Product & Supply Chain Assistant

* Product Registration (supply)


- Track new product registrations & ensure products are launched according to timelines.
- Liaison with BSI and Vietnam lawyers on product registration matters.
- Update new product registration dateline file and send it monthly to Asia Pacific Office
& Body Shop International before shipment delivery.
* Product Order - New product order/value offer/disposal list offer
- Analyze new product offers and promotion product offers, reviewing its features &
benefits to recommend to management order of new products.
- Generate costing, RRP and order forecast for proposed new products based on past
sales trend as well as taking into consideration future promotions and positioning.
- Competitors search on pricing and USPs of similar products.
- Negotiate with APO on export pricing.
- Submit orders & obtain approval within datelines given by APO.
* Tracking of Products in Shipments (supply)
- Monitor shipment and stock arrivals. Manage and liaise with freight forwarder for
approval on duties and ensure shipment is cleared within timelines, including processing
of NOTs + other related documents.
- Manage and liaise with Warehouse on shipment receiving.
- Check price against order for every shipment and inform Accounts on any
discrepancies.
- Highlight qty discrepancies and urgent stock situations to APO & take necessary
actions to rectify the situations.
- Track and follow up on discrepancy Forms raised.
* Product Allocation
- Allocate new products and products for every shipment.
- Ensure that product allocation quantity is in line with shops ranking and needs for
selling and merchandising.
- Work closely with warehouse to ensure allocations are fulfilled and delivered.
- Produce monthly short supply report upon shipment confirmation by Warehouse. This
will be distributed through the product bulletin.
* Create New Product, Pricing and update of product codes in EPOS system
- Create new product, import price, standard cost and pricing in the EPOS system and
ensure that all product fields are filled in accurately with the right product
categorization.
- Ensure that product codes are updated with every Service Level Report, TWTW
- Build the correct linkages from old codes to new codes and set inactive for
discontinued products.
* Event Planning
- Coordinate effective event planning to drive the business forward.
- Plan and prepare the necessary product documentations and templates for event

planning meetings such as the promo mechanics and business planning templates.
* Promotions
- Set key-in procedures for all promotions in the system
- Generate promotional report every Monday. Send a copy of report to all stores, retail &
marketing managers & directors on Monday.
- Track promotions performance against history, target & KPIs.
- Monitor stock situation on promo items.
- Suggest implement corrective actions if necessary & communicate with Retail.
- Generate reports + prepare slides every CDM + Review.
* Product Category Management and Positioning
- Distribute monthly updates of each shops category performance and range
contribution as well as product ranking for overall company, to facilitate effective space
management at the shop floor.
* Stockholding Optimisation (supply)
- Practise effective product management to ensure that companys stockholding is at
optimum level and therefore drives profitability using tools such as SSR, ABC Analysis,
Model Stock holding whilst ensuring a robust stock turn.
- This also includes managing and planning for stock discontinuations, repack and
reformulation with the objective of obtaining a healthy sell-thru rate, avoiding any OOS
or overstock situation if possible.
- Track + monitor Aging stocks to be sold down at shops following fixed tier discounts.
* QC issue (supply)
- To assess on products QC or defects related matter & raise discrepancy form to APO
* Outright orders for outright customers. Manage orders for outright customers monthly
+ ad hoc (if any).
* Miscellaneous Duties
- Assist and participate in company events, particularly Retail and promotional activities,
such as shop openings, workshops, mall events, marketing events, values campaigns,
and carry out any related duties as and when required by the management. This
includes sales, merchandising and promotional work at the various venues.
- Also, periodically carry out duties to assist on the shop floor, to gain more experience,
to help during merchandising work, busy times or when staff are needed.

Planning Assistant Manager

- Be project leader for new launch of Local Products Materials & finished goods planning of External
Manufacturing (EM)
- Monitor all Batch scheduling based on forecast, RM/PM planning coordination with LM, Logistical
activities of FG for External Manufacturing (EM)
1. Material Recruitment Planning

Perform MRP base on firmed production plan / prepare material procurement plan / place orders in
the system
Monitor with materials orders / work with source & importers and ensure that all of enquiries of
materials are import and delivered at LM as planned.
Inform LM delivery timeline of materials
Perform monthly material reconciliation & quarter stock take
Manage / Control Material Master in the systems
2. Production Planning
Monthly production planning meeting with LM
Update the rolling demand forecast with LM
Discuss production issue & highlight to Management team and ensure timely communication of all
stakeholders on supply chain related matters
3. Exportation at-works to Vietnam market
Be responsible for the whole process of exportation at-works till shipment arrive & available at
distributor warehouse
Perform monthly finished goods reconciliation & quarterly stock take
4. Other responsibilities
4.1 Stock release/ Redressing activities at distributor warehouse
Review and supply all of redressing component to Distributor
Work closely with Regulatory / Quality Assurance (QA) for Regulatory changes to impact for delay
stock release to market
Monitor and follow up to ensure that no stock out happen caused to the delay of redressing process
Review the stock balance of redressing component and ensure that the version of current stock is
up to date (obsolete if necessary)
4.2 Material/finished damaged/missing at LM/Distributor warehouse
Report to QA for any damaged /defected material to impact our production and give complaints to
source for investigation.

Report to QA for any damaged / missing finished goods for claim to LM

2. Specialised knowledge
- In depth knowledge of supply planning & operations, preferably from Pharma environment with
more than 2 years related experience.
- System knowledge SAP system
- Good English writing & speaking
- Strong negotiation skills / Strong knowledge / experience of distributors activities

Supply Chain Officer

1. Plan and monitor the ordering to ensure sufficient stock levels
2. Be in charge of all Supply Chain activities in Vietnam and Cambodia market (make
replenishment plan, place order, follow up shipping document and goods, validate stock
quantity, manage damaged stock and destruction process, etc)
3. Work closely with the related functions, e.g. Sales, Marketing in BI-VN to ensure
proper logistical supports are provided in a timely manner

4. Report monthly on all logistics activities


5. Review logistics procedures and suggest changes to improve practices
6. Working under corporate Supply Chain and ACP guidelines
7. Develop implementation time together with DRA/ MKT (Product Launch , Change
