SCHEDULE 1: SCOPE OF SERVICES

ENGINEERING MANAGEMENT
The following operation & management services would broadly be covered under the scope of services of
Service Provider. Service Provider shall keep record of all log books as specified by the
supplier/manufacturer and shall maintain cleanliness in all plant rooms.

ELECTRICAL & MECHANICAL UTILITIES SYSTEM

Operate and manage the entire and complete Electrical and Mechanical Utilities System from the
Diesel Generators including all equipment and installations as per the operation and management
manuals and specifications of the manufacturers and/or the original installation contractors
including Diesel Tanks & Pumps and ensure that all the lifts, escalators etc. are operational round
the clock.
Ensure that all electric and lift rooms, electrical equipment in public areas, electrical shaft doors,
meter boxes in units/flats etc. are locked at all times and access is limited to authorized personnel
only. Also to ensure that statutory and safety regulations in this regards are strictly adhered to.
The Service Provider will carry out routine preventive maintenance through the AMC agent. The
operations and maintenance team will periodically carry out testing of automatic rescue device,
Emergency lighting, two way communication system, etc. Service Provider would organize lift
rescue training to the operations and maintenance team through Original Equipment
Manufacturers (OEM) specialists.
Ensure all cable and wire connections are clean and firm.
Ensure contacts in all breakers are clean and mechanical operation is smooth and firm.
Check all meters periodically to ensure they are functioning and show correct readings.
Ensure all light fittings inclusive of luminaries, lamps, ballasts, starters, transformers, connections
etc., are in proper working condition at all times..
Manage the earthing system to ensure earth continuity at all points in the electrical system upto
the main distribution board in each apartment and also manage all earthling pits with necessary
watering etc. Earth pits values to be taken every 6 months and the values to be recorded.
Take necessary steps to have inspections by statutory inspectors carried out at all specified
intervals and ensure all licenses/permits are valid at all times. To carry out
Weekly/Monthly/Quaterly checks and to document all the checks in the formats created for the
same.
Service Provider will attend the critical equipment such as Air circuit breakers, Oil circuit
breakers, Transformer etc. In case of major breakdowns & overhauls specialized agencies may be
employed with prior written approval of the Client and required charges will be paid by Client
directly to the specialized agencies on as and when required basis. Service Provider will
coordinate all activities like:

o Rewinding of all kind of motors except those of HVAC.


o Service Provider shall maintain history records of all equipment except HVAC and use
the history of failures to analyse the failures and perform permanent rectification.
To record the readings of Electrical meter installed in electrical room for electrical consumption
of various shops.
Analyse the consumption of spares and find permanent solutions for high spare consumption
areas. Stock levels to be managed for different kinds of spares/inventory, etc. Ensure at all point
of time adequacy of stock/spares for all machines installed at the site. Information to stores to be
given for replenishment of stocks. Stock is to be replenished by the Client.
Calibration of all protective relays to be done once a year and record of the same to be
maintained. Cost of calibration and relay testing or any other testing for equipment to be borne by
Client (Part of CAM). To suggest and implement the energy and spares cost saving measures on a
regular basis which is called Continuous Improvement or Kaizen.

HEATING, VENTILATION AND AIR CONDITIONING (HVAC) SYSTEM :

To operate and manage the entire and complete HVAC system and any additional equipment installed in
future as per the operation and management manuals and specifications of the manufacturers and/or the
original installation contractors.
To ensure all equipments installed i.e. chillers, AHUs, FCUs, FATUs, pumps including complete
piping and ducting are in perfect working condition at all times and to carry out periodic checks to
ensure the appropriate operating parameters as designed and handed over. A log of all such tests shall
be maintained.
Regular cleaning of filters, coils, makeup water tank etc and management as per recommendations of
O.E.Ms.
Regular checks for various valves installed in the piping system including cracks, proper water level
in makeup tank, piping connections etc. and take appropriate action as per the scope of work.

BUILDING EQUIPMENTS
Records of all maintenance done must be well maintained by the Service Provider and Work
Instructions of all maintenance jobs to be prepared and available to the person who performs the
maintenance job. Maintenance must be monitored on a weekly/monthly basis by the Shift
Supervisor/Engineer and remedial action to be taken to prevent major breakdowns. The Service
Provider will carry out preventive maintenance of the equipments on an established frequency aimed
at extending its useful life, avoiding unnecessary down time and thereby reducing operating and
emergency repair costs. The process will involve inspection, testing, lubrication, adjustment and
cleaning of system components as per manufacturers specifications or ownerships provided
requirements. The AMCs would be managed and the periodic schedule would be monitored and the
Sub-contractors/Vendors to be instructed accordingly.
All work will be done in accordance with appropriate work procedures, maintenance and operational
manuals, manufacturers specifications or the Facility Managers provided specifications.
FIRE DETECTION & ALARM SYSTEM

To operate and manage the entire and complete Fire Detection and Alarm, Fire Fighting and
Suppression system and any additional common area equipment with respect to the same installed
in future. Ensure that fire reserve tanks (underground/overhead) are always full and no misuse for
other purposes is made.
To ensure all smoke & heat detectors and sprinklers in the common area i.e. all detectors/sensors
and the system as a whole are in perfect working condition at all times and to carry out periodic
checks to ensure the appropriate alarm is raised as designed and handed over. A log of all such
tests shall be maintained.
To periodically operate the Ventilation and Smoke Exhaust System through the Fire Detection
Panel to ensure their proper functioning at all times.
To ensure proper management of all indicators, panels and alarms.
To ensure proper management of panic exit devices.
To ensure deluge system is managed at all times.
To test operate all types of fire extinguishers periodically and to maintain a log of expiry dates.
To manage properly and keep ready for use at all times all fire pumps, jockey pumps standby
diesel pumps and their controls and panels and ensure all fire lines can withstand the specified
water pressure.
Operation procedure should be display at pump room.
Emergency contact number should display and maintain in pump room.
Ensure Emergency light working properly.
Ensure no obstruction is created (by means of parking or otherwise) in front of fire hydrants and
fire hose reel cabinets.
Ensure all access roads for fire tender movement, as designated, are kept free at all times.
To carry out half yearly fire drills & keeps record of same.
To ensure emergency team formation and conduct / organize training on Emergency Plan.
Conduct Emergency Mock drill every six months, practicing the scenario outlined in Emergency
Preparedness Plan for the facility by the Facility Managers, a video recording should be done
while conducting a mock drill. A detailed report on Mock Drill should be submitted to the Client
with video recording, and timing of events, this report should also include deviation from
Emergency Preparedness Plan observed if any, the corrective action and preventive action with
target dates and responsibility established for completion. The Client will provide video camera
at site for this. All fire Fighting installations/ equipment namely hydrant line, sprinkler line,
hose/nozzles, fire extinguishers etc. must be maintained in excellent working condition at all
times and wherever it is not so, immediate action must be taken to rectify the same immediately
within established deadlines. If there are any shortcomings where action of the Client is required
the same must be done within 24 hours of noticing such shortcomings in writing to the Client for
their further urgent action.
To ensure all staff is adequately trained in handling Fire Fighting equipment and installations.
To have inspection carried out by the Fire Department and keep all clearances valid at all times.
To ensure that in all contracts / sub-contracts finalized by the Facility Managers, a detailed clause
is inserted to provide the following;
a) The staff is briefed on daily basis (tool box Talk) and they hold regular training classes
for their employees in regards to Health, safety and handling of fire in an emergency.

b) To ensure workers/employees should follow approved procedures during the work.

c) To ensure no short cut, no substandard material to be allowed for work. Eg, homemade
hand-tools.

d) Required Personal protective Equipments are mandatory for all workers/employees


during work.

e) The staff will not interfere or tamper with any fire fighting equipment and if so observed
such staff will not be employed on the premises.

f) Will not store any combustible material in the premises.

g) Will keep all the staircases and exit doors free of any combustible or other materials for
easy movement in case of emergency.

h) Will observe all fire safety regulations.

WATER SUPPLY

To ensure operation of all, submersible pump and underground water tank according to planned
schedule for 24-hour water supply.
To ensure all water supply pumps, pressure vessels, hydro pneumatic systems and control panels
are managed as specified in manuals furnished by manufacturers/original installation contractors
as advised by CLIENT PROPERTY Management team.
To ensure all water valves operate smoothly and there are no leaks anywhere in the system.
To clean, on a regular basis, all underground and overhead tanks and to ensure there are no
deposits/sediments or algae growth.
To ensure proper management of Water Treatment Plant and correct chlorine dosage.
To ensure filtration equipment is managed in a proper fashion at all times and to carry out
backwashing as specified.
To ensure all level indicators and level controllers function as required at all times.
To ensure and maintain water test reports.
STORM DRAINAGE & SEWAGE DISPOSAL: All chambers, manholes, catch basins etc. and
lines should be clear at all times through regular cleaning and de-silting and choking, if any, shall
be attended to promptly.
All gratings and covers should be in place at all times.
All pumps, panels and controls for evacuation of storm water and sewage shall be in proper
working order at all times.

SECURITY SERVICES
24 hrs supervision of the facility inline with Society Set rules .
Coordination for security & fire drills
Order and discipline in the area
Movement control, watch and ward on the visitors.
Plan for evacuation under each type of crisis like earthquake, fire, gas leak, bomb hoax, terrorist
attack, anthrax, etc.
Expert guidance, regular training & briefing as per certified ISO Standards

BUILDING UPKEEP SERVICES


Cleaning of floor

Dry and wet mopping of granite/marble floor


Scrubbing of granite/marble finish area
Regular dust control
Dry and wet moping of the approach areas of the facility
Cleaning of office equipment(s) in the offices in the common areas
Dry dusting
Wet cleaning with appropriate solvent
Dry cloth mopping
Cleaning of railing/glass inside the PROPERTY

Other services

Spraying of fresheners
Cleaning of light fixtures
Removal of cob webs
Polishing of brass / copper fixtures
Cleaning of all signage, hoardings etc.

Washroom Cleaning

Thorough cleaning and sanitization of toilets, bathrooms, wash basins and shower facilities, using
suitable non- abrasive cleaners and disinfectants.
All surfaces shall be free of grime, soap mud and smudges.
Cleaning of mirrors, glass doors, glass windows, etc.

Trash Cleaning

Emptying all waste paper baskets, ashtrays (if applicable) from all shop floor areas, and washing
or wiping them clean with damp cloth, and returning items where they were located.
All waste from waste paper baskets will be collected and deposited in the buildings waste
containers.

Landscaping
All water bodies and green patches shall be maintained
Day to day watering for all planting materials
Weeding of plants at regular intervals
Day-to-day cleaning of landscaped areas, such as removal of debris, stones, foliage leaves,
broken branches etc.
Maintaining the overall aesthetics of the landscape and supervision
Potted plants to be maintained properly.
Observe outside premises for dry grass and its fire hazard. Coordinate with land lord for
wet/green area maintained.

Waste Management:
Scope will be limited to removal of waste (which includes municipal, hazardous and e- waste) to
designated site within the premises. Service Provider will co-ordinate any external agency for
garbage clearance at actual cost after prior approvals.
All waste from the Property would be collected and stored at the designated areas at regular
intervals.
Collection and disposal of waste at specified intervals at nominated location.
Handle and store waste in a safe way.
All paper waste to be removed as and when required and at regular intervals.
DRAWINGS AND MANUALS

Client has to provide all the drawings & manuals for each of the equipment. Client will also
arrange to provide as built drawings and technical manuals to be obtained from contractors for
Service Provider.
Layout plans for piping schemes for plumbing, CT fan, air-conditioning and sewage and sanitary.
Any changes incorporated after the commissioning of the panels is to be incorporated in the
drawings.
Client has to inform Service Provider for any other changes in the service system
Client is responsible to get the NOCs, Licenses, calibration Certificates from the OEMs and
deliver the same to Service Provider.

GARBAGE DISPOSAL

To co-ordinate with authorized garbage lifting authorities and supervise that wet, disposable and
non-disposable garbage are segregated and disposed off accordingly.
Accounting of garbage sale proceeds.

BUILDING EXTERIORS

Exteriors of all buildings within premise shall be inspected and cleaned on a regular basis.
External surface of glazing of all buildings using the existing installed mechanized cleaning
system shall be cleaned wherever it is practically possible, on a regular basis and a log of this
shall be maintained.
General and periodic Cleaning & Upkeep of External Faade.
Ensuring Safety while cleaning.
Proper use of chemicals and equipment.
Pro-actively identifying and rectifying problem.
Work procedure should be prepared and use after approval.
Only trained and competent workers are allowed to work this activity.
BUILDING INTERIORS

Interiors of the Building, internal faade, dome etc. shall be cleaned on a regular basis.
Hanging, removal, cleaning, management etc. of the dropdowns, hoardings etc. whether manually
or mechanically, as applicable, shall be carried out by Service Provider.

PEST CONTROL

The Service Provider will supervise the services of a professional pest control company in order
to fulfill the pest management requirement.
Service Provider will ensure that pesticides used by the contractor are cleared by the governing
bodies and confirm to the MSDS standards.
The Facility Managers will coordinate with the agency and would ensure:
Routine inspections of the property as per the schedules.
General Pest Control and Special Treatments as scheduled.
Rodent control and general disinfestations of all common areas to be executed
periodically by Service Provider-Rodent and Flies/Mosquitoes control.
Health Safety and Environment
The Service Provider will prepare work procedures for all routine and non-routine work
activities, will get it approved from the Client and maintain updated all the time.
The Service Provider will identify hazards associated with all routine & non-routine
activities will conduct the Risk Assessment and take adequate Corrective and Preventive
measures to mitigate the Hazards & associated Risk.
The Service Provider will prepare and maintain updated necessary documentation related
to all work procedures, equipment and machines, etc.
The Service Provider will follow the work permit system while performing hazardous
work activities.
All lifting tools and tackles should be tested form Competent Person which is recognized
by the concerned Government Agency.
The authorized representative of Service Provider will ensure, by means of inspection,
operation, tests that the Fire Fighting System, Electrical services, Machines and
Equipment, Tools & tackles are functioning safely and will give undertaking in writing to
the Client every monthly.
Statutory Regulations
The Service Provider will coordinate and advice as required through specialist agencies
on all statutory notices, requirements and regulations of Government, Statutory Boards or
other local Authorities
Reporting
The following reports will be submitted to Clients by the Service Provider-:
Property Management Monthly Report containing the following:
Consumption of consumables
Soft Service
Mechanical
Electrical
Civil
Miscellaneous
AMC activities for the month detailing actual Vs scheduled.
Help Desk MIS
Energy consumption by utility, by premise
Highlight critical issues / problems with recommended solutions which should contain the
technical recommendations / alternatives, cost, time, schedules, etc.
All deviations and exceptions.
Suggestions, if any, for modifications, up gradation with supporting estimate.
Accident/Incident report.
Special recommended HSE report from clients.eg, Monsoon checklist.
