2013 POLICY & GUIDELINES FOR INDUSTRY IMMERSION & SEMINARS


I. TERMS & DEFINITIONS:
1) Industry Immersion & Seminars shall refer to the subject offering for the Baccalaureate
degree in Architecture of Adamson University.
2) This subject shall comprise of Three (3) parts:
a) On-The-Job Training or OJT
b) Seminars
c) Diagnostics (inspections, quizzes, evaluation sheets & reports)
3) OJT shall refer to Practicum and/or On-the-Job Training at legal company, offices,
firms and or individual in the business and practice of Architecture.
4) SEMINARS shall refer to professional & technical seminars aligned with the
education of and pursuant to the general practice of Architecture.
5) Diagnostics shall include but not limited to inspections, quizzes, evaluation sheets & reports.
6) ADVISER shall refer to the faculty assigned to coordinate the subject of Industry
Immersion & Seminars.
7) PROVIDER shall refer to the legal Individual, Firm or Company where trainee/s is to
undertake the Practicum requirement or OJT.
8) TRAINOR shall refer to the legal person/s under whose supervision the trainee shall
undergo his/her training.
9) TRAINEE shall refer to any student enrolled in the subject of Industry Immersion & Seminars.
10) APO shall mean Accredited Professional Organization
11) IAPOA shall mean the Integrated Accredited Professional Organization for Architects
12) UAP shall mean the United Architects of the Philippines
13) PRC shall mean the Professional Regulations Commission
14) PTR shall mean Professional (Privilege) Tax Receipt.
II. QUALIFICATIONS FOR INDUSTRY IMMERSION & SEMNINARS
1. TRAINEE
a. Bona fide students of the College of Architecture, Adamson University
b. Incoming 5th year Architecture standing students, who have no failed or incomplete
grades in any of the Course/Major subjects.
c. Students must be enrolled in the current semester.
d. Students who have not incurred 3rd degree probationary status.
e. Students are required to present their Assessment Forms (AF ) and Certificates of
Enrolment for evaluation purpose.
f. Any & all relevant qualifications as may be prescribed by the Office of the Dean,
College of Architecture, Adamson University.
g. Qualified Student/s shall be referred to as Trainee/s hereinafter.
2. TRAINOR
a. Registered and Licensed Architect of the Republic of the Philippines (PRC).
b. Registered Member in good standing with the IAPOA.

3. ADVISER

a. Registered and Licensed Architect of the Republic of the Philippines (PRC).


b. Registered Member in good standing with the IAPOA.
c. Faculty of the College & University.
4. PROVIDER
a. Individuals, Firms and Companies legally engaged in the business and practice of
Architecture and its allied services, including but not limited to Architectural Design,
Architectural Interiors, Construction, Construction Management, Project
Management and Project Consultancy.
b. Individuals, Firms and Companies legally engaged in the business and practice of
Architectural Interior, Construction, Construction Management, Project
Management and Project Consultancy provided that the trainee undergoes
training in the capacity befitting and complying with the laws and documents listed
under the Policies on Industry Immersion & Seminars and R.A. 9266.
c. All Individuals, Firms and Companies hereinafter referred to under 3.a & 3.b shall
be duly registered with the national and local government.
d. All Individuals, Firms and Companies hereinafter referred to under 3.a & 3.b, who
are not engaged in any form of illegal activity and/or transactions.
III. POLICIES ON INDUSTRY IMMERSION & SEMINARS:
Component I:On-The-Job Training
The component shall be coordinated by the College, undertaken by the Trainee and
provided & conducted by the Trainor/Provider in conformity with:
1) All existing and applicable laws of the Republic of the Philippines.
2) All existing and applicable policies including but not limited to policies set by the
Offices of Student Affairs, Security Services, Vice-President for Academic Affairs
and the Office of the University President.
3) R.A. 9266 otherwise known as the Architecture Act of 2004 and the governing policies
contained within the documents on Professional Practice, Design and Allied Services by
the United Architects of the Philippines (UAP-IAPOA) and that of the Comprehensive and
Diversified Training requirement for Licensure Examinations for Architecture by the
Professional Regulatory Commission's Board of Architecture (PrBOA).

Component II: Seminars


1) Technical Seminars technical & skills development in
nature a) Training Seminars
b) Product Seminars
A minimum of three (3) seminars shall be required for this sub-component.
2) Academic Seminars academic development & thesis-related in nature

b) Thesis-aligned

A minimum of three (3) seminars shall be required for this sub-component.


Component III: Diagnostics
1) Inspections & Visits may be conducted by the Advisor/Coordinator pending permission and
approval by Trainor/Provider. The Trainee shall undertake the necessary formal
communication, documents, schedules, permissions and pertinent details for this requirement.

2) Quizzes
a) Shall be given periodically to ascertain students progress as well as the
integrity of the accomplishment reports
b) Shall be in any of the following forms:
i) Oral
ii) Written
iii) Graphical Output
iv) Consultation
3) Reports narrative reports coinciding with the details of; accompanying with
the Accomplishment Reports. (Weekly-or Bi-weekly Job or Work Description)
4) Evaluation Sheets
a) Evaluation Sheet (Trainor/Provider) to be accomplished by the
Trainor/Provider evaluating the Trainee.
b) Evaluation Sheet (Trainee) to be accomplished by the Trainee
evaluating the Trainor/Provider.
5) Questionnaire/Survey Forms and Memorandum of Agreement
IV. OJT QUOTA HOURS FOR INDUSTRY IMMERSION & SEMINARS:
1) The trainee shall undergo a minimum of 150-175-200 hours or Quota depending on
the type & nature of training provided as described in the Table 1:

2) Diversified & Comprehensive Quality:
a) All required minimum hours undertaken shall be patterned after the provisions of
R.A. 9266 & UAP Doc. 210 (Logbook for Diversified Training) specifically focusing
on the six (6) Fields of Practice (A,B,C,D,E & F).
3) Quota Percentage Distribution
a) Required minimum hours shall be undertaken on a percentage distribution as
prescribed for in UAP Doc. 210 (Logbook for Diversified Training). See Table 2.
b) Maximum practicum hours shall be set for each trainee depending on the different
OJT Provider categories to ensure an accurate grading system. See Table 3.

a) Option 1- A nominal 60 hours of Field Work (Jobsite) shall be required minimum


inferred from 40 % of Category A (Architects Regular Services) of minimum 150
hours. This shall be referred to as Option 1.
b) Option2 - Where Option 1 or the minimum 60 hours may not be attained by Trainee,
then Trainee shall be religiously complete all minimum hours covered within FOP C,
D, E & F. See Table 3.

5) Quota shall be submitted and credited based on accomplishment reports by trainee


either on a weekly or bi-weekly basis.
6) Quota credits shall be on a 1:1 ratio for regular office hours and 1: 1.5 for overtime
work. Travel and lunch hour breaks may not be credited.
7) Overtime hours shall be credited as such only under the following conditions:
a) Trainee must have logged in at least one (1) regular office hour and one (1)
hour's break prior to overtime work for the same day.
b) A letter of request from the Trainee, duly signed & acknowledged by Trainor,
has been submitted to Adviser two (2) class days prior to intended date.
8) Take-home drafting or office work is hereby discouraged (whether manual or
digital). Such work MAY be ONLY credited as follows:
a) As FIELD work and not as office work.
b) A maximum of Three (3) hours only, for every four (4) overtime hours multiplied by
0.75 for each overnight turn.
c) Certified as true and correct by the Trainor/Provider.
9) Office works designated by the Trainor at field office shall be credited as FIELD work
and only where trainee is assigned to the site on a whole day basis.
10) Unless otherwise substantiated by the Trainees Certificate of Enrolment, office work
done shall be credited a maximum five (5) hours daily. Trainee/s is required to arrange
with their Trainor/s appropriate proportioning of work hours, to be duly certified by
Trainor/s using the firm's letterhead.
11) The Trainee is bounded to the Schedule Matrix submitted to his Adviser. HOURS
UNACCOUNTED FOR IN THE SAID MATRIX SHALL NOT BE CREDITED.

12) In cases where classes are suspended or canceled, liberating any portion of the
matrix for additional OJT hours, trainee/s shall submit letter of request to the adviser
within the next twenty four hours (excluding Saturdays & Sundays) for proper credit.
Although allowed, this condition is highly discouraged.
13) As a general rule, quota credits shall be PROACTIVE and NOT retroactive in nature.

V. MECHANICS:
a) Each student shall be required to compile in clear book a compilation of documents as
required for the subject.
b) Clear books shall be presented to the Adviser no later than the second regular week: containing
the following:
c) LETTER OF APPLICATION (LOA)
i)

The student shall first submit a list of Three (3) potential & qualified Trainors/Providers to
the Adviser for review, verification and preliminary approval. Company Descriptions
indicating possible Fields of Practice (inferred from Logbook for Diversified and
Comprehensive Training UAP Doc. 210) shall accompany the list.

ii) The student shall conscientiously select from the Trainors/Providers based on the governing
policy provisions of the subject as well as due consideration to travel and break times, so as

not to adversely affect his or her overall academic performance. The five
kilometer rule shall be observed.
iii) The student shall accompany the list as described in item no. V. c) i) with printed
company info (website or company profile) of the Three (3) potential & qualified
Trainors/Providers to the Adviser for review, verification and preliminary approval.
iv) The student shall then compose and file a Letter of Application to the qualified
individual, firm or company where he/she intends to undergo training.
v) The Letter of Application shall be referred to as LOI hereafter.
vi) A recommended total of Three (3) LOIs per student shall be allowed based on
the list previously submitted.
vii) The LOA shall be so composed and formatted in acceptable standards of
business correspondence.
viii)The LOA shall be composed, formatted and printed with university/college
letterhead only and duly noted by OJT adviser.
ix) Students are enjoined to indicate the minimum no. of hours as required by the
subject as well as the intended portion thereof ascertained & guided by the (FOP)
Fields of Practice as described in UAP Doc. 210.
d) OJT SCHEDULE MATRIX
i) The schedule matrix shall be prepared by the student establishing his or her
available hours for the OJT component. The schedule matrix shall reflecting the
trainee's whereabouts at any given time of the school week/ day concerned shall be
prepared and attested to be true by the trainee.
ii) Color coding of red, yellow and green shall be used as follows:
(a) Red Class Hours
(b) Yellow Travel Time
(c) Green OJT hours
(d) White Not Applicable
iii) White colored cells may be converted to OJT hours upon compliance
with the documentation requirements provided herein.
iv) Students may NOT absent themselves their other subjects in favor of their OJT schedules.
v) OJT quota marked in green, may not conflict with class hours marked in red where a
minimum of one (1) hour travel time marked in yellow is required in between red and
green colored portions of the matrix.

e) LETTER OF RECOMMENDATION/ENDORSEMENT
i)

Upon the successful quality of response to and acceptance of the LOREs, the trainee shall
present and submit to the Adviser a copy of the LOREs duly acknowledged by the
intended Trainor/Provider to qualify for the Letter of Recommendation/Introduction from the
Office of Dean, College of Architecture & the Office of Placement, Adamson University.

ii) Letter of Recommendation/Endorsement shall be referred to as LORE hereinafter;


the format of which shall be secured from the Deans Office by the student.
iii) The LORE shall contain and be accompanied with the following:
1. Business name of the firm or company
2. Business card of the contact person, address, position or title in the firm,
contact number.
3. Duly Accomplished & Notarized Waiver Form (University Standard)
4. Any and all other waiver forms
5. Affixed signatures of signatories
f) TRANSPORTATION ROUTE DIAGRAM/ LOCATION MAP
i) A road map showing clearly and precisely the following:
ii) Points of Origin & Destinations
iii) Approximate Travel Time between Point to Point
iv) Total Travel Time
v) Transport Routes from Point to Point (Public Commute or Private)
g) OSA WAIVER FORM-Office of the Student Affairs (Duly Accomplished)
i) The university's policy concerning outside activities requires trainee/s to accomplish
the University Waiver Form. Accomplished Waiver Forms must be transmitted by
trainee to his/her adviser as well as the provider/trainor. The trainee is enjoined to
observe extreme precaution during the undertaking of his/her OJT quota/component.
h) OTHER WAIVER FORMS (As Applicable)

i) A bi-partisan quality for waiver status may exist due to standard company
policies on operational procedures & human resourced development by
Trainor/Provider. In this regard, additional waiver forms may be required by the
latter to be accomplished by the Trainee.
ii) Any and all other forms as may be required by the Provider.
iii) Students are enjoined to read waiver forms carefully before affixing their signatures.
iv) The rule of Safety First shall prevail in field as well as office work.
i) ACCOMPLISHMENT REPORT (Duly Accomplished)
i)

Logbook-formatted Accomplishment Reports (Weekly or Bi-Weekly) shall be prepared and


accomplished truthfully by the Trainee and certified by Provider/Trainor in the same regard.

ii) Accomplishment Reports shall be used as basis for grading similar to quizzes.
iii) Format shall be patterned after UAP DOC. 210 Logbook of Diversified Experience.
iv) Oral & written reports shall complement all Logbook-formatted Accomplishment
Reports on a monthly or per-provider basis.

i)

Towards the completion of the agreed & approved quota hours, Providers/Trainors
are enjoined to accomplish an Evaluation Form of the Trainee.
ii) An accurate and qualitative, objective evaluation and assessment on the
performance of the Trainee as to his/her work attitude, ethics, speed, proficiency,
professionalism and other qualities is highly requested.
k) EVALUATION FORM of TRAINOR
i) Towards the completion of the agreed & approved quota hours, Trainees shall be required
to evaluate their training and experiences upon the expiration of the OJT quota.
ii) A qualitative, objective evaluation of the premises, conditions, management styles and
other circumstances of OJT as provided and managed by the provider/trainor shall be the
main focus of the evaluation. Documented personal interviews shall be conducted by
trainee with the provider/trainor one (1) administrative office staff and two (2) co-workers.
iii) Copies of the Evaluation Form may be made available upon request and register-mailed
to the business address recorded. Mailing fees shall be to the account of the trainee.
l) QUESTIONNAIRE/SURVEY FORMS AND MEMORANDUM OF AGREEMENT

i) In the interest of forging a partnership with the members of the Architecture


Industry & Practice, and towards the completion of the agreed & approved quota
hours, Questionnaire/Survey Forms shall be presented to the Providers.
ii) All Providers are enjoined to provide qualitative comments, inputs & feedbacks in
the interest of improving the quality of graduates from the College & University.
iii) If mutually consenting, a Memorandum of Agreement cementing the partnership
in the development of quality future professionals may be entered into formally.
m) CLEARANCE
i) It is the intention of the University and College to further and continue the
relationship with the Provider and to foster an environment for better equalization
between industry and education. In this regard, a Clearance for the Provider is
critical and essential to the completion of the trainee's OJT requirement.
ii) The clearance intends to arrest any potential disputes, claims and misunderstandings
that may have occurred during the provision of opportunity for training.
n) CERTIFICATES OF ATTENDANCE
i) As part of the comprehensive development as Architecture students and future
professionals, the trainee shall be required to attend at least three (3) Technical
Seminars and three (3) Professional Seminars.
ii) Certificates of Attendance shall therefore be required.
iii) Seminars conducted within or outside the campus as arranged by the Adviser shall
be credited. Attendance records shall replace the required seminar certificates.
iv) Seminars conducted within or outside the campus and provided by the Adviser or
College/University but must be properly noted and approved as applicable and creditable
by the adviser. Attendance records shall replace the required seminar certificates.

v) Credits for seminars shall be for the current semester only and may not be retroactive.
o) CERTIFICATE OF COMPLETION (COC)

Upon the successful quality of completion, the trainee shall formally request in writing
to his/her advised for a Certificate of Completion or COC duly signed the Adviser and
the Dean of the Office of Dean, College of Architecture, Adamson University.
VI. LIMITATIONS & DELIMITATIONS:
i. Students are encouraged to plan and program the OJT component to realistically
attain the maximum possible number of hours and the most diversified and
comprehensive qualities of training covering the Fields of Practice (UAP Doc. 210).
In this regard, students may undertake the component under various
Trainors/Providers referred to the list previously submitted.
ii. A maximum of five (5) trainees per provided shall be allowed Provider that said maximum
are designated in separate projects, stations, departments and project sites. The optimal
number recommended is THREE (3) per provider per project assignment.
iii. Wherever applicable, a maximum distance and radius of FIVE (5) kilometers from point to
point shall be observed for OJT assignments. Point to point distances shall be referred and
reflected to the Transportation Route Diagram/Location Map. Maximum distance and
radius limitations may be exceeded for whole day schedules of trainee provided the yellow
and red colored portions of the schedule matrix are complied with respectively.

iv. Allowances for trainees may be afforded upon the discretion of the management.
Except for transportation and meal allowances in the conduct of official business,
the provider/trainor is not required to pay the trainee, although, any generosity in
this aspect is more than welcome.
VII. COURSE REQUIREMENTS:
