The
Energy
Foundation
is
a
grantmaking
foundation
whose
mission
is
to
build
a
prosperous
and
healthy
future
powered
by
clean,
reliable,
and
secure
sources
of
energy.
The
foundation
offers
a
dynamic,
positive
work
environment
with
45
staff
in
San
Francisco,
2-person
teams
in
Raleigh,
NC
and
Chicago,
IL,
and
34
staff
in
our
Beijing,
China
office.
This
position
is
based
at
the
Foundations
headquarters
in
San
Francisco
and
focuses
on
U.S.
policy.
Energy
Foundations
efforts
to
ensure
a
clean
energy
future
in
the
United
States
emphasize
development
of
policies
that
create
big
markets
for
energy
efficiency,
renewable
energy
and
clean
distributed
resources.
Policies
advanced
by
the
Energy
Foundations
grantees
have
contributed
to
a
quadrupling
of
wind
capacity,
a
16-fold
increase
in
solar
capacity,
since
2008
and
robust
deployment
of
energy
efficient
products.
The
grants
leadership
position
supports
the
Foundations
mission
and
strategic
program
goals
by
managing
grantmaking
and
contracting
operations,
systems,
and
data.
This
position
is
responsible
for
the
policies
and
procedures
to
ensure
the
efficient
processing
of
grants
and
contracts,
ensuring
timeliness,
quality,
and
compliance.
In
collaboration
with
members
of
the
Operations
and
Program
teams,
this
position
facilitates
the
design,
development
and
implementation
of
all
grant
tracking
technologies
and
data
management
systems;
integrating
this
work
with
Finance,
Knowledge
Systems,
Program,
Partner
Relations,
and
Communications
staff.
The
grants
leadership
position
identifies
best
practices
from
across
the
sector
and
takes
the
lead
in
1)
implementing
improvements
in
order
to
optimize
the
electronic
workflows
for
all
grant
and
contract
processes,
2)
developing
systems
to
ensure
compliance
with
tax
and
legal
requirements,
particularly
pertaining
to
(c)(3)
and
(c)(4)
activities
as
well
as
state
disclosure
requirement;
and
3)
optimizing
databases
and
systems
for
reporting
and
analysis.
As
a
member
of
the
Finance
and
Grants
team,
the
Grants
leadership
position
works
in
close
partnership
internally
with
the
Director
of
Knowledge
Systems,
and
externally
with
legal
counsel.
This
position
oversees
two
Grants
Coordinators
to
ensure
the
effective
coordination
of
grants
and
contracts
made
by
the
Energy
Foundation,
Energy
Foundation
China
,
and
EFs
c4
affiliate
organization,
the
Green
Tech
Action
Fund.
ESSENTIAL
DUTIES
&
RESPONSIBILITIES
Grants
Management
Act
as
primary
point
of
contact
for
grants
management
and
compliance,
engaging
with
the
program
and
operations
staff
as
needed
throughout
the
grant
life
cycle.
Duties
include:
Ensure
that
proposals,
grant
agreements,
and
consulting
contracts
move
expeditiously
through
the
review
process,
focusing
on
timeliness,
quality,
and
consistency
of
grants
processing.
Oversee
routine
due
diligence
and
the
production
of
Grant
Agreement
letters;
work
with
Grant
Coordinators
and
Program
staff
to
address
and
resolve
open
issues.
Review
new
grant
materials
as
well
as
grants
and
contracts
involving
special
circumstances
(e.g.
state
lobbying
disclosures).
Make
recommendations
for
the
structure
and
documentation
for
grants
and
contracts.
In
collaboration
with
Program
staff,
work
with
external
legal
counsel
and
grantees
as
needed.
Manage
compliance
issues
as
escalated
by
Program
Staff.
Refer
special
cases
or
defined
areas
of
risk
to
external
legal
counsel.
Manage
and
prioritize
legal
review
items,
working
with
counsel
for
resolution.
Document
procedures
for
handling
grantmaking
compliance
issues
and
work
with
Operations
and
Program
teams
to
improve
procedures
as
needed.
Manage
routine
and
custom
reporting
for
internal
and
external
audiences;
data
analysis
and
special
requests.
Serves
as
signatory
for
checks
and
wire
transfers.
Staff
training
and
ongoing
support
Provide
on-going,
specialized
training
on
best
practices
in
grant
making
and
contracting,
with
particular
focus
on
regulatory
requirements,
due
diligence
and
compliance
procedures.
Duties
include:
Identify
gaps
in
staff
knowledge,
develop
a
roadmap
for
individual
and
group
training,
including
the
development
of
a
centralized
catalog
of
grant
making
procedures
and
checklists.
In
collaboration
with
the
Director
of
Human
Resources
and
Director
of
Knowledge
Systems,
refine
on-boarding
systems
and
grants
management
documentation.
With
the
management
team,
help
create
a
culture
of
learning
and
knowledge
management.

Fluxx
Grants
Management
Work
collaboratively
with
the
Director
of
Knowledge
Systems
to
optimize
use
of
EFs
grantmaking
grants
management
system,
Fluxx,
and
other
related
technologies.
Duties
include:
Develop
deep
understanding
of
program
staff
use
of
grantmaking
technologies,
variations
by
programs
in
uses
of
these
technologies,
and
opportunities
for
improvement
and
training.
Identify
and
articulate
areas
for
improved
user
experience,
automation,
integration,
and
process
improvement.
Provide
user
support,
training,
and
trouble
shooting
Propose
and
support
the
introduction
of
new
features,
including
testing
and
documentation
Participate
in
the
development
and
improved
systems
for
grants
and
contracts
management,
including:
1)
tools
for
grant
compliance;
2)
electronic
work
flows
and
digital
signatures;
3)
data
tagging
and
live
reporting;
4)
program
spending
(budget
to
actual)
and
board
authority
tracking;
5)
external
access
for
grantees,
board,
donors,
and
contractors.
Systems
documentation
Identify,
assess,
and
recommend
opportunities
to
further
best
practices,
streamline
workflows,
and
develop
new
approaches.
Duties
include:
Develop
and
implement
processes,
permissions,
and
controls
as
needed
Develop
or
modify
systems
to
improve
organizational
performance
Develop,
update,
and
disseminate
systems
documentation
Staff
Development
and
Management
Reports
to
the
Director
of
Finance,
and
is
a
member
of
the
U.S.
Operations
Team
Has
full
management
responsibility
for
two
staff,
including
hiring,
training,
work
supervision,
and
performance
management.
QUALIFICATIONS
Education
and
Experience
Demonstrated
ability
to
develop
and
implement
complex
projects,
preferably
within
a
philanthropic
institution.
Project
management
experience
and
a
proven
track
record
of
designing,
planning,
and
implementing
process
improvement
initiatives
At
least
3
to
5
years
of
staff
management
experience,
including
proven
track
record
in
staff
development.
High-level
understanding
of
501(c)(3)
and
501(c)(4)
non-profit
organizations
and
how
public
charities
function
in
a
regulated
field.
Strong
systems
orientation,
with
a
track
record
of
improving
and
enhancing
policies
and
procedures.
