POLICY STATEMENT:
To ensure that essential records pertaining to children and families are kept at the particular
service the child attends in a secure and confidential manner. Archived files are also kept
confidential and secure until date of expiry.

Personal information relating to a child includes:

information about a parenting order or parenting plan under the Family


Law Act 1975 (Commonwealth) relating to the child

personal details of the child


name of person/s authorized to collect child
information about giving medication to the child
information about the childs health or special needs.
documentation of their individual learning and planning for individual
learning experiences and behaviour support.

Disclose personal information about a child obtained from the Service


records to anyone else other than another staff member or a parent or
guardian of the child to whom the records pertain.

The Director/President is the only person authorised to give access to a

DISCLOSURE record, or to disclose information relating to any child:

- for the purpose of the Child Care Act 2002
INFORMATION - with the consent of the parent or guardian of the child

for a purpose directly related to the childs protection or welfare


- in compliance with lawful process requiring production of documents
in order to give evidence before a court or tribunal
- under another ACT

WHAT THE
LICENSEE
WILL DO:

Under section 85 of the Child Care Act 2002, records on children in


care must be kept as follows:

about an illness or injury sufferred while in the licensees care


until the child turns 21

about a childs death while in the licensees care 6 years after the
death

otherwise 3 years after the last time child care is provided to the
child under the licene.
Records will be kept securely at the child care Service or at a central
storage area.
