Message from Dean Academic Programmes

Dear Student,

A PhD is the highest academic degree that one earns by ones own effort. Earning a PhD
is sometimes a lonely journey, but the overall effort is worth it, as it results in discovering your
own views on the subject and the profession (and life in general!). It is also an opportunity to
present your ideas to peers in your field of work. This should be an enjoyable and positive
experience. I trust you will have a productive and fruitful tenure as doctoral student at IIT Bombay.

Message from Dean Student Affairs

Dear Student,

Welcome to the campus of IIT Bombay. Many of you may have already stayed in a hostel during
your earlier degree. The IIT Bombay experience may well prove to be different. This booklet is
meant to guide you through a whole gamut of things, academic matters and information on many
aspects of campus life. Take some time to read it, and if needed, email your queries to this office
or authors of the guide.

As a post graduate student your studies will be intense and you may have limited time for extra-
curricular activities. However, many of you may already have established credentials in some
cultural activity or sports. We encourage you to not lose touch and keep on excelling in your chosen
area of extracurricular activity. It was only a few years ago that you were in the same boat as the
UGs. You can still go and participate, and also perhaps give some guidance. Over the past few
years the student gymkhana has devoted a special focus on participation by Masters and Doctoral
students. The special events under the banner of PG Cult and PG Sports will help you to interact
with other students of the same experience bracket.

Similarly the Gymkhana will also run some regular programs and workshops aimed at PG students.
More recently there is a considerable interest among students for becoming investors and
entrepreneurs. You will find several avenues and activities through which you can get closer to
this dream (if you want to) listed in this booklet. Most notable are STAB and its clubs under the
Academic Council and the E-Cell activities.

A good part of your life will revolve around the hostel. It will be good to get familiarize yourself
with the governance structure of your hostel and maybe even participate in it. Overall supervision
and guidance to the hostel is provided by the Warden and Associate Warden who are members of
faculty and will be your senior friends in need. There is the hostel council with key elected posts
and a panel of nominated and willing students. All your requirements can be channeled through
them. You can also volunteer to look after your hostels activities and welfare. You can also be a
member of the council, if you fulfil some established criteria.
PhD Handbook 2016-17

With staying on your own comes a great responsibility. You are responsible for your own conduct.
You are expected to be mindful of the wellbeing of the fellow hostel mates. In everything you do
in campus or out, you must adhere to the high standards of ethics and discretion expected of an IIT
scholar. Most of all, do not indulge in activities that are detrimental to your health and to the main
goal of your stay in the Institute, which are your academics and future career. Remember always
that you are an IIT-ian. Use your stay for developing your talents, develop physical fitness and
skills in sports. Indulge your passion in co-curricular activities. You can be sure that there will be
kindred souls, and more likely a club lined up to help achieve just what you have in mind.

On behalf of the entire IIT Bombay community of faculty, staff and students, I wish you a fruitful
stay and fulfilment of your academic dreams.

Message from GSAA-PG

Namaskar friends,

First of all, I would like to congratulate all of you for securing admission in this prestigious
institute. Special thanks to those who selected IIT Bombay over other institutes and special
congratulations to those who were left with IIT Bombay as only option.

IIT Bombay is one of the very few IITs which have excelled in Academic along with co-curricular
and extracurricular activities. Throughout year, various events and competitions keeps going. This
will let you explore your interest and find out your true potential. Since extra curricular events and
activities are in plenty, so avoid being carried away and screwed in your academics.

During your stay at IIT Bombay tough time may come but it will make you strong if you had right
attitude. Once two families missed train by few minutes, one started crying and scolding each other
for delay. Other family sat calm and explored about other options. Thus from example also, we
can see that Attitude towards handling problem matters more than problem itself. In your tough
time, you may ask us for assistance. We as your elected representatives promise to help you with
best capacity of our council.

Wishing you a great time ahead....

Dear Newbie,
A very warm welcome to the Post Graduate life in IIT Bombay. Here, you have a rare opportunity.
You start a new leg of your journey towards the excellence that you aim for. Here is where you
make something of what you have learned in your undergraduate studies. This is where you put
the bits and pieces - that you have picked up along the way - together. It is a new start.
But, this is also where a few things from your undergraduate days start to disappear as a part of
growing up; the sense of wonder, your free-spiritedness, your zeal and your sense of involvement
- to name a few. But, dont worry. They disappear only if you let them go. Tame them and shape
them and use them to get what you came here for. To nurture yourself, IIT Bombay offers you the
avenues and the opportunities of both academic and non-academic nature that you would be hard-
pressed to find anywhere else in India. Do make use of them and the life here would be exciting.

Best Wishes,

Message from GSSA

Hello,
I welcome you all to one of the most prestigious institutes of the country, IIT Bombay. For a lot
of you, the coming few years at IIT Bombay are going to be quite different from the last few in
terms of exposure and opportunities to pursue a wide range of activities. You will soon realize that
what you have unlocked is far more than what you might have expected.
The major part of student life here is all about striking a balance between academics and
extracurricular activities, and this is what shapes you completely. I would like to introduce you to
what forms a very important part of the latter Sports.
What does Sports actually stand for in IIT Bombay? This can be summarized in just 4 words it's
learning, recreation, fitness, and most importantly, interaction. Along with learning new skills and
taking part in numerous activities, sports inculcate within you a sense of camaraderie and a sense
of unity. Over time you will find that it is the best way to find friends and socialize, be it on the
field or during match screenings.
Do you know what my favorite part of the game is? Its the opportunity to play. Talking about
opportunities, the IITB gymkhana is a home to a wide range of sports, both indoor and outdoor.
IIT Bombay provides a plethora of sports activities that include all major team sports as well as
individual sports. With great pride, I can say that the Gymkhana is one of institutes greatest assets.
The facilities provided to the students match international standards and are one of the best in the
country, and the students who have been associated with them for a long time grow a strange
connection to it, even after they are no longer students here.
Learn, Play, Enjoy!! This is the motto that the Institute Sports Council believes in, and we are here
to serve you in the best of ways! I can wait no further to take you to a journey through the
gymkhana, and numerous activities that will come your way. To end all this, I would say - do not
take mine or anyones word for it, just go and try it out on your own. Who knows, you may love
it and pursue it for the rest of your lives, if not youll cross it off your bucket list.

1 ACADEMIC INFORMATION
1.1 The startup window
Read the entire PhD Rules and Regulation book at least once as soon as you join the
institute.
Talk to the seniors because they could be the most helpful source of information regarding
academics, research as well as administrative processes within the department as well as at
the institute level.
First thing is that, you need to make sure that you sign and submit the joining form and
other required certificates and documents to the concerned person in department or
academic office on time as mentioned in your offer letter.
Three websites which you need to get familiarized with especially for academic purpose.
o IITB Webmail https://gpo.iitb.ac.in/src/login.php
o ASC site www.asc.iitb.ac.in
o Moodle Website http://moodle.iitb.ac.in/login/index.php
GPO mail is the official mail box which you may consider as the multipurpose e-notice
board. Starting from scholarship information to gymkhana closure notices, all kinds of
information will be circulated through this mail. Of course this mail can be used for your
official communication within as well as outside the Institute.
Further to keep yourself updated regarding the day to day events and not to miss any
activity of your interest throughout the institute, register your mail id at
http://lists.iitb.ac.in/mailman/listinfo/events
ASC is the main interface between you and the Institute administration which will cover
things like fees and stipend, coursework registration/adjustment, library interface etc.
Moodle is the main interface between you and your coursework instructors. This portal
serves you for class notes, presentation/document shared, submission of assignments and
other instructions from all the coursework instructors for which you have registered.
It is important that registration be done in person, except where permission is sought
through ASC at the beginning of every semester along with a brief report of the previous
semester and your plan for the upcoming semester.

1.2 Coursework: The first milestone

Take time and explore the course info section in the ASC site. Discuss with your friends,
seniors and faculty advisers about your interests and required courses and plan according
to your credit requirements.
Note that Communication Skills is a compulsory course for all PhD students. Most
departments have a departmental seminar course as a mandatory one. Further you need to
make sure of other mandatory course work requirements from your department.
Credit requirements will vary depending upon your qualified degree and so make sure of
your credit requirements with help of the PhD rulebook.
Most of the coursework are open for all the students from the Institute except a few
advanced/specialized coursework which might have pre-requisites.
You can register for most of the coursework either as a credit course or as an audit course.
When you register for a coursework as Audit, the corresponding coursework will appear in
mark sheet but will not affect the overall CPI as they will not be graded.
The option of auditing a coursework will be another opportunity to learn and get exposure
in the field of your interest besides credit courses.

1.3 The Big Game

Another important thing is to choose; who will be your research guide? The procedure
will vary from one department to other. Besides you need to have an RPC (Research
Progress Committee). So, again your departmental seniors can be of great help.
RPC contains supervisor and co-supervisor (if any) along with two or three other faculty
members in your field of research. This committee will act as the internal examiner for the
evaluation of thesis.
The members of RPC will be constituted by the research supervisor with or without your
participation.
PhD Handbook 2016-17 3

"APS ", the buzz word in your PhD life. APS (Annual Progress Seminar) is the yearly
reporting of your research work. You will be required to submit a report summarizing the
work done over the year to RPC members and present the same for wider audiences. Note
that a few departments have progress meeting every semester.
So, APS will be the best opportunity to take feedbacks from various faculties and students
which will be very handy for improving your work and help you to strengthen your field
knowledge. Students admitted in Fall semester need to give his/her APS in the month of
July or August while students admitted in Spring semester need to give it in December or
January.
You will be required to submit the report for RPC members, at least a week or two before
your APS. Check out the downloadable forms available in the IITB academics homepage
for any report formats.
Try to get and go through a few previous APS reports from your lab-mates or department,
it will give you an idea about the structure of the report. But, of course, it is up to your
guide to decide upon the structure and content of the report.
Delay in APS will attract heavy fine unless there is a prior request to postpone the APS is
submitted to academic section. For more details regarding postponing of APS, refer PhD
Rules and Regulation booklet.
You might be given a second chance of presenting your APS in case of failure to get a
satisfactory remark from RPC members.

2 ACADEMIC ADMINISTRATION
Academic Programmes of the Institute are governed by Rules and Regulations as approved
by the Senate, which is the highest Academic body of this Institute. The Senate
continuously monitors these programs and makes appropriate modifications/improvements
from time to time.
The academic system is semester based and hence, the students are required to follow
certain procedures and meet the academic requirements each semester. It is in the interest
of the student to be fully familiar with the academic systems of this institute. Particular
attention should be paid to the schedule and structure of coursework and project work, the
assessment procedure and the rules governing conduct and assessment of these activities.
The academic performance is monitored by the Post Graduate Academic Performance
Evaluation Committee (PGAPEC), which also reviews status of individuals after
reviewing their performance.

2.1 Programme Committees

In order to keep pace with the rapid development in science and technology and also to
keep in view the requirements of the nation and aspirations of the students, it is imperative
that academic programmes of the institute are reviewed continuously. The Postgraduate
Programmes Committee (PGPC) is entrusted with this responsibility. It deliberates upon
academic proposals received from the various Departmental Postgraduate Committees
(DPGCs), Interdisciplinary Programmes Committees (IDPCs), School Postgraduate
Committees (SPGCs) and Postgraduate Committees for Center (PGCs). Based on its
deliberations, it makes suitable recommendations to the Senate for its approval.

The Organizational Structure for Academic Matters

2.2 Faculty Advisory System:

On joining the Institute each student is assigned a faculty advisor or a group of Faculty
Advisors. Faculty Advisors (FacAds), as the name suggests, are professors, from your
respective departments, who will help you out in making academic decisions. FacAds keep
track of your progress and guide you properly. Each semester, the courses you take will be
finalized only with the consent of your FacAds. Changes in programmes, dropping of
courses, withdrawal from a semester on medical advice and the like, can be effected only
with the consent of the FacAd. For a students project, his/her supervisor automatically
becomes a Co-faculty Advisor.

3.3 Tools and Software

Technology seems like really a godsend to researchers when compared with how academic
research was carried out in the pre-internet era. Starting from the initial phase of scoping ones
research problem till the final drafting of thesis various tools can come handy as a PhD student.
The online tools listed below are useful to search and track research publications:

Google Scholar (www.scholar.google.co.in)

Google Scholar is a more focused literature search engine of Google. It populates specific research
articles, which includes the key words searched.

Scopus (www.scopus.com)
It is one of the largest abstract and citation database of peer reviewed literature, features smart
tools to track, analyze and visualize research. IITB has a subscription of this service, which can
make sure that you do not miss the critical research around the world!

Once you have the literary references for your work in PhD you would want to organize it and
often make a bibliography to cite in your own work. Many reference management software help
in that. Some of them are:

Mendeley
Mendeley is a free reference manager and academic social network that can help you organize
your research, collaborate with others online, and discover the latest research. You can
automatically generate bibliographies, collaborate easily with other researchers online, easily
import papers from other research software and find relevant papers based on what youre reading.

Google Drive
Upload your documents, work on them collaboratively, share them with others and also access
them wherever you are.

Endnote
EndNote gives you the tools you need for searching, organizing and sharing your research. It
allows you to easily create bibliographies while writing your next paper with features like cite
while you write. Whether youre on your desktop, online, or iPad, EndNotes syncing capabilities
let you access all of your references, attachments, and groups from anywhere.
PhD Handbook 2016-17 11

Dropbox
Dropbox is a free service that lets you bring your photos, docs, and videos anywhere and share
them easily. Never email yourself a file again!

Evernote
Ideas, projects and experiences, share across all the computers, phones and tablets you use!
If there are some specific topics for which you prefer a structured course work kind of introduction,
then various online Open Courseware Consortium (OCW) are available. NPTEL videos are
organized by the various IITs. Recently Massive Online Open Courses (MOOCs) like edX has
collaborated with IITB for running courses for undergraduate levels. There are various
interdisciplinary courses that can be taken in many such MOOCs, which might be interesting, or
at least refresher for the basic concepts needed for your research area.
Analyzing quantitative and qualitative data may be a central part of your research and open source
software like R can be used for statistical analysis and WEKA and Rapid Miner can be useful
for mining content from your dataset for analysis.
Finally organizing and writing research papers and thesis, use either Word/Open office/Latex
based resources where you may get specific formats to adhere to for various publishing type.
Throughout you can maintain a researchers social profile on various groups on Research Gate,
Google Scholar, LinkedIn or even on a specific Facebook profile for your research activities.

4.3 Travel and Publication Assistance

4.3.1 Travel Assistance
PhD Handbook 2016-17 18

If you are smart enough you should have seen several parts of the world by the time you receive
your PhD degree. You have ample opportunities to fund your travel, starting from Institute support
for international conference, Department development funds, travel grants through fellowship
schemes (FA/SW category), conference organizers and sponsors, and several other private and
public agencies like DST, CSIR etc.

International Conferences
Once your paper/abstract is accepted for a conference, you can start the process. One can choose
different modes of research communication. The first preference can be for conference
organizers/sponsors then external public or private agencies and finally Institute or fellowship
funds. In most conferences, a certain number of scholarships/financial assistance will be provided
by the organizers and sponsors especially for students. In several cases, application for these
scholarships will be closed along with the deadline for paper/abstract submission. So, make sure
that you check and apply for these opportunities while you plan to submit your work.

Next, you can check the options at external agencies. Several of these agencies require two months
to process your application and so apply to them as early as possible. Following are a few
opportunities which you can avail
1. Department of Science and Technology (DST) http://serb.gov.in/pdfs/format/ITS-
format.pdf
2. Council of Scientific and Industrial Research (CSIR) http://csirhrdg.res.in/sy.html
3. Indian Association for Research in Computing Sciences (IARCS) http://www.iarcs. org.in/
activities/grants.php
4. Indian National Science Academy (INSA) http://www.insaindia.org/download.php
5. Sir Dorabji Tata Trust http://www.dorabjitatatrust.org/id/71/Education related%20

6. Mahindra Trust Private Companies (like Infosys, IBM and TCS). One has to apply to the
university relations/HR section of the respective companies.
In case of delay in release of fund from external agencies, you can apply for Refundable Advance
at our institute, provided that you produce the proof of approved travel grant from the agency to
PhD Handbook 2016-17 19

fund your trip. Visit http://www.iitb.ac.in/academic/finalAsstWeb/financialAsst.htm for a detailed

procedure and information.
You can apply for Institute funding only after the acceptance of your paper/abstract at the
conference. Institute provides partial/full funding covering registration fee, travel, boarding and
lodging. For a detailed procedure and information visit http://www.iitb.ac.in/academic/finalAsst
Web/financialAsst.htm.
Students can also apply for additional funds from the department development fund through Head
of the department. Research scholars who have been awarded external fellowships (for example,
fellowships by IBM, Infosys, Philips India, Microsoft Research India etc.) can avail the travel
grants available to them in the fellowship scheme.

International Travel/Visa Tips

Most of you may have your passport by this time, but in case you do not have one, apply and make
sure that you have it ready ASAP. Once you confirm your participation for a conference, start the
visa application process. Although you may apply for visa through travel agents, it won't be
difficult for applying on your own as most of the information will be available online. In most
cases you need to apply through the private service provider (VFS Global) but for a few countries
you can apply directly to the Consulate of the respective country. Do note that the document
requirements, application process, visa fee, processing time etc. will vary depending
upon the country. So, carefully go through the instructions and procedures given both in the
consulate website as well as in VFS website (http://www.vfsglobal.com/). Although the document
requirements may vary between countries, following are the important documents in general
An invitation letter from the organizers
A visa assistance letter from the organizers
A copy of the list showing your talk/paper
No objection certificate from Dean AP/ Head of the Department
Financial support documents
Medical insurance
Most countries, especially USA and the UK, require details on funding during the visa interview.
You should have a confirmation letter showing adequate assistance for the travel from any
organization during the interview. For US visa, fill DS-160 form online and secure a date for visa
PhD Handbook 2016-17 20

interview. For UK visa, fill online form and submit documents to VSS and secure an interview
date. For Schengen visa (European nations except a few countries like UK) fill the online form
and secure a date with the consulate. Visa for other countries like Australia, China, Japan,
Singapore, Malaysia, Brazil, etc. are relatively easy to obtain, details of which can be checked on
respective websites.
Some European countries require police verification before granting any visa. Since police
verification is a tedious process and is time consuming, one should keep enough time in hand for
the visa process (at least two months in advance).
It is better to have a proper travel plan before the visa interview. Tentative booking of air tickets
is also advisable before the interview. If you are applying to government funding agencies like
DST, CSIR, INSA, etc., make sure to submit a travel plan from Air India for the flight fares
(through Air India, most possibly) and also for other associated flights. The following step-wise
illustration will give you a brief insight for attending international conference:
PhD Handbook 2016-17 21

Send the abstract/paper to the conference organizers for scrutiny

Apply for scholarships given by conference organizers or sponsors
Step1

On receiving the acceptance letter, initiate other funding applications

5 Career Opportunities

5.1 SINE: Society for Innovation and Entrepreneurship

Entrepreneurship has become a buzzword nowadays.

Students, graduates fresh out of college and even
experienced professionals want to try generating an idea
that solves a relevant issue & see it grow into a successful
enterprise. Recent success of some tech companies-
Flipkart, Ola, Snapdeal, Lenskart, Zomato to name a few
have lit up the imaginations of Indians and have provided
a shove that many needed to raise their own startups . IIT
Bombay is not alien to this trend and in fact is rather ahead
of the curve compared other technical institutes in the
country. To this end IIT-B established SINE (Society for
Innovation & Entrepreneurship) in the year 2004 which
was developed from an IT incubator started in 2000 with
the support from some renowned alumni like Nandan
Nilekani & Kanwal Rekhi. SINE is basically an incubator
that supports technology driven startups established by
IITB alumni, students, faculty/staff and other research
partners. SINE, spread over 10,000 sq.ft area can incubate
15-17 companies at a given time. To date SINE has
incubated 47 companies with 17 currently occupying
offices at SINE. A major portion of the incubatees are
PhD Handbook 2016-17 23

faculty driven and some of these business ideas have developed from the research carried out at
IIT-B. Companies at SINE generate collective revenue of 100 Cr & provide employment to about
1000. Around 50% of the companies at SINE are funded by angel investors, venture capitals and
other financial institutions which is a reason why many prefer to incubate at SINE.

The criteria one needs to fulfil are as follows: Intellectual Property backing is a must; however it
need not be patented at the time of presentation. At least one core promoter must be from IIT-B
community.

The procedure to get incubated at SINE is a rather simple affair. You can walk into SINE with an
idea, if your idea shows promise, the next step is to create a business plan which will be reviewed
internally & improved until perfection. The business plan is next reviewed by an external panel of
experts and based on their suggestions, the idea will get incubated. The ideas are judged on the
following aspects: Economic viability, influence on society, strategic value.

SINE provides three kinds of incubation: regular incubation provides the basic office amenities at
a subsidized cost. Virtual incubation for ideas that dont require an office for functioning. Pre-
incubation, for ideas that are in the initial stages that need validation and testing. In addition to
this, SINE provides access to professional services at various stages growth including the services
of lawyers, accountants, human resource.

Besides the infrastructural and business support provided at SINE, one gets access to lab facilities
at SINE, Tinkerers lab and other labs in the institute. Resources shared by the companies at SINE
include meeting and conference rooms equipped with projectors, audio/video conference facilities
and office automation services like photocopying machines, scanners and printers.

For more information on SINE access the following website: www.sineiitb.org.

The Structure of Sports Council

The sports council is headed by the General Secretary Sports who coordinates the activities of all
the Institute Secretaries of the various sports. The 15 Institute Secretaries are responsible for
conducting events related to their sports at the institute level. Between the Secretaries and the GS
Sports there are Nominees including one PG Nominee who is in charge of conducting all PG Sports
activities. You are encouraged to contact the Institute Secretaries for any query related to the
particular sport. At the hostel level, there is a Sports Councillor (or Sports Co) who is supported
in his activities by Hostel Sports Secretaries (Sports Secy-s). In addition to them there are many
Clubs and conveners who organize creative events in their sports activity throughout the year. At
the department level, there are Sports Representatives for each department elected through intra-
departmental elections. These representatives are points of contacts for the Institute Sports Council
and the PG Sports representatives.

Inter-Hostel Culture
IIT Bombay has a history of healthy inter hostel rivalry. The Inter Hostel Sports General
Championship is the biggest all year-round event at the institute level. Event consists of 20
different sports where all hostel fight for Overall General Championship. In 2014, 15 Boys Hostels
& 4 Girls Hostels took part in the fiercely competitive General Championship. Participation is
generally huge in each of the GCs, so much so that, the whole Sports complex gets enveloped in a
sporting atmosphere.

Inter IIT Championship

It is The Holy Grail of every guy or girl who ever picked up a racquet, kicked a ball or scored three
pointers. Representing IITB in the Inter IIT Sports Meet is the Ultimate Honor. Held in December
over a duration of 7 days in one of the IITs, each of the 15 IITs arrive with their contingents and
compete fiercely for the individual championships for each sport (Athletics, Aquatics, Badminton,
Basketball, etc). Other than top three in individual sports, there is also the General Championship.
IIT Bombay won the General Championship most times. In recent past, IITB won Championship
for 3 consecutive years 07-09 and in 2012. Inter IIT was first held in IIT Bombay. Last year too,
IIT Bombay hosted prestigious 50th Inter IIT Sport Meet. This year, Inter IIT Meet is in IIT Madras
PhD Handbook 2016-17 31

and new IITs will be participating for the first time. Girls have separate Inter IIT Championship
meet organized parallelly with boys. Girls of IIT Bombay won the prestigious Inter IIT trophy last
year by big margin. This year both the championship is proposed to merge into a single
championship awarded to one IIT.

To get a glimpse of the magnitude of the event visit this facebook page and check out the videos:
https://www.facebook.com/interiit16

Selection trials for the teams are held for each sport around October - November. The selected
players are a part of the Inter IIT Training Camp held from 1st December to the date of departure
for the meet. Based on the performances during camp, the best possible team is chosen by the
coaches and the captain.

The Sports Culture: Training Camps and Championships:

Besides NSO, IITB offers beginners training camps in all sports for which you can register.
Notices for the camps are typically put up a week in advance. Follow IITB Sports page if you dont
want to miss any opportunity. Seats are usually limited, so register at the earliest.

The Institute also organizes IFL (Institute Footer League) and Cric-mania in the Spring Semester
on the lines of the EPL and IPL with managers and a bidding ceremony. Leagues for Badminton,
Basketball, Hockey, Lawn Tennis, TT and Volleyball are also organized over the year. One can
register as a player or a Manager!

The Institute Sports council also organizes screenings of important matches/games for almost
every sport, be it Rafa vs Federer, an El-classico or an India-Pak match you can catch it on the big
screen with your friends :)

Sports@Leisure
Apart from these formal coaching camps and classes, feel free to turn up on the sports field and
play the way you like with or without your friends. Some timings are reserved for faculty and
institute team practices and NSO classes. As IIT provides the state-of-art facilities, a lot of care
has to be taken in maintenance. So, proper equipment and attire are must for playing. Specifically,
in Badminton, Tennis and Squash, you must wear non-marking, gum sole shoes. Swimming pool
PhD Handbook 2016-17 32

also requires proper costume which can be bought from swimming pool itself. Recreational trips
are also organized every month to experience trekking, water rafting, rappelling. Cycling events
are organized on alternate weekends to some great locations. You will find out more details in due
time. You can issue squash balls, badminton shuttles and racquets on your I-card from the SAC
office and storeroom. Contact Institute Sports Secretary or use ask-a-secy facility to know more
about anything related to particular sport.

Most hostels have a lounge which has a carrom table, table tennis table, a gymnasium maybe a
fussball table and a pool table. You can issue the gear for these from the watchman against your I-
card. You will also find people playing cricket, football and volleyball in the fields between the
wings. Get yourself out there with these guys! This is the best way to get to know your batchmates.
And don't worry if you think you are not so good! Nobody is and nobody cares!

PG CULT
"PG Cult is the annual cultural festival targeted exclusively for the postgraduate community of IIT
Bombay (or PG junta in short). Since its inception in the year 2008, this would be the 8th edition
of this cultural extravaganza.

The events spread across 9 genres -3 performing arts: Dance, Music and Dramatics and 5
nonperforming arts: Fine Arts, Literary Arts, Speaking Arts, Design, Photography and Film &
Media. Interspersed throughout the calendar year, the PG Cultural Council headed by the PG
Cultural Nominee along with the PG Coordinators and Conveners for each genre organizes several
workshops to cater to the varied tastes and skills of the multitalented PGs of IITB.
PhD Handbook 2016-17 37

The competitions under PG Cult are based on an inter- departmental format held in two
phases one in each semester.

The competitions in the first phase involve mostly solo or dual

INSTITUTE PG CULT
NOMINEE events which involve comparatively low preparatory events while
those on the second phase involve group competitions such as
group dance and music band events which are more time
demanding.

Considering the comparatively greater academic load faced by the

PG community as compared to the UGs, the first phase is held
around midseptember, one week after the midsemester exams of
the odd semester. The second phase is then held in the second
week of March. These dates are decided keeping in mind the busy
schedule of the PGs to give them enough leg-space to prepare of
Sharad agarwal the events while fulfilling the strenuous demands of the
shad2728@gmail.com
curriculum.

In the last edition of the PG Cult, the PG Cultural Council initiated a lecture series by eminent
personalities where we had Dr. Devdutt Pattanaik, renowned author and mythologists who spoke
with us. This year too we plan to have several of those lectures by experts from a gamut of areas.
Also to be in tune with the new lifestyle and fashion club established last year, there was also a
bonus attraction of a flagship fashion show designed and choreographed in entirety by the PGs.
This along with the power packed performances made phase II a houseful event with the
convocation hall packed to its full capacity of 2000+ audience.

So junta, what is that breed of cult that is lying dormant inside you? Is it the mighty pen of a writer
or the fire guzzling voice of an orator? What drives you more? The melodic strumming of a guitar
or the twists and curves of dancing? Let it out. Show them all what you are beyond the humdrum
affair of your laboratory or the drool of lectures. As Shamur once said, Let the Music play, Let the
Music take Control."

6.8 STUDENT ALUMNI RELATIONS CELL

What distinguishes this college from many others and
makes it renowned all over the world? It is due to all our
alumni who have achieved great heights in myriad fields.
But how do we effectively utilize this wealth of
knowledge, success and fame that our alumni have
achieved? That is where SARC comes in.

Student Alumni Relations Cell (SARC) is an organization run by students of IIT Bombay. Unlike
other student bodies, it is an Institute Body (which means
OVERALL COORDINATOR
that it is officially supported and formed by the college)
which works with the Dean ACR Office and IITB Alumni
Association. It is dedicated towards strengthening the
bond between students and alumni. SARC facilitated in
gathering donations worth a total of Rs. 46 crores from
our alumni last year, which included scholarships, funds
for construction and research, allowances for workers,
and many other programs! SARC has launched several
initiatives like Student Alumni Meet (SAM), which helps
Deepankar Varshney
9967354097 students interact with alumni in person, and Alumni
Student Mentorship Program (ASMP), whose aim is to
allot alumni mentors to help students take crucial life-changing decisions. Phonathons allow
students to have telephonic conversations with alumni. We conduct Reunions as well, where
alumni revisit old memories. Anyone involved with SARC gets the golden chance of one-to-one
interactions with eminent and distinguished alumni like Manohar Parrikar, Nandan Nilekani,
Jairam Ramesh, Pranav Mistry and several others. By executing alumni-driven initiatives for the
benefit of students and enabling a mutually fruitful relationship between students and alumni,
SARC volunteers get an insiders view into the alumnis world.
PhD Handbook 2016-17 40

NEW INITIATIVES:

Alumination a first ever career guidance fest on 1st-2nd Oct 2016 in the institute in collaboration

Industrial Learning Program: This program is aimed at providing students exposure to

industries and core fields. Alumni from various sectors float projects/problems to be solved by the
students with their knowledge and expertise. The winning/selected students get rewarded by the
alumni.

Yearbook: SARC takes the lead in preparing the Yearbook every year. The yearbook contains
dedicated profile of all the final year students who have registered for the same on the portal. A
yearbook profile would be wholly dedicated to the student which would constitute of
his/her personal information, tagline and most importantly- testimonials written about him by all
his friends!

Fund Raising & Need Campaigns: SARC facilitated in raising INR 20 lakhs through social
media campaign for a treatment of an alumnus diagnosed with blood cancer; led the campaign in
the students front; excess funds used in creating IITBAA Benevolent Fund. SARC also reached
out to Delhi alumni groups to help in the urgent need of blood platelets for the treatment of a family
member of one of our student living in Delhi.

6.16 MEDIA CELL

The dissemination of scientific knowledge is as important as its creation. In the absence of media
to spread scientific knowledge, the loss incurred by the scientific community would have been
unimaginable. Most of the journals and scientific publications carry out this work efficiently.
However, the target audience of such journals and newsletters is highly specialized and their
articles are limited to a particular subject or branch, often narrowing down to a particular topic.
Every year in IIT Bombay faculty and students carry out breakthrough research and churn out huge
number of articles which are published in reputed international journals. Though this has earned
IIT Bombay a respectable position in the international scientific community, many of our
countrymen remain in oblivion of the efforts and achievements of one of the most sought after
Technical Institute of India, IIT Bombay, mostly due to unavailability of suitable media to
distribute the information.
Hence in order to disseminate scientific information to general public the Science and Technology
Media cell was formed. The Science and Technology Media cell is a body functioning under Dean
R&D comprising faculty and students from different departments and programs, including, M.Scs,
B.Techs, M.Techs and PhDs. The media cell, with the help of its Faculty advisers, combs through
the research work done in IIT Bombay and selects the work with highest social impacts. The highly
complex information is then transformed into a popular science article keeping the essence of the
research work intact. The articles then go up on the IIT Bombay homepage under Research
Highlights section.
The S&T Media Cell is the newest body to be formed in IIT Bombay. Anyone with a penchant for
writing or willingness to learn scientific writing can be a part of S &T Media cell. There are no
prerequisites. The success of the body can be gauged by the fact that within a year of its institution,
three articles covered by media cell have been picked up for publication by leading newspapers.
We also have our newsletter 'PULSE', where a scientific articles are given an even lighter shade,
thanks to the illustrations by the Graphics Team.
The Team S&T Media cell invite all interested students and researchers to explore the fun in giving
voice to research and making people aware of the life shaping and life changing research work
carried out within the walls of IIT Bombay, in a simple language understandable by one and all.
Best Wishes for your stay at IIT Bombay

6.17 WOMENS CELL

OBJECTIVES:

The Womens cell of IIT Bombay was established in 2002, in accordance with the Supreme Court
ruling of 1997 on the issue of sexual harassment in workplace. Its objectives are:

To uphold the dignity of women at IITB

To facilitate a gender-sensitive and congenial working environment at IITB so that women,
whether employee or student, are not subjected to gender-specific discrimination or sexual
harassment.
The issue of sexual harassment is gender neutral. However, enforcing it through law, is applicable
only to women at workplace. The flowchart below shows how cases of sexual harassment are
resolved.

SEXUAL HARASSMENT DEFINED

Please note that the Supreme Court of India defines sexual harassment as unwelcome sexual
behavior, whether directly or by implication, such as through

1. Physical contact and advances.

2. Demand or request for sexual favors.
3. Sexually colored remarks (this includes colored jokes in a mixed company, or a
classroom, or even within hearing distance of a female member of the community).
4. Showing pornography.
5. Any other unwelcome physical, verbal or nonverbal conduct of sexual nature.

Except where such an act amounts to a specified offence under the Indian Penal Code (which then
has to be dealt with by the Police under applicable law), a victim of sexual harassment can either
approach the Womens Cell or the Dean (SA) or the security office, either for advice or redressal.
PhD Handbook 2016-17 56

It is important to note that, what constitutes sexual harassment is defined by the victim and
not by the perpetrator.

A FEW GUIDELINES
Some general points to help avoid
sexual harassment complaints are listed
below. Please note that this is not a
comprehensive list and sexual
harassment is defined by the victims
perceptions of your words/actions.

Avoid casual and insensitive remarks

which may be considered to be
derogatory by other gender.
Avoid altercations or arguments in
lonely or isolated places.
Be aware of restrictions/ inhibitions
associated with marital status; Avoid
asking a woman about her marriage
plans, relationship status or decision to
have a child.
Avoid clicking pictures or uploading them without the permission of a woman.
Dont assume a no objection or smile, from a woman, to be her consent.
Avoid paying compliments in the form of description of physical attributes.
Obscene material and/or adult content, stored or transmitted through electronic devices, are
admissible evidences in sexual harassment allegations.
Exercise caution in the use of social networking sites for expressing intimate feelings.
EASY TO COMPLAIN PROCEDURE
Do not ignore harassment in the hope that it will stop on its own. Come forward and
complain.
Do not feel a sense of shame. Tell the harasser clearly that you find his behaviour offensive.
PhD Handbook 2016-17 57

If informal methods such as telling the perpetrator to stop harassing do not help, the victim
can contact any of the members of the Womens cell through email or phone call and should
lodge a complaint through email to womencell@iitb.ac.in.
Talk to someone you trust about the harassment.
Keep a record of all incidents of harassment, so that it will be helpful when you register a
complaint
The complainants name and identity is always kept confidential.

ACTION:
After it has been proved that the offender has indulged in sexual harassment, appropriate punitive
action will be taken against him, irrespective of his status in the institute - whether staff, faculty or
student.

QRT (Quick Response Team):

You may call the numbers below for emergency complaints (even those that may not constitute
sexual harassment)
