Introduction

Introduction
As now the largest university in term of
student population, Universitas Gadjah
Mada is one of the oldest university in the
country founded on 19 December 1949.
Currently it has 18 faculties, 69
undergraduate programs, 24 diploma
programs and a Graduate School, it has
been traditionally considered to be one of
the top three premier universities in
Indonesia. The University is located in
The Special Region of Yogyakarta, one of
the smallest provinces in the country,
which has been widely known as the
center of Javanese culture as well as the
center of learning. It has 3,200,000
inhabitants, 511,000 of whom reside in the
city of Yogyakarta. The Special Region of
Yogyakarta focuses its development on
three inseparable pillars: education,
culture, and tourism.

Please note that the long holiday break is in July and August, and there will also be a short
break in December and January. While another break, usually one or two weeks will be
available during major national holidays such as Lebaran (Islamic holiday) which the dates
are changing from year to year due to its Lunar calendar calculation. There will be an official

The appropriate visa for international students intended to study in Indonesia is the
Limited Stay Visa (VITAS). Usually it has 6 months, 1 year, or two years length of
stay permit. Second option, you may also come to Indonesia with Socio-Cultural
Visa, usually you will get two months of stay permit promptly. But then it will take
inconvenient process afterwards since you will have to extend your visa every
month, up to four times.
B. Your VITAS and KITAS
Study Permit
Your purpose to come to Indonesia is for studying. It is clear that in the application
of your VITAS, a study permit from the Ministry of National Education of the
Republic Indonesia is needed to issue a visa authorization from the Immigration
Office in Indonesia. It takes quite long time to process, up to two or three months.
This is our responsibility as your host institution in Indonesia to help you get the
study permit in order to get your visa authorization of your entry to Indonesia.
Please contact us to give you assistance in this matter. We will be happy to forward
all the information and the procedures for you.
An international student who wishes to study at Universitas Gadjah Mada is
strongly recommended to come to Indonesia only with VITAS which then be
converted to KITAS (Limited Stay Permit) upon your arrival to Indonesia. With the
visa authorization faxed to your address, you make a visa application (VITAS) at the
Embassy/Consular of the Republic of Indonesia in your country.

First Thing To Do Upon Your Arrival


Those who come to Indonesia using VITAS (6/12/24 months visa) should be aware of your
arrival stamp in your passport and white landing card (departure card). The stamp from
Immigration Officer at your first arrival of Indonesian Airport must have the following
words written: Permitted to enter and due to report at Immigration Office in Yogyakarta within 7
(seven) days from date hereof..
You should, then, go to the Office of International Affairs of UGM (Kantor Urusan
Internasional) to do the following steps:
1. Register at Office of International Affairs,
2. Ask the sponsor letter from UGM to be brought to local immigration office to get KITAS,
the required documents for KITAS:
UGM sponsor letter (including Warranty Statement Letter)
Copy of Curriculum Vitae
Copy of passport of the relevant pages.
Copy of visa/VITAS
Copy of white landing card (departure card)
Copy of study permit from the Ministry of National Education

4. Go to the program/faculty bringing the copy of Registration Form and tuition fee
payment receipt;
6. As soon as you finish reporting yourself in local immigration office (usually after two
weeks you will get KITAS) then you should go to the police for STM (Police Report) &
SKLD (Self Residing Report) , to get an STM & SKLD from the police you need the
following documents (3 copies of each item, except the photos):
UGM sponsor letter
Copy of passport of the relevant pages, including the new stamp from immigration
office.
Copy of visa
Copy of white landing card
Copy of KITAS (yellow card from immigration office)
Copy of buku mutasi (a blue book from immigration office)
Copy of study permit from the Ministry of National Education
5 color photos in red color background of 4x6 cm and 5 photos of 3x4 cm.
Police forms that has been completed
7. The last step will be the sub district report for you as a temporary resident of Jogja
inhabitant, commonly called SKPPS (Surat Keterangan Pendaftaran Penduduk
Sementara/Letter of Temporary Resident), along with the following documents:
UGM sponsor letter
Copy of passport of the relevant pages, including the new stamp from immigration
office.
Copy of visa
Copy of white landing card
Copy of KITAS (yellow card from immigration office)
Copy of buku mutasi (a blue book from immigration office)
Copy of STM/SKLD from the police (you should also bring the original one)
Copy of study permit from the Ministry of National Education

Important! The processing of your KITAS in Indonesia can take up to four weeks. During
this time YOU WILL NOT HAVE YOUR PASSPORT and of course you will temporarily
not be able to go abroad, open a bank account, and obtain a local driving license. Please
bear in mind to always have a copy of your passport with you.
Once you have your KITAS and buku mutasi (a little blue book used to register changes of
sponsor/location of associated office of immigration), you better keep them in a very safe
place along with your passport. If you are going to another city/town please always bring
your KITAS with you.
Remember, KITAS and buku mutasi are very important. If they are lost you should report
immediately to the nearby Police station. If it is lost in Bali for example, you must report to
the nearest Police station in Bali and get Surat Keterangan Kehilangan Barang (SKKB) or lost
report. This SKKB is needed to be brought with you when you come to the Immigration
Office in Jogja to get your replacement card. In this case you will also need a letter from OIA
UGM as your sponsor. So please report your loss also to Office of International Affairs UGM
to get the letter.
Important: As a student and or researcher in Indonesia with the limited stay visa, your
visa requires you to give legally binding commitments as follow:
-

Being able to give evidence of adequate financial support;


Abiding by all Indonesian laws and university regulations;
No use of illegal drugs;
No paid work in Indonesia;
It is prohibited for you to participate in political activities, protest, and public
demonstrations;
Please give notification of any change of address.

Those who wish to stay in Indonesia for less than 4 months you may use Social and
Cultural Visa (VKSB) and shall also come to Office of International Affairs to report your
arrival and do registration at our Office. Our staff will then explain how to extend your
Social and Cultural Visa. Please always keep a copy of your passport, photos (15 for each
size 2x3cm, 3x4cm and 4x6cm with red background), and other documents with you for
your stay permit needs.
Note: Please contact our admission officers for further information for your visa
arrangements.

Leaving Indonesia

Leaving Indonesia
The process of exiting the country either
temporarily or permanently is quite
confusing for foreign students. For KITAS
holder they are some restrictions that you
need to be aware of. Please come to OIA at
least one week before your departure
schedule to have consulation. Ask
assistance to our admission Officer (Pak
Jemy or Pak Wiwit) or Our Permit
Incoming Officer (Pak Agus). They will
explain what letter(s) and document(s)
you may need for administrative things in
the airport.:
1. Exit Re-entry Permit or ERP
This document is needed when
you leave Indonesia for a
temporary and intend to come
back to the country. It allows you
to leave and return once only. The
document will be issued by the
Immigration Office and you need
to apply by yourself at the
Immigration Office at least two
weeks before your departure date.
Please note that to get this ERP the
Immigration Office will charge
you around Rp 200,000. Before you
apply, first you should have a
letter from your sponsor. Here, as
you are an International Student of
UGM so the Office of International
Affairs will be your sponsor.
Please come to OIA and ask this
sponsor letter.

2. Multiple Exit Re-entry Permit or


MERP
This document is almost similar
with the ERP, the difference is that
it allows you to leave the country

and come back as often as you like.


To get the MERP, all you need is
getting a sponsor letter from OIA
UGM and apply by yourself at the
Immigration Office. You will need
to pay Rp 600,000 (for 6 months
MERP), Rp 1 million (for 1 year
MERP), and Rp 1,75 million (for 2
years MERP). If you are holder of
the MERP, you can not leave
Indonesia for permanently but you
are obliged to come back in. If you
need to leave the country
permanently, you will need EPO.
3. Exit Permit Only or EPO
For KITAS holder, this permit is
the one you need when its time
for you to go home. Once you exit
the country using this document,
your KITAS will be cancelled and
you will need a new visa to enter
the country in the future.
Please bear in mind one thing is
that you need to process this
document by your self, at the
immigration office where you are
registered, and must be organized
immediately prior to your
departure date. If you are
registered at the Immigration
Office in Yogyakarta, so whatever
happens you should be in
Yogyakarta prior to your
departure to organize your EPO.
There is no exception to this rule. If
youve got your departure date
fixed, you will need at least two
weeks before your departure to
organize your EPO. Please be
aware of this.

Before going to the Immigration
Office where you are registered to
get your EPO, you will need an
EPO request letter from OIA
UGM. So please make sure you
already ask and bring your the
letter from OIA UGM when you
are going to the Immigration
Office to apply EPO. Important,
when you order a sponsor letter at
OIA, please tell the staff the date
you will depart. You will need 2
days until the letter from OIA is
ready to be picked up and brought
to the Immigration Office.

Copy of the page with your
KITAS stamp and any other
stamps you have on your
passport since entering
Indonesia;

your Buku Mutasi and any
other pages with stamps;

Once you submit all those files, you


will be handed a receipt with the
pick up date on it. On the stated
date, go back and pick up your
EPO. Check the stamp to make sure
that it is the right date of your
departure.
The validity of the EPO is two
weeks from the application date
stamped. No early EPO application
will be considered.

4. Extra Baggage Allowance


If you have an excess baggage with
you when you are going to your
country, you can be free of charge
as long as you have a letter from
UGM as your sponsor. When you
ask the letter at OIA please clearly
state how many kilograms you
wish to carry.
Please note that the policy on extra
baggage allowance may different at
each airline. Please investigate and
find the information about the extra
baggage policy of the airline you
wish to fly with early to avoid
disappointment.

1. Come to Office of International Affairs (OIA), ask for a form in the front desk
2. Fill in the form (i.e. category, name, nationality, passport number, faculty, program,
address, telephone number, etc.)
3. Tick one or more boxes which indicating the letter(s) you are asking for*
4. Give the form to one of the OIA staffs in the front desk
5. Your letter will be processed within 2 working days before ready to be collected
6. Please note that if there is any special request / case, youd better inform us as soon
as possible. For further assistance you can meet Mr. Agus Supriyanto (for visa
arrangements), Mr. Jemy Partianto (for Admission Degree and Study Permit
Arrangements), Mr. Viki Laksono Aji (for Admission Non Degree, Study Permit
Arrangements, Researcher / Visiting Scholar, and Research Permit Arrangements).

After your stay permit (KITAS) is ready, you need to
report yourself at the Police Office (please circle

a letter certifying your zero criminal record, please
circle SKKB.
This is kind of supporting letter from UGM. For
example: certifying that you are student of UGM,
supporting letter to open a bank account in
Indonesia, supporting letter to acknowledge that
your passport is still in the Immigration Office, etc.

GMC Health Insurance

GMC Health Insurance


GMC Health Insurance is provided for Universitas Gadjah Mada students, including foreign
ones, with minimum study period of 6 months. Its benefits cover
1. free of charge of primary out-patient health service with general medical doctor or
specialist and of consultation with psychologist at GMC Health Center, including
some generic medicine dispensed by the health center;
2. partially paid to referral hospitals in Yogyakarta and outside Yogyakarta, all over
Indonesia for out-patient services;
3. partially paid for in-patient services in both private and state hospitals in Yogyakarta
and only those of state hospitals for outside Yogyakarta, all oiver Indonesia
The details of the coverage of the insurance is provided in the insurance policy published by
the health center.
The premium of the insurance for foreign visitors is Rp. 200,000,- per month for minimum
stay of 6 months. Foreign students can apply for maximum 2 years in advance, and then
extend their membership.
For international insurance holder, you are still recommended to apply for GMC insurance
for your convenience. As it takes a long time to process the international insurance, you can
use the GMC insurance to cover the maximum cost provided by GMC insurance, and the
international insurance pays the rest.
