This document states all of the conceptual results of the project Medeor 24X7 Dubai Hospital, Dubai. These
project results were devised and decided on by the project team and the department experts from customer
Medeor 24X7 Dubai Hospital during the Business Blueprint project phase. This is the main concept document
of the project. It is supplemented by separate specifications for custom developments.
The content of this document forms the basis and the guidelines for the subsequent Realization phase.
This document aims to describe the future business solution based on SAP software. Both, IT subjects and
organizational issues that are required to understand the situation, are described in it. Any additional
explanations that are only relevant when the project is in progress are given in the various project management
plan documents, which the project management team will provide on request.

The Personnel Time Management component offers you support in performing all human resources processes
involving the planning, recording, and valuation of internal and external employees work performed and
absence times. It provides other SAP applications with planning data and delivers information to business
processes

Time Management
In order to improve HR Business Operations, processes, establish a rigorous control over HR & Payroll
functions, Medeor 24X7 Dubai Hospitals has invited iMed Solutions to implement SAP ERP HCM solution.
The Scope of the implementation includes the following SAP HCM Sub Modules

Personnel Administration
Time Management
Payroll

The Personnel Time Management component in SAP HCM offers to support in performing all human resources
processes involving the planning, recording, and valuation of all employees work performed and their absence
times. Time Management has user-oriented interfaces that support centralized and decentralized entry and
administration of time data of all the employees in the organization. Time data can be processed centrally by
administrators in the human resources department or in individual departments by time administrators.

Holiday Calendars
In SAP HCM, public Holiday calendar is defined in the following way:

All necessary public holidays are identified, their properties are stated
Public holiday calendar for Medeor 24X7 Dubai Hospital is identified, relevant holidays are assigned to the
calendar

All floating holidays, Time Administrator has to update for subsequent years

Working Times
Employee should maintain swipe in & swipe out through daily work schedule format basis.

The standard work week consists of 6 days.


The standard working hours as per the UAE Labor law is 48 hrs/ per week or 8hrs/ day
Apart from the regular 8 hour shifts, Medeor 24X7 Dubai Hospital is also having shifts of duration 10 &
12 hours and the number of days are adjusted accordingly.

Work schedule or planned working time is stated for the company and is then identified for an employee.
Planned work time for an employee may deviate from the company work schedule, if he/she is for example a
part time worker. Changes of employee planned working time are subject to transfer.

Daily Work Schedules


A work schedule is a description of the duration and composition of employee working time for a given
workday. The work schedules define working time models such as shifts, continuous working times, or flexi
time for scheduling working time provisions for workforce or work processes.
The daily work schedule determines the structure of working times in your enterprise at the daily level. The
planned working time specified in a daily work schedule is the basis for payment calculation of actual working
times that are relevant for payroll, as well as the valuation of attendances and absences.

Period Work Schedules


The period work schedule consists of a defined sequence of daily work schedules. The period work schedule
reflects a work pattern that is repeated after a defined period of time. The period work schedule can provide
the working time model for one week.

Time Data Recording and Administration


Time Management enables to record time data online or using self-service applications. The self-service
applications range from the classic time recording machines and Web applications. Employees can use these
applications to request leave, record working times, for example: Submission of leave requests through
Employee Self Services and Approval through Managerial Self Services.

Absence Types
Absences are paid or unpaid planned working times during which the employee has not worked. They
therefore represent an deviation to the employee's work schedule.

Loss of Pay (Full Day)/ Loss of Pay (Half day):

The Loss of Pay (Half day and Full Day) are allowed from the date of joining itself

Employees are not paid during these days

However this is depended on approval from Departmental heads.

Annual Leave (As per the UAE Labor Law)

Annual Leave is as per the UAE Labor law, but with few amendments as per the client requirement

2.5 Days/Month to be accrued from the date of joining.

A minimum of thirty days annually and a maximum number of 45 days that an employee can avail at
one go.

At the end of his/her service the employee is entitled to annual leave for the fraction of service he/she
spent for the previous year and if in case of employee doesnt want to avail the Annual Leave; the quota
should be added to the next years eligibility provided the maximum number of leaves doesnt cross 45
days.

Annual leave is calculated on the basis of calendar month rather than by working days.

As per the client requirement, there should be a provision to book the Annual Leave for half day to
attend specific scenarios in the organization.

Annual Leave Payment is the employees (1.Basic, 2. Basic + HRA and 3. Gross) per month

The Annual leaves which are partly booked during the month would be paid with the regular salary and
the quota is to be deducted accordingly.

The balance of the unused Annual Leaves will be processed through Off Cycle payment along with
other payments.

Sick Leave:

Employee is not entitled to any paid sick leave during the probation period.

Only after a period of three months of continuous service after the probation period, the employee will
be eligible for paid sick leave.

As per the UAE Labor law,

Full wages for the first 15 days

Half wage for the next 30 days

CME/Study Leave:

The CME/Study Leave is to provide eligible employees an opportunity for professional growth and
development.

Eligible employees to be granted a maximum of 7 days including travel days.

Study Leave is considered as paid leave.

Employee needs to provide all necessary documents regarding conference

Maternity Leave:

As per the UAE Labor law

Maternity leave support all pregnant female employees with leave during pre and post maternity period
and to help working parents work and family life

Married Female employees are eligible to 45 days Maternity Leave with full pay after completion of 1
year of service from date of joining.

Maternity leave with less than one year of service will be a half paid leave.

Compensatory off

When an employee work more than his stipulated number of hours or on a public holiday, the same can
be compensated in the form of Compensatory Off on any other day, all the employees across the
organization are eligible to avail a compensatory off as per the approval from their departmental heads.

Suspension Leave

This leave is booked against the employee who has been suspended by Medeor 24X7 Dubai Hospitals
for any reason. This leave period is a loss of pay for the employee.

Emergency Leave

Emergency leave, as the name suggests is availed by the employee under any unforeseen
circumstances subject to approval from their departmental heads and this leave is considered to be
Loss of Pay.

Haj/Pilgrimage Leave

This leave is availed by an employee once in his service period in the company for attending the HAJ,
this leave is for a period of 30 days and its an unpaid leave. Please note that this leave is only
applicable to Muslim Employees.

Description
This Infotype stores the Planned Working Time
of the employee as a Work Schedule Rule. The
Work Schedule Rule is an object, which
describes the daily working times of the
employee, the weekly off times of an employee,
and treatment on days such as Public Holidays.
Time evaluation status is maintained in this
Infotype depending on the type of time
evaluation process to be adopted. For
example, Time evaluation with clock times or
without clock times
This Infotype is used to record the Absences of
the employee. The data can be recorded in no
of days. Ex: 1 day.
This Infotype is used to store the Attendance of
the employee. The data can be stored in no of
days. Ex: day or 2 days
This infotype stores the Absence Quotas of the
employee.
This Infotype Maintains the Maternity Leave
Records.
This Infotype is used to store the time events
( for clock in and clock out captured from
biometric Terminals) for all employees.
This infotype contains the ID number for time
recording which is in turn linked with Biometric
Terminal. When you enter the number, the
system checks that the same number does not
exist already

The Overtime Payment is applicable for all employees across the organization subject to approval from the
departmental heads and the Calculation is as per the UAE Labor law. The detailed discussion of Overtime
