1.3 Internship Objectives

The purpose of the internship is to evaluate the Marketing practices, in corporate world /
concerned organization and to compare these practices with the contemporary Marketing
practices. This will enable the student to be a future marketing executive.

This report is an essential and academic requirement for the fulfillment of the degree.

INTRODUCTION TO THE ORGANIZATION (NTC)

It is old but wise saying that THEORY WITHOUT PRACTICE IS BLIND.


During my tenure in NTC I have tried my level best to utilize my skills in the
field of Administration.
NTC (National Telecommunication Corporation) started its operations in
1996. NTC has a mandate to provide basic telecommu

nication services to its designated customers, which include Federal and


Provincial Governments, their departments, autonomous organizations and
defense Forces throughout the country.

FUNCTION OF ADMINISTRATION DEPARTMENT

Administration Departments has been tasked with providing administrative


and logistical support to the entire organization
Mandate of the Administration Department include:
The mandate of the Administration Department is elaborated as under:

General office Management and Running.


Transport Management.
Security and Safety of Persons & Office Property.
Medical Facility, House Requisition, Enhancement of Education facility,

General Office Management and Running provides services, which


include:

Provision of offices for all staff & Setting of internal operating rules.
Ensuring a clean and secure office environment & ensuring availability
of adequate lighting, water etc.

Providing, where possible, designated parking for vehicles.


Ensuring availability photocopy services & of stationery. All stationery
must be procured within the PPRA Act and guidelines

Transport Management:

Every staff is supposed to be provided with transport in the discharge


of his/her official duties.
It provides fuel for all vehicles, motorcycles & generators etc.
It is in charge of repairing and Maintenance of all official vehicles

Security and Safety:

Provision of Security through hiring of a reputable firm at all sites.

HR ANALYSIS

a) Sanctioning of the Welfare Advances


The word Q-loan is abbreviation of questionable loan. These loans are
sanctioned to employees during the service for following purposes:
House Building Advance.
Motor Car Advance.
Motor Cycle Advance.
Cycle Advance.
b) House Building Advance:

1. The employees 10 years of service may be granted H.B.A for


construction of houses, purchasing of house, completely constructing
a house or extended or renovating a house already owned by him at
any place in Pakistan including Azad Kashmir for occupation by
himself.
2. The advances is granted only once in service for the construction of
new Houses.
3. House Building Advance for the purchase of flats in multi-storied
building may be granted to corporations employees.
4. The HBA granted to employees equal to their 36 basic pays.
5. An advance for the construction of a new house may be drawn in two
equal installments. The first installment will be paid on production of
documents establishing proprietary rights on the land and the second
will be paid only when the house reaches plinth level.

6. The repayment of advances from the fourth issue of pay after the first
installment is taken and is completed in 120 equal installments.
7. In case of BPS 1-3 the recovery is affected in 240 installments. The
interest is recovered in one or more installments from the month
following that in which the recovery of the principal amount is
completed.

8. In order to secure corporation from loss consequent on employees


concerned dying or quitting service before the repayment of advance
together with the interest is completed, the house so built and the
land so purchased is possessed by the Corporation.
c) Advance for Purchase of Motor Car
The employees for BPS-17 and above may be granted Motor Car Advance @
Rs. 450,000/- subject to the following conditions.
1.

At the time of drawl of advance the corporation employees


execute an agreement. The controlling officer should scrutinize
the agreement and record a certificate on the bill that the
agreement is in order. When the purchase has been finalized the
officer concerned should execute a mortgage deed. The car should
be considered as a security against the loan. The mortgage bond
should be kept in the safe custody of the sanctioning authority
until the recovery of the advance is completed.

The car must be insured against the full loss by fire, theft or
accident.

A second advance for the purchase of motorcar is not admissible


even if the previous advance together with the interest accrued
thereon has been fully repaid.

After the authorizing Q loans the recovery is made in monthly installments


under which the deductions are made from salary. However if the employee

does not want deduction from his salary he can give application for a desire
period for non-deduction. The maximum number of installments is allowed
for Q-loans are 120, 60 and 48 according to loan nature.
d) Installments

PERFORMANCE MANAGEMENT

Advancement of the organizations depends upon the performance of the


employees. There is a big hand of employees performance in developing the
organization. Management also encourage the employees performance in
shape of cash awards, appreciation letter etc.

SETTING PERFORMANCE STANDARDS AND EXPECTATIONS

Management

gives

significant

importance

to

adopt

proactive

and

participative approach to achieve the assigned targets and expect from the
team for close interaction between the regional heads and provincial
governments/departments for provision of prompt and good quality service
to the valued subscribers. And Management fixed responsibility on Regional

GMs for all operational activities within their area of jurisdiction and further
emphasized to improve the following:

8) INCREASE IN TELEPHONE CONNECTIONS
To enhance the telephone connections owing to the fact that NTC has a good
infrastructure approved capital works and budget to increase as well as
substantial potential customer base. Speedy pace will lead to increase
revenue base.

EFFICIENT CUSTOMER SUPPORT SERVICES (CSS):

Every faulty telephone connection attributes to loss in NTC revenue as well


as gives bad name to the Corporation. Management call attention to
maximum efforts should be made to promptly rectify faults in shortest
possible time.

HOW PERFORMANCE REPORTS ARE

PERFORMANCE REVIEW MEETINGS:

Performance review meeting is held quarterly to check the performance of


the Corporation. Management invites all the Regional Directors (RDs) and all
Regional General Managers (RGMs) for this meeting. Proper schedule is
prepared by the Administration branch and circulated that schedule to the
regional level for the information almost 15 days prior to the meeting.

by the administration in consultation with Management. All Directors,

detailed

presentation about the targets given them by the Management.


WRITTEN:
Performance either good or bad effect employees career development. Good
performance leads toward further enhancing the job responsibilities and
development of procedural mechanism regarding how to perform duties and
tasks efficiently and effectively. Administration and Human Resource
department regularly collect the Annual Confidential Reports (ACRs) of every
regular employee of every section i.e. working in Finance, Administration,
Human Resource, Data Networking etc. ACRs of the subordinates are
assessed by his immediate boss by grading him excellent, very good, good,
average and poor with respect to duties/tasks assigned to him. Moreover, in
some cases other areas such as punctuality, trustworthiness, initiative and
cleanliness etc. are also assessed.
13). MEDICAL FACILITIES
For the welfare of employees families, management has approved two basic
pay for outdoor treatment for employee and their dependents. And one basic
pay in two years for dental treatment. If an employee and their dependent is
involved in prolong treatment (physician recommend for use of medicine for
three months) management has also fixed an amount for this treatment.
14). Education Grant

For the education of employees children, management has approved


education grant amounting to Rs.600/- per child (maximum three children)
up to metric level and Rs. 1,000/- HSSC and graduation level.
15). REIMBURSEMENT OF TUITION FEE
Where management has allowed for improvement of qualification to the
employees there is also a facility to reimburse 50% of tuition fee with surety
bond of serving NTC for five years.
16). EID-REWARD:
Every year management announces Eid-reward for the employees so that
they can happily/joyfully celebrate Eid with their families.

17). OVERTIME:
Drivers are doing their duties with seniors as well as working on pool, have to
sit late sometime late night. To encourage them management has approved
their overtime Rs. 11/- of two hours and maximum Rs.50/- as meal charges.
18). TA/DA
Officers/officials have to visit to different regions /divisions for the following
purposes:

For inspection of exchanges

For recruitment/selection in the regions

For audit purposes

And many other purposes

To meet the expenditure management has approved policy of Traveling


Allowance /Daily Allowance. 80% of the estimated expenditure is issued to
the officer/official before journey.
19). TRANSFER/POSTING GRANT
If an employee is transferred from Headquarter to Regions/Divisions or from
Regions/Divisions to Headquarters then management approve for him
transfer grant (luggage charges) so that the employee can comfortably shift
at the place where he is transferred.
20). WAIVER OF LOAN IN THE EVENT OF DEATH OF AN EMPLOYEE:
Management supported the waiver of principal outstanding amount of the
following loans in the event of death of an employee of the Corporation
provided he has been a regular payee of the installments of loan granted to
him:
1. House Building Advance
2. Motor Car Advance
3. Motor Cycle Advance
21). GRANT IN LIEU OF ACCIDENTAL DEATH OF AN EMPLOYEE
If there is come to pass accidental death of an employee during the service,
Rs.300,000/- (BPS-1 to BPS-10) and Rs.500,000/- (BPS-11- to BPS-16) and
Rs.800,000/- (BPS-17 and above) is granted to the families of disease
employees for their back-up.
22). Assistance package for families of NTC employees who dies in
service

CRITICAL ANALYSIS

At the beginning of NTC in 1996 there was limited staff to run the affairs of
the Corporation with some vested staff from PTCL. With this insufficient staff,
hard efforts were made in order to enable this newly established organization
to stand upon its own feet.

Every business success depends upon its marketing strategies. Each


organization has its own marketing process for marketing of product and
services

they

offer.

Large

organizations

have

their

own

marketing

department for enhancement of their product sales. These organizational


have their own promotional strategies, channel of distribution and pricing
strategies. As far as NTC is concerned as its target market is limited and
Corporation entertained purely government sectors and defenses it has not
as such detailed marketing process. As NTC is not a big organization and
provide telecommunication services to limited market only, so there is no
marketing department specifically. Normally marketing strategies are made
to attract more customers and retain the existing one. NTC has its monopoly
in entertaining the Government/Defense Sector so it has no such marketing
strategies for promotional ads but they made advertisement only for
procurement and recruitment.
24) SWOT ANAYLISIS
SWOT analysis of NTC HR has been carried out as follows:
Strengths: NTC is providing high quality telecom & I.T. services to the GoP
through vibrant range. The services focus the economical and market
competitive prices. The main benefit in the services lines is the addition of
the NGN. NTC is the only one that is serving with the NGN to the GoP. Thus,
NTC focuses the TQM (total quality
management) in over all in all the services/production departments including
department of HR. The other HR quality benefits for the employees are
better salary package, insurance, medical facility of the self and of the
family. In addition to the regular monitory benefits there are handsome

package and funds at the retirement, as well as compensation for the poor
and needy employees so thats way the employees are very motivated.
Weaknesses: The pay package for the contract employees is not good. Only
the permanent employees and mangers received the competitive packages.
There no sufficient amount is being speeded on the development of HR and
Trainings of the employees as desired. In mostly departments some of
employees have the more burden and duties than other so the HR
department needs to cover such types of issues.
Opportunities: There are a lot of opportunities to production of the new and
innovative products including establishment of new exchanges and internet
services setup. The organization lacks the research and development
department. There is a need of the forward integration so they open up their
own outlets in the market. Also the attraction for the more customers and as
well the profit for the organization. There is need to add the new brand name
and addition of the product line and explore the market at national level in
some areas like cellular services etc. These opportunities will lead towards
the growth of HR consequently with the development initiative thereof.
Threats: The basic threat to NTC is the low market growth and Safire of the
service line being the government sector only. The customer has the
availability of the substitutes services in the market. There are large number
of competitors in markets like PTCL and other cellular operators etc, and they
are continuously improving there services and introduce new innovative
products.

HR Department in NTC

Management of people at work is very important in every organization, because organization


goals and objectives are achieved by the co-ordination of people working at the organization.
Every organization has personnel function whether or not specific manager has been so
designated. Every organization must hire, train, motivate, maintain and ultimately separate
employees. Human resource department is responsible for arranging and managing human
capital for NTC. Their main tasks include recruitment, selection, promotion, performance
management, training arrangement for employees developing the HR Policies, building
competitive market pay structure, Procurement etc.This department also indulges in
administrative responsibilities

including overall maintenance of the company, management of

the Training Colleges and Institutes, providing medical services to the employees, employee
relations etc. The HR department has been further divided into the following functional areas

A few qualified officials run the Human Resource Department at NTC. NTCs HR objectives
reflect its corporate values, i.e. SCOPE.

SEVP HR & Administration is having two EVP working under him, EVP HR & EVP
Administration. EVP Administration has one GM, who has three senior managers. Senior
Manager; Medical Services, Senior Manager; Maintenance and Senior Manager; Administration.

CONCLUSIONS
As NTC comes under Government regulation, so Government will
finance NTC in case of any mishap. Another aspect is that NTC has
crucial role for Government, so Government do not want NTC goes
bankrupt or any other mishap takes place, so Government will finance
in any case of emergency.

Trained manpower is always helpful for organization in improving its


workers

efficiently. NTC is providing continuous

training to its

employees, to meet the demand of present era. NTC does not have

their own training institutes. They send their employees to training


institutes of PTCL and have to pay huge amount of finance. Every year
mos of the senior staff goes abroad on training, but actually they do
not learn proper and is the wastage of NTC resources.

NTC has centralized control on all funding and decision making, which
help them in controlling wrong decision making and wastage of fund at
regional offices. Centralized control will lead to red-tape i.e. late
decision making will increase the cost. Centralization has threat of
receiving wrong information from the regions, which will lead to wrong
decision making or revolt from region.

RECOMMENDATIONS:
The staff working in NTC is highly qualified and trained. There is
shortage of staff, in some sections due to which work burden increases
and thus leads to low efficiency and low output. Highly qualified staff
demand high salary and if they are not given according to their
requirements they leave and look for better jobs.

Pre-paid calling cards allow consumers to save upto 50% on long


distance and international calls when away from their home or office. It
is a very popularly convenience that has become one of the fastest
growing

Segments in the telecommunication industry. NTC is already working


on a project to launch its pre-paid calling cards for its designated
customers.

Conducive environment: the other positive aspect of this organization


is its working environment. Here people are working in stress free and
friendly environment with the feeling of freedom. It has conducive
culture to its commercial status.

NTC is sole provider if optic fiber which is the backbone of the NTC, and
generate a lot of profit for the organization. There are no other telecom
sectors that provide the telecommunication facilities through optic
fibers.
There is quick and fast verbal communication through telephones,
faxes and the net working system.

One of its majors strength that there is no labor union. So


management is doing its work swiftly and smoothly without any
hurdles which can be created by union. NTC management should
continue disallow union in future for further promotion of the
Corporation in the market.
