Year Up Notes ESI Program March 23rd, 2010

Hi, welcome
NPO socially innovative 18-24 yrs old preparation for professional career (financial
district downtown)
5 month computer technical training 6 month internship with partner corporations
president obama visted year up site in WA DC
interviewed afterward innovation help economy help society
video then powerpoint

Video
CNBC June 23 2009

Interview w/ obama
On econ: people critical recovery African American unemployment to 20% by end of this
year
Question to Obama: Targeted intervention not changing why no targeted intervention
now to stop blood letting?

Obama’s response: Black and latino unemployment consistently higher than national
average
If economy goes down know African Americans hit even harder
Best can do for any community is get economy moving

If I can’t do that can’t help anyone – 1st priority

Some communities unemp sky-high before recession

Want proven programs to help get jobs

Back to year-up:

Yearup from high school./GED computers, train how carry selves in office, write e-mail
social skills (more employable) great success rate

Want to duplicate those programs.

Find tools to improve chances, but my most important strategy =(fixing) the economy

(Yearup is excited Obama mentioned us)

Powerpoint

History
Founded in Boston because individuals don’t have same resources/opportunities close
opportunity Devise (motivated, talented, need help)
5 locations 2000 young adults served by program 650 each cycle

2-phase 5mo in classroom, 6 mo internship

teach computer work college-level education

Students receive college credit by being in program (13 credits)

Registered as city college students and earn that credit (partnership)

Then internship

21 Weeks training

computer applications computer hardware computer networking business writing

customer service

18-24year old adults not exposed to culture want them to feel comfortable

schedule

ben question what discuss in current affairs class? Right now discuss healthcare – brush
up on fresh news topics

Monday morning kickoff etc. staff and students together

Do warm-up questions to make it interactive make feel comfortable

Internship 6 mo 36hrs/wk work in IT depts. Often help desk / desktop support varies by
site

Some corporate partners: Wells fargo, (firefox??) Kaiser permanente salesforce.com CA

pacific med centr responsys

Partners like us not because handout but because students are doing well, working hard

Program benefits to student:

13 college credits (build on education is important – start off or build on that)

opportunity to work in 6 month corporate internship – calls from 36yr-olds that want to
participate (can’t) – 6 mo internship very valuable
earn certificate funds of tech support
opportunity to network with corporate executives
get PAID to participate (really earning this money because come to class work hard
up to 150 or 250 dollars/wk
contract – help meet expectations of professional behavior
if late to class, deduction in pay (because could get fired if late to work)
if not here for a day, no homework on time, deduction in pay
most part get full amount
point system as well – if lose enough points can fire self from program (but we don’t fire
them)
need to make sure meeting professional expectations

if late to work boss says “you’re fired” want students to see if not making use of
opportunity – what they did to themselves that got them out of the program

if losing points throughout process have conversations whole time having conversations

if no more points then can no longer participate

but say “fire themselves” you fired self because of your own actions

high expectations, high support

addition to program
Stipend (pay)
each student gets mentor help with job interviews and filling out applications
staff advising (have a handful of students as advisees)
talk about how things going in classroom, homelife
community of fellow students (network)
alumni network (almost 1500 nation-wide)
career services – stay in touch once graduated make sure still doing what set out to when
with us

18-24 years old need to have high school diploma or GED

legal right to work
live in Bay Area
interest in computers/technology
MOTIVATED

If no GED can still join?

If early on before class starts and moving towards getting it, okay if get GED very soon
after class starts

General Equivalency Diploma = High School Diploma but get it independently

The Powerpoint we saw was designed for people interested in joining the program (as
participants)

Ben – what’s the application process?

Info gathering - Open house, fill out interest form

The application – essay letter of recommendation official high school or college
transcript

Interview (2 – before and after assessment)

Learning assessment
Basic computer skills, writing, reading comprehension

Then make decision

39 students (40 began with us)

we are recruiting and admitting students now for september classes

ben – family income?

Answer: we Have that question on the application, but don’t verify it (don’t check that
people are as poor as they say they are). No system in which people have less chance to
participate if they make too much money, or get more money if they are poorer (NO)

Ideally we would Take both applicants when two are competing– but if can’t, look at
what is interest to participate?
Both high school degree (1 student really wants to do it, other just wants to check it out)
But if neck and neck, accept both, even if over by 1 student (worth it to us)
40 students to this class, 80 for the next

over 300 people fill out interest form – to hear more about the program
once tell need to fill out application, come for interview, not as many people go through
with applying

twice as many give applications (80 plus applications that year up receives but can’t
accept)

essay want to do best

interview is biggest thing – biggest part of process

hopefully not nervous make sure they’re comfortable

why do you want to be here? Why interested? Can you actually do this for a year?
Invest $23,000 in each student so if can’t actually make the commitment can’t make
point total – fire self from program

If account all costs building, computers, etc. included

Corps help sponsor program money from them and from foundations
The tipping point is our biggest funder
Any intern companies – also provide sponsorship?
Sign up for 18 students?
Cost for each student return to us. See as a sponsorship/contribution.
Comes thru how many students they have
Stipend for student from year-up (not through those companies)
Is your company limited company?
Year up is a 501C3 NPO
What skills the company wants and content of training provide
Find out what they want, that’s what we train for
In NYC teach financial services (Wall Street) AND computer skills
If green jobs, a lot of companies wanted that, then we would train in green skills
So fit training to the skills in demand in current marketplace

IT entry level a lot of turn-over 4 year college grads, costs pretty high
Fill that role as low-cost intern, good for company and good for our program.

Take diversity of clients 80% men, most women a few men – imbalance of sexes
Do anything to balance men and women?

This class = 1st class where more women than men!! (1 more female than male)
Of the 38, 18 men, 20 women – a first. Normally more men than women, but good
balance this time. people hear about us, more people really interested in what we’re
doing

CEO of company want to increase innovation, spread out more participants

New places plan to expand – program size is doubling

How many students can’t pass thru program/year how many “fire themselves”
8/10 do make it thru, a couple don’t make it thru the program
late too often, not turning in homework on time
a good lesson – if a job and do that get fired

80% of students after graduation have full-time career or are full-time students

what most attractive point of studying here? – why hire student here instead of tech
degree

not just computer skills, but our students very professional, soft skills very strong for our
graduates - young, motivated adults (our program can provide) as interns, cheaper,
interns are cheaper than paid staff, but if you get hired on, it’s the same price as everyone
else

this program has learn financial and IT skills before and after financial crisis how did
program change?

Thing that changed – more people applied to our program – all over country, trade
schools starting to expand (more competitive job market) people before might not have
thought to be in a trade school
Founder (Harvard business school) saw financial crisis was coming, saving this
organizaions money, affected like everyone else but not that bad

Government funding very limited (cap at 5% because don’t want government hand in the
program (which means don’t want a government influence on the way the program is
run))

Word of mouth is big – go to high schools, work with other NPOs that work with young
people
And to churches
Some people come to us, but we make sure we’re going to them, too

Do we give Presentations? Yep other people see same powerpoint as us (VIA)

Majority of African Americans with high number of latino and hispanic, Asian American,
and whites as well
Higher number of minority students because of where they are in terms of own resources
because paying for college is hard for some folks

we wanna be as diverse as possible

as city college students, can go to guidance counselors to set up their college track

do any students go to college while in the program?

Some students take our classes, after class take more classes (more power to you if can
do that – meaning he is impressed and surprised and that that may be somewhat difficult
to do because it is so tiring)
So participants get a certificate here and another certificate (from the college if they
attend enough to graduate)

What is best thing for company to take internship – for them, talented fully capable
workers at lower cost, internal training so if want to hire them, already understand the
company pretty well

The stipend is fixed on the high side – up to $150 / week, but if late to class lose $15 that
week. But 150 or 250 / week.

because more want to participate in program, scaling up, do you ask the partner
companies to take more participants for internships?
All of partners have doubled from 2 to 4 students, 9 to 18, etc. if not able to grow with
individual corporate partners, we find more partners to work with

Special teaching methods – teaching often described as hands-on whether technical or

business writing - success and good performance – if not doing well can see and fix
themselves
20 students to one teacher so a good setting for them

core values:
respect and value others students and staff
build trust; be honest
be accountable
work hard and have fun
strive to learn want to want to be educated, students hungry for knowledge

when taking classes 150/week, when doing internship make 250/week

professional skills

etiquette pro socializing

hands off face (easy to get slumpy)

phone e-mail cubicle etiquette lead class in quick review

cubicle etiquette polite and respectful as possible

don’t walk into someone’s cubicle w/o notifying them first
when typing e-mails not too loud rude disrespectful be aware others next door
make sure not too rude disrespectful don’t interrupt anyone invade their privacy
don’tw want to walk up to people what you doing? What talking about on the phone
not right type of etiquette

teacher: everybody put hands up about working in cubicle everyone

lie – pretend is a real office – pretend can’t see computer right there – pretend that it’s a
real office
when someone is in your cubicle “prairiedogging” looking over cubicle
meer cat manor – sit up and look over
a boss is yelling at someone – prairiedoggin not okay
Wilson in home improvement (over the fence)
What kind of food is okay in the cubicle
Something that doesn’t smell (not tuna fish)

Perfume – don’t spray b/c might be allergic /irritated includeds berry lotions anything
really fragrant
If on the phone make sure eye contact – best to come back later
If your conducting the phonecall no fight with mom/boyfriend – cell phone
Have number to call leave voicemails but not okay to do private conversations inside the
cubicle

Feedback on presentation:
Annunciated, good posture – energetic/engaging, knew what was talking about knew the
info we needed to know (can tell if someone doesn’t know it – obfiscation)
Things to improve – rushing on times – maybe say a little bit slower to make sure
everyon with you – be okay with silence and pause – people like to fill in with um but
don’t do that let there be silence

Phone etiquette

Phone etiquette – answer before three rings, when taking messages, what?
Ask questions – what ask for? Ask for name, number, date down that talked to you
Also if keeps calling for someone don’t say they’ll be back in 5 min – don’t make
promises someone else can’t keep – say they’ll call you

Leave a message – be clear so know what saying music in background – none – you’ve
reached “X company” please leave a message. Why care about outgoing message –
wanna sound professional. People don’t know call you. The minute put cell phone on
resume, assume getting calls from employers – every couple from employers, might hang
up if hear music or hear ridiculous message.

Many reasons to throw out a resume – need attention to detail.

Think they forwarded messages – doesn’t matter what type of music. Make it a phone
that just you’ll be answering not anyone else. Make sure inbox is not full – don’t want
too many that can’t get

Turn-around time for professional phone call = 24 hours (to call back if they call you)

Feedback – did well, a bit nervous (saying um etc.) but his nervous is most people’s well-
prepared. More confident – think of three things I have to know – good things – even
when didn’t know, opened up to other people (good), but also started off with hands in
pockets a little bit (thumbs)

e-mail etiquette
Showed off socks

How many familiar with CC and BCC

CC carbon copy who send it to

BCC blind carbon copy is hidden receiver – others on CC list won’t see them
But BCC people can see who else e-mails sent to

When send e-mail to someone – CC send to to but to not to the CC – CC and to are same
thing?

If send to Anton
To: Antone@gmail.com
Cc: Ben@gmail.com
Bcc: sherry
Subject:

Dear Antone,
Buy me coffee.
Jessica

Write to you want you to do something

Want ben to know to do it
Cc is an fyi

Use BCC rarely – sneaky once/6 mo

Mean girls, three-way calling – call one person – oher person on mute – two people can’s
hear – provoke ben to say something that’ll piss off anton or something

If want to show sherry can make anton do anything – bcc her

Anton and ben don’t know sherry knows

In bad situation, boss might be bcced – let know keep asking for coffee not doing
something

1 legitimate bcc: invites to parties via e-mail

have a party:

subject:Party!

Don’t want e-mail address spammed to everybody (important)

Write myself an e-mail – bcc all of them – can’t see eachother’s e-mails. About the
party.
Protection of privacy – another legit use of bcc

Reply to all

If you receive an e-mail make sure hit reply not reply to all – because will be sent to
everybody on e-mail list – not everyone cares

Don’t be anonymous short and to the point not an essay – too much punctuation – if need
to emphasize something – one exclamation point all caps, same point as PARTY!!!!

Emoticons – smiley faces, just don’t do it

Signatures – usually include email phone number full name maybe a quotation
No please in “buy me coffee” – when say something and cause people to respond with
not so nice message – flames.
If people send you a not nice message, ignore it they’ll cool down.

Email blessing and curse:

Good for staying connected, don’t expect one back right away (except for smart phone
users)
If expect one back right away disappointed
Just like phone expect back within 24 hours

Great presence – moves smooth very well-spoken

But turn a lot – focused on moving – movements a little informal – focus on what look
like as professional you
Great presentation – asked questions of the group

Talked about introductions and interruptions

Professional Socializing:

What is socializing? Talking, interacting, dancing, out to dinner, brkfast, talking in front
of building,

In context of professional life:

Work parties
Lunch – what week (3) – in 19 weeks you are gonna be taken out to lunch
First week of internship taken out to lunch by advisor – work lunch
Workshops and training
Conferences sometimes in sf sometimes elsewhere
Fundraisers
Business meetings
Business dinner w/ boss w/ clients
Guest speakers in building etc. / hosting visitors
Interviews
(lunch interview? – very nerve-wracking b/c two things at once)
potlucks, holiday parties
at work in general – in the lounge at the cafeteria at your job
outside work within the work area/perimeter
business trips (all employee orientations)
networking events

what is the point of a lunch interview?

Point is to get hired
Goal of attending a conference? (not free stuff lol)
Come up with / share / promote ideas, what your company is doing
What is the point of a networking event?
Get to know other people, nice to communicate well with other people, make that
connection – some way to collaborate
Theme: the goal of all of this is the professional, not so much the socializing

The point of going out with people you work with, is prof’l not social

p.s. plenty of time to socialize the rest of the time (fri sat, thurs night lol)

why table manners in a tech program?

We all can eat but this is extra polish / prof’l etiquette – don’t worry about what fork to
use – think about how promote ideas and get job!!

If questions, let em out

No such things as dumb questions

Cold in here! Wasn’t anywhere near this cold…

Great sweater, Erin

Stop and start a lot of activity

A lot is common sense share our ideas
1st paragraph
good manners good impression, interviewed over lunch, network at cocktail parties, etc.
how bx on these occasions spk vols. About you as prof’l person
evals based on how treat waiters etc at restaurants

if I’m a CEO most people treat me really well – insight into how does this candidate treat
others – how treat coworkers, managers?

Business lunch dinner

Arrive early, wear business attire
If wear coat ask where can put it
If cocktail party 1st limit intake (of alcohol)
NYC wear coats most of the year
Raincoat in sf
Where put your coat when at restaurant?
Danger of putting on chair – may drag, drip
Usu have a coatwrack – if ask waiter coat check – have at museums a lot
How works? Give coat number it – they give you a number leave go back – give the
ticket back – tip em how much! A dollar (a quote ot the day lol)
Tip them a dollar or two for each item you check
If coat and brief-case then about 2 dollars
15% or 8% double the tax (9.something times two = almost 20% here)
15% is a polite tip. Base on how much meal costs – percentage of the meal.
Poor place $2, rich place more
If not good service, not tipping you!
Dep on the waiter / waitress

Tip on a meal = 15% to 20% (20 more often in urban areas like sf)
Waiters payed with expectation will get these tips – paid $5 / hour and not illegal because
assumed get gratuity pay

If bad service – talk to manager not just letting tip speak for you don’t seek revenge via
the tip doesn’t matter if Denny’s or if the finest steak house.

Tipping says more about you than the bad service

If manager comes able to fix things take some of price off meal (an hour to get a drink)
All this stuff for free (comped = complimentary) – a nice night – tipped as normal –
makes sense if get free stuff

Not rules – but just so you know what a lot of the planet operates under

Limit your intake – having an alcoholic drink is a good idea

21 years old.

Booze = alcohol

Social situation – booze – kabuki – bar – take drink inside the booth
Booze is ubiquitous – means it is everywhere
Booze is everywhere in our society!
Here’s where there’s a total double standard
Everywhere but we judge people that drink too much
If staggering down the street – think alcoholic
If in early 20s immature not grown up can’t handle
It’s everywhere and we’re judgy about it
Let’s not set ourselves up for failure!
Say a little bit of a drink (coor’s light just like water)
Not really drinking a few sips – slips on water – if slips and falls don’t the stairs –
colleagues think she’s drunk even if none of that stuff is true!!
Retreats for year up 3 years ago got really drunk, showed up late (1 hour late) 22 years
old came for a while, then went out – passed out on couch
Don’t rely on him (take hand off face)
Never consider hiring him – overall impression of him
Work parties fun because overboard
Big – waiters – set down trays
Guy goes bam into the tray. Laughing hard rolling on the floor (3 mo later he was gone –
not nec cause and effect but didn’t help him)
Way to dance at business parties. Two step. More conservative.
Business executive – fund / join company.
Not get down… can’t give specifics – use common sense / good judgment,
professionalism the goal is not socializing it’s to be professional

Any questions about the drinking?

What if offers you a stronger drink? You look out for own careers – if forced on you take
it instead of huge scene, but politely decline! Sip it slow – here most people have to
drive and stuff – can say “I’m driving” even if about to catch the MUNI

If there are oudervs

Leave one hand free for shaking hands and eating.
Balance all the oudervs between index finger and thumbs (I useta be a waiter. I didn’t
useta.) pull napkin loosely around little finger. Plate between ring and middle finger
Will impress people if you can do thins – all in one hand! Is she hired? Totally!
If take a drink make sure take it with your right hand so your food doesn’t spill.

Hand open for shaking hands

Last one: wait to go into dinner till hosts say sit or are seated

Minute host sits down, everyone puts napkin on lap - Signal to do the same

Unfold napkin – take out silverware put napkin on lap – fold in half
Napkin up here? No not in professional setting – (although do for steak, etc, but not in a
professional setting)

Ties – see people put tie over shoulder – don’t do that! Don’t want to ruin tie – just eat
carefully

Napkin on nap gently blot mouth when needed

Signal when returning – once meal is over and leaving, place to right on dinner plate

Don’t say I’m going to the little boy’s/girl’s room. Say “excuse me”
Some restaurants will fold your napkin into a swan to show you’re not gone for good
After look over menu – items uncertain about – ask server any q.s you have
Make sure a dish is prepared than spend entire meal picking at your food

Avoid asking for changes to menu item or ordering food hard to eat (bbq ribs)
Pasta is a no – pasta is drippy hard to fit in mouth, twirling around
Soup – slurpy – easy for soup to be loud!
Also if nervous, spoon to face is hard

Also, chicken wings are bad b/c eat with hands

Smell – including burgers unless cut it – bad for handshakes

Salads with too much dressing – drippy

Know yourself – stays in teeth!
What do we eat?
Crackers or something at cocktail party
But if a meal?
Sandwiche? w/ no sauce on it – be worried if have to use hands
Steak or piece of chicken can cut
Take to mouth, chew and eat – rice dish take forkfuls of
Burrito can cut it
What eat if don’t eat meat?
Not ordering soup or things like that – do pasta – do the penne (stab) not the linguine
Ravioli – whatever you’re comfortable with!
Not opp for best food of life – this is not your last supper, this is a professional setting!
As guest should not order one of most expensive item or more than two courses unless
host says it’s okay. If someone recommends something to you then it is okay to order it

Don’t get the surf and turf filet mignone and then lobster tail

Not most expensive – look at the menu – lowest and highest amount

$12 lowest, highest is $50 – not expected to get crackers and water / onion rings –
somewhere in the middle – oftentimes lunch menus (narrow selection)

appetizers are cheapest – don’t have to get the cheapest thing, just don’t make it seem
like you’re taking advantage!

What’s good? What looks good for you? Also know – he’s going for the $15 thing, I’ll
hit around there, too.

His order first, if waiter determines who goes first, often women’s orders before men’s

Europe – you dictate the portion size – make sure appropriate so everyone can have some

Reading table settings:

If attend formal event – what served, place setting
Plate in center of dining space, to right of line, knifes and spoons, sea food fork, etc.

To left – small butter knife across top of plate – liquids on your right, solids on your left

Pretty fancy – grad from year-up pretty fancy like that

Talk about use of the silverware – start with knife fork or spoon

Bullseye – work from outside in –

First course if soup spoon on outside – if salad first start on outside and work way in
Knife blade in – so noone gets cut
Bread on left, drink on right –
B for bread, d for drink
Never steal someone elses drink! (I do that under the table to make sure know which is
better)
Sherry in sherry glass wine from herez spain – golden, apperetiff before eat, fortified
wine (very very strong wine) synonymous with old people – sherry, cooking sherry, what
grandma’s drink

If use dinner fork for salad fork? A big deal? At the end of the day, NO. but just want
you to know

If someone takes your water, Slap her hand ? no. – get another water.

In work world don’t correct other people’s manners – it’s enough you know them (but
help correct eachother while at yearup)

No scraping/scratching. Salk and pepper always travel together – they are married.
Noone asks for pepper – if ask for salt give them salt and pepper. If ask for pepper give
em salt too

Leave spoon turned over in the bowl – a little old fashioned. An etiquette rule not just
weird if you see someone do that.

Early in career – get your meals paid for – reach for wallet – great idea to offer to pay,
always get turned down. If paying (they’ll pay back sometimes???)

Am and European way to do it (do what?) person paying for the meal gives the tip,
always

Water goblet – a goblet looks like – a fancy way to give water instead of the tall thin
glass

Going to city college this afternoon – where and when meeting?
