ABSTRAC
T

Purpose- The purpose of this study is to know the motivation pattern and
motivation level of the employees working in Food Corporation of India,
Headquarters, New Delhi.

Design and Methodology- The study examined the responses of 100

employees of the organization, which includes two categories of employees. The
questions asked contained information about the number of years since the
employees have been working in the organization, their satisfaction level with the
working conditions and the factors that motivate them the most to give their
best.

Findings- After the study have been conducted, it was found that there is one
most important factor because of which the employees get highly motivated, and
that is Job Security. The factor that de-motivates the employees to the greater
extent is Promotion Policies. The result from the research say that the promotions
are based on seniority and this is what is disliked by the employees.
Research Limitations- the study is limited to examining employee feelings, not
taking account their personal characteristic, which may be important.

Originality and Value- The study is very important from the managerial point of
view as it explains the factors that motivates the employees and boost to work
harder for better results. This study is also important for the organization as it will
help its management to know the requirements of the employees working there.

PREFACE
The research studies are of a great help in enhancing the
knowledge of a person. Practical knowledge is a suffix to
theoretical knowledge. Classroom lecturers clarify the
fundamental concepts of management. But classroom
lectures must be correlated with the practical research
situation. It is in this sense that the research project is
made compulsory for the curriculum and has a significant
role to play in the field of business management. Through
this type of project one can understand the application of
theory into practical. But it is only difficulties, which makes
the success dears. In this project I have put a lot of effort
to make it a success.
This project Fund Analysis at Food Corporation of
India. a study of sources and destination of funds in Food
Corporation of India has been completed as an essential
and obligatory part of M.B.A. curriculum. My purpose for
this project is to find out the process of fund flow and its
utilization in various activities of the organization.

FOOD CORPORATION OF INDIA

The food corporation of India was setup under the FOOD CORPORATION ACT 1964,
in order to fulfill following objectives of the Food policy:

10

Effective price support operations for safeguarding the interest of the

farmers
Distribution of food grains throughout the country for Public Distribution
system; and
Maintaining satisfactory level of operational and buffer stocks of food
grains to ensure National Food Security.
Since its inception in 1965, having handled various situations of plenty and scarcity,
FCI has successfully met the challenge of managing the complex task of providing food
security for the nation. A strong food security system which has helped to sustain the
high growth rate and maintain regular supply of wheat and rice right through the year.
The efficiency with which FCI tackled one of the worst droughts of the century not only
cemented its role as the premier organization in charge of food security in India, but
also brought it accolades from international organizations.
Today it can take credit for having contributed a great deal in transforming India from a
chronically food deficit country to one that is self-sufficient.

INTRODUCTION OF FCI
Food Corporation of India (Hindi: ) was setup
on 14th January 1965 having its first District Office at THANJAVUR -

11

RICE BOWL OF TAMILNADU and HQRS at CHENNAI under Food

Corporations Act 1964 .
FCI is the Largest Corporation in India and probably the largest
supply chain management in Asia. It operates through 5 zonal offices
and 24 regional offices. Each year, the Food Corporation of India
purchases roughly 15-20 per cent of India's wheat output and 12-15
per cent of its rice output. The purchases are made from the farmers
at the rates declared by the Govt. of India. This rate is called as MSP
(Minimum support Price). There is no limit for procurement in terms of
volume; any quantity can be procured by FCI provided the stock
satisfies FAQ (Fair Average Quality) specifications with respect to FCI.
The stocks are transported throughout India and issued under the
Public Distribution System (PDS) for the consumption of the ration
card holders at the rates declared by the Govt. of India. The
difference between the purchase price and sale price, along with
internal costs, are reimbursed by the Union Government in the form
of Food Subsidy. At present the annual subsidy is around $10 billion.
FCI by itself is not a Decision making authority; it does not decide
anything about the MSP, Imports or Exports. It just implements the
decisions made by the Ministry of Food and Ministry of Agriculture.

12

OBJECTIVE OF FCI
The Food Corporation of India was setup under the Food Corporation Act
1964, in order to fulfill following objectives of the Food Policy:

Effective price support operations for safeguarding the interests of the

farmers.

Distribution of food grains throughout the country for public distribution

system.

Maintaining satisfactory level of operational and buffer stocks of food grains

to ensure National Food Security.

13

In its 45 years of service to the nation, FCI has played a

significant role in India's success in transforming the crisis
management oriented food security into a stable security
system. FCI's Objectives are:
To provide farmers remunerative prices.
To make food grains available at reasonable prices, particularly
to vulnerable section of the society.
To maintain buffer stocks as measure of Food Security.
To intervene in market for price stabilization.

INDUSTRY PROFILE
Industry Overview:
The Indian Agriculture Industry is on the brink of a revolution that will modernize the
entire food chain, as the total food production in India is likely to double in the next ten
years.
As per recent studies the turnover of the total food market is approximately Rs.250000
crores (US $ 69.4 billion) out of which value-added food products comprise Rs.80000
crores (US $ 22.2 billion). The Government of India has also approved proposals for joint
ventures, foreign collaborations, industrial licenses and 100% export oriented units
envisaging an investment of Rs.19100 crores (US $ 4.80 billion) out of which foreign
investment is over Rs. 9100 crores (US $ 18.2 Billion). The agricultural food industry also
assumes significance owing to India's sizable agrarian economy, which accounts for over
35% of GDP and employs around 65 per cent of the population. Both in terms of foreign
investment and number of joint- ventures / foreign collaborations, the consumer food
segment has the top priority. The other attractive features of the Indian agro industry
that have the capacity to lure foreigners with promising benefits are the deep sea
fishing, aqua culture, milk and milk products.
Excellent export prospects, competitive pricing of agricultural products and standards
that are internationally comparable has created trade opportunities in the agro industry.
This further has enabled the Indian Agriculture Industry Portal to serve as a means by
which every exporter and importer of India and abroad, can fulfill their requirements and
avail the benefits of agro related buy sell trade leads and other business opportunities.
This Indian agro industry revolution brings along the opportunities of profitable
investment and agriculture-industry-india.com provides you the B2B platform with agro
related trade leads, exporters & importers directory etc. that help you make your way to
profit easy.
To lead yourself to the destination of profit through the Indian Agriculture Industry, know
maximum about the EXIM policy, programs & schemes, price policy, seed policy and

statistics at the Indian agro portal and harvest benefits from India, world's second largest
producer of food and a country with a billion people. From canned, dairy, processed,
frozen food to fisheries, meat, poultry, food grains, alcoholic beverages & soft drinks, the
Indian agro industry has dainty areas to choose for business.

MAJOR AGRICULTURE PRODUCTS IN WHICH FCI

DEALS:Wheat
With a production reaching ten times in past five years, India is today the second largest
wheat producer in the whole world. Various studies and researches show that wheat
and wheat flour play an increasingly important role in the management of Indias food
economy.
Wheat production is about 70 million tonnes per year in India and
counts for approximately 12 per cent of world production. Being the
second largest in population, it is also the second largest in wheat
consumption after China, with a huge and growing wheat demand.
Production Area
Major wheat growing states in India are Uttar Pradesh, Punjab, Haryana, Rajasthan,
Madhya Pradesh, Gujarat and Bihar. All of north is replenished with wheat cultivation.
Wheat has a narrow geographic land base of production as compared to rice or pulses.
Wheat is a temperate crop requiring low temperatures and most of the country is
tropical.

Rice
Introduction
Throughout history rice has been one of man's most important foods. Today, this unique
grain helps sustain two- thirds of the world's population. Archeological evidence suggests
that rice has been feeding mankind for more than 5,000 years. Today, agriculture is the
backbone of Indias economy, providing direct employment to about 70% of working
people in the country. It forms the basis of many premier industries of India, including
the textile, jute, and sugar industries. Agriculture contributes about 31% to GDP; about
25% of India's exports are agricultural products.

RESEARCH METHODOLOGY

Research Methodology is a systematically solve the research problem. It has

many dimensions and research methods constitute a part of the research
methodology.
Thus when we talk about research methodology, we do not only talk of the
research methods but also consider the logic behind the methods. We use in
context of our research study, so that research results are capable of being
evaluated either by researcher himself or by others.
To effectively carry out in research, I would use the following research process,
which consists of series of actions or steps.

21

Research comprises of the following steps:1. Formulating the research Problem.

2. Research design & Sample Design.
3. Analysis of data gathered
4. Data analysis comparison
5. Graphics and interpret

1 FORMULATING THE RESEARCH PROBLEM

This is the first step under which the problem is stated in general way and then
ambiguities i.e. understanding and rephrasing the problem thoroughly and
rephrasing the same into a meaningful terms from an analysis point of view.
The research problem under the present project was to study data of various
funds. For this research process was to be formulated and the execution of which
would result in the desired data.

2. PREPARING THE RESEARCH DESIGN

The function of research design is to provide for the collection of
relevant evidences with minimal expenditure of efforts, time and
money.

Research Design

22

Type of research
Sample design

1.1TYPE OF RESEARCH

The type of research under present is an analytical research. In analytical

research; we use tact's or information already available, and analyze these to
make a critical evaluation of the material. Hence the same would be done.

In this project I had collected facts, data, and information.

1.2 SAMPLE DESIGN

A sample design is a definite plan determined before any data is actually
collected for obtaining a sample. Researcher must select a sample design, which
should be reliable and appropriate for his report.

3. OBSERVATIONAL DESIGN (COLLECTION OF DATA)

Observational design relates to the condition under which the observations are to
be made. Observational design in respect to research. There are several ways of
collecting the appropriate data, which differ considerably in context of money,
time cost and other resources at the disposal of the researcher.

Data can be obtained from two important sources:

Primary data

23

Secondary Data
Primary data: Primary data are the data that are collected afresh and
for the first time. Thus happens to be in character. Primary data are
collected by the following ways:

Observation

Interview

Schedule

Questionnaire

Secondary Data: Secondary data are the data that are already
collected and are only

analyzed by different sources these

sources are as follows:-

Corporate magazine
Manuals of various companies
Books, journals, newspaper
Employment exchange

The secondary data would be collected from financial statement,

journal of national repute, books of national and international author as well as

24

the annual report of the company. In addition to this internet access will make the
study more effective and meaningful.

IMPORTANCE OF MOTIVATION
Management tries to utilize all the sources of production in a best possible
manner. This can be achieved only when employees cooperate in this task.
Efforts should be made to motivate employees for contributing their maximum.
The efforts of management will not bear fruit if the employees are not
encouraged to work more the following is the importance of motivation:-

25

Motivation employees are always looking for better ways to do a job.

It is the responsibility of the managers to make employees look for

better ways of doing their jobs.

Motivated employees will put maximum efforts

for achieving

organizational goals. Better performance will also result in higher

productivity. The cost of production can also be brought down if
productivity is raised. The employees should be offered more
incentive for increasing their performance. Motivation will act as a

stimulate for improving the performance of employees.

A motivated employees, generally, is more quality oriented. This is
true weather we are talking about a top manager spending extra time

on data gathering & analysis for a report.

Every organization requires human resource in addition to financial
and is significant to the organizations.
a) People must be attracted not only to join the organization but also to remain in it.
b) People must perform the task for which they are hired and must do so in a
dependable manner.

STEPS OF MOTIVATION
The management should concentrate on two things to motivating its employees.
1. Working method of motivation i.e., it should be deter mind as to what ought
to be done.
2. The tools of motivation i.e., it should be deter mind as to when and how a
job is to be done.
1. Knowledge of position of employees:-

26

First of knowledge should be obtained regarding the needs of the employees who
are to be motivated. Different person have different needs. So, different methods
are to be used for motivated different person. Both the individuals and the groups
should be kept in mind while assessing the conditions.
2. Development of tools of motivation:After obtaining the knowledge of the employees needs managers should do the
job of selecting and using specific tools or techniques of motivation.
3. Selection of tools of motivation:Selection of tools of motivation is a difficult task. Following observation is to be
made for the purpose
1. Who is to be motivated?
2. Which technique succeeded or failed in the past

4. Communication media:The technique of motivation should be brought into the notice of employees.
Communication media should be good enough for this purpose. If the
management cannot communication its viewpoint to the employees, it cannot
motivate them as well.
5. Follow up action: -

27

The manager should assess, from time to time, whether the employees have
been motivated or not through a technique of motivation. If one technique fails,
others can be made use of. This type of assessment can bring to light the
shortcomings of present technique by removing its shortcoming.

TECHNIQUES OF MOTIVATION
Every management tries to spacing certain motivational techniques which can be
employed for improving performance of its employees. The techniques may not
be similarly useful in all types of concerns. Motivational techniques may be of two
types i.e., financial and non-financial
Financial motivators:

28

Financial motivators may be in the from of more wages, salaries, profit-sharing,

leave with pay, medical reimbursement bonus, company paid insurance of any
other things that may be given to employees for performance. Money is the most
important motivator to people who are young and raising their families.
Non-Financial motivation:
Under non-financial motivators the employees is not given more money. He, is
rather given more chances of promotion, job security, respect and appreciation
under non-financial incentives. Thus, non-financial incentives include those
factors which do not indirectly he may be receiving financial benefits.
Incentives motivation:An incentive or reward can be anything that attract a workers attention and
stimulates him to work, when the question comes of incentive motivation, the
answer cannot be said to be a perfect one but satisfactory. It is said that people
work for incentives in the form of Ps which are as follows:-

1. Price

2. Prestige

3.

Promotion

My areas of work in this Division are as

follows:

71

Uploading of individual wise contribution received from all

the units of FCI for category I offices in Ms-Dos (UNIX
based software).

My learning and experience- I have learned how CPF

division manages the individual balances of CPF. How
Schedules received from each unit of FCI containing individual
subscription and corporation contribution are entered in MsDos to maintain consolidated record at the headquarters.

Uploading of individual wise opening balances for the

financial year 2011-2012 in the oracle based software viz.
FAP (Financial Accounting Package) of FCI.

My learning and experience- I had an experience to work

in Oracle based software FAP which runs online and
employees can have its access through Username and
Password.

Studying and editing Ms-Excel sheet maintain all the

investment made by CPF trust as guided by the offices.
My learning and experience - I gain knowledge in MSexcel and also about the overall investments made by FCI.

72

Sanction amount calculation and feeding in Excel for CPF

payment (final payment, part final payment and
Temporary Advance)
My learning and experience- I learned about the various
types of payments of CPF viz. a) FINAL PAYMENT, it is given
at the time of retirement of employee. b) PART FINAL
PAYMENT, it is given one year prior to retirement and for
house building purposes. c) TEMPRORY ADVANCE, it is given
as advance which is recovered through monthly instalments
from the employee, it is given for the purposes like marriage
and religious functions.

Learned diary and dispatch work of CPF Division.

My learning and experience I gained the knowledge
about how letters are dispatched from one division to another,
within FCI Headquarters and from this division to other offices
outside. How separate registered is maintained for different
types of letter. This makes records for each letter available in
a systematic manner and also works as proof of letters being
send to whom and on which date.

Inserting the Batch number on the monthly schedules

received from the unit offices of FCI.
My learning and experience I have learnt how to insert
the batch number unit wise & month wise, so that these may
be easily entered in the data operating system in the
computer.

73

CONCLUSION
It has been observed that CPF division of FCI
Headquarters is going through a transaction phase.
Provisionally they maintained all data and records
manually but now they are switching to new
technologies with the extended use of computer.
Moreover use of Oracle based software FAP for data
management of CPF is remarkable achievement for a
pure government based corporation like FCI. I had an
opportunity to work on manual based system as well
as new system under UNIX based Dos and FAP.
Definitely use of technology will make the work easy
as well as safe for data maintaining and easy access.
With a huge work force being retiring this decade use
of technology will be of immense help for this
organization.

I sincerely thank my institute for giving me this

opportunity to have training in FCI, which is one of the
largest P.S.U in India & an apex organization in food
security. I had really not only learned about the work

74

which is mentioned above but also had experienced

the working culture of this big organization, got an
opportunity to interact with learned & experienced
officers of FCI. This was extremely helpful to our
overall academic as well as personal growth.
