Introduction
Overview
1. ViewPoint is made up of two applications
a. ViewPoint Review
i. Document Review takes place here
ii. View manager Used to create views, tags, and advanced
analytics
iii. Exports/Productions are done from here
b. ViewPoint Processing
i. Used for importing data to ViewPoint
ii. All projects are initially created here
iii. Tiffing, OCR, indexing, and posting to review
2. The ViewPoint environment can only be accessed through terminal services
a. All internal and external users will need to have Active Directory
accounts, ViewPoint accounts, and have access to the TS machine(s)

Project Setup
Project Tab Creating new project, custodian, and scope
1. Create new Project
a. In project window: Right-click, new
b. Under Project, enter Client Name Database Name
2. Create Custodian
a. Click Custodian icon
i. In custodian window: Right-click, new
1. Enter Custodian in the last name field
3. Create Data Location
a. Call it Network
4. Create new Scope
a. Scope Description = Job # and Title
b. Select Custodian
c. Select data location (Network)

Importing Load Files

Import Tab Import metadata, text, and native from DAT


1. Click Start Import Wizard
2. Select Custodian, Scope, and Media
a. Existing Custodian from list
b. Existing Scope from list
c. Select Media
i. To create a new Media - Do not select any existing Media in
the media window
ii. Append to existing Media - Select existing Media from list
3. Import Source
a. Select or paste in data source root directory
i. Example:
\\LDSTORAGE01\Repository01\SAMPLE001_20130419
4. X-Ref File Path
a. Select DAT file
5. X-Ref File Type
a. For standard DAT, select Concordance

b. For custom, select CustomDelimiter


c. Set delimiters for DAT (Delimiter = 20, Text Qualifier = 254)

d. Check Has Headers


6. Click X-Ref Content Viewer button to preview load file contents in a grid

7. Select Template
a. To import Evolve Standard LAW output, select Evolve
DAT_Internal template
b. For custom DAT import
i. Click Create New to create new template and map fields
ii. Save as you go and reference Evolve DAT_Internal
template for Edoc and Email tab mappings
iii. Details for custom field mapping found on page 93 of
processing manual:

c. All fields under CustomFields tab must be checked or they


will not be imported

8. Options
a. Execute trial run for first 500 records to preview import
b. Confirm settings and data mapping
c. Append vs Overlay
i. Create and Edit This is equivalent to the Relativity
Append/Overlay option. Use this for importing new
records
ii. Edit only Use this to overlay existing records

9. Click Next to being parsing data


a. Note: This performed on the local PMC machine only
b. This will prepare data for import and display an import summary

Click Import
a. Importing will now be distributed to workers

Monitoring Import progress and


posting data to Review
Workflow Tab Monitor worker progress
1. Monitor worker machines being used for import job
a. Dark green is in progress
b. Light green is idle
c. Pop-up window will appear in bottom right when job complete

Process Tab Monitor import progress


1. Refresh to see total # of new entries created. When complete will
match total # of records imported
2. Right click HTML column under Need to process Row and select
process HTML

Index Tab Index and post data to review database


1. Select appropriate Scope or Media, click process and walk through
wizard to start index. When complete Index Status column in Media
window will change to Done
2. Right click on Scope and select Post

Import Image Files


Import Tab Importing Opticon file
1. Select OPT file for X-Ref path
2. Use Inbound Production OPT template
3. For linking images to existing records, select Edit under Creation
Options

4. Import

Process Tab Skip indexing for Image-only files or files


without text
1. After all images have been loaded, right click and select Show
Results
a. All records will appear on bottom half of the screen

2. Select all records on bottom, right-click, select Maintenance Scripts >


Change Index Source To None

Index Tab Post images to review


1. Right-click on scope and select process
2. After status changes to done, Post media to database
a. For new image-only records, select Add
b. To only update records that currently exist, select Update
