INTRODUCTION

BANORA POINT CASE STUDY - INTRODUCTION

The Banora Point Upgrade Alliance is responsible for upgrading 2.5 kilometres of highway near the New South
Wales and Queensland border in Australia; part of a major programme to transform the Pacific Highway which
runs along the New South Wales coast. The Banora Point project will ultimately create a six-lane divided
carriageway with numerous points of access, a land-bridge and a 300 metre long viaduct. It is being
constructed in close proximity to heritage wetlands, endangered ecological communities, protected snails and
recreational lakes and local communities, under the close scrutiny of local government, community and
environmental groups.
While construction is under way it must be ensured that traffic flow is not interrupted at any of the seven
interchanges/ramps along this length. Such a complex project requires tight overall and daily programme
management, and after early attempts with Primavera P6, Microsoft Project and other tools, this team turned
to Asta Powerproject to create a more consolidated and controllable way of working.

We discovered that it was more user-friendly than P6 and it could perform with higher
functionality if we needed it.

LICENSING OPTIONS
There are two main license types available for you to choose from, with the option to share licenses between
team members for increased cost-efficiency.
1.

Asta Powerproject Named User License

Simplest license where the software can be accessed on a specific machine only. However, the license can
periodically be transferred to another machine if required. The project data is stored as a single file which can
be saved on a local memory disk or a shared location.

2.

Asta Powerproject Concurrent User License

The software can be installed on any number of machines which all point to a central machine on the internal
company network where the Asta license server is installed. The license server counts how many people are
using the software and ensures that this number does not exceed the licensed quantity at any one time. A
concurrent license allows multiple people to work on the same project file if that file was saved into a shared
location (such as a network drive or cloud storage) but only one person would be able to edit it at any one
time. Concurrent licenses can also be temporarily loaned for a predetermined time to a designated machine,
allowing Asta Powerproject to be used when offline from the company network.
Asta Powerproject Enterprise
With Asta Powerproject Enterprise, both license options are available with fully collaborative access to a
shared database of project data. This provides all users with shared real-time access to projects, sharing of
project resources, integration with other business critical systems and visibility of all projects.

The concurrent licensing model is extremely flexible in that licenses can be loaned to remote users for periods
of time if required using Asta License Manager.

Asta Project Viewer is FREE
Provide everyone involved in your projects with the ability to view, navigate and print out project plans for
free. All you need is Asta Project Viewer 12. Use it to view projects created in Asta Powerproject as well as
Microsoft Project and Primavera.
Supported file formats are:
Asta Powerproject versions 5, 6, 7, 8, 9, 10, 11 and 12 standalone and network editions. Asta
Powerproject multi-user is not supported.

About IFC format


The Industry Foundation Classes (IFC) data model is an open, international and standardized specification for
Building Information Modelling (BIM) data that is exchanged and shared among software applications used by
the various participants in a building, construction or facilities management projects.
IFC can be used to exchange and share BIM data between applications developed by different software
vendors without the software having to support numerous native formats. As an open format, IFC does not
belong to a single software vendor; it is neutral and independent of a particular vendors plans for software
development.

RISK/ISSUE MANAGEMENT
Asta Powerproject allows for the comprehensive management and tracking of risk/issues, along with a
statistical analysis tool to understand the effects of project uncertainty. Risks can be better assessed,
proactively managed and effectively communicated all directly within Asta:

At a project management layer, risks can be noted against specific tasks, with details added such as impact,
mitigation and current status. A task can be given 3 durations minimum time forecast to take, most likely
duration and maximum predicted time; alternatively, each task can be assigned a category in terms of the
chances of it running late. This allows a Monte Carlo simulation to be run across the project, evaluating the
probability of finishing on time and on budget by applying the uncertainty added to the task durations. The
result is a series of reliable possible outcomes that remove the guesswork for an informed understanding of
the risks faced.

At a programme and portfolio level, risks from across multiple projects can be pulled into a single view to form
an overall risk register. This allows decisions to be taken on the risks which are likely to pose the greatest risk
and the status of risks can be tracked as projects progress.

EASY SITE-TO-OFFICE PROJECT PROGRESS REPORTING VIA YOUR MOBILE DEVICES

Site Progress Mobile is a free downloadable app which enables mobile users to record the progress of tasks
and repetitive events from a remote location against their work as scheduled in an Asta Powerproject project
plan. Each user sees only the relevant tasks and progress check lists for which they have responsibility.
Log in to Site Progress Mobile and the projects assigned to you are downloaded automatically from
the Cloud.
Select your project that you want to update and browse through the project hierarchy to locate the
tasks against which you want to report progress.
Update your individual tasks and tick-off the sections of repetitive events that have been
completed.
Save your updates. Once you have downloaded a project to your mobile device, you can save your
updates to the project even if you do not have a phone or Wi-Fi signal, which may be the case if you
are working onsite in a remote location, or in a basement.
Submit your changes and they are then uploaded to the Cloud as soon as your phone or Wi-Fi signal
is restored.

Steve Allan is Project Manager for


Earthworks for the Banora Point project,
formed between the Roads and Maritime
Services, Abigroup Contractors, Seymour
Whyte Constructions and SMEC. He
explains the scope of the project: We have
about a 7500-task programme broken
down into approximately 70 work areas,
with 12 earthworks and structural
engineers needing to feed constant
updates into the master programme.
We used Primavera P6 for about a year for
the master programme, with our
earthworks engineers using MS Project
and structural engineers utilising MS Excel.
They would send in their updates to a
programmer in Sydney to update the
master plan. We switched about half way
through the programme before that it
was a nightmare.

This hybrid was used because each


product had its own strength and each was
required for various parts of the project, but
when Seymour Whyte undertook extensive
reviews and selected Asta Powerproject as
its preferred product, we realised that this
one product could be used instead and we
implemented it on the Alliance. We
discovered that it was more user-friendly
than P6 and it could perform with higher
functionality if we needed it.

the same master programme, and our
software now supports that. It has speeded
up the process immensely when we were
using P6 there was a big time-lag. We never
really had an up-to-date programme
because the information was always based
on engineer updates from a week or even
up to a month before. Any issues arising
could add a few days more delay. The
information was never accurate but now,
the master programme effectively updates
itself. I would never know what the status of
the whole job was when I needed it, I would
always be a few days behind waiting for
multiple people to update now, I have the
right information at my fingertips.
With disparate tools in use, inaccurate
information about work schedules between
different trades was a particular issue. Steve
explains: There were clear interfacing risks
between trades, because the earthworks
and structural engineers were using
different programmes that never met in the
middle. We were always having clashes
between activities simply because they

consider just how complicated the


earthworks challenge is for this project. The
team must move half a million cubic metres
of excavated material and place 350,000
cubic metres of material and soil in the
process of creating the infrastructure and
at the same time, keep the traffic flowing.
We need to do all the earthworks and
construction while maintaining the ability for
traffic to flow through 7 entry and exit points
along the length of the site. There are more
than 70 individual work zones that we have
defined, within which we have to coordinate
work to happen at exactly the right time and
move a lot of earth.
Protecting both the local environment and
local community from the potential impact
of earthworks is essential. Sediment
control is our main concern, because
earthworks create a lot of dirty water. We
must control the runoff from the works
whenever there is rain, and ensure that dirty
water never reaches the public or protected
wildlife areas. We must be really careful as
to how we organise sediment control, so
that we dont flood either highways or
homes and that no untreated water affects
local flora and fauna. It involves a lot of
temporary pipe work and drainage which
must all be planned, constructed and
managed with the help of our planning
software. The team, evidently, has done an
excellent job it has been awarded the
prestigious International Erosion Control
Association (IECA) premier award.
Managing a huge array of different types of
activity would be complex without the right
tools, especially when they touch on key
control conditions which the local
government has mandated about, like noise

and vibration levels. We use the code


library within Asta Powerproject to classify
and tag different activities by factors such as
how noisy they are or the community impact
they might have, and create filters that let us
focus on those activities. Each week we can
meet with the community team and easily
show on screen any community-sensitive
activities like blasting, for instance. This has
been a powerful tool for being able to easily
communicate about all types of activity.
The pinpoint accuracy of time planning and
resource allocation within Asta
Powerproject adds a further level of clarity
to their community and stakeholder
communications both in advance and in
retrospect, since the solution allows for a
clear audit trail as well as forward planning:
We are limited on some activities in terms
of timing, such as not working late and
creating noise too late into the evening. At
any point we can look at the plan and say
that there will be blasting in a particular
place, with a particular noise level, at a
specific time. It also helps us to respond to
questions - if a local resident complains
about an activity and they want answers on
our previous works programme, we can
respond quickly, even though there are
7500 lines of activity. It is easy for us now
to look back to the date of a complaint and
know exactly what we were doing and what
resources were involved. If someone
enquires about when something is going to
be completed, such as a noise-wall,
we can look ahead in Asta Powerproject
and give them a clear date for exactly when
it will be installed.

look at the critical path from a master point
of view, focus in on critical tasks and ensure
that the duration allowed for each is right,
running risk/opportunity analysis on each

scenarios a lot quicker than before, and they
are more accurate too. We review the
current programme and find risks and
opportunities with respect to the current
programme. We baseline this then make
changes to reflect the realisation of various
risks and opportunities and compare to the

and convert it from a baseline back into the
actual programme.

The business of highways maintenance
and street lighting management requires
its planners to keep a very tight handle on

Graham explains: Highways maintenance
involves planning, processing and managing
a high volume of work. At any time we
might have anywhere between 80 and 200
individual projects underway, starting and
ending at different times. Projects can range

of all these different projects.
Because many of the projects have common

He continues: On each type of job well have


an Asta template for work on structures, one
for work on resurfacing, and so on, each
one preloaded with the typical cost-loaded
resources. We can then do things like track
our design, estimating and project
management resources across schemes,

and track each one against its budget. As


we move through our various predened
gateways (such as design, pricing,
governance and mobilisation) we can see
how things are changing. We can keep track
of an enormous number of tasks overall if
there are 200 jobs underway, each one might
have up to 100 separate tasks.

Weve got 20 concurrent licenses at present,
but we must have over 100 potential users in
all. The software is mostly used by designers
and project managers, each of whom update

its been so successful. I will visit one of our
project ofces and often see 5 or 6 project
managers with Asta open on their screens.

INTRODUCING THE ELECO BIMCLOUD

Asta Powerproject BIM extends the functionality of Asta


Powerproject, enabling you to create a flexible, 4D planning
platform that uses the ELECO BIMCloud. The ELECO
BIMCloud shares information and supports improved
cross-functional collaboration for all those involved in BIM
as it stores all data in the industry common IFC4 format.
It is this capability which enables you to open a 3D model
which has been created from 3rd party applications
within Asta Powerproject.
From within the application users are not only able to
access the core project management, scheduling and
resource management capabilities but also draw on the
functionality of other products from the ELECO group, of
which Asta is a part, allowing sharing of data from
visualisation, design and cost estimation tools such as
Arcon and Bidcon.

HOW TO ACCESS ASTA POWERPROJECT BIM


AND THE ELECO BIMCLOUD

An Asta Powerproject BIM licence is required. If you are an


Asta Powerproject supported licenced user you just need to
upgrade your existing licence. New users can purchase a
combined Asta Powerproject and Asta Powerproject BIM

You will also need a subscription to the ELECO


BIMCloud. This is free for the first 12 months for all Asta
Powerproject BIM licensed users, allowing storage of up
to 5GB. Any additional storage requirements can be
quoted upon request.
