CHAPTER ONE

INTRODUCTION
1.1 Background of the Report
Internship is included in the curriculum of MBA (Masters in Business Administration)
program to gain practical work experience. Students of Third Semester are compulsorily
required to undergo internship in any organization as per the fulfillment of MBA degree
under Faculty of Management, Tribhuvan University. Internship programs are helpful in
establishing a network with professionals for references and future job opportunities and
also work as a major platform in obtaining work experience or work knowledge regarding
the field they choose for enhancing their career. It also helps the students in identifying their
strengths and weaknesses and provides opportunities to develop new skills and refine others.
So, the internship program during this third semester is a very important part of the MBA
program as it acquaints the students with the professionalism and functioning of field of
their choice and with this the students take their first step in their professional career.
In order to fulfill these objectives, the intern got opportunity to work for Shilpee Theatre,
Battisputali Kathmandu. Various functions and operations of Marketing Department,
Program M&E Department and Publication Department were learned during 10 weeks
period from March 3, 2016 to May 12, 2016. This report is entirely based upon the personal
experiences, observations, analysis and knowledge gained during the stay at the
organization.

1.2 Statement of the Objectives


Theatre is a place where various events for staging plays are organized. Although basically
Shilpee Theatre focuses on plays, other events such as musical programs, annual graduation
programs, book launch, theatre workshop, etc. are organized in this venue. For a student of
marketing and event management, Shilpee Theatre is the best organization to closely
observe how events are organized and its overall process. The major objectives of this
report are given below.

1.2.1 General Objective:


The general objective of the report is to get the common knowledge about the different
department functions and operations, so that a firm understanding can be maintained about
these departments.
1.2.2Specific Objective:

To explore different departments to gain the knowledge about its function and operations
To identify the activities performed in Publication, Program Monitoring and Evaluation

and, Marketing Departments.


To know about the activities performed by an intern.
To understand how an event is successfully organized in a live theatre.

1.3 Significance of the Study


The basic purpose of internship is to provide opportunity for the students to experience real
life work situations before they set out in their professional careers. To better fit in a new
environment first it is necessary for the student to understand the organizational culture,
functional processes of different departments and how theory is incorporated into practice.
For this purpose Shilpee Theatre is the ideal organization for an aspiring marketing and
event management student to observe, analyze and acquaint with the culture and processes
of the real life organization. This report will be the compilation of observations and
experiences of the intern during her stay. The analysis of these observations and experiences
will help the intern to identify the professional skills learned and broaden the conceptual
knowledge base regarding the organization culture and work process of Shilpee Theatre.

1.4 Limitations of the Study:


This study has been prepared on the basis of observations and experience gained during
internship period.
The following are the limitations of the study:
Lack of information in a manner required for analysis and the secrecy of the theatre.
This study takes into consideration only about general activities which are visible
and does not include the minor details about each and every activity performed in the
theatre due to time constraint.

The interpretation and conclusion were drawn within the limitations of individuals
knowledge and judgments abilities and on the basis of data provided and other
published and unpublished source. So it may lack the professional and expert touch.

CHAPTER TWO
BRIEF PROFILE OF SHILPEE THEATRE AND ITS
PUBLICATION, PROGRAM MONITORING AND
EVALUATION AND MARKETING DEPARTMENTS
2.1 Introduction to Shilpee Theatre
The word Shilpee refers to 'artist' in Nepalese language. Shilpee Theatre Group was
established in 2006 with seven theatre artists. Currently, there are thirteen members in the
group consisting of seven full time artists, five administrative staff and an Artistic Director
with a Board of Directors to support and lead its activities. Shilpee's Gothale Theatre, where
most of its plays are staged and events are organized, was built around 3 years ago. Shilpee
believes that theatre has to play an active role for the social and political reformation of the
nation. It also believes in initiating a social movement through the means of theatre. For
that reason Shilpee has been taking actively part in the social and political movements of the
past and will continue to do the same in the future through its plays. It uses various forms of
theatre to raise the issues and voices of the marginalized and oppressed group of the society.
Society itself, where different forms of injustices are at large, is the source of inspiration for
the plot of the plays. The real life experiences are then dramatized and enacted before the
members of the society so that they can be aware of different forms of malpractices that
exist in their society and then make an effort to stop such ill practices.
Shilpee practices the ways to find out the solutions to different social problems and
eradicate them from the society. It specially makes conscious effort to encourage the youths
of the society so that they will make effort to make their society a better place to live.
The main focus of the theatre is to perform on contemporary socio-political issues for which
it adopts various methods. It believes that proscenium theatre should be the melting pot of
various languages and cultures. Shilpee is driven by the conditional thought that the issues
on which the plays are enacted should be local. In addition to this, Shilpee also performs
international plays with an aim of making the theatre broad based. Proscenium theatre

comprises four different methods: Theatre of the Oppressed, Street Theatre, Story Telling
and Playback Theatre.
Theatre of the Oppressed holds the belief that people themselves have to be responsible in
order to solve the problems that exist in their communities. Shilpee adopts this method to
enforce the same belief. Street Theatre is adopted when the message that needs to be
delivered to the general public is very clear.
Goal: Shilpee's main goal is to promote physical theatre in which contemporary
sociopolitical issues can be enacted. Shilpee aims to draw raw stories in the theatre
laboratory from the society, polish it and send it back to the society as the delicious
theatrical dish. Shilpee also wants to establish theatre as a respectable profession and foster
the theatre going culture in the Nepalese society
Dream: To take the Nepalese theatre to new heights through regular performances of the
finest Nepalese plays at Shilpee's newly constructed theatre hall. Besides doing regular
plays, Shilpee also dreams of turning this space into a hub for other forms of art too like
music, fine arts, poetry etc.
Objectives: The objectives of Shilpee Theatre are as follows:

To work as a non-profit social service organization.


To involve in artistic and creative work
To ensure that the creative presentations of this organization will be socially

contemporaneous and meaningful.


To encourage theatre as well as other genres of art.
To strengthen the organization technically.
To work on various publication works.
To develop TV serials and short movies with permission from related authorities.

2.1.1 Departments of Shilpee Theatre:


Shilpee Theatre is one of the five live theatres in Kathmandu Valley, which is also the
theatre with largest capacity. As a live theatre group and hall, Shilpee theatre has various
functions and their respective departments. They are listed below:

Program M&E Department


Marketing Department

2.1.2 Organization Structure of Shilpee Theatre

The organization structure of Shilpee Theatre is vertical with systematic hierarchy. Among
the four types of organization culture proposed by Robert E. Quinn and Kim S. Cameron of
the University of Michigan, Shilpee seems to have a combination of clan and hierarchy
oriented organization culture. Although everything happens under the artistic director's
command, the employees as a whole work like members of a family rather than employees
of an organization. The employees are appointed based on the observations and personal
opinion of the artistic director, the members of Shilpee Theatre Group and the department
heads.

2.2 Introduction to Publication, Program M&E and Marketing


Departments
During the intern's ten week's stay in Shilpee theatre, the intern got the opportunity to get
acquainted with the work of Publication Department, Program M&E Department and
Marketing Department. Although not actively involved, the intern also got opportunity to
observe the activities of Stage Management Department.
2.2.1 Publication Department
Among the existing theatres in Nepal, only Shilpee is involved in publishing. Theatre is a
live art. The only way to keep it alive even after a play has been enacted is documentation.
With this view, Shilpee publishes books and articles based on the plays and everything that
is related to plays. On top of that Shilpee believes that performance should be criticized. Art
develops only when intellectual debates on it are carried out among artists. Debate on art
should be organized in the same way as debates on socio-political issues are organized. In
the absence of debate, art stops growing and is bound to remain stagnant. The following are
the publications of Shilpee Theatre till date.

to 27 districts. The documentary is about the play 'Naari' which was performed 60
times during the period of one month.)

The publication department also looks after the task of publishing tickets, brochures, flex,
and posters for the upcoming drama and other events. The handling of public queries about
the upcoming play, theatre, 3 month workshop course and other general queries are also
handled by the Publication Department.

2.2.2 Program M&E Department


The program M&E department refers to the Monitoring and Evaluation department. This
department is concerned about recording each and every moment of the events organized by
the theatre, whether it be a workshop, plays and other events organized by Shilpee at its own
Gothale theatre, or the forum play, workshops, street plays, proscenium plays, etc. organized
by Shilpee Theatre at locations away from Kathmandu and Gothale Theatre. The M&E
officer has to interview the actors and other crew members of the theatre group, collect
information from them and then prepare a report by compiling all those information. The
M&E officer's task also includes writing fund raiser proposal for various events and plays
organized by the theatre, writing various formal official communications, preparing formal
official documents and certificates and different translation works.
2.2.3 Marketing Department
The major job of marketing department of Shilpee Theatre is to handle the publicity and
communication about the upcoming plays to the respected parties which generally
constitutes the print, audio, and audio/video media and other respected personalities whom
the theatre invites as chief guests and guests of honors at it various plays and events. The
task of Marketing Department also includes dealing with booking of theatre hall and dealing
with the admission and counselling procedure to the interested students for the 3 month's
Theatre and Drama workshop organized by Shilpee Theatre.
Since it is a very small organization run by a close group of people, there is no specific staff
as Marketing Department Head. The major activities of the Marketing Department are
carried out by the Artistic Director and Publication Head of the organization. Other tasks are
handled by the interns under the guidance of the Artistic Director and the Publication Head.

CHAPTER THREE
ANALYSIS OF WORK AND ACTIVITIES PERFORMED
The intern was allowed to work in three departments within duration of 10 weeks. Since the
Monitoring and Evaluation officer had recently left the organization, the intern was given
the responsibility of M&E officer under the guidance of Publication Head. As the
organization is a small one, the functions and job description of the various departments are
not clearly defined. Due to this reason the Intern had to work for all the three departments
simultaneously.

and drama workshop certificates to the artists of "Mistress of the Inn", the drama
produced by Shilpee Theatre.

3.1 Activities Performed in Publication Department


During the internship, the publication department was working on an upcoming book about
the collection of past reminiscences of veterans of theatre field and on writing a Monologue
play about third gender people. During the stay of the Intern three plays were also staged on
Gothale Theatre, so the publication department was also assigned with the task of publishing
Tickets, brochures, flex and posters for those plays. The various activities performed by the
intern at publication department are as follows:

Field visit to the Blue Diamond Society for research and observation of Third
Gender people in order to gain insights for the storyline of the play and experiences

and body language of the Third Gender people.


Assisting in the design and print of the tickets, flex, posters and brochures of the

three plays presented.


Contacting with the veterans for articles through email and telephone and answering
customer queries.

Analysis:
Since all the activities of the department were handled by a single person who also worked
as the department head, sometimes the work used to be slow as for each work the
department head's permission was necessary. Due to lack of fund, in comparison to previous
plays, the tickets printed were of lower quality. While previously the tickets were color
printed with prints on both sides, the tickets for later shows were black and white printed on
colored paper. Due to less marketing, the sales of the books published were also low.

3.2 Activities Performed in Program M&E Department


During the stay of the Intern, Shilpee organized two theatre and drama workshops lasting 7
days and 10 days. One was held in Gothale Theatre while the other one was held in
Butuwal. Three plays were also staged among which one was produced by Shilpee Theatre.
The Shilpee Theatre was also planning for building a Children Theatre, Cafeteria and
Parking lot within Gothale Theatre premises. The activities done by Intern in M&E
Department are as follows:

Writing reports about the two workshops organized by Shilpee Theatre.

Writing a fund raiser proposal for Children Theatre.


Translating brochure material for Children Theatre and translating letters and other

documents from Nepali to English.


Writing emails and other official communication letters.
Preparing three month theatre and drama workshop certificates to the artists of
"Mistress of the Inn", the drama produced by Shilpee Theatre.

Analysis:
Since the intern was new to the organization, the intern had to face some difficulties and
awkward moments regarding how to do the assigned work and whom to ask help with in
case the intern doesn't know how to do the work. The intern was also confused initially due
to lack of proper feedback on her work. Since the intern was not an employee, the intern had
to wait for permission from any of the department heads to utilize the resources of the
organization which sometimes delayed her work. For example, the intern could not use the
letter head of the organization without permission.

3.3 Activities Performed in Marketing Department


During the stay of the Intern, three plays were staged at Gothale Theatre. Children Theatre
project was also ongoing and under "Theatre in Village" project, Jhorahat Theatre was also
going to be inaugurated at Jhorahat, Biratnagar. The activities performed by the intern at the
Marketing Department are as follows:

Creating new Facebook pages, each for Children Theatre and Shilpee Theatre

publications and adding new posts daily on the Shilpee Theatre publications' page.
Creating new events on Facebook page for each plays being staged at Shilpee

Theatre.
The intern was made the admin of Shilpee Theatre's Facebook page and had to invite

friends to like the page and add new posts regularly.


The intern had to contact with local radio stations for the publicity of the ongoing
shows.

Analysis:
Since the theatre's marketing was majorly dependent on the publicity through newspapers,
other media, posters at other live theatres and local area and through word of mouth only,

practically no money was spent on advertisement of the play, so the number of audiences
would be affected greatly if the newspapers were late in publishing articles and reviews
about the plays.

3.4 Other Activities Performed


Other than the activities done in above mentioned there departments, the intern also
performed other activities which are as follows:

The intern also worked on the ticket counter and inside the theatre hall for assigning

the audiences to their respective seats.


The intern also assisted in dismantling of the stage after the duration of staging plays

was over.
The intern also assisted at the period when new roof was installed on Gothale

Theatre hall.
The intern also helped the actors with some of their personal works such as writing
reports.

CHAPTER FOUR
OBSERVATIONS, EXPERIENCES, AND PROFESSIONAL
SKILLS LEARNED
4.1 Observations
Internship program itself reflects understanding and knowledge gained through observation
of all the activities performed under assigned department. During 10 weeks period, the
intern got to observe the three departments: Publication Department, Program M&E
Department and Marketing Department, which broadened the knowledge about functions,
operations, and activities carried under these three departments.
Following are some major observations that the intern got to notice during internship period:
a) The play production and staging process:
Since the major product of a theatre is its play, the intern was able to identify following
stages in the whole play production/staging process:

Similar processes are followed by other events organized in the theatre hall. Some stages
which are not related to the event are skipped.
b) Other observations:

During the intern's stay at Shilpee Theatre, the intern got the opportunity to acutely observe
and acquaint oneself with the theatre environment. The intern observed that live theatre is
such an institution where passion rules over the drive of earning money. Producing a play is
a costly and harrying task which demands a lot of patience among the actors. The profit
earned in comparison to the effort put forward is very negligible. As a small organization,
multiple roles and duties are performed by as single employee. Due to lack of fund, the
organization can't afford large number of specialized employees and even the existing
employees are paid very low. The organization culture of the organization was also found to
be different than other profit based organizations. The whole organization and its employees
were like a family where there was no work was big or small. Ultimate decisions were made
by the artistic director but otherwise in the organization everybody was equal. There was
good relationship with the employees and respect could be seen among the fellow artists and
employees. Although some of the management principles were observed to be followed to
some extent, due to lack of an administration head, the artistic director seemed to be over
stressed. Due to lack of funds, the employees hired were amateur and lacked the
professional skills to compete with the market competition. The cost of production for the
play is very high due to which almost all of the actors are not paid and even the paid ones
are paid very low. There seemed to be dissatisfaction among the actors due to their internal
conflict between expectations and the reality. Majority of the actors were very young and
belonged to the age group of 15 to 25. The main sources of fund for the theatre, other than
the play production, were through donations from Non-Government Organizations or
through working on their projects. The only promotion method applied were publicity
through newspapers, audio/video media and Social media. Sometimes some other
promotional schemes such as free stuffs distribution, lottery, etc. were also used to
encourage the audiences to visit theatres often. The organization was receptive of the interns
as they needed more employees and also the organization had the policy of treating
everybody who went there well.

4.2 Experiences
The whole duration of the internship was a period of great learning and enjoyment to the
intern. It was both easy and challenging to work at Shilpee Theatre. Since the intern

belonged to a totally different field, at first it was difficult for the intern to adjust in the
organization. The intern was confused regarding the work the intern had to do in the
organization. But the employees and the actors were very friendly and welcoming so the
feeling of confusion and awkwardness gradually receded. After overcoming initial
awkwardness the intern was more bold and vocal about the topics the intern did not
understood and was less hesitant about asking help from fellow employees. The intern also
got opportunity to interact with the various actors of the three different plays staged during
the intern's stay and was able to acutely observe the life of an aspiring actor in Nepal. When
not working, the intern also used to watch the play rehearsals and hang out with other fellow
interns. Observing the theatre life for 10 weeks helped the intern understand the workings of
the theatre, the passion driven mentality of the actors and directors and developed a feeling
of deep respect towards the people belonging to acting field. The intern also realized that in
order to flourish in any field, the most important assed of a person is dedication, patience
and perseverance. During the stay as Shilpee Theatre, the intern was able to make some
really good friends. Overall, the internship at Shilpee Theatre gave the intern not only the
experience that entailed working in the real organizational environment but also showed the
attitude and employee behavior required to perform well which can be applied in any
organization.

4.3 Professional Skills Learned


As internship follows participatory approach, therefore, intern happened to learn some
professional skills while working Shilpee Theatre which are as follows:

Managerial skills such as communicating information to the required departments,


supervising the organizational activities to new interns, proper management of time

and juggling different activities and working with proper execution.


The intern learned to work in a team as in theatre every work done is a group work.
The intern learned to be professional towards one's work.
The intern got opportunity to interact with people belonging to different field and

background and was able to develop good interpersonal and communication skills.
The intern was able to get acquainted with professionals in the theatre field and was
able to develop good networks.

The intern was able to establish professional relationship with the people belonging
to LGBT (Lesbian Gay Bisexual Transgender) group and was able to understand one

more niche of the society.


The intern was able to learn fund raiser proposal writing skills.
By observing the organization culture at Shilpee, the intern realized that although
growth opportunity, challenging task, motivational program, and training are some
major ways to increase employees efficiency and effectiveness rather than high
payoff and short working hour, basic payment is also necessary to make people stick

to the field.
The intern also learned the various stages one should follow and various things that

should be considered in order to make an event successful.


The intern was also able to learn the various ways publicity could be done through
different types of media.

4.4 Main Issues Identified


During the intern's stay at Shilpee Theatre the intern was able to closely observe the work
environment of Shilpee Theatre and was able realize that practice is very different than
theory. Some of the major issues identified by the intern are as follows:

Most of the decisions in theatre are more situational and practical rather than based
on specific theoretical lesson we learnt so at first the intern was confused about the

intern's work description and how to do it.


Since the intern belonged to different background it was difficult for the intern to

adjust into the organization culture of a live theatre.


Lack of computerized data recording system. Even proper filing system was started
only at the end of the intern's stay and due to those problems it was difficult for the
intern to find related resource materials when necessary and had to waste extra

amount time waiting for the department head to access those materials.
Lack of proper parking lot and cafeteria to indulge the audiences as well as the

employees. Due to this intern had to travel long distance for lunch.
Due to proper instructors with managerial knowledge it was difficult for the intern to
perform simple work initially and it took some time for the intern to get acquainted
with the work processes of Shilpee Theatre.

4.5 Methodology
During the internship, the intern basically collected the information about Shilpee Theatre
through both primary and secondary recourses.
a) Primary Data: Primary data were collected by the intern through direct
observation, discussions with the employees and actors and interaction with the
audiences. The intern was also able to obtain video and interviews taken by other
interns with the actors and employees of the organization.
b) Secondary Data: The secondary data were collected by the intern through the
literature available at Shilpee Theatre, internet and the official website of Shilpee
Theatre.

4.6 Analysis of Process, Procedure and Challenges


4.6.1 Analysis of Process and Procedure
File management system was recently introduced at Shilpee Theatre where information are
stored manually in hard copy. Only some information is stored on computer. Those few
types of information stored electronically include the scanned documents, typed reports,
letters, certificates and proposals, and flex and ticket designs. The organization has mostly
flexible schedule with mostly implicit rule for attendance. Due to this, there is no way to
record employee attendance. Accounting software is used by the finance department
otherwise no other specialized software is used for recording data. Even excel is not used for
recording data and information. Normal communication is done through telephone and
every Friday meetings are held where all the employees and department head as well as the
artistic director and the president sit down together to discuss about the whole week's work,
problematic issue and upcoming projects. Manual input checklist is used to track the sales of
the tickets and they are recorded manually which are later input into the software by the
finance department head. Gradually changes are being made and new processes being
incorporated but due to lack of fund any radical change is almost impossible to happen.

4.6.2 Challenges
The major challenge of Shilpee Theatre is revenue generation in order to prevent the theatre
from closing and to keep it running. In a country where the theatre going culture is almost
negligent, it is a huge risk in the part of the owners to establish and run a proscenium
theatre. Another challenges faced by the theatre is from film industry. In order to cope up
with the threat posed by the film industry the management aspect of theatre should be paid
more attention and more focus toward show promotion and increase in audience inflow
should be given. Due to minimal importance placed upon the actors, the theatre may lack
loyal workers and employees. Another challenge faced by Shilpee theatre is the poor
situation of the organization's generators and other technical devices which are necessary to
run a theatre. Technological advancement regarding ticket booking and ticketing should be
implemented so that the cost can be minimized.

CHAPTER FIVE
SUMMARY AND CONCLUSION
5.1 Summary
In order to fulfill internship objective of getting acquainted with corporate working behavior
within 10 weeks' time period, the intern worked at Shilpee Theatre under Publication,
Program M&E and Marketing Departments. The various functions of Publication
Department were to publish various books and plays and to research for upcoming
publication as well as answering clients' queries through telephone. Its functions also
included design and printing of flex, posters, tickets and brochure for the plays being staged.
The various functions of Program M&E Department were recording of workshop activities
and experiences on forum theatres tours. Its functions also included preparing certificates,
writing communication letters, translation and fund raiser proposal writing. The various
functions of Marketing Department include communication with the media and audiences.
Its functions also include the promotional activities done for the publicity of the show and
events through social media. It also includes the promotional activities such as writing
articles by artistic director in the blogs and newspapers for the promotion of the theatre. The
main objective of writing this report is to understand the event management process of the
organization, its marketing processes and overall functions of other departments. This whole
internship was directed towards getting firsthand experience at working at a real
organization to prepare for the future transition into professional environment.
During the intern's stay at Shilpee Theatre, the inter came to understand and respect people's
passion towards work and how it will drive people to give their fullest to their work even
when the remunerations are not satisfactory and even when sometimes no remuneration is
promised. Hence, the intern came to understand the importance of developing employee
satisfaction by making them love their job through right person at the right place. The intern
also realized that team work is very important to start and complete an event successfully.

5.2 Conclusion
Even though live theatre is much older than movie, the movie sector is gaining more market
and numbers of live theatre shows are being reduced. Currently there are only 5 working
theatre halls in Kathmandu valley and few others spread across the nation. Due to the lack of
funds the live theatres cannot even finance the ad promotion of their shows and are
dependent only on publicity. The situations of the actors are also deplorable. Although
youngsters nowadays take live theatre as stepping ladder for their foray into movie line,
very few passionate people remain behind. Hence, it is very much necessary for theatres in
Nepal to find a sustainable way of generating revenue without having to depend on
intermittent funds generated from donations and project works. For that it is very necessary
for theatre going culture to develop in the country. As it is said that youngsters are
impressionable, in order to change the habit or to develop a habit the theatres seem to be
targeting the youngsters. Also the curiosity towards theatre field among the youngsters is
increasing even if they are initially brought here by their interest in movie line. Theatres
nowadays seem to be working on social issues and staging forum plays at different villages
of Nepal. This has also caught the interest of youngsters outside the valley and many
youngsters have joined theatre to bring change in the society through theatre. So, in one
way, theatres seem to have been developing a sustainable way of survival but still it is very
slow, and a more hardcore and wide impacting campaign should be launched in order to
divert youngsters' interests towards theatre.
