmayalsoconstituteacriminaloffense.IunderstandthatI
mustadheretoBoardPoliciesBH/GAG,GAHB,GBU,IFA(1),andanyotherapplicableboardpolicies
whenusingCCPSsComputerandNetworkResources,ElectronicMailResources,InternetResourcesor
Websites.
