Pembrokeshire Tourism is the organisation that works to keep it that way. Supporting
more than 16,000 jobs, the visitor economy offers a future to Pembrokeshire

Pembrokeshire Tourism is here to support, advice and speak for the Pembrokeshire
tourism industry, with membership open to absolutely anyone involved in business in
the county. It has nearly 600 members ranging from accommodation providers and
attractions to shops, companies and suppliers – with more and more coming on board
each week to join the Pembrokeshire Tourism community. We meet member needs
with workshops, training sessions and social events, keeping them in touch with
what’s going on in Pembrokeshire and beyond, offering a helping hand and a listening
ear – with the ultimate aim of extending the season to keep everyone busy and happy
year-round.

PERSON SPECIFICATION
Pembrokeshire Tourism is seeking to appoint a Finance Assistant, who will report
directly to the Finance and Office Manager.
Applicants should hold a minimum of 4 GCSEs or equivalent including mathematics
and English language.
It is essential that applicants have:
• Relevant experience in using either Sage or Quick Books Operating systems
on a daily basis, with an ability to use with confidence.

• Relevant experience in using Microsoft Office including Excel, Access and


Word.

It is essential that applicants have relevant accountancy experience, and ideally an


industry recognised qualification to back this up.

Pembrokeshire Tourism is able to offer a flexible approach to the delivery of this post
which ideally should be 4 days per week 5 hours/day (including 30 minutes unpaid
lunch break).

JOB SPECIFICATION
Pembrokeshire Tourism currently operates a Quick Book accountancy system,
all tasks detailed below relate to this system.

The main role of the Finance Assistant will include:

• Budgetary planning assistance in conjunction with Finance and


Office Manager and Chief Executive

• All bookkeeping including nominal, purchase and sales ledgers

• Invoicing, receipt of payments and banking and all bank account


transactions.

• Receipt of bills, obtaining authorisation for the payment of bills,


production of cheques, obtaining authorised signature on cheque,
mailing of payments, bacs payments

• Credit control. Keeping a close watching brief

• Payroll (4 employees currently) to include all work related to PAYE


and the maintenance of personnel records including year end
records. Payroll is currently operated via Pembrokeshire Tourism’s
accountancy partners, Jane Heard Associates.

• A budgetary control system (currently Excel cash flow


spreadsheets)

• Monthly management accounts and report on the financial position


of the organisation developed in conjunction with the Finance and
Office Manager.

• Monthly bank reconciliation

• Maintain and update all credit card transactions and reconciliations

• Year end trial balance, balance sheet and profit and loss

• Liaison with the auditors in conjunction as necessary with the


Finance and Office Manager.

• VAT quarterly returns in consultation with Finance and Office
