EXHIBIT E PCC Reports GVRS Maintenance 02/18/2014 MEETING NOTES GEORGIA VOTER REGISTRATION SYSTEM {GVRS) PROJECT ‘GVRS Maintenance and Support DATE & TIME February 18, 2014; 10:30AM ~ 2:30PM LOCATION SOS Office [ATTENDEES ‘SOS: Merritt Beaver, Clark Rainer, Tracy Sennett PCC: Anand, Keval, Scott, Cindy (via phone), Kishore (via phone) BRIEFAGENDA —_—_To introduce Maintenance Phase of PCC’s GVRS Contract. 1. Merritt will give a date to PCC for completing the Candidate module; SOS will coordinate testing through Cindy & Scott at PCC. 2. Merritt announced that Kevin Fitz is the new SOS support manager for ElectioNet. a. He will manage Ter 1 support for ElectioNet. b. He will handle calls from county users. ¢, Beyond their capability, Kevin will transfer to PCC (Tier 2). dd. GVRS Support is the point of contact (POC) for Tier 2 and higher GVRS issues. 3. Clark requested contact information for Cindy and Scott. Anand and Scott agree to send full listing of PCC - GVRS Support team contact information to SOS. 4. Anand - Who is point-of-contact at SOS (for channeling GVRS communication)? a. Merritt will set priorities for GVRS project. b. All PCC-SOS communication will be funneled through one person on each side. Scott is POC on PCC side. c. PCC will set up a weekly meeting between PCC and SOS for GVRS support review. 5. Anand - Bug/Defect correction process. a. Biweekly cycle of bugs reported, corrected, tested, implemented, and ‘communicated to users via code releases. 'b. PCC will continue to provide release notes with an outline of each change made (including screenshots and process outlines, as applicable). ¢. SOS emphasized (PCC agrees) that no developer at PCC works on the production ElectioNet application without a planned release sent to SOS and users. 6. SOS will have lists of defects that they find through testing, as well as Interface issues, to be channeled to PCC as either Bugs to be fixed, or as new items out-of-scope of contract {Enhancement change requests). 7. All agree that people at SOS on GVRS project should be divided, temporarily, into two teams. ‘a. One team focuses on day-to-day maintenance and user support going forward. b. SOS states that Counties are about to start testing with Mock Primary Elections. a. They expect that Defects will be found, beyond what SOS has tested and found, as they are primary users demanding more from system than SOS has been able to simulate in testing. 9. Members of SOS team are concerned with current DB performance (DB2). a. Would like to be involved in design of improved DB calls. 'b, SOS has in-house resource that would like to be utilized for GVRS improvements. 10, For ElectioNet core product (aspects of application in maintenance mode), SOS team POCs are: a. All application issues will come from Greg. b. All database and interface issues will come from Gary. cc. OLVR/MVP are still in Implementation mode, and handled separately, by Kevin & Dan at Sos. d. DB migration will use Clark as POC, 11. Decided on plan to do perform minor index changes of DB calls up until DB Migration. a. The SOL changes will be sent to PCC by SOS staff via Enhancement Change Requests. b. SOS should have Bob work on performance tuning of parameters and index efficiency for DB2. i, Add new indexes (no changes to SQL). fi, Improve performance. 12. Candidate qualifying is 3/3-3/7, with Kishore and Cindy will be on-site in GA. a.
