1.

Introduction

This Code of Conduct constitutes the entire understanding between members of the team and will
not be amended except considerable reasons such as ill health which will be mutually agreed
between the Parties and executed in writing by all members of the team.

2. General:

All members of the team are expected to conduct themselves with due regard for their legal
responsibility as adults and for the good name and reputation of the group.

3. Professional Conduct:

Team members must perform the roles assigned them diligently, professionally and with
commitment to ensure that the work is done properly. Due to the size of the group, work will be
shared as evenly as possible. When sharing task, the major factor that would be considered will be
individual team members capability. No member shall allow personal interest override his
professional duties.

4. Meetings:

Meetings shall be held at least twice a week with time and venue communicated via email and
whatsapp at least a day before the meeting date. Postponement of meetings shall also be
communicated by email and Watsapp at least 30 minutes to the previously agreed time. Team
members shall respect the team leader to orderly conduct meetings and must adhere to agenda for
the meeting.

The Team has resolved that:

Team members are to regularly attend meetings



Members are to be punctual in attendance of meetings and are to be present five (5)
minutes before agreed time of meetings.

A meeting quorum of 5 is required before meetings can commence

Any team member who does not come for two meetings without a reasonable excuse shall
be written to and are explanation demanded.

Lateness for meetings would attract a fine of 5 if prior notice is not sent 15 minutes to the
proposed time. However, notice should be sent through the agreed means of
communication.

Absenteeism should be backed by at least a days notice to the team leader and coordinator.

None attendance of meetings without permission would attract a fine of 15

The Team leader reserves the right to approve or disapprove any request to absent oneself
from a meeting

During the team meetings has been agreed that:


No member of the team is allowed to use any vulgar language during meetings of the team
and members are bound to respect the contribution of each member of the team.

All views are equal during and after team meetings

Contributions are compulsory

Feedback is relevant

Each member would give a report on previous assignments

Team members are at liberty to ask questions at all times

Contributions/responses would be made in turns during meetings

All team members shall be efficient in discussions, and shall do their best not to deviate
from the topic at hand during important meetings.

Individual assignments should be clearly communicated before the end of each meeting

5. Communication:

The team resolves to be open, honest, and timely in all forms of communication, whether in person
or via alternative communication method. All team members:

Shall be honest about their availability and ability to accomplish tasks. If an individual knows
they will be unavailable, or unable to finish a task, he or she will let the team know
immediately

Communication shall be done within team members either by email, written or during
meetings. No member is allowed to communicate with external stakeholders or individuals
who are not team member except through the team leader.

Will do their best to respond promptly to communication, and present critical updates to the
team as soon as possible.

Shall be responsive to e-mails/text/calls

6. Deadlines

Deadlines will be strictly adhered to in the submission of reports or deliverables.
Team members must first complete their assigned work before helping other areas of the
project.

If a team member is unable to complete an assigned task, he/she should notify the team
coordinator six (6) hours in advance for a prompt solution.

Team members should ask for help when they need it.

7. Behaviour:

Team members must behave in a professional and respectful manner both in and out of formal
meetings.

All team members are empowered and have equal rights



Team members are not to receive or place/make calls during meetings, except in cases of
extreme emergency.

Team members must not consume alcohol, drugs, smoke or other intoxicating substances
during meetings

The creation of disturbances or an obstruction is forbidden. Disturbances include the ringing
of mobile telephones, browsing the internet on phone, and conversing during meetings.

Team members will maintain a positive attitude about the tasks at hand, while also
considering the reality and constraints of the situation

Team members should voice their thoughts and insights in a respectful manner and should
be open to receiving constructive criticism while maintaining a respectful demeanour.

If a team member is involved in a side conversation, he or she will use their best judgment as
to either end it or raise the point to the entire group.

Conflicts during meetings would be very constructive

8. Accountability

The success of the project delivery is determined by the efforts of the individuals in the team and as
such every member of the team is responsible for accomplishing their designated assignments.
However, during the progress of this project we will abolish the art of blaming others because it only
affects our productivity as a group and slows down the project and at the end of the day it would be
the team that would be held accountable for the project and not the individual who is responsible
for the delay.

9. Record Keeping

All documents that have been generated before, during and after the project including minutes of
meetings and correspondences must in the D.AM.J.I.P folder and clearly named and backed up. This
is to allow for easy future reference of process after the completion of the project.


10. Confidentiality:

There must be trust and respect during meetings/discussions and shall remain confidential to team
members. Information must not be disclosed except authorized and must make sure confidential

information in any form is not easily accessed by unauthorised persons. Also information must not
be misused for personal gains.
Confidentiality shall be kept at the start, during and after the completion of the project to showcase
our integrity as a project team

11. Conflict Resolution:



When there is misunderstanding among members, a platform shall be created at the instance of the
team leader for individual members to voice their grievances with 48hours. The team leader and one
other member not involved in the conflict shall ensure that, all issues are addressed and problems
solved amicably

12. Breach of Code of Conduct



Any team member who is found to have breached any of the stated code of conducts will be
investigated to find out the seriousness of the breach, how many times the team member has been
involved and the risk to other members. This will then help make a decision as to the kind of
punishment that should be given to the said team member. Punishment include; warning,
apologizing, financial sanction and expulsion from the team depending on the severity of the
outcome from the investigation.

13. Our core Values:

we understand each other and what we can accomplish, and we treat each other with respect.

and we strive for continuous self-improvement.

Urgency: We considered the time as our most precious asset because the time limited is the only
limit but infinite possibilities for learn, accomplish project and gain experiences.

14. Duration

This Code of Conduct shall be valid from the date of execution till the completion of the module
programme, unless, otherwise renewed in accordance with module regulations.
