0 Organization Chart

Constitution of Task and Responsibility

All organizing committee members are to coordinate among themselves to ensure that all
programs activity run smoothly as well as to provide the students with the appropriate
security during their time here in UTAR.
Organizing Chairman
1

To chair all meetings and to make all the final decisions regarding the
programs/activities.

To oversee and ensure that all the committee members are fulfilling their duty
requirements.

Organizing chairman reserves the right to dismiss any organizing committee member
who does not perform accordingly before or during the event. Warning will be issued
before the dismissal takes place.

Organizing Vice Chairman

To assist the chairman during the course of the event.

To make decisions on behalf of the chairman when the chairman is not around.

To help the chairman to monitor that all departments are doing their task properly.

Organizing Secretary
1

To prepare correspondences such as letters, proposals and minutes.

To collect details from all committee members to form a contact list.

In charge in confirmation of the proposal as well as all applications.

To prepare certificate of participation of committees.

Organizing Treasurer
1

To collect the budget from all departments and make an overall budget.

To make sure every department spends according to the budget.

To prepare a complete account with all receipts and income statements attached.

To be in charge of claims that will be submitted with supporting documents such as

receipts, bills etc.

Treasurer reserve the right to reject bills without supporting documents.

Program Head
1

To plan and organize all the activities that will be conducted in the event day.

To be the timekeeper for all activities.

Logistic Head
1

To make bus reservation for the students and parents to and back.

To prepare and get ready the facilities and equipment needed for the activities during the
event.

To get floor plan for any departments needed.

To ensure all facilities and equipment are well taken care of.

Security Head
1

To ensure the program flow of the camp is properly coordinated.

To ensure that participants are always under supervision and control.

To ensure all safety equipment such as first aid kit etc. are in check.

Photographer Head
1

To prepare the booklet that will be distributed to the parents.

To be the main photographer during the duration of the whole camp.

To prepare the name tags for all committees and helpers

Refreshment Head
1

To prepare light refreshments for all participants.

To prepare the prizes/souvenirs to be given out.

Station Games
1. connect the words
-Team A starts with a word, for e.g.: car, eat, ugly
-using the last alphabet, team B need continue
-Team B continue it with a noun, for e.g.: rat
-This chain goes on until either one of the unable to answer
then end the game
-This game continue for 5 rounds, the team get 3 rounds
overall, win

2. picture puzzle
-10 papers of pictures are prepared (turnover)
-one from each team comes forward and do the fill in the
blanks with the cut alphabets
-after done, go back to the team and proceed the game with
another student
-the team that all of the members completed with the game
-this game continue for 3 rounds, first to get 2 rounds first
win

3. Draw it out
-one from each team comes forward and do the drawing
according to the words given
- after done, go back to the team and proceed the game with
another student
-the team that all of the members completed with the game
-this game continue for 3 rounds, first to get 2 rounds first win

4. basketball with correct picture

-3 boxes with picture of a things are prepared

-a word is given and all the students will throw a ball into the
boxes
-correct word with correct box will be counted
-those missed it, uncounted; those wrongly throw, uncounted
-play 5 rounds, get first 3 rounds, win

5. crossword puzzle
-2 sets of similar of crossword sheet is prepared (big piece)
-team A and team B is given the same words and same set.
-using legs as the crossing lines, the students are required to
find the words and cross it
-once they found one, must inform the station helpers to
clarify the words they found, then only able to proceed to the
next words
-play 8 words, the team that finished all first, win

-teach them direction words
