This is the first AGM of the new set up of the group as a constitution.
The constitution status enables the group to apply for funding from
other sources such as local businesses and the Parish Council.
Elected Officers
Enid Bailey - Chair
Katie Watson -Secretary
Jeanette Phillips -Treasurer
Alf Tunnicliffe -Vice Chair
Discussion Points
Three of the above will be signatories on a bank account opened in
the groups name. Jeanette is tasked with opening the account.
Two officers are required to sign a cheque.
These positions will be held by those named above until next years
AGM when other members of the group will be nominated.
The details of what is involved in becoming a constitution was gone
through and kept as simple and straight forward as possible.
It was suggested that we each pay a yearly membership
subscription of 5 per person. This will help with on-going and
future projects. All subscriptions must be paid to Jeanette.
It was discussed and decided that membership is open to anyone
living in Toynton All Saints over the age of 18 although younger
members are welcome if they have an adult accompany them.. This
is mainly for health and safety reasons for planting in areas of
potential heavy traffic.

It was discussed that an independent person needs to audit our

constitution once a year to ensure we are running it correctly. Alf
Tunnicliffe will approach someone locally.
Future meetings will be planned ahead with an opportunity for
members within the meeting to bring up any other business or new
ideas. This will help focus the meeting and make it easier to keep
logical sequential minutes.
Planting/Initiatives
Margaret Bolton and Enid Bailey have offered to plant some
spring/summer flowers in the containers, probably May time. Before
this is done one of the group will check compost levels and obtain
more from either Lorraine or Angela if required. Kevin and Katie
Watson volunteered to use their trailer to pick up compost if
required.
The group is planning on buying and planting more bulbs in the
village this autumn. Ian will take photos of where the current bulbs
are so that we dont disturb them.
The Christmas Tree that was planted opposite Chapel Lane is doing
well but if it fails to thrive the supplier will replace free of charge. It
does seem to be tilting to one side so Lorraine has volunteered to
straighten it up.
Alf will continue to light up the Church next Christmas as it was so
well received.
The Parish Council will replace the seat at the top of Main Road by
the A16 in the next few weeks. Once in place Alf will see if he can
put a planter or two beside it.
The sewerage works going on in the village were discussed briefly
as there may be some disturbance to planted areas. Katie Watson
will approach Anglian Water to find out whether they will replace
any damaged grassy areas after the sewerage work and to ask if
they would like to make a donation to the group to help us achieve
our planting initiatives.
Carol suggested a cake stall at the regular chapel coffee mornings
to raise funds for this group. September 10th suggested coinciding
with Phylliss coffee morning. Quite a few members volunteered to
bake. Friday 2nd September eve meeting to discuss whos supplying
cakes. Allergy options would be good if anyone is happy to bake
free from.

Enid suggested having a speaker in to talk to the group about

planting and has a couple of people in mind. She will approach
them to see if they are able and willing to do this bearing in mind we
have a very low budget.
Other ideas for future fund raising were briefly raised such as a
Bring and Buy or a Seed Swap Party. Ideas will be discussed at a
future meeting.

Next Meetings
Sunday 5th June 2pm till 4pm. At Kevin and Katies in the garden of
the Old Rectory. We will try to get the speaker for this meeting. (If
the weather is bad we may be able to use a marquee available for
village events or change location to the chapel. Extra chairs will be
required. There may be the option of using chairs from the chapel.
The Watsons and Howdens will liaise with Carol.)
Friday 2nd September 7pm The Chapel discuss cakes for 10th.
Saturday 26th Nov 7pm. Christmas evening at Enid and Jims.

It was suggested to put a copy of the minutes on the Toynton Talk

website for everyone to get access to and avoid paper distribution.
Katie to contact Mau Spencer who looks after the website.
