E-mail Policy
1. Overview
Electronic mail (.e-mail.), as a means of communicating official company
information to employees, is convenient, rapid, environmentally aware,
and cost effective. The Company issues an e-mail address and disk space
(for e-mail storage) to all employees. The Company also distributes e-mail
client software and provides it on computers. This practice ensures that all
employees have e-mail communication readily available to them. The
purpose of this policy is to set forth the rights and responsibilities of both
users and providers of electronic mail for employees.

2. Purpose
The purpose of this policy is to outline the acceptable use of computer equipment at
ABC Company (see Scope). This policy is in place to protect ABC Company and its
employees and business partners. Inappropriate use of information resources exposes
ABC Company to risks including virus attacks, compromise of network systems and
services, legal issues and much more.

3. Scope
This policy applies to employees, contractors, consultants, temporaries, and other
workers at ABC Company, including all personnel affiliated with third parties or divisions
of the company. This policy applies to all equipment that is owned or leased by ABC
Company

4. Policy
1. Forwarding of E-mail messages:
The Company issues e-mail accounts and disk storage to all employees.
Employees must not forward e-mail from their ABC Company e-mail address to a
different e-mail address, such as one obtained from an external Internet Service
Provider (ISP) like AOL, RoadRunner, Hotmail, etc. The Company has no control
over the delivery of e-mail that has been forwarded outside of its domain to
external providers.
2. Company Uses of E-mail :
The Company uses electronic mail to communicate official Company information
of many kinds to employees and clients. Employees are responsible for reading
their e-mail on a frequent and regular basis, since some official communications
may be time-sensitive. The Company suggests that employees access their email account on a daily basis.

3. Security and Privacy:


The Company makes every effort to secure its computer systems, networked
resources, and e-mail accounts, but cannot guarantee the infallibility of these
systems to unauthorized intrusion, nor the authenticity of the sender of an
electronic communication.
For this reason e-mail is not appropriate for
transmitting confidential or sensitive information of any kind (for example, E-mail
should not be used to notify employees of disciplinary or any other legal action.)
Employees are responsible for keeping their e-mail passwords confidential, and
should never share this information or access to Company resources with others,
including friends and family members.
Without prior notice, the Company reserves the right, but not the obligation, to
routinely monitor and inspect individual accounts, files, and communications.

5. Enforcement
Any employee found to have violated this policy may be subject to disciplinary action, up
to and including termination of employment. Employees may also be held personally
liable for problems created due to any violation of this policy.

6. Distribution
This security policy is to be distributed to all employees. This policy is available for public
distribution.
