CALL DEPOSIT RECEIPT(CDR)

it is not negotiable instrument .it is issued on printed stationery of the bank.it is


issued for public nad private companies bid purposes or customer can issue it in his
own name.when cdr is issued customer account Is debited and amount is transferd
to banks internal account.cdr is only issued by the home branch.it is valid upto 25
years,cheque is attached with cdr form.cdr is not issued by every branch of the
bank.

Meezan Bank Limited opened its branch at begum kot, Lahore in 2013. The code of
branch is 0279.

The branch incharges consist of a Branch Manager and Manager Operations.


Manager Operations control the whole staff. The staff consists of branch system
administrator and operational staff (include Grade-1 officer, Grade-2 officer, Grade-3
Officer and three cash officer)

I started internship on 27th june 2016 which ended on 13august, 2016. The duration
of the internship was about 6 weeks. The staff of the branch was much cooperative.
They imparted me training in all departments of the branch i.e. Customer Service -
SQC, Clearing & Remittance and Account Opening.

Service Quality Department

Floor Time Management

While standing near the main gate staff ensure that customers coming into MBL are
properly looked after. We also create a sense of ownership of service quality and
also develop a service mindset and ultimately a quality service culture at MBL.
Further more, we mange the sale and service area of the branch to provide
maximum opportunities to our clients as well as provide a sense of comfort and
personal attention.

Responsibilities of Floor Time Management

staff maintain and file daily working sheet of Floor Time Management and record
customers complaints in the CRM. they monitor daily log of TAT sheet and put up it
to Branch Manager. Complaint handling and its follow up is made on daily basis.
Modifications and improvements are suggested in the system and process. Try to
make coordination between branch and Head Office regarding service quality. Lead
Floor Manager is assigned duty first of all.

Responsibilities of Lead Floor Manager/ Floor


Manager
Lead Floor Manager welcomes all the customers and introduces himself with a
smiling face and checks branch cleanliness and pleasant atmosphere in the branch.
He also checks availability customers stationary at proper places as well as
maintain the notice and assist in SQ. Individual customers are provided
comprehensive services. He moves around the banking hall and cash counters area
to ensure that every customer is looked after properly.

Clearing and Remittance Department

Clearing:

I received all the clearing cheques and made a schedule of these cheques after
making entries in outward and inward clearing registers and the cheques were sent
to NIFT (National Institutional Facilitation Technology)

NIFT:

NIFT stand for National Institutional Facilitation Technologies. Clearing House of SBP
has shifted a part of its work to private institution named NIFT. NIFT collets Cheques,
Demand Draft, Pay Order, Travelers Cheques, etc. from all branches of different
Banks within city through its carriers and send them to the branches on which these
are drawn for clearing. NIFT prepares a sheet for each branch and send it to each
branch as well as to State Bank of Pakistan where accounts of Banks are settled.
Types of Clearing

Inward Clearing

When cheques of other Banks are deposited in our bank, after clearing these
cheques through NIFT by the other Banks on which these are drawn. Accounts of the
customers are credited.

Outward Clearing

When cheques of our bank are deposited in other Banks and these cheques are sent
to us for verification, we debit the of our client after verification their account

Remittance

Remittance department transfer the funds from one bank to another bank and one
place to another place. In this department collection takes place. MBL makes
payment of only open cheques at the counter and prohibits the payment of crossed
cheques. MBL transfer money from one place to another place by way of payment
order, demand draft, inward collection, outward collection.
Account Opening Department

Account Opening Procedure

Account Opening Form

This department relates to open new accounts Customers approach to Bank and an
Account Opening form is given to him for completing and signing the same. After
completed account opening form in all respect and checked by the bank officer and
properly signed by the customer which is also verified by the Operation Manager.
Specimen Signature Card are got signed form the customer and after verifying the
information written their in, Customers are given account number and all these
informations are saved in the system.

Signature Difference Form

The signature of the client is taken on a signature difference form if his signature
differs from the CNIC.
Computerized Checking

After filling in the form, the officer connected via internet to the NADRA website
checks the record of his customers social life. If the record of the person is ok, then
the officer of the bank authenticates the record under his signature and stamp and
send it to the Branch Manager

Account Number

After completion of all formalities, final approval for opening of account is taken
form the Branch Manager and an account number is allotted to the customer and all
the informations are recorded in the computer. Account number is written on the
cheque book requisition. After completion of all procedures, the bank prepare a
letter and send it to the client at his postal address to pay gratitude to the
customer.

Cheque Book Issuance

Cheque Book requisition for first cheque book is send to Head Office, Karachi for
issuance the same. The cheque consists of 25 leaves and no charges are deducted
from the account the account of client. There after bank sends a recommendation
for 25, 50 and 100 leaves with different prices and charges are deducted from the
account of clients.

Procedure for Closing of an account

When ever a customer wants to close the account, he fills up an account closing
form and signs their in, account balance should be zero, approval is taken from the
Branch Manager specimen card is taken back and is attached with the form and
account is closed.
Locker Operations

Locker facility is also available at all the branches of MBL for keeping the valuables
their in and this facility is only for account holders. As for as privacy is concerned,
lockers are located in a specially designed area protected with strong room doors
and grills under the control of two officers, operated by use of Master Key and
Customers Key supplied to the customer at the time of locker is rented out. Lockers
are three types: Small, Medium and Large lockers.

Security fee of locker is Rs. 3000 which is refundable and charges for Small Rs.
1000, for Medium Rs. 1500 and for Large Rs. 2000 per annum.

A separate application form is complete and signed by the customer along with SS
Card and a copy of CINC with two photographs. After completing all the formalities a
locker is allocated to the applicant and Key is given to him with locker identification
card.

Procedure of issuance of Bank Statement

For issuance of bank statement a requisition slip is taken from the customer duly
signed and the period form which the customer wants to take the statement. After
verification of signature Bank Statement is issue to the customer and Rs. 55 are
deducted from account of customer

Procedure of Stop Payment

For stopping the payment, we take sign of the customer on stop payment form
where in account number with date and amount of cheque is written. Customers
also mention the reason of stop payment then we mark that cheque as stop
payment. Charges of stop payment are Rs. 250. Now the bank will not make
payments of these cheques.
Procedure for ATM/PIN Issuance

Meezan Bank limited provides the ATM facility to its Customers and they can
withdraw their amount at any time through ATM. For issuance of ATM, customer has
to sign an ATM form and Bank office make an entry in the system and with in 15
days bank receives ATM card from Head Office which is given to the customer.

For issuance of PIN and activation of ATM customer has to call the help line (111-
331-331). After verification of customer, a PIN number is issue to him and his card is
activated.

It was a great experience to work at Meezan bank limited. In the period of 6 weeks internship at
Meezab bank begum kot Branch, Lahore (0279),I tried my best to gain the practical exposure
and an experience in the field of general banking by using the potential of hard work and
professional skills. During my internship in MBL Bank I worked in Remittances, Account
Opening, Clearing and I successfully completed all the task/duties that were assigned to me. I
have learned many things during my internship program which enable me to manage my work
properly and gave me grip on decision making. In my opinion, Meezan Bank Limited performs
its task very well and satisfies its employees and customers with full responsibility and is capable
to grow in future.

Importance of Introduction for A\C Opening (Kyc)


Introductory references as soon as a person opens an account with the bank, the banker customer
relationship is established. In such situation this is advisable the banker should not open new
accounts of unknown persons unless references regarding the integrity and responsibility of the
purposed persons are obtained from respectable parties.

Failure to exercise this care may result in serious consequences not only for the banker
concerned but also for the other bankers and general public. It is not sufficient to obtain the
reference but its genuineness must also be verified. Omission of this may have serious
consequences.

In practice we see that there is tough competition among bankers for procurement of deposits, so
to press a prospective new customer to find the desired reference may offend him, yet he is to be
welcomed by the banker as a source of fresh deposits. But these practical difficulties have to be
handled tactfully because the risk involved carrying out this requirement partially or wholly may
lead to undesirable results.

Inquiries about Customers


Have all necessary information with him regarding his generally a banker is asked by another
banker to give his opinion about his customers financial position. Therefore, it is beneficial for
the both that the banker should customers. Now a practice that Bank officer visit to customer and
inquire about his business nature then writes a visit report.

Account Opening Procedure & Precautions


Following are the procedures and precautions of Account Opening:

Know Your Customers (KYC Form I & II)


The objective of knowing customer is to have fair idea about the identity, financial resources,
and general information about the customer at the time when the relationship is established. A
banker must have following information about the customer:

Customers Name
Enter complete name as mentioned in original ID card/other business documents. Nature of
business/profession: if customer is of salaried class enter his employer name. If the customer is a
businessman, traders, sole proprietor, enter the business name, for example Zahid autos
Traders etc. Also enters the customers title/position and address of the business/employer.
Private Service, business are not acceptable, rather specify what type of company/business
the customer is associated with for example Manager Philips Electrical Company.

Address
Enter the complete business/residential address. Within the brackets you may also provide
prominent address identification marks for ease of physically locating the address.

Contact Numbers
Enter home, official, mobile, fax number and e-mail address (if available). Banker can verify the
number by giving the customer a courtesy call or by sending him an email.

Change Contact Numbers


After Opening A/C contact can be change by receiving an application from customer with
specify new contact.
Other/ secondary/ mailing address
Some customer may volunteer their parents or siblings addressor second home address or a
mailing address other than a permanent address.

Special instructions
Clear-cut special instructions must be obtained from customers. If the customer has not given
any special instruction specified column must be cancelled by drawing a line, as this column
must not be left blank in any circumstance.

Working in Account Opening Department

This is the department from where every customer has to begin his dealing if he wants to become
a Mbl Account holder. In the Account Opening Department, Mr. awais mansha the concerned
officer there. I worked here for more than one week. I got better understanding of account
opening by dealing customers practically at this stage and the officer appreciated my efforts.

Learning
Firstly, I got to know about different types of the accounts and the operation of different
accounts. Secondly, I have gone through the requirements of different type of accounts. The
officer taught me all this with the help of account opening forms. Then he also told me about the
cheque book issuance and dormant/inoperative accounts. He dealt with some customers in front
of me then asked me to deal with the other customers.

Activities

Cheque Book Issuance


Worked on the cheque book issuance:

Maintaining the cheque book register and excel sheet by making entries of cheque
books received
Issuing cheque book to the customer who has applied for it and taking his signature in the
Cheque book register
In case the customer doesnt come to receive the cheque book in specified time then
reminding him for it by calling him
30 days call reminder
45 days call reminder
60 days call reminder after that cheque book is destroyed
If customers cheque book leaves are finished, in this case receiving requisition slip taken
out from previously issued cheque book repeating the procedure mention above

Accounts not in Use

Inoperative Accounts: Accounts which are not in use for 1 year are considered as inoperative
accounts
Dormant Accounts: Accounts which are not in use for 6 months are considered as dormant
accounts.
My duty was also to deal with the inoperative or dormant account holders by describing them
how they can make their account active again. I used to ask them to write an application in order
to active their account; receiving it and submitting to the officer after words.

Remittance Department
Functions of Remittance Department

The functions of remittance departments are to handle with the following instruments:

Pay order
Demand draft
Pay slip
Telegraphic transfer
Payment of remittances
Cancellation of pay order & demand draft

The remittance department deals with the transfer of money from one place to another.
Remittance can be made through:

Instrument transfer
Electronic transfer
Mail transfer

Instruments of the Remittance Department

Pay Order
Pay order issued from one branch only be payable from the same branch. It is normally issued
for payment in the same city. It is normally referred as banker's cheque.

Get the application form


Issue pay order after recovering Chaques/ Cash
Do necessary vouchering
Make entry in PO issue register
All pay order shall be crossed" payees account only"

Duplicate Pay Order

Check the record to insure that payment has not been effected
Get application for issuing of duplicate PO
Recover charges
Issue duplicate pay order

Demand Draft
It is an instrument on demand for which value has been received, issued by the branch of the
bank drawn i.e. payable at some other place (branch) of the same bank. Demand draft can also be
issued by one branch of the bank payable to other branch of the other bank e.g. DD issued by
MBL payable by MCB.

Telegraphic Transfer or Telex Transfer


Telegraphic transfer or telex transfer is swift way for remittances from place or to place. Simply
a request received from a customer to make TT either account debit or Cash received. TT sends
to the beneficiary Bank. In case of branch is not present then other Bank or financial institution
make payment to the beneficiary.

Working in Remittance Department

It is one of the very important departments; Mr.Awais Mansha was the concerned officer there.
This section deals with the transfer of money from one branch to another. Nearly one two drafts
are issued daily from this department. I worked here for a week. All the stuff I learnt at
Remittances and what I worked at this department was acknowledged by my officer.

Learning
Worked under the supervision of Sir Awais in Remittance seat and learned the following:
First, I got to know about the different instruments of Remittances i.e. demand draft,
call deposit receipt, pay order
I have learnt about the difference between PO and DD and also learnt about the
clearing process and types of clearing

Activities
I was assigned with the following responsibilities in remittances department:
Guiding the customers
Form filling for the customer
Collection of remittances forms
Handing over the remittances forms to the officer

Clearing Department
Meaning of Clearing

The word clearing has been derived from the word Clear and is defined as system by which
banks exchange cheques and other negotiable instruments drawn on each other within a specific
area and thereby secure payment for their clients through the Clearing At specified time in an
efficient way.

Since clearing does not involve any cash etc. and the entire transaction take place
through book entries, the number of transaction can be unlimited.
No cash is needed as such the risk of robbery, embezzlements and pilferages are
totally eliminated.
As major payments are made through clearing, the banks came manage cash
payments at the counters with a minimum amount of cash in vaults.
A lot of time, cost and labor are saved.
Since it provides an extra service to the customer of banks without any service
charges or costs, more and more people are inclined and attracted towards banking.

Through NIFT clearing is made either Intercity or within city clearing lets understand what
NIFT is and how it is working:

NIFT(National Institutional Facilitation Technologies)

NIFT National Institutional Facilitation Technologies (Pvt.) Ltd. was incorporated in September
1995 as joint venture between a consortium of six banks and entrepreneurs from the private
sector. All commercial banks and all of their branches in major cities avail NIFTs services. As of
May 2009, 40 commercial banks and their 5571 branches in 185 major cities, 20 data centers
utilize NIFTs services.

NIFT has setup elaborate data centers geared to provide automated services for document
processing particularly in the payment arena. Modern image based facilities have been
established at Karachi, Lahore, Islamabad, Peshawar,Rawalpindi, Hyderabad, Multan,
Faisalabad, Quetta, D.I.Khan, Sialkot,Gujranwala, Sukkur, Bahawalpur, Muzaffarabad, Jhelum,
Abottabad, Mirpur,Sahiwal and Sargodha. The services include cheques clearing, reconciliation,
return (unpaid) cheques processing, same day clearing (express 2 hrs. clearing service),
intercity clearing and inter branch &inter bank settlement. Services are provided at individual
branch level to over 5571 branches in 184 major cities and smaller cities.

NIFT Rider
NIFT riders come in a bank (Branch) twice in a day for inward and out ward clearing Cheques&
instruments for collection and delivery at specified time.

Outward Clearing atthe Branch


The cheque of other bank, which the account holders deposit in their account. It increases the
deposit of the bank.
The following points are to be taken into consideration while an instrument is accepted at the
counter to be presented in outward clearing:

The name of the branch appears on its face where it is drawn


It should be stale or postdated or without date
Amount in words and figures does not differ
Signature of the drawer appears on the face of the instrument
Instrument is not mutilated
There should be no material alteration, if so, it should be properly authenticated
If order instrument suitably indorsed and the last endorsees account being credited
Endorsement is in accordance with the crossing if any
The amount of the instrument is same as mentioned on the paying-in-slip and
counterfoil
The title of the account on the paying-in-slip is that of payee or endorsee (with the
exception of bearer cheque)

If an instrument is in order than our bank special crossing stamp is affixed across the face of the
instrument. Clearing stamp is affixed on the face of the instruments, paying-in-slip and
counterfoil (The stamp is affixed in such manner that half appears on counterfoil and paying-in-
slip). The instrument is suitably discharged, where a bearer cheque does not require any
discharge and also an instrument in favor bank not need be discharged.
The instrument along with pay-in-slip is retained while the counterfoil is given to the customer
duly signed. Then the following steps are to be taken:

The particulars of the instrument and the pay-in-slip entered in the outward clearing
register
Serial no. is given to each instrument
The register is balanced; a regular report is generated after entering clearing
instruments in the software (Inward outward clearing system)
Balance of report compare with manual register balance to avoid omission
Then a particular voucher is filled with total amount of Clearing
All instruments with grand sum voucher put into a bag
NIFT rider come and takes bag for out ward clearing
For inward clearing bag reached at morning in the branch

However the amount is kept in float till final status of various instruments is known from
respective paying banks in second dealing. The entry of the instrument returned unpaid is made
in Cheques returned Register.

If the instrument is not to be presented again in clearing then a covering memo is prepared. The
covering memo along with returned instrument and objection memo is sent to the customer who
sent the same to his account.

Inward Clearing ofthe Branch


Inward clearing means cheques received by the bank from other bank. It decreases the deposit of
the bank.

The instruments are detached and check the corresponding account if balance is
available then Debit the account
Floating status is now realized at corresponding branch which send instrument for
clearing

Inward Cheques Returned Unpaid


These are the cheque returned unpaid by us in inward clearing due to some objections.

Outward Cheques Retained Unpaid


These are the cheques retained unpaid to us which were lodged by other banks because of some
objection:

Insufficient balance
Payment stopped by drawer
Effects not clear present again
Cheque is post dated, stale and mutilated
Drawer deceased
Cheque and schedule amount differ
Alteration/cutting requires drawers full signature
Clearing/crossing stamps required cancellation
Account Dormant
Unclaimed deposits, funds transfer to SBP

Outward Clearing Process

Accounts Department
Account department is known as backbone of an organization all financial matters deals and
monitors in the account department. I worked one week in accounts department. First day I
sorted out the cheques with the help of the serial number and the nature of the account and
arrange them in sequence. After that checked the activity which contains the title of the cheque,
amount, date etc. Accounts department maintains the record of expenses of all the departments, it
also maintain the record of all the employees regarding their basic salary, increment, benefits etc.
It is the backbone of bank.

Working in Accounts Department

This department is the backbone of the bank. Accounts department other than daily reports
generation maintains the record of expenses of all the departments, it also maintain the record of
all the employees regarding their basic salary, increments, benefits etc. I worked 1 week in
accounts department.

Learning
This department makes different reports and I learnt regarding daily vouching of customer & GL
reports and I also learnt entering of total number of vouchers into Vouchers Register from him.

Activities
I rearrange the cheques and vouchers in order of sequence. I sorted out the cheques of MBL
Bank with the help of the account number and account type and arranged them in sequence.
After that I checked the activity that which of its page contains the account number, title of the
cheque, instrument number, document number, amount and date. After matching all the
specifications of the vouchers I used to staple them with computer generated sheets and enter
total number of vouchers into Vouchers Register (debit and credit separately) every day. The
stamps and places of signatures were also to be checked. In case of any discrepancy the voucher
is sent back to the concerned department.

Privilege Banking Department


Online Banking
Online banking means that the customer of MBL can deposit / withdraw funds in / from other
branches of MBL. MBL bank provides online facility to all its branches. Just fill the online slip
and submit at counter along with Check or Cash for online transfer. MBL provide the facility to
customer to transfer funds to any account through ATM.
Working in Privilege Banking Department
This department is basically providing online facility for the walk in customers and the MBL
customers as well. In the online section I used to fill online forms for the customers regarding
online transfer, withdrawal or deposits. I spent there a week. My efforts for dealing with
customers and helping them in filling their forms .

Learning
I have learnt how to fill the online form and the usefulness of this facility for the customers. I got
to know the charges charged for different types of online transactions and also had a good
experience of dealing customers who want an online transaction.

Activities
My activities were the following:

Customer service is what makes an organizations performance different from the others. Thus it

Working in Customer Services Counter

Worked as CSO (Customer Services Officer) and performed the following activities:

Attended phone calls


Attended customer inquiries
Received ATM forms
Received and entered daily DAK Issued balance
Certificates and Bank Statements

Learning
Being on the customer service I have met with a variety of customers behaviors and learnt how
to deal with the customers according to their attitudes and nature of their problem.

Activity
I spent time at the customer service counter. My duty was to guide every customer by first asking
him the purpose of his arrival at the branch, understanding their nature of problem and then
sending him directly to the specific desk from where his work is going to be done. This service
not only provides convenience to customer but also saves their time.

Cash Department
All physical movement of cash in the bank is made through the cash department. Normally cash
department performs following functions:

Receipt
Payments
Act according to any standing instructions
Transfer of funds from one account to another
Handling of ATM
Verification of signatures
Posting

Cash Receipt Section

In this section the cashier in following manner receives cash
