ORPHAN ADOPTION PROCES

MANAGEMENT

Chapter 1

Introduction
This project is developed for orphan adoption. This system provides the detail
structure of Orphan Adoption Process, events, activities etc. It synchronizes the
working of Orphan Adoption Process. It performs different tasks for solving problems
and development of society.
This is the easiest way to manage all functionalities of society, which
facilitates OAPs to maintain the functionality related to online child adoption
process, online payment for the user, environment, human rights, child protection. The
main users of the system are the staff & and administrator manager-The registration
process of the orphans is managed by the staffs

Literature survey
Numeric Paper Forms for NGOs
Non-governmental organizations (NGOs) workingin disadvantagedcommunities have
a variety of data-collectionand analysis needs, for example, for performing surveys
ormonitoring programs. Because much of this data collectionoccurs in environments
with insufficient IT support andinfrastructure, and among populations not always
comfortablewith technology, paper forms rather thanelectronic methodsremain the
predominant means for data collection. We considerhisdesign of machine-readable
paper forms forNGOs. We first examine the unique needs of NGOs thatinteract with
underprivileged populations through interviewswith eleven organizations and an indepth investigation of oneNGOs specific form-filling requirements. These
explorationsled to a focus on numeric forms forms with questionsrequiring
responses largely constrained to numbers. We then present an experiment which
evaluates how avariety of formats for numeric data would fare with users
frombackgrounds similar to those who might fill out such forms. Our goal was to
balance the tradeoff between ease-of-useamong our intended population and machine
readability. Combining the results of the experiment with an analysis ofmachinereadability from a technical perspective, we proposethe best numeric input methods
for different NGO form fillingrequirements.

Problem Statement
As the current system is a manual filing system, there are several problems that are
state for the Current system

Lack of security
Usually for normal filing system there is lack of security as there is no limitation on
Who canaccess the files. Anyone can change the records and this may cause serious
troublein the future. For example , intruders caneasily steal the important Information
about the orphan's details or even an unauthorized staffmay steal thesensitive
information and sell it to the third party.

Low data retrieval

Through manual filing system, the data will be kept in tile according to the year or
company alphabetically. This may take time to search for the information neededin
time asthe staff may have to look the file one by one and other related file justto
search for some information. For example, if the staffwantsto search thename or
details, the staff has to search on every file, one by one. It may consume longer time
than what is expected.

Data redundancy and consistency

In a manual file system usually there are data redundancy and inconsistency. This is
Becausethe same data may be stored in various files as they are related with each
other. This also causes of data anomalies and then inconsistency because the
Redundancy data are changed in one file but not in the others. For example, repetitive
data might happen in a record of the orphanage because of unsystematic data
management. Such as if a staffchange their telephone number, the staffmay change the
information in one file but not the other which may also contain information, this
may camedata anomalies.

Existing System
The current existing system in Orphan Home Care is using filing system.
There are no computerized system has implemented yet The staffs fill in the details of
neworphan in a paper form . When completed, the details form will be placed in a
new file and will be kept in a specific drawer of cupboard Each cupboard has labeled
for differentsections. The advantage of file system is it does not require technical
skills tomanage the files. It can reduce the cost because the centers do not need to
train the staffs to have the computerized skills. Other advantage of file system is it still
can be usedunder any circu-ces instead of computerized system. Oncethe electricity
goes blackout, the computers cannot be used One more weakness that can be tracked
is the data are insecure because the papers may easily damage. Besides there are no
back up and recovery filing system is totally not compatible anymore to handle the
mrds in themanagement. In comparison, the computerized system is better to be used
instead of filing system .
In this research, a few casestudies of existing computerized system from
internet have been analyzed to see the compatibility of the interfaces structures and
soon.

Proposed System
5.1 Objectives of the Proposed System:
The Orphan Adoption System is expected to overcome the constraints of the
current file system. The system should be able to handle theregistration of the
orphans, adopted persons or family, staffs details. The modules generally are able
to apply the basic functions such as retrieving the data insert, delete or update and
save data. Besides that, the proposed system is expected to minimize the time
consuming in managing transaction ever going in the orphan center everyday. It is
automatically
.

5.2Modules
5.2.1 Admin :
Admin has the authority over the entire system in this application. Admin
carries out various functions of the society into the system. Only admin can insert,
delete and update orphans information, qualities and their activities. Admin can
approve or reject the requests for adoption which are come by adopters.

5.2.2 User :
User can register through this application and with their unique username and
password they can login into this application. After registration user can see the
orphans and can adopt them by their age, qualities, religion.

5.2.3 Payment Module:

In this module all the payments of adopters are managed and processed
individually.

5.2.4 Guest Module:

In this module guest can view the activities of society and orphans
information with their qualities.
