Reorder Levels

24. Reorder level is that quantity in hand for a stock item, reaching which; you should order your

supplies. The importance of reorder level arises from the desire to have sufficient stocks to
service customer orders and at the same time not to have unnecessarily high stocks.
Therefore, the points to be considered in deciding reorder levels are

Lead time for suppliers to deliver stock

Delivery time specified by the customer
The stock in hand to satisfy orders in the meantime.

Scenario

A Scenario can be understood as an imagined sequence of events. Businesses create

scenarios based on whether a particular set of steps have been executed or not. Tally's Scenario
Management is an effective management tool which enables different views of business
information, without interfering with the actual information in the books of account. The actual as well
as projected figures of accounts - related information can be viewed by selectively including certain
types of vouchers without effecting the books of account.
23.

Advantage of Using Scenarios

24.

1. It is useful for giving business different forecasts for a set of imagined circumstances in the
future.
2. An entry can be recorded when required and removed at a later stage, for Example, after
printing the generated Report.
While using Scenario Management, You need to make entries, which will not affect the
books of account. Tally provides reversing Journals, memorandum vouchers and optional Vouchers
for this purpose. Scenarios can be created and the required reports can be generated to view the effect
of the same.
25.

26.
27.

Reversing Journals:
A Reversing Journal, which is a non -accounting voucher, is a special Journal entry which

can be
automatically reversed after a specified date. It exists only till that particular Date and is
effective only
29.
when called for in reports such as the balance sheet.
30.
Reversing Journals are used in the interim reporting in the course of the financial year where
accruals
31.
are required to be reported. These accruals are usually short term and are cleared in the
subsequent
32.
period.
28.

Memorandum Vouchers:
A memorandum Vouchers is a separate voucher type. It is a non-accounting Voucher.
Tally does not post memorandum Vouchers to ledgers, but stored them in a separate Memo
Register.
33.
34.
35.

Optional Voucher:
An accounting voucher can be excluded from the books of account by marking it as optional
using a specific feature in Tally. To Activate this facility, in F11: Features - F1: Accounting
Features se: Use Reversing Journal and Optional Journal Vouchers ? Yes
38.
You can mark a voucher as optional vouchers by clicking the button (CTRL + L) on the vertical
Button

Cost Centres & Cost Categories

17. Cost Centres

By far the most versatile tool for management information, Tally's cost centres allow
dimensional analysis of financial information. While a ledger account would indicate the nature of a
transaction, it would not readily disclose, except in the narration, which part of an organization was
involved. By providing cost centres, a transaction can be allocated to it which would then enable
viewing of all transactions for a cost centre.
19.
A cost centre can be said to be any unit of an organization to which transactions (generally
revenue) can be allocated. When only costs or expenses are allocated to these units, they are
referred to as cost centres. Tally gives you the cost centre break-up of each transaction as well as
details of transactions for each cost centre. When you also allocate income to the units, they
become Profit centres. You can now obtain a Profit and Loss account of each Cost / Profit Centres. For
your purposes, the terms Cost Centre and Profit Centre are interchangeable.
18.

you will now learn to allocate transactions like expenses and incomes to cost centres with a
view to assess their performance.

Service Tax

Service tax is an indirect tax levied by the Government of India on certain category of services
provided by a person, firm, agency, etc. The responsibility of collecting and paying the Service Tax
rests with the Service provider. I.e. seller. Service Tax returns are to be filled with the
Commissionerate of Service Tax at the end of every six months.
85.

Currently the rate of Service Tax on taxable services is 10%. (And educational cess 2%, Sec
Educational Cess 1%) on Tax amount. A few of the listed services have an abatement facility.
Information on registration, rules, list of services, rate of service tax, forms, etc.
86.

87.
88.

\Nhat is Abatement?

For a few categories of services, the government allows a deduction on the value to be
considered for service tax. For example some categories of services include materials value. A
caterer has to procure raw materials to prepare food products and sell services. Here, the
Assessable value of the service will not include amount paid for the materials procured. This
deduction allowed by the government is called abatement. Abatement is either a percentage of the
service charges or lump sum amount.

any other storage medium. In Tally's context restore means - we have a Tally backup and we wish to
work on the data backup instead of the current data. This can be achieved by simply restoring from
the existing data backup.

10.

1.
You have to specify the destination. (Where Tally has to store the
Data)
I
Then specify the source. (Where you want Tally to take the data from)
12.
Tally then displays the list of companies you have in the source (i.e. if you have data
in the CD or USB Drive, Tally displays those companies which are in these Drives) - select the
required companies to be restored as desired.
11.

13.

Note: As in the case of backup - this Option is available only on the Company Information
screen. Restore Precautions it is preferable NOT to restore a Backup on the original data
directory - primarily to ensure that NO lata is unintentionally overwritten.

14.

Split Financial Years

Tally's flexible period-less accounting permit you to enter data for any number of financial years.
However -the presence of old data loads the system and slows processing speed. Splitting financial
data over-financial years helps you to retain the benefit of recording the data, while maintaining a highly
responsive system.
16.
When you split the data, two things happen:
1. New companies are created for the respective split periods.
2. Full data is retained in the original company.
15.

17.

Important Pre-Split Activity

18.

(Not carrying out these will result in mismatched information)

Security Control is required in an environment where many people work on the accounts on a
single computer or on a network. In a typical business environment, different level of staff have
different esponsibilities and, therefore, different authority.
23.

Tally has a variety of management reports, which are sensitive in nature. The security control
feature in Tally is used to set access and authority rights for groups of people, to allow or prevent
them from doing one or more of the following in different area of Tally: Create, Alter, Display and Print
information.
24.

Security Control can also be used to prevent access to the system. The authority levels or
Types of Security in Tally decide the rights of the users.
25.

Tally has two security set-ups, one for the Owner and the other for Data Entry. The owner
has full access and rights to all parts of Tally, except Tally Audit, which is reserved for the administrator
alone.
26.

Data Entry has restricted rights. You are allowed to create other security types based on
these predefined types.

Tally Vault

The security of data, Financial or otherwise, is always a matter of concern for businesses
as most Organisations depend on the confidentiality of information. The Tally Vault feature is an
enhanced security system - which allows for encryption of the company data with the most secure
method of encryption being used.
65.

Tally Vault ensures that under no circumstances, the original information is available in any
form. The technique could be likened to ' encryption-decryption-on-the-fly', and the decrypted form
of data is -ever stored in the system. Apart from this, it uses the "non-stored password" mechanism.
By using - ghly advanced mechanisms to validate a new user without any prior knowledge of the
original rassword. The combination of these facilities means, that Tally Vault becomes one of the most
secure -eans of information storage.
