A Usability Test of Microsoft Word and Google Docs

Introduction
This white paper describes the findings from a usability test of two word processors: Microsoft
Word and Google Docs. Both of these word processors allow users to create and edit documents
of varying style and content. This white paper shows the results when each of these tools were
tested using specific tasks. These tasks are ones that that a first-time user, having average
experience with computers would likely need to do when creating a document.

Methodology
Test Environment and Equipment
The testing of these tools were conducted on a 15.5 inch Asus from 2014. Its running MOS
Windows, version 8.1. Google Docs had to be accessed online and Firefox was used as the web
browser for this.
The usability test was conducted in a quiet, work-friendly environment with minimal distractions
(both internal external distractions). The test was conducted on task-by-task basis, with having
Microsoft Word be tested first and then Google Docs. Each task was evaluated based on 5 predetermined metrics and the evaluation took place immediately after the completion of the task.

Evaluation Criteria
For this comparison, each task was tested for five metrics. These five metrics are:

Effective: The task was able to be completed.


Efficient: Task was completed in a timely manner with minimal clicks.
Engaging: The task bar and menus were appealing and helpful.
Error Tolerant: Errors were easy to fix.
Easy to Learn: The task was easy to learn.
Each of these metrics were evaluated on a five-point Likert scale. Strongly Agree was a one and
Strongly Disagree was a five. The table is shown below:

Results
Task 1: Create a header
To create a header in Microsoft
Word, you have to go to the Insert
tab and then to the Header drop
down menu. The drop down menu
offers several style options. Once
you chose a style, you get
redirected to the top of the
document and prompted to type
your header. Creating a header in
Word was completed easily with
little effort, using minimal clicks.
The task was easy to learn and
Word offered many style options
for headers which made it
engaging.

Creating a header in Google Docs was similar to Word. In Google


Docs, you have to go the Insert drop down menu and then click on
Header. Docs will then take to the top of the document and prompt
you to type in your header. This task was completed easily and
efficiently. The task was easy to learn. However, Docs wasnt very
engaging because it didnt offer any style options.

Task 2: Add Page Numbers


To add page numbers to Word was very
simple. First, you go the Insert tab and then
click on the Page Number drop down
menu. You are then given the option of
position of the page number (top of page,
bottom of page, etc.). Once you chose your
position, then another drop down menu
appears with style options for the page
number. Then once you chose the style you
like, page number will appear in chosen
location and continue throughout the
document. Word was very easy to use and
was engaging because it gave many options
for location and style of page numbers.

In Google Docs, to create page number was easy to


complete and took very little time to do. To create page
numbers in Docs, you first go to the Insert drop down
menu. Then, you click on Page number and another
menu comes up with your page number location option.
Once you chose the option you like and click on it, then
the page number will appear in that location throughout
the document. This task was easy to learn, but wasnt
very engaging, considering you were given little
options in page number location and style.

Task 3: Add Page

Numbers to Header
Information

This task in Microsoft Word took a little more effort and multiple clicks. I also had to use the
Help Tab to achieve this task. But, once I read the Help Tab, the task was relatively easy. First,
you have to double click on your header and it will take you to Header and Footer Tools: Design.
Under this tab youll click on Insert Alignment Tab and a window will pop up and will show
some options for location of alignment. Once you decide on location, click OK. Now, you have
you to go to the Insert tab and go to the Quick Parts drop down menu and click on Field. Then a
pop-up window comes up and under Field names, choose Pages, then choose a format style and
click OK. Then the page numbers will appear in your location of choice without messing up your
header. This task took some time to do and the toolbars and menus didnt help much and thus
were not very engaging. However, once I consulted the Help Tab, this task was easily completed

Google Docs didnt have a specific way of allowing you to add page numbers to the header.
When just adding page numbers (like the task 2), the numbers went in the header, but didnt
consider the already existing header. The page number dont take into account your header and
could mess it up. So Google Docs scored pretty low on this task because it couldnt fully
complete it.

Task 4: Create a Table Contents

In Microsoft Word, to create a table of contents was quite easy. First, you click on the Reference
tab and go to the Table of Contents drop down menu. Then chose Manual Table and it will
produce the format of a table of contents for you. This task took a few extra clicks because I
didnt know at first what tab it was under, but once I found the right tab it was quite simple to
create. Also, it was pretty error tolerant in letting me know that I couldnt use the Automatic
Table because I didnt have any headings or words down.

To
create a table of contents in
Google Docs, you first went
to
the Insert drop down menu.
Then you click on Table of
contents and another menu
appears for you chose the
style of table of contents. In
Docs, instead of giving you
a format, it gives you a way
of adding headings to a table
of contents. To actually
create the table of contents
would take much longer
because you not given the
format like Word. It was easy to find where to create a table of contents, but was hard to actually
do to the table of contents and the instructions werent very helpful.

Task 5: Insert a Table

To insert a table in Microsoft Word, you have to go to the Insert tab and then go to the Table drop
down menu. You are then presented with option for what size of table you want and all you do is
drag the mouse across the amount of rows and columns you want. If you need a larger table than

what first appears, then you click on Insert Table option. A


window will pop up and you can customize the table to your
liking. Adding a table to a document was pretty easy. It took little
time to create a small table, but took a few extra clicks if I
needed a larger table. This task was easy to learn and if I messed
all that was need to do is pressed the undo button in the top right

Inserting a table in Google Docs was easy and quick to do.
First, you go the Table drop down menu and then select
Insert table. A grid

will appear and
you drag your
mouse across to the size of table you want. You can make
large tables quickly in Docs, but it has a much smaller
larger range of sizes. The largest table you can make in
Docs is 20 x 20. However, it was easy to learn and was
very quick to do.

Task 6: Creating

Fractions

When creating fractions


in Microsoft, you first click
on the Insert tab and then go to Symbol drop down menu and select More Symbols. Another
window will pop up and under the Subset drop down, select Number Forms. Several different
fractions will appear and then you click the one you want and hit insert. This task took a little bit
of time to do and wasnt the most intuitive thing to figure out, but still wasnt too hard of a task
to complete.

In Google Docs, I wasnt sure at first where to find the fractions but after a quick consultation
with the Help tab, the task was easy to complete. First, you go to the
Insert drop down menu and then click on Special characters. Another
window will then pop up. Under the Symbol drop down tab, select
Number. Then on the second drop down tab select Fractions/Related.

range of fractions will appear for you choose from.

Both had only a set of common fractions to


choose from. Neither tool had a way of
creating your own fractions.

Task 7: Insert a Picture that is Saved On a Computer

In Microsoft Word, inserting a picture was easy to complete and could be achieved in a timely
manner. To insert a picture thats saved on your computer, you go to the Insert tab and click on
Picture. Then a file window pops up that allows you to browse the pictures saved on the
computer. Choose the picture you want and click Insert. Then the picture will be inserted into the
document. This task was easy to learn with very little errors to make.

Inserting a
picture in Google
Docs was easily
completed, but took
a little bit longer than Word. In Google Docs, you first go to the Insert drop
down menu and select Image. A window will pop asking you where you
want to insert the image from. Click on the Upload tab and click on
Choose an image to upload. A file window will pop up that allows you to
browse the pictures saved on the computer. Choose the picture you want
and click Open. The picture will then be inserted into the document. The
task was easy to learn, but took a few clicks to get there.

Task 8: Shrink to One Page (Shrink to Fit)

To shrink a document to fit onto one page in Microsoft Word takes some effort to setup, but easy
to complete once its setup. Start by going to the Customize Quick Access Toolbar drop down
menu and click on More Commands. A window will pop up and you need to choose All
Commands. Then you have to scroll down and click on Shrink One Page. Then click on Add and
Ok. Shrink to Fit button will now be up on the screen and available to click on whenever you
need it. The task was able to be completed, but it took some time and wasnt the easiest to learn
when setting it up. However, once it was setup, the task was very simple.

Google Docs does not have

Task 9: Checking

Spelling and Grammar

In Microsoft Word, to do this task you go to the Review tab and click on Spelling &Grammar. A
tab on the right side will appear with a list of spelling correction that need to be made. You then
can go through and make the changes, ignore, add to dictionary, etc. Once youve gone through
all the spelling corrections, Word will automatically switch to the grammar corrections that are
needed to be made. If there is no changes to be made then a window will pop up letting you
know that. This task very easy to complete and easy to learn.

Google Docs does not have a grammar checker, therefore could only complete part of task. The
spell checker was part though was easy to learn and took little time.

In Google Docs, to do this task you go the File drop down


menu and select Download as. Another drop down menu will
appear and you select PDF document. A window will pop up
and prompt you to save the file. The file will save as PDF. This
task was easy to learn and could be finished very quickly.

Recommendations and Conclusion


In a most of the task, Microsoft Word and Google Docs were similar in scores. The biggest
difference between these two tools were that Word offered a lot more style options. Word offered

a style/design options for headers, page numbers, and table of contents, whereas Docs offered
very little options in those same categories. There were also some task that Word could do that
Docs couldnt do like shrink to fit, page numbers in header, and grammar checker. Both tools
though were not very engaging overall. The toolbars and menus were not very appealing, the
designs were quite plan and didnt add much to the experience. The error tolerance was very high
for both tools because they both had undo buttons which allowed mistakes to be easily fixed.
Overall, most tasks were easy to learn.
Google Docs would be greatly improved if it offered more design options for things like headers
and page numbers. Also, Docs should add a grammar checker to help users improve their
documents. It would also help if Google Docs add a format for it table of contents.
Microsoft Word scored much higher overall in the tasks. Word got the most Strongly Agrees on
the most tasks and had more options than Google Docs.
