1 IMPORTANT INFORMATION FOR THE


PARTICIPANTS

1.1

NO MULTIPLE SESSIONS

Please inform your participants to avoid any multiple sessions at the same time. This way
of doing causes loss of credits.

1.2

HOW TO COMPLETE THE COURSE

1.2.1

TO COMPLETE AN E-LEARNING COURSE (AS PM FUNDAMENTALS OR


ADVANCED)

The participant has to reach a score of 80% or higher for each module. A green check at
the top of the module indicates a completed status. The course cannot be considered as
completed if a participant only completes 80% of the entire course content. Only if all
modules reached at least 80%, the course is recognized as completed.

When the participant completes the course, a congratulation page will inform him/her
how to get the certificate linked to this course.

Only the exercises count for the score and, hence, for the completion. Participants can do
exercises as many times as they want. Only best score is saved by the system. For
selftests, if a participant does the same selftest three different times, distant coach will
receive three different posts in his/her mailbox.
However the tests are confidential and their results wont be transmitted to anyone. The
participant can repeat the test as often as he/she wants. At the end of each test, he/she
can check good and wrong answers.
1.2.2

TO COMPLETE X-AM (X-AM PMP OR X-AM IPMA)

You have to complete one full exam simulation with a final score of 80% or more and
answer at least 70% of the available questions in the database. You can find this
information in the score tab of the tool as follows:

As a tutor, you have now entered the e-Learning program home page, which includes the
list of e-Learning courses you have access to. They are divided into two categories:
1. Tutored courses
2. All my courses
2.4.2

TUTORED COURSES

All the online courses for which you are the distant coach. You have access to special
functions explained in the following chapters.
2.4.3

ALL MY COURSES

All the courses you can access as a participant. This category does not let you use all the
mailbox system functionalities like the check of participants selftests or the Tutor
Interface.

By clicking on My profile, you can publish and modify your firstname, lastname and email.

3 MAILBOX SYSTEM AND DISTANT COACHING

3.1

INTRODUCTION

The Mailbox works as any other electronic e-mail system within the e-Learning
management system: you can access the Inbox Messages, Sent Messages,
Archives, etc. You can also manage the selftest exercises corrections. This point will be
explained after in this tutorial.

3.2

ACCESS TO THE MAILBOX SYSTEM

You can access to the Mailbox system by launching one of your e-Learning courses.

Within each course, you have the possibility to access the mailbox and treat your
messages of all courses.

3.3

FUNCTION OF THE MAILBOX AT A GLANCE

The Mailbox entails all the messages sent to you as a distant coach including all
courses. It includes so-called selftests (see below) as well as text messages in terms of
additional questions, inquiries, or technical support.
The Mailbox offers to select only the Unread Messages, the Selftests which are
generated when a participant responds to a selftest, and the Direct Messages which
refer to all other messages sent from a mailbox.
You may filter the messages, by course, group, and participants.

The Mailbox allows you to send a new message as well as to archive them.

3.4

CHECKING SELFTESTS

3.4.1

WHATS A SELFTEST?

Self-Evaluation exercise (or Selftest) is an exercise in which the participant has to


respond in his/her own words to an open question. He/she has to fill in the text field and
then evaluate his/her answer against the correct response of the system.
The Selfests are available in the following STS courses:

PM PMBOK Guide - Fifth Edition

PM PMI-SP (Scheduling Professional)

Program & Portfolio Management

Answering an open text question generates an e-mail which is sent to the tutor of th
corresponding course.

As distant coach, you directly receive a message of each Selftest in your Mailbox
showing the given answers and the credits the participants attributed to the responses.

Should you wish to comment on the given answer or the credits allocated to the
answers, you simply have to click on the Reply button to comment participants answer.

3.5

HOW TO SEND A NEW MESSAGE TO ONE GROUP OR TO ONE


PARTICIPANT

Click on New message

Select the course, then the group and finally the participant(s). Once the group has
been selected, you can decide to write to one single participant, to all participants or
even to some of them (by ticking the corresponding boxes next to the names).

3.6

TEMPLATES

You can use one of your different templates instead of writing a new e-mail. It can be
useful for recurrent questions or when you want to send a welcome message to a
group.

In order to do so, you write first your message as a New Message without any
addresses and then save it as a template (Save as template). Afterwards, you open a
New Message again, select the course, group and participants and click on Your
template to choose the one you wish to send. Once the message appears and is doublechecked, press onto the Send button to send the message.

3.7

SEARCH FIELD

The search field allows you to find all terms and words that are inside the object and the
body of a message. You cannot use this field to search a specific participant or group.

RESIZE THE TEXT AREA OF MESSAGES

You can use your mouse cursor to resize (especially enlarge) the textarea on the left of
the screen and have more space to read your messages.

4 E-LEARNING NOTIFICATIONS

4.1

E-LEARNING NOTIFICATION: ACTIVITY ON YOUR MAILBOX

Distant coaches as well as participants receive a notification on their e-mail


registered in the e-Learning system if unread messages have been detected on their
account in the last 24 hours.

4.2

E-LEARNING NOTIFICATION: USER ENTERS THE COURSE

Distant coaches receive a notification when a participant enters the e-Learning course.

4.3

E-LEARNING NOTIFICATION: USER COMPLETES THE COURSE

Distant coaches receive a notification when a participant completes the e-Learning


course.

5 E-LEARNING REPORTINGS

5.1

IMPORTANCE OF THE REPORTINGS

Reportings are essentials for the distant coach to get an overview of the statistics of the
different groups she/he has to follow.

5.2

ACCESS TO THE REPORTINGS

For the full range of e-Learning tools, you directly can access to this feature by
entering into the Mailbox and by clicking (left menu) on one of the courses/groups
you manage:

Click on the icon to access to the reportings:

This is a list with all of your courses, groups and participants. This view allows you to
access to a quick overview of the status of the different groups which are available on
this course.

With the Snipping tool integrated in Windows 7 and higher, you may copy this view
quickly to forward it to persons entitled to see the status of the participants. If you
prefer, just use the button "Export table" and copy/paste the information in a
spreadsheet application.
If you want to get a more detailed view for one participant, simply click on his/her name
and thats it!

6 DIDACTIC GUIDE

6.1

INTRODUCTION

The significance of a distant coach in the realm of Internet training has no longer to be
established. He/she is responsible for the in-class introduction to the course, the distance
oversight of the trainees throughout the course, and, if needed, the in-class final
debriefing.
The distant coach serves the following purposes:
Communicating with the trainees: the first experiences in Internet training showed
that communication is a key factor: the trainees are more motivated, more likely to work
regularly, especially if one of their questions has remained unanswered for a while, if the
coach regularly communicates with them, encourages them to progress and answers
their questions within 24 hours.
Checking the trainees exercises: for part of the exercises, the trainees are asked to
evaluate themselves, i.e., to grant themselves credits for their answers by comparing
them with those given by the system. The coach must check that the trainees do not
under- or over-evaluate themselves and add comments to their self-evaluations.
Overseeing the trainees progress: the duration of the course is often limited. The
coach must therefore manage the trainees progress in relation to the time remaining. He
may do so for the group as a whole or for each trainee individually. He can also motivate
the group if he notices that its members are slackening.

6.2

COMMUNICATING

The coach is able to communicate with the participants through e-mails. This type of
communication serves three purposes:
1. answering questions
2. verifying self-evaluations (selftests)
3. sending e-mails to
a. ask the trainee questions
b. motivate the trainee
c. inform the trainee
This communicational tool is used according to the trainees needs, progress, ease or
difficulty in solving the exercises, as well as to the frequency with which questions arise.
Ideally though, a distant coach reads his or her email daily.

6.3

CHECKING THE SELF-EVALUATIONS (SELFTESTS)

You can access the self-evaluations of the trainees at any time. You can
1. check them
2. comment on them
Important:
Every time a participant submits an exercise with a self-evaluation, an e-mail
notification is automatically sent to the distant coach. The distant coach has to look
at all the selftests.
Following this verification, the distant coach has to send to every trainee 3-5
feedbacks: the trainee should have the feeling that someone is watching his work.
Careful oversight is recommended, especially at the beginning of the training, so that
the distant coach may get to know each trainees characteristics as soon as possible.

6.4

OVERSEEING THE TRAINEES PROGRESS

6.4.1

INTRODUCTION

In this section, we will give the hints, which explain in detail what the distant coach
should do during the e-Learning session.
These actions of the distant coach are very important for the success of the e-Learning.
If the distant doesnt monitor closely the progress of the trainees, if he doesnt support
and motivate them, its likely that they wont reach the target.
Important:
Refrain from sending the same e-mail to the whole group: its much better to send
personalized e-mails.

6.4.2

WELCOME E-MAIL

Immediately after the start of the e-Learning, send a welcome message to the
participants this message may be sent to the whole group.
Hello everybody!
You are now starting your e-Learning in project management. The best way to
learn is by doing small "chunks" of work - don't wait till the last moment to
do all the exercises!

The goal is to reach 700 credits. You'll get credits each time you've
completed one exercise.
If you have any question, just send me an e-mail. And if you want to have a

6.4.3

AFTER 2-3 DAYS

After 2-3 days, explain again the principles of the self-evaluation of some exercises:
For instance:
Hello Jane!
A large majority of the learning group has made good progresses - one student
has already earned more than the required 80 percent!
Try to work on a regularly basis in order to finish the e-Learning on time.
If you have any question, just send me an e-mail.
Best regards, your coach.

Or:
Hello Jane!
Last week, you havent been working very hard with the e-Learning. Be careful
and do not underestimate the time for it! Try to spend at least 3 hours every
week on the e-Learning, if you want to reach the goal.
If you have any question, just send me an e-mail.
Best regards, your coach.

6.4.4

NO PROGRESS VISIBLE

If people dont make any progress, you can be stricter:


Be careful!
You are really late with your e-Learning. Take your agenda and decide right
now when you intend to spend a couple of hours for the e-Learning.

IF SOMEONE REACHES THE TARGET

When a trainee has completed the e-Learning, the distant coach should congratulate the
trainee.
For instance:
You've done it; you've reached the target!
Congratulations, thanks for the good work.
See you soon at the seminar. Best regards, your coach.

6.4.6

GIVING ADVICE

The distant coach can also give some useful hints.
