Local Archive Setup
1. Open your Lotus Notes mail file and select the Actions menu, Archive, and Settings from
the pull down menu.

Basics Tab
a) The settings should be set as:
From server: (Mail Server)
To: My local Workstation
b) If it is not, click on the Change button.

c) Select On my Notes Client to and


set value to Local.
d) Click OK.

Settings Tab
2. Click on the Settings button.
Note: If the Default items listed have checkmarks next to them, highlight and then remove
checkbox from Enable Archiving.

3. Click the Add button.

Change the following fields:


1. Enter Descriptive name:
Manual
2. Select Copy old documents
into my archive database,
then clean up this database.
3. Click the Archive Database
button.
4. Click the Folder button to
browse to My Documents\Notes
folder. (This will ensure that it is
backed up.)
5. Give archive file a name (we
recommend ubadge.nsf)

Verify path is correct and cilck OK.

6. Select Delete older documents from this database.


7. Click Select Documents button.

8. Select selected by user from drop-down box.


9. Click OK.
10. Click OK.

11. Highlight Manual and


select the Enable
Archiving check box
12. Click OK.

Archive Mail
1. Go to Inbox and select e-mail you want to archive.

2. Select Actions, Archive, and


Archive Selected Documents from
the pull down menu.

3. If prompted to Select an Archive


Destination, choose Manual and click
OK.

Note: First time archiving will take a few minute while it creates your archive database. You
will see the following in the status bar.

4. To open the manual archive, expand Tools, Archive, and Menu from the folder list.
Note: (The archive is created the first time you move a message to it.)
Note: You can distinguish between regular Inbox and Archive Inbox
by following labels.
