Introducing
Management Information System a challenging and constantly changing field
of study. It involves the innovative application of computer technology and
analytical skills to know and understand, effectively manage operations and
supply chain issues, create new efficiencies and competitive advantages and
realize the growing promise of e-commerce.
Management information systems increasingly change peoples lives,
including relationships, communications, transactions, data collection and
decision-making.
The concept of change management and how people deal with it has gained
much attention in the fields of human and organizational behavior,
psychology,
business
administration,
operation
management,
and
information systems.
Management Information System (MIS) there are many management
information systems (Document management System, records management
systems, digital imaging system and Learning management system) that
enables easy access to corporate data such as student, staff, research and
finance. The software allows for accessing data via a click and point structure
allowing users to drill down to the level of detail that interests them. What
data is displayed can be limited by the user by selecting various slices of the
data to provide subsets that meet their particular needs.
MIS systems allow for the collation of vast amounts of business data, but they
also provide a valuable time saving benefit to the workforce. Where in the
past business information had to be manually processed for filing and
analysis it can now be entered quickly and easily onto a computer by a data
processor (document Controller), allowing for faster decision making and
quicker reflexes for the enterprise as a whole. The purpose of having these
type of management system is to allow the users to store and oganise
information, provides access to the information and to allow to have these
information.

Information requirement of a team


The team need information to perform their role. Collecting the correct
information is very important and must be accurate free from mistakes and
error and it accurately and clearly reflects the meaning of data from which is
derived. My role is to ensure that the team receives the information, it must

be delivered at the right time and the right place to the right people. Making
the information available to the receiver within time is very crucial for every
organization.
The information system is the software that helps organize and analyze data,
so the purpose of an information system is to turn the data into useful
information that can be used for decision making in an organization.
A Simple data collection planning is a process that ensures that the data
gathered for the team members are useful, reliable and resource-efficient.
Designing a data collection plan prevents errors in the data collection
process.

How the Information was collected


The information was collected for the team by having access into the
management system for the documents that was required for them.
Searched for a particular document which has given the reference number for
that document. Looking into the Management information system that the
organization have access to obtaining the information such as procedures,
work instructions, Role description and policy statements. The Relevance of
the information is to be meaningful to the decision maker.
Management system is a software that obtains all information from
instructions on how to do a job, training, policies and procedures on
Occupational Health and Safety, E learning courses. Every department in the
organization have some kind of documentation regarding their work, finance,
safety, hygienist, production, engineering, and surveyor. They upload their
documents into the system so that any one from the organization have
access to the information. This document management system across the
business is to share edit, create and view business critical documents, the
scoop of this system is to manage the following document types:Emails
MS Office application
MS Project VISIO
Images, JPEG, TIFF, GIF
Draft and find document
Controlled document

Recording and organizing data may take different forms depending on the
kind of information you are collecting. The way you collect the data should
relate to how you are planning to analyze and use it. Regardless of what
method deciding to use, recording should be done with data collection if
possible so nothing gets lost, meaning the storage of such information.
Management Information system refers to collection, storage, processing,
analysis, dissemination and efficient use of information in the context of
monitoring and evaluation. Data collection may take place on an ongoing
basis and at regular intervals.
The main of this evaluation research is gathering information about the
program or intervention you are evaluation and analyzing it to determine
what it tells you about the effectiveness of what you are doing as well as
about how you can maintain and improve that effectiveness.
Collecting quantitative data information expressed in numbers and
subjecting it to a visual inspection or formal statistical analysis can tell you
whether your work is having the desired effect, and may be able to tell you
why or why not as well. It can also highlight connections (correlations)
among variables, and call attention to factors you may not have considered.
Collecting and analyzing qualitative data interviews, descriptions of
environmental factors, or events, and circumstances can provide insight
into how participants experience, what barriers and advantages they
experience, and what you might change or add to improve what you do.
Measuring a programs performance and conducting an evaluation, it involve
a great deal of planning and organization. The first step would be to ensure
the evaluation is conducted logically and methodically for to develop an
evaluation plan, which provides the framework for the evaluation.
The first step in writing an effective communications plan is to define your
communication goals and objectives. Given that the communication
objectives will be tailored to each target audience, you need to consider who
the primary audience(s) are.

Outcome chains create a logical progression of the short-term, intermediate,


and long-term outcomes that lead to your goals.
Outcome measurement is a systematic way to assess the extent to which a
program has achieved its intended results. Preparation and planning is a key
part of the outcome measurement process. The better the planning, the more
impact the outcome measurement will have on your organization and your
organization's bottom line.

Communication and Dissemination Plans


The communication-dissemination phase of the evaluation is a two-way
process designed to support use of the evaluation results for program
improvement and decision making. In order to achieve this outcome, a
program must translate evaluation results into practical applications and
must systematically distribute the information through a variety of audiencespecific strategies. In order to be effective, dissemination systems need to

orient toward the needs of the user, incorporating the types and levels
of information needed into the forms and language preferred by the
user,

use varied dissemination methods, including written information,


electronic media, and person-to-person contact,

include both proactive and reactive dissemination channelsthat is,


incorporate information that users have identified as important and
information that users may not know to request but that they are
likely to need,

establish clear channels for users to make their needs and priorities
known to the disseminating agency,

recognize and provide for the natural flow of the four levels of
dissemination that have been identified as leading to utilization:
spread, exchange, choice, and implementation,

draw upon existing resources, relationships, and networks to the


maximum extent possible while building new resources as needed by
users,

include effective quality control mechanisms to assure that


information included is accurate, relevant, and representative,

incorporate sufficient information so that the user can determine the


basic principles underlying specific practices and the settings in which
these practices may be used most productively, and
