Introduction:
Internet is commonly and widely use to communicate and to connect to other people all
over the world. Many companies are using internet to communicate to their clients and
customers because internet is a fast and reliable form of communication specially for giving
information. Many companies are taking the advantage to provide services so they will be able to
reach out their clients and customers and also using the internet gives them the benefit of making
their work easier and faster.
Internet is simply wide interconnection of networks. To be able to connect with other
networks, a website is being used as a tool to publish any information. Online transaction can be
held in a website in terms of payments and reaching out people through websites.
A company like Phil-tex Staffing Services Incorporated dont have this kind of
technology and as of now they are currently sticking to their old and manual process of
applications. Philtex Staffing Services incorporated is a job employment agency and their job is
to look for a prospective applicants base on what their clients needs. The companys clients are
mostly international company and very few here in the country. Every day the company receives
a never ending line of job applicants. They assess all of them to make sure they will qualify for
what their client needs.
The assessment process is consisting of three parts. The first one is the applicants will
answer the evaluation sheet provided by the company. The second part is the interview where the
applicants will be facing the HR staff to answer questions provided again by the company. The
third one is the assessment examination. The assessment examination is a written test and it
consists of general knowledge and skill test depending on what job the applicant is applying for.
The assessment must be done for only a day but for the volume of applicants this is very
difficult to handle. Since the company is using the manual method where assessment is done by
papers and staffs, the company is experiencing in slower in productivity throughout every year.

When it comes in paper works the only problem is the HR department find difficulties on
examining all resumes because different applicants resume where not in uniform when it comes
to the background of the applicants. The difficulty is resulting to slower in process. With the
numerous applicants resume, storage of these resulting into another problem and disposing of
these files whenever needed is a part of that problem.
The proposed system is an online pre-assessment job application. The system can handle
screening by conducting the initial test including short interview. The website will help the
human resource department to screen all applicants without getting the hassle of meeting them
and accommodating all applicants. The system will be the first test before the interview with
employer. With this new system, innovation will be the primary solution in volume uprising of
applicants, innovation that will depend on what the companys needs. The researchers believe
that the online pre-assessment job application system will be the method that will bring
innovation and solution for emerging company problems.
The researchers attempt to design and develop new pre-assessment system which wants
to enhance process and flow of the old system an online system where they can eliminate papers
into electronic information where they can manipulate faster. The system will help assessing
applicants through online so the company can accommodate all applicants and with all these,
companys pre-assessment will be faster in process and productivity. Since the client doesnt
have any online portal for their company, we researchers will introduce to their company the
innovation by presenting the proposed system. The proposed system will help the company to
publicise their company also this will bring convenience for both the company and prospect
applicants.
Statement of the Problem
In making the proposed system, the researchers will try to eliminate the companys
difficulties when conducting pre-assessment application such as:
The numerous job Applicants for every different job positions are resulting to slower in
pre assessment process. The examining of resume took slightly long because of the dissimilarity
when it comes to the format of those resume. Little by little any slight delay will cause slower

process. Since the Human Resource Department is handling also the process of employees other
concerns, the large numbers of applications and evaluating those is causing too much hassle.
Currently the company is experiencing the lack of space to accommodate all applicants to
a certain area which resulted that sometimes applicants are standing in the lobby and the worst is
some applicants cannot go any further entering the building and possibly applicants were
disappointed because of the inconvenience due to this. When the accommodation area is
overflowing the company is giving stubs to applicants to return the other day because they
cannot accommodate them all.
The numerous applicants also results to tons of resume and storing these also creates
problems in space where this many files should be stored. Another thing, if a file wasnt longer
useful they need to dispose this properly and to do that it creates another problem when
disposing the files since the company wants to be their transaction to be paperless. The company
promotes recycling so a paperless transaction is a way so they wont need to recycle.
Theoretical Framework
The Job Information Module is where the site visitors or applicants can view the job
vacancies and the job that the company offers and this is also where the admin can manipulate
the information for the website and the jobs availability.
The Application Form Module is where the visitor will create their own resume using the
templates provided by the website. This module will save the resume and will serve as the
applicants account. This module allows the administrator to manage account and identify all
information for the applicant.
The Assessment Approval and Scheduling Module is where after the applicants is done
signing the application form, an approval by the server must be done before taking the
assessment process.
The Pre-Assessment module is concern in conducting the process of evaluating the
applicants. Evaluation test and VTR interviews are being held for the applicants. This where the
administrator can manage all test questionnaires.

The Assessment Report Module is where the results of the evaluation are shown. The
module allows the administrator to determine the result of the tests and interviews and saved to
database.

An online pre-assessment job application system for GHL Systems Philippines
incorporated will provide a marked improvement for the existing system in a way that these
various problems that the system has will be solved. The study will be a great help to the
following:
HR Manager Administration. The online system will help the HR Manager
Administration to manage all applications through the server by providing electronic file
as a record of every applicant. The system will provide more systematized file managing.
HR Manager Recruitment. The system will help the HR Manager Recruitment in
recruiting applicants through online because many job seekers are seeking through
internet. The assessing of these applicants will be easier for the management.
HR Staff. The system will help the HR Staffs in classifying and sorting of files. Any
information for particular applicants will be easy to identify because the proposed system
will have a uniform application form that will serve as the applicants resume.
Client. The company wont need more space for applicants.
Job Applicants. Job applicants will also be the beneficiary of this proposed system
because applying for the company will become more convenient for them as they can
apply through online.
Researchers. Future researchers will be benefited for the study for the future references.
Objectives of the Study

To create an online pre assessment job application system that will conduct preassessment for job applicants.

Keep records of applicants for future references.

To create an online system that will record applicants VTR if ever needed.

To create templates of application form that will serve as a resume of an applicant for the
uniformity of the files.

To create a system that will be provide more convenient way for prospective applicants to
apply to the company.

Scope and Limitation


Scopes:

The website can conduct initial test for every applicant.

The system can have an approval system in order to determine the applicants
credibility and capability to continue the assessment.

The system can have the scheduling system to manage the applicants
appointment to the company.

The website can record VTR if there is an interview.

The administrator can manage questionnaire for the test and interview.

The assessment process has time limit.

An online applicant can use IP camera for online interview.

The website will provide templates for application form to make the
information in uniform.

The application form created by a visitor can be saved in a database.

The application form created of the visitor can serve as an account for every
applicant.

For the administrator, they can determine and classify the test and interview
passers through the applicants account and scheduled for a following skill test
and final interview.

The administrator can identify previous applicants if they apply for a new
application and look to its background since the company has a 6 month rule
before an applicant can get an application again.

Limitations:

The website cannot perform other online transactions for the visitors other
than pre-assessment.

The minimum internet speed must be at least 1 mbps.

Once the applicant finishes the evaluation test, they cannot longer be able to
edit their answers.

Every user session to the website has time limit so the session will expire if
they return to previous page.

An applicant cannot attempt to have an assessment if the job application


requires an IP camera.

Cannot continue evaluation process accessing the website using any mobile
phone.
