I.
Introduction
Thank you for your interest in the Westside High School Choir Council. The Officers of
the Choir Council have a tremendous duty to serve the Director and members of the
Choir, making this the smoothest, most efficient organization it can be. We are looking
for qualified individuals who will lead all members of all choirs by example and who will
tirelessly work to ensure the continued high standards of excellence.
II.

III.
Standards for Officers
To be qualified to hold an elected office, a nominee must be a current
member of choir and enrolled in choir for the next school year.
President and Vice Presidents must be current members of Chamber Singers.
Individuals must be in good academic standing (this includes conduct grades) and
have a proven track record of maintaining UIL eligibility.
Individuals must have participated in all required activities of the WHS Choir and have
a proven track record of good standing with the Director.
IV.
Two teacher evaluations. These should be filled out and returned them directly to Ms.
Douris no later than Friday April 4th.
Schedule a lunchtime interview with the Director and current Choir Council for either
April 17th or 18th.
V.
Term
Officers will serve one school year term, beginning immediately after public posting. Each
member of the council must re-run the following year, even if it is for the same position.
Choir Council members may be removed from their positions at any time if they cannot
meet the requirements of their position (either in duties or behavior inside or outside the
classroom) and/or have excess demerits.

Officer Duties
Always check with the Director in advance for permission to be absent and/or tardy to
events. Remember, asking for permission is very different from actually receiving it.
Please see the President and Director immediately if you have issues / conflicts
with the above dates!
VII.
President
Embodies the visions, attitude, talent, and commitment that is the WHS Choir
program
Supports the Director in all endeavors, embracing professionalism and a common
goal
Be present and accounted for at all choir events - you are always going to be the one
who comes early and leaves late!
In charge of all student officers
Create agenda for weekly Choir Council meetings with Director
Run all the Choir Council meetings
Delegate assigned duties for all concerts and events
Ensure that all officers are fulfilling their jobs and following the chain of command
Oversee and assist the secretaries / treasurer to ensure that tasks and deadlines are
met with quality
Take the official minutes and attendance for all Choir Council meetings and events as
needed (via provided or personal laptop in MS Word)
Distribute the minutes via e-mail to members and/or students in a timely fashion
Send out official reminders/announcements to students and parents via CHARMS
Keeps track of Letterman points for students
Keeps track of demerits for Choir Council officers
Create all programs and posters for the WHS Choir Program
Maintain all forms of social media (Choir Website, Twitter, and Facebook)
Assist in creating and duplicating documents on an as needed basis
Deliver approved invoices and items to WHS Music Boosters drop box
Print and e-mail FSA fee update lists via CHARMS
Assist Director with event and UIL documents on an as needed basis
Assist Director with field trip documents on an as needed basis
Coordinate Choir Representatives from the classes ensuring that tasks and deadlines
are met with quality
Oversee and assist the librarians / uniform managers to ensure that tasks and
deadlines are met with quality
In charge of facilitating student and parent surveys through Survey Monkey on an as
needed: basis
Oversee and assist the historians / spirit leaders to ensure that tasks and deadlines
are met with quality
Designing and dispersing flyers and banners for all concerts and fundraising
activities (within school and in town)
Write materials for school announcements, school email, and press releases
Assume responsibility of coordinating lighting / stage crew with choir and theatre
students (includes posting on call boards)
In charge of organizing the monthly Breakfast in the Choir Room events

In charge of organizing Choir Movie Nights and all other social events
In charge of managing alumni participation and events on an as needed basis.
Responsible for the monthly parent e-news document sent via CHARMS
In charge of maintaining our website blog The Voice
Prepare a video for the banquet that reflects the work of all the choirs during the
year.
Preparation of the Pop Show Senior slideshow
Maintain and facilitate the decoration of the display case in the Fine Arts Hall
Keep a binder of all programs from performances for the school year
Maintain the organization of our historical documents

Facilitate music collection and sorting at the end of each semester and on an as
needed basis
Barcode music that is to be used
Order new music via AMC and other companies for choir
Assist treasurer in keeping record of music that is missing / not turned in via CHARMS
Assist with document creation on an as needed basis

Print and e-mail FSA fee update lists via CHARMS
Keep track of Choir Council service hours
Post Choir Service Hour Points in December and in April for verification after students
have turned in point sheet
Assist director in the ordering of t-shirts, awards, etc.
Keep track of order forms (including food) and sizing for shirts
Assist the Director in keeping accurate records in CHARMS and preparing deposits for
the Westside Music Boosters on an as needed basis
Assist with fundraising events on an as needed basis
In charge of assisting other officers with food orders for choir events
Historians (2)
Keep a record of all WHS Choir Department activities for the year through photos,
articles, journals
Create a digital scrapbook of these activities
Generate a calendar for the year that includes a schedule for taking pictures of
each class in the choir department (in class and at events)
Diligently take pictures and video of concerts and students / classes in action
throughout the year for our electronic scrapbook and website
Take and print officer pictures for the display cabinet
Prepare a video for the banquet that reflects the work of all the choirs during the
year.

Helps to distribute and collect / organize uniforms for use and cleaning
Coordinating and facilitating planned bonding activities / games throughout the year

In charge of organizing Choir Movie Nights and all other social events

In charge of assisting Director with relations pertaining to WBMS on an as needed
basis
In charge of assisting Director with generation of coordinated carpool lists on an as
needed basis
Assist Director with field trip student lists / rooming assignments
Officer Discipline
If an officer does not complete their duties or acts in an inappropriate manner, the
following consequences will result:
First offense meeting with the President and Director

Immediate dismissal will occur if you do not represent the WHS Choir in a positive manner,
follow protocols, or if you treat students, choir parents, or Directors with disrespect or
dishonor in or outside of school. WHS Choir Officers are held to a very high standard.
Termination of an Officer
If at any time during his/her office an officer fails to live up to the standards of the WHS
Choir Handbook, the Westside Way, or his/her choir expectations, an officer can and will be
subject to termination from their position, this includes (but is not limited to) things such as:
failure to attend rehearsals, failure to be prepared, failure to participate in required
activities, failure to attend officer meetings, failure to pass all classes including Pre-AP and
AP classes, general failure to fulfill the responsibilities of the office. the Director and
president jointly have the authority to remove the individual from office. A replacement will
be appointed by the Director after consulting with the President and other officers, as
needed.
