FOREWORD AND ACKNOWLEDGEMENT


Coco sap sugar is seen as the most lucrative emerging industry in the
country today. Aside from it generates higher income it was also proven
to be one of the basic commodities that individuals use every day
because of the health benefits it provides to them.
The current global economic crisis has not only revealed weaknesses in
the mainstream financial and economic system. It is also bound to hit
the poor and the marginalized, mostly the underprivileged coconut
farmers in the Philippines. While the crisis presents many threats, it
also provides an opportunity for the demonstration of economic
development strategies to move the underprivileged out of poverty,
beyond welfare-based safety nets. In this context, social
entrepreneurship has not only become an important factor, but an
urgent approach to address the financial and social concern.
Every work accomplished is a pleasure a sense of satisfaction.
However, a number of people always motivate, criticize and appreciate
a work with their objective and ideas and opinions, hence the
researchers would like to use this opportunity to thank all, who have
directly and indirectly helped in accomplishing this project.
First, the researchers would like to thank Engr. Rupert Marionne S.

them the opportunity to be exposed and learn from this subject and for

ABSTRACT
The end of the journey for the researchers are near. Through the ups
and downs, they never thought of giving up. The thought of finishing
their course for their families and teachers fueled them to complete
this paper. The company having a manually operated Inventory System
in the form of Microsoft Excel, struggles to maintain a consistent and
effective database for inventory. The purpose of this paper is to design
and develop a system that caters the inventory aspect of the company.
This is to lessen the extended working hours of the assigned employee
for the inventory having a current extended working hours of two
hours. Also, modernizing the inventory system is a step completed in
making the company more efficient and open to more development. In
order to complete this study, the researchers approached the problem
in a practical way. From their observation of a coco sugar company in
Gingoog, the researchers brainstormed and funneled ideas in creating
the best system that fits the company. The researchers ended up with a
more than satisfying results, having a quality system that has the
different interfaces that includes each part of the process in inventory,
and the aethitics that entices the user. The researchers conclude that
the addition of a more modern technology in the inventory system of
the company will lessen the extended working hours of the worker
assigned by an hour and saving

BUSINESS BACKGROUND
The Company
Sabago Coco Sugar Company, owns a processing facility and storage
but is not that modern and standard despite of its availability in the
market. Hence, the product is still prone to cross contamination. In
conformance to the Food and Drug Association (FDA) standards, the
company needs to expand their production area with proper processing
sections and proper drainage system to prevent contamination. In
addition, the company needs additional working capital for the
expansion of sap harvesting production.
The Product
The product, Coco Sugar, is seen as the most lucrative emerging
industry in the country today. Aside from it generates higher income it
was also proven to be one of the basic commodities that individuals
use every day because of the health benefits it provides to them.

PROBLEM DEFINITION

of the companys problem, the

researchers used the Ishikawa diagram to categorize the potential
causes of the problem. The diagram is divided into 4 aspects:
management, equipment, process and environment. And the root

cause of the problems from these aspects is high production time of


coco sugar.

b. Problem Statement
The General Service Unit in Sabago Cocosugar Company is primarily
responsible of overseeing the operations in distributing the supplies in
the organization. As of today, the company is running on manual
operated software namely the Microsoft Excel thus problems may occur
such as typographical and documentation. The manual operation also
extends the working hours of the assigned worker. To eliminate or
reduce the errors, proper inventory system software is needed.

c. Objectives Of The Study

d. Scope And Limitations


This study will only focus on the General Service Unit. The office and IT
supplies will be the only the data gather for the study. The research
study will not make a final inventory system with the functional
features but only a sample web design interface that could be used as
a reference.

The limitation of this study are the following:


1. Only the people that have the accounts can access the system.
2. There is only one admin account. Only the whole building is covered
with this system.
3. Only computers that can be reached by LAN cables can have this
system installed.
4. Staff in each department cannot easily request items that they
need because they need an account so that they can send request
to the General Service Unit.
The system automatically calculates the total cost. The date is linked to
the computer settings and the Admin can add, delete and update. The
Admin can only update the following: description, type and receipt
numbers. The system can also save suppliers profile.

Chapter Two
SYSTEMS INVESTIGATION
The following will be an approach to a strategic and organizational goal
to a systems development initiative. A feasibility study is to be
conducted for a preliminary study to determine the information needs
of prospective users or the organizations, resource requirements, costs,
benefits, and viability. This is where problems and objectives will be
identified.
a. Operational Feasibility
Operational feasibility is the extent to which the proposed information
system supports the objective of the organizations strategic plan for
information system. This is a measure of how well the proposed system
solves the problem stated and support the business priority of the
organization.
a. Cost: Value for Money. The proposed system must comply the needs
that the company lacks at the most reasonable cost.
b. Efficiency: The proposed system must increase the efficiency of the
worker e.g. reduce extended working hours or reduce cost of error.
c. Security: The proposed system must have limited access in to
workers. Also, the system must have a backup-restore point in case
of unavoidable interruptions during work (e.g. brownout)

d. Manageable: The proposed system can be easily learned even


without the guidance of the programmer.

The proposed information system will act as the database system of


the Sabago Cocosugar Company. The system will organize and manage
the supplies needed in each division of the organization, improving the
general productivity at work.

It will be the wellspring of correspondence or data drive of the


prerequisites or request in regards to the organization. It is user
friendly to the stakeholder of the company.
ii. It is a program that can be viewed by the company personnel using
their own network.

b. Economic Feasibility
In this study, the costs and returns are evaluated to know whether the
returns justify the investment of the project. A cost-benefit analysis will
be shown to assess the economic justification in developing this
website for the organization.
Cost-benefit analysis is an approach that will help the organization
whether to go ahead with the development of the system or not.
The cost-benefit of the company in Shown in developing a proposed
database system is shown in Table 2.1.

c. Technical Feasibility
It assesses the technical reasonableness of the proposed solution. The
major concern of the technical feasibility is meeting the needs of the
proposed system that can be acquired or developed by the
organization in the required time in reliable of the hardware, software,
and network. Shown in Table 2. Requirements in order to develop and
design the program.

d. Human Factors Feasibility


The proposed system will be used by the head of the plant and the
worker assigned for inventory. These people will be oriented by the

programmer on how to use the system. There will be no extensive


training required for the system because it can be easily used and
learned.

e. Legal Feasibility
The proposed system must undergo legal or contractual obligations
associated with. The system will have corporate legal counsel that
would ensure that there are no illegal practices corresponding with the
system that will be developed.
In developing a database program of a company, there are legal fees
paid by the company such as acquiring the uses and function of the
program to its company. And as soon as the proposed program will be
used in the company it will be registered and licensed to a copyright
application for a legal protection of the company. Licensor and Licensee
believe it is in their mutual interest and desire to enter into an
agreement whereby Licensee would use Licensor's Software on its PC
LAN in tracking consumer responses pursuant to the terms and
conditions hereinafter provided. This license is expressly limited to
licensed number personal computers on Licensee's LAN. In the event
that Licensee desires to add more PCs to the LAN, it shall notify
Licensor of such fact, provide Licensor with the serial numbers of the
additional PCs to be added, and agree to pay the Additional User Fee
recited.

Chapter Three
SYSTEMS ANALYSIS
The system analysis defines project goals into defined functions and
operations of the intended for a database system to be developed. This
phase also analyzes end-user information needs.
a. Organizational Analysis
In this section, the relationships between the pieces of contents in the
website are defined. In order for the users to be allowed to predict
where they will find information in the site.
i. Management Structure
In outlining a program for them and making its structure,
there are two contemplations that were considered:
Making a program that can accommodate the addition of
new features thus allowing room for development.

ii. Business Activities

The main activity of the business is to manufacture Coco


sugar product in safe and secured environment to avoid crosscontamination of undesired materials. Most of the production
activity is home-based which means that the standard
procedures are traditional home-like activities that basically
transforms wet coconut sap to fined coconut sugar. What
makes it so traditional is the equipment and tools used during
production. These are woks, wood-sourced furnace, ladles,
wooden trivet or fixture, steel plates, plastic containers, and
strainers. Woks are pre-heated in the boiling facility before the
sap is poured into its body. The process of boiling will start
after the pre-heating. This method extracts the sugar from the
coconut sap. The wok is transferred to a stable fixture. An
employee stirs the liquid for a long period of time with
occasional breaks. The extracted sugars form a sticky brown
liquid. After, the liquid will change into solid particles which
are basically the sugar. The worker gets the sugar from wok
and transfers it to a large square plate to be designated to the
drying area. For many hours, the sugars will dry out of liquid
which indicates that it is ready for powdering. The solid sugars
are crushed and filtered through a sifter and placed in a
container. The particles that do not fit through the sifters
holes are to be manually pulverized using modified tools and
goes back to the sifting process. The containers that are filled
with fine sugar granules are stored in the warehouse waiting
to be packed. After the wait, an employee begins the
packaging procedure. The management then checks the
finished goods and measures the performance of the
employees. Below is the process diagram that shows the

b. Focus Area Determination and Explanation
One part of the companys problem is the efficiency of their system is
the usage and storing of their data. Determining the area where to
focus our study and to identify a proposed database system has been
easily to figure out.

This section describes what the website should do in other words what
is its functions. The table below shows the functional requirement of

User Interface
The system is designed to be user friendly as possible. An error
message will pop out if there is an inaccuracy of data input. A
confirmation message will pop out if the user is sure before the action
be done and if the user unable to input important data in the system.
Hardware Interface
The system will need the basic computer hardware package with
sufficient specification; enough memory and power supply to fully
support the operation of the system and to avoid hardware
interruptions. A computer is a device that accepts information in the
form of digitalized data and manipulates it for some result based on a
program or sequence of instructions on how the data is to be
processed. Complex computers also include the means for storing data
(including the program, which is also a form of data) for some
necessary duration. A program may be invariable and built into the
computer or different programs may be provided to the computer.

Chapter Four
SYSTEMS DESIGN
The researchers proposed to develop a web based application. In
designing the system, there are three steps to be completed. First the
logical and physical design of the database, second the wire framing,
and lastly the user interface. The first step is to design the database
and the flow of informatio. The logical design is to determine the
foreign key and primary key of the entity. The physical design is the
SQL code in creating the table inside the database. The Wire framing is
the design flow of the system, which page comes first and what page
will load next if the user interact with the system. In the next step the
researchers will design the proposed user interface that will be used in
the system.
a) Systems Recommendation
The researchers proposed to develop a web based application. In
designing the system there are three steps to be completed. First the

These days, it is easy to understand graphical UI is extremely

b) System Specifications

i. Physical and Logical Design of New System and


Process Design

The researchers used the modified prototype methodology to develop a


sample prototype IT and Supplies Inventory System.

The figure above illustrates the steps in making the inventory
system. There are four phases in the modified methodology used in the
research which are: initial requirements, design, prototype and lastly
test and evaluate. In the initial requirements phase, the researchers will
gather information about what will be inputted, and come up with a
suitable system that can handle that information. The second phase is
the design; after the researchers have gathered the requirement, the
researchers will used the information in designing the system. In the
prototype phase, the researchers will produce a sample model of the
system, develop the system, review the evaluation and update the
system accordingly. The fourth phase is the testing and evaluation. The
researchers will test the system if it is working properly.

Log In
The Supply Administrator uses the log in form to access the
system.

The Home Form shows the main options of the system and the
status of the supplies.

Office Supply
This user interface allows the Admin to search, update and add
office supplies. Only description and PO is allowed to update.

This user interface allows the admin to save basic information
about the supplier.

A confirmation box will pop out before the user will be log out
after the user has clicked the log out button.

Company in order to produce and maintain the
proposed program is a regular set of computer or a
