INTRODUCTION
Every time a person sees a programme like Filmfare awards or those pop concerts and
beauty pageants he/she is likely to wonder how people managed to set up such brilliant shows.
Every tiny detail from the point of entrance till the end, is a result of rigorous planning. Well thats
event management.
One of the fastest and most promising upcoming professions today, it means rubbing
shoulders with the whos who of the creme-de-la creme layer of the city. Event management
provides an opportunity for unleashing ones creative potential to a very high degree. Although it
possess a comparatively high risk quotient and requires lot of planning and hard work, the scope
offered buy this field is enormous.
Event management is a multi-million dollar industry, growing rapidly, with mega shows
and events hosted regularly. This industry includes fields such as MICE (Meetings, Incentives and
Events), exhibitions, conferences, seminars, weddings as well as live music and sporting events.
Designing and producing an event whether it is a meeting, corporate event, fund-raising
gala, conference, convention, incentive or other special event is like a live stage production. It is a
high-wire act without the safety nets. Once your event starts there are no second chances. Its done
in one take and there are no rehearsals. Any event, whether it is for fifty or in thousands, needs to be
detailed and scripted. The more detailed one is, the less the margin of error.
Event management is the process by which an event is planned, prepared, and produced. As
with any other form of management, it encompasses the assessment, definition, acquisition,
allocation, direction, control, and analysis of time, finances, people, products, services, and other
resources to achieve objectives. An event managers job is to oversee and arrange every aspect of an
event, including researching, planning, organizing, implementing, controlling, and evaluating an
events design, activities, and production.
Event management is an intricate weaving of the process and the scope of management
functions. Even if one of threads are eliminated, the fabric of the event is weakened, leaving holes
or places where it may unravel.
EVENT MANAGEMENT
Event Management does not have rigid or concrete definition. To try and define it would
mean to borrow extensively from mainstream management and media concepts. It usually consists
of conceptualisation, planning, budgeting and more importantly execution of the event.
In a way, event management is a very intimate for of marketing. It is a controlled activity
aim at a specific target audience. Events have always been there. In the past meeting, organising and
project planning were the form of event management as a profession. Today it is much more
professional and more organised a sector than, a decade ago. Event management was started, the
moment multi-nationals corporations started pouring in money realising events to be a form of both
publicity as well as a display of grandeur. It is difficult to pinpoint exactly when event management
broke away from the mainstream course and started carving a niche for itself in the industry thus
gaining importance as an actual choice of profession.
Companies realised that through events they can reach out to customers more closely and
intimately; as event event is catered to a specific target group of audience who at times are
consumers. Another factor is that they can reach out to consumers more effective in a cost effective
manner, that is considerably cheaper than mainstream media. It can also be called as experimental
marketing or niche marketing, where the environment is controlled to suit the needs of the
product.
The show being showcased and the output being far tangible than that of the conventional media.
An event is a niche communication medium that allows companies to reach their target audience
directly with tangible outcomes, which are not possible through traditional forms of advertisement.
Through events, we can select and reach out directly to the target audience, we can control our
budgets and at the end of the event tangibly analyse, if the event was a success or not. This is quite
difficult, in mainstream communications; where the results are intangible and we are unsure about
the viewing audience and whom the communication reaches out to.
