Please take the time to read this "Family Handbook" as it contains all of the information you need to know about, our program, and your responsibilities as a parent/guardian for your child's enrolment and care. Mission Statement (Our mission is to help and support families in raising their children to become men and women of tomorrow. We do this by providing child and youth care programs that meet the social, Physical, intellectual, creative, cultural, and emotional development in a safe, healthy, and caring environment. Each child is a unique and valuable individual with his/her own strengths, abilities, and potential for positive human development. Children learn best through self-directed exploration, discovery, and hands-on experimental activities. In accordance with the vision of The Boys and Girls Club of St. Paul and District, children, their parents/quardians and families, child care professionals and community members will be served ina holistic way: being mindful of Spiritual, Mental, Emotional, Physical, Cultural, and Cre bolances of each individual Hours of Operation ‘The Children's Center hours are licensed from 6:00 AM to 6:00 PM, Monday to Friday. Hours of ‘operations may vary depending on circumstances, Please check with the Director. Tf you require any assistance and would like to contact someone from the program, they can be reached at (780) 645-6769, Statutory Holidays: ‘The p-ogram will be closed on the following statutory holidays: New Years Day, Family Day, Good Friday, Victoria Day, Canada Day, Heritage Day, Labour Day, ‘Thanksgiving Day, Christmas Dey, Boxing Day. “*Note: These dates are revised annually** Unexpected Closures In rare occasions there may be instances in which the club will be closed, such as extreme snowstorms, flooding, no electricity, ete. The notification will also be posted as soon as possible at the Clb. Child Guidance Policy ‘The Boys and Girls Club childcare professionals know guidance has a la-ge role in the social development of children. Therefore, guiding behavior, redirection, and setting reasonable limits are a large part of our programs. Rulesand reasonable limitations will be verbally communicated and visually posted for the. children, Childcare professionals will role model and be cognizant of the varying lifestyles of all children, as this may influence a child's behavior. Physical Punishment includes: spanking, hitting, slapping, biting, shaking, kicking, squeezing, pinching, pushing or punching, Additionally yelling, threatening, intimidating, or degrading a child imany manner is not permitted. Parents/Gsardians may be asked to remove their child from a program if the child's behaviour is endangering the well-being of the other children registered The Boys and Girls Club of St. Paul ‘and District, The decision to do so will be collaboratively made with the Executive Director, Directors and Childcare Professionals, Prevention Method: Strategies for Positive Behaviour Management will be used by childcare professionals as a prevention tool and learning tool. Focus on the positive: consistently & positively reinforce the wanted behavior by acknowledging when it happens. Catch them doing the appropriate behaviour and praise it at that moment. Assist the children to verbally express their emotions by providing relevant and age appropriate vocabulary. Model appropriate and expected behaviour at all times, Invite the children to role play situations and problem-solve to come up with a collaborative solution, Ensure consistency: establish and maintain routines. Ensure that ‘the children are fed at regular intervals and well rested. Set realistic goals and provide clear expectaticns. Provide sufficient notice of changes in routine to implement successful transitions. Offer choices that are appropriate for the situation. Methods: le behaviors do occur, the following intervention methods will be used by the caregivers: 1, ~The child will be encouraged to try and work out or solve their own problems and disagreements before the childcare professional intervenes/assists 2, The childcare professional will stay calm - gain the childs attention, get down to the child's level, establish eye contact, speak calmly to the child 3. Thechildcare professional will acknowledge the child's feelings but remind them of their bourdaries and the rules around them. 4, The childcare professional and child will discuss the behavior, focusing on the inappropriate behavior, not the child. 5. The childcare professional will ensure the child knows that they are not “bad”, but that ‘the behavior is not appropriate, 6. The childcare professional will reassure the child that he/she is eared about. (Smile & hug) 7. Childcare professional will help the child to brainstorm a solution, te help prevent future incidents. (Create « plan together.) 9. Children can identify and learn well from other children, Tf the situation warrants, the childcare professional may invite peers (other children) to help the child to overcome the cause for the behavior. The decision of involving peers is determined by the childeare professional, the child, and the situation of concern, This does not accur for all tuations. 10. Role modeling and role playing is also done by childcare professionals, as a visual cid to help the child understand what is undesirable about their behavior and what would be a better way. 11, Positive reinforcement and consistency will most aften be used as strategies when working/uiding children, 12, Tf ignoring can eliminate a behavior, then the childcare professional will use 1 disciplinary strategy. Once the childcare professional begins with the ignoring technique, ‘the caregiver MUST be prepared to continue with this technique. 4 childcare professional must know their own limitations before they begin and ask for assistance if required, 13, Children's behavior must not be endangering themselves or others. 14, If warranted, the Time Away Policy will be used (see below) 15. A family member's involvement is expected when theie child displays undesirable behaviors. ‘Any significant interventions will be recorded on and incident report to communicate with all involved with the child including the family. Parents/Guardians are encouraged to discuss incident reports with childcare professionals, Program Directors and the Executive Director. Tf a situation persists, anecdotal notes and objective observations will be documented in the child's log. Parents /Guardians will be invited to meet the Director to discuss the contents of ‘he file and work with the childcare professionals to better meet the needs of the child concerned. Time Away Policy ‘The purpose for time away is to help the child identify the problem, how they feel and what other choices/solutions could have worked better. Tt is not a method of runishment but a learning tool for those impulsive moments where a child becomes overwhelmed and needs some regrouping time on their own to refocus on playing and having fun. 1. The child will be removed from the situation. 2, The childcare professional will get down to child's level and explain whet went wrong (the. explanation will be simple and developmentally appropriate. for the child.) The child will be given something to do such as a book or a stuffed animal to play with, As wel, the child will be asked to take a few deep breaths and relax. 4. After a period of time the childcare professional will ask the child if they are ready to j the group. If the child is ready the childcare professional will take ths time to discuss what led to the situation, the child's feelings and alternate options to a solution for Future similar situations, Then, the child will be asked if they need a hug. Tf they child needs hug they will be hug, if the child does not need a hug they won't receive one, Some children need more time for themselves before being touched. 5. The child will re-join the group, provided they are ready. Inclusive/Enhancement Care Aide We include all children with all different types of abilities and limitations. Tf a child requires ‘more assistance for inclusion to our regular program, discussions with family support ogencies (Alberta's Family Supports for Children with Disabilities program - FSCD or Alberta Family and Children Services) in order for extra funding for extra supports as an Aide, Aide supports would be provided in the most natural and least intrusive manner. An example may be an cide. that coordinates supports to more than one child in the child care facility. ‘After funding has been approved, a meeting will be held with the family, ade, ond Executive Director to determine the specific supervision needs of the child requiring extra supports to ensure their safety and inclusion in the program. A Service Provider's Procram Plan will be developed at this time outlining the specific needs of the child. The family and the funders will be given a copy for their records. ‘The services of an Aide are funded when both the child and the aide are present. A twenty- four hours’ notice is required if your child will be absent from the program, otherwise the funder will be invoiced for the services of the Aide on shift In the case of an Aide's absence, the Club will try to provide a substitute for the Aide at that time, if possible. However, if a substitute is not available, your child is still welcome to attend the program Diversity Policy (pie: Jue 27,2015) St. Paul is a multicultural society and as we recognize greater ethnic diversity in our Canadian culture, itis important we guide children in recognising and respecting sinilarities and differences that make up our community and as Canadians. Our Care Givers continually seek to develop and promote an understanding of children’s culture and hore environment, We believe that acceptance of inclusion of diversity is central to working in partnership with parents/guardians and accordingly not only on acceptance of cultural diversity but also acceptance of differences and similarities in lifestyle/abilities and parenting/guardian choices. If there is a situation with a child who is bullying, ‘their parents/quardians are called and must become involved with the Executive Director and Childcare Professionals to plan and implement strategies to correct the behavior. Tf parents/quardians do not become involved in/with the plan our services will be terminated for ‘the family. Family Conduct Tt is our policy that while children are in the Club no person shall be allowed to: ‘+ Use any form of corporal punishment (spanking, hitting, biting, slapping, squeezing, pinching, pulling, kicking, pushing, or shaking) ‘+ Use foul language, this includes yelling or screaming ‘+ Degrade, intimidate, threaten or humiliate ‘Yell and scream in anger or frustration ‘+ Abuse towards any staff will not be tolerated ‘reved Seprenber 2003 SEG Fay ado Tae? If necessary, services will be terminated, ‘Open Door Policy (uptet: Jie 22,201) Families are permitted to visit their children throughout the day. Phone calls, text messages, face book messaging, emails are accepted throughout the day, to review the progress of childrer in the program throughout the day. Open Communication Prograns Parents/Guardians can expect ongoing daily communication with Childcare Professionals concerring their child's progress, program activities, and special events, Parents/Guardians are ‘encouraged to speak to their child's caregiver if they have any concerns or questions in regords ‘to any aspect of their child care, Childcare Professionals welcome feedback from parents/quardians on any aspect of the program on a regular basis. On many occasions, there ‘may be things that a Childcare Professionals will nt know and they are to direct them to the Executive and Program Directors for further clarification. At times, there will be some Unpleasant concerns the parents/guardians may address. These should always be addressed with the Executive and Program Directors for fast resolutions and appropriate actions. Know that we welcome all families for discussions of the good and concerns. (The sooner issues of concern are addressed the sooner we can find clarification and resolution.) ‘Throughout our programs we use different types of method to maintain good communication within our team for everyone to be notified of changes, additions, notifications and news. Emails ~ © Asper employee -when emails are used, emails are printed off and signed by staff ‘once read. Program Directors responsibilities to print, read, sign and have all other staff to read and sign, Everyone is encouraged to read their emails doily. © Asper families - when emails are used, emails are printed off and placed in the youngest child's (of the family) file, Program Directors responsibilty to print, reed cand place in child's file. ‘+ White boards - white boards are used daily in rooms for families and staff. Staff room whiteboard is used to document room ratio, breaks, changes, notification of upcoming events and other news. + Communication log -used in administration to keep the Executive Director and program directors notified of on goings. + Eacevo0k - used to notify of upcoming events, All families and employees are encouraged to like the face book page and review it often. Pictures of children are not posted unless written consent is signed, ‘+ Staff Meetings - monthly and cll employees are responsible to attend and take part. ‘+ Mobile Phone Use - © AS per employee - all childcare professionals have access and use to maintain constant ‘ond regular contact with each other and administration staff t2 ensure all programs run smoothly and everyone is safe. This will include photographs, videos/media packages, childcare related news posts, child activity updates e.g. sample plans and sample learning stories, Fundraising and local childcare ‘+The social media site will used as an extension of the early childhood services form of conmunication and will not be used for personal communication for employees, board menbers or fantlies. Adniristrat The social media site is set up with a maximum of 2 administrators te approve and monitor ity on the social media site. + All posts are verified in advance of being placed on the social media site Executive Director. ‘+ Allinappropriate posts are removed from the social media site and the user will be reported and blocked from the site. Communication: The service does not use the social media site as a replacement of already established communication methods with families. ‘+The social media site is a tool used for updates and sharing relevant information with fonilies and community stake holders. ‘+The social media site is an extension of the early childhood services form of communication: it isnot used for personal communication for employees, board members or fanilies. Full time children are given priority over children attending part time or casual Registration forms for each child must be filled out and submitted to the administration of fice ‘minimum of 24 hours prior to your child's first day. The completed registration form will help us get to know your child, his/her needs, and important emergency information, Please be sure to fillin all sections of the form, along with yours and emergency contact current addresses and phone numbers. "Note: Please inform the Club of any changes needed to the chi registration form, e. new telephone numbers, new oddresses, new employment, allergies, et..os they acer. ‘A rregistration form can be obtained by: e-mail, fax, administration office, or at the Parent/quardian information area at the Club. Registrations forms are updated regularly to mmaintcin current information. Waiting list - Spaces may not be immediately available. Tf this occurs, the registration form is collected with all the family’s contact information and as soon as a suitable vacancy occurs, the. parents/quardians will be notified. Rising Stars Children's Centre Fees: ‘+ Registration Fees: $25.00 per child is due before a child's commencement in the program, This is non-refundable, ‘+ Refundable Deposit: $150.00 per child is due before a child's commencement and will be refunded, if a two-week written notice of termination from the child/ren’s last day is received. Full Time. $875,00/mos. Gf subsidized: full time subsidy $628.00/mos. Family portion=§247,00/mos.) + Toddlers & Preschoolers: $775.00/mos. (reste Septeer 2009, ‘RSC Fmily Hobos cr} vised Accretion Team Joe 2015 (If subsidized: full time subsidy $546.00/mos. Family portion=$229,00/mos.) Part Time/ Drop in Fees: ‘+ Infant & Babies (Oyrs - 18 mos.): $15/hrs. or $75/dey (5+ hours is considered a day: Government subsidy available) + Toddlers - Schoo! Age (19mos. - 6yrs.): $12//hrs or $60/dey (6+ hours is considered a day: Government subsidy avcilable) + Allfees are to be paid on the 5" working day of each month. All fees are prepaid for the preceding month. Fanilies with outstanding accounts will not have access to The Rising Stars Children's Centre until fees are paid in Full ‘There will be a $50 charge for any NSF cheques. + Families who are contracted for full time childcare and receiving childcare subsidy are. responsible to cover any fees not covered by subsidy. This can include underutilized contracted childcare hours. Childcare fees will not be pro-rated for casual absences, ‘+ Tf services are terminated immediately, The Executive Director will contact the family regarding termination Important Tax Information Update: Child Care Expense lit is increasing from $7000 to $8000 in 2015 ‘Therefore, very important to keep track of your child care receipts! Tf youare having trouble keeping track of childcare receipts we can help you. We can store. ‘them for you in your file and have them ready for your 2015 tax season, ust let us know if you are interested in this option! Contracted Hours/number of hours your child attends Services are only available for contracted times. Contracted Hour's/number of hours a child attends. Contracts made for each family cannot exceed 9.5 hours a day. In other words, each family is entitled to 9.5 hours of childcare services for our full time fees. If a child's attended hours exceed the 9.5 hours a day the family will be responsible for additional fees of $5.00 per minute until child is picked up. The additional fees are to cover overtime expenses. Tf yourequire care for more than 9.5 hours a day, please notify the Executive Director or Director to make those arrangements. Know that there may be a change in your monthly Fees. ‘rested eptener 2008, ‘RSC Fol Pada Tot ese Accretion Team Jone 2085 ate ps: + Alate pick up fee of $15.00 for the first 15 minutes and an additional $5.00 for every minute after the first 15 minutes, for any child who has not been picked up at centre's closing hours of 6:00pm. ‘+ A phone call may not rectify the situation, Depending on the circumstance and emergency the Executive Director and Director will notify the family of this fee waiver. + These fees are to cover any overtime expenses that occur as a result of a parent/guardian being late. ‘+ Tf family requires services past 6:00pm on an ongoing basis, an appointment with the. Executive Director will be made to discuss further options. Payment Arrangements Payment arrangements are available to families who need some extra time to pay a fee. This option is avilable with an understanding that is accepted by both the family and the Executive Director. Payment arrangements must be in writing. Tf payment arrangements are not made/met, and a fee payment has not been received then the services will be terminated immediately. The Executive Director will contact the family regarding termination ‘Attendance/absences Families are required to notify the Club programs if their child/ren will be late or absent. Tf notice is not given, the childcare professionals will wait no longer than 9:30 AM before pursuing other activities, After the child is absent for three (3) consecutive days, without notification, the Center has the right to terminate the service and give the space to another family. Termination of services ‘The Club requires a two-week written notice of termination from the program services. Any over paymert after the two-week notice of termination will be refunded to the family. Refunds will not be given if a two-week written notice is not received. ‘The Club can terminate a child's space if: +The child has not attended the Center for three (3) consecutive days, without notification from the farnly. ‘+The family has failed to pay for the child care fees by the fifth (5) working day of the month, ‘+ The placement is deemed not to be in the best interest of the child, ie.: health, safety, ete. +The family does not adhere to the guidelines, policies, or regulations of the Club as outlined in this Family Handbook. ‘rested Sptonar 0, SCE Family Hank Tope? Bewaed by Acretation Team Jone 205 Child to Staff Ratio Licensing regulations is as the following staff staff 6 toddler = 1 staff 8 preschoolers = 1 staff (Enfants = 0 ~ under 12months; babies = 12 months - 18 months; toddlers = 19 months - 35 months; Preschoolers = 3 years - 4.5 years.) Grouping From time to time we experience some employee shortages for several reasons. Tn these cases, inorder to continue services for our families we may need to group children into other rooms to ‘meer licensing ratio standards. Although it may seem like an inconvenience at the time, it may be necessary in order to provide services. Please know that the other option you have is to keep your child a” home. Children logs Know that there is daily information documented in your children logs for your view. In these. logs the staff is documenting activities and things that your child has done throughout the day. ‘The intenticn of these logs are to keep you posted of what your child is doing all day as we know that at times the primary staff in the room has done their shift before you pick up your child from the centre. Program Menitoring ‘The Rising Stars Children’s Centre adheres to the daycare standards set by the Government of Alberta. The Director monitors each individual group to ensure these standards are met. ‘The Alberta Government also conducts quarterly visits to our Dey Care. Generally, these Government visits are random. All inspection reports are posted in our communication area for public viewing Physical Wellness Policy While attending our program, each child's overall well-being is our main concern; eating well, being physically active and getting enough rest are key to maintaining a healthy lifestyle. Nutrition/menus - Eating Well (vise sn 2,208) Although, we are only required to meet basic nutritional needs, The Boys & Girls Club of St. Paul ‘and District adopt « more stringent standard to address nourishment issues, help prevent childhood obesity, and promote the development of lifelong healthy habits, ‘+ Meals and snacks are provided.
