International Engineering Internship Procedures - Switzerland


Student responsibilities for:

1. University of Calgary
 Complete the “Co-operative Education / Internship Work Terms” information online in your
JobLink account. Before you leave for your work placement, enter as much information as
you have available. Once you arrive at your work location, complete the work information
that is required for the employer. This is an important step as it will affect the information
sent to you and your supervisor.
 Complete the online “Traveler Registration Form” located on the Risk Management web site:

 Send an e-mail to internship@schulich.ucalgary.ca indicating that you have submitted your
form.
 Be familiar with the UofC’s international travel policies and the Travel Checklist:

2. IAESTE
 Obtain a matriculation letter from the EIP Office.
 Follow the procedures to fill out the IAESTE Canada “Application for Reserved Offer (Work
Permit Service)” form. Information and the form are found at http://www.queensu.ca/iaeste.
Take a moment to read over the information provided on the web-page. The form is found in
the roll over menu on the left hand side under Canadian Student – Forms – Reserved Offer.
 Submit the IAESTE form, with the $350 processing fee, as instructed on the form. The fee
must be paid with a certified cheque, or a money order in Canadian funds.
 You will be instructed by IAESTE as to the process for your visa application.

• Student submits documents to the IAESTE Canada office: "Reserved Offer
Registration Form" and the $350 processing fee. Include certificate of enrolment
(matriculation letter), a photocopy of the front page of the passport, and a copy of the
offer of employment.
• The Swiss employer submits documents to IAESTE Switzerland. The local police
(canton) will approve the documentation.
• IASTE Switzerland arranges for the visa to be entered into the passport, at the Swiss
Consulate in Vancouver. The student will receive a confirmation number from
IAESTE.

3. Switzerland Consulate
 When you receive your documents from IAESTE, apply for your travel visa from the Swiss
Consulate in Vancouver:

Follow the link to Visa Form and read the instructions carefully. What you are applying for is
an 'entry visa' which will get you into the country. Once there, you will receive your work
permit and will no longer require a visa. If you travel after your internship is complete, you
will not need a visa, since you will be considered a 'tourist'.
 Student sends valid passport (NOT a copy), payment, and return prepaid, self-addressed
envelope by courier to Swiss Consulate in Vancouver. Use XpressPost.

 Payment is to be made by a certified cheque or money order for the visa fees, payable to
"Consulate General of Switzerland". DO NOT send cash.
 Following these steps will ensure a quick turn-around time for your application.
• Question #24 "Number of entries requested" – select "multiple".
• Question #25 "Duration of stay" – write "12 months" – remember, this application is
for an entry visa which will expire shortly after you arrive in Switzerland. This
duration does not have to be that precise.
• Question #29 "Purpose of travel" – select “Others” and write "Engineering
internship”.
 Swiss Consulate returns passport.
 Student receives work permit upon entering Switzerland.

• Review the Canadian Department of Foreign Affairs and International Trade Travel
