Setting Up Your Pro Bono Module

1. To begin, a user with administrative access can click on the gear icon at the top-
right of the screen and select Site Settings.

2. Under the Career Services Management section of the settings panel, click
Pro Bono Settings.

3. Start by customizing your Pro Bono Pledge Text located at the top of the
page. Your students will see this on the bottom of the Background tab of their
Profile.

4. From the drop down menu on the right, select Documents and Forms
Instructions and fill out the text field underneath to customize the instructions
your students will see on the Documents and Forms Tab of the Pro Bono module.

5. Scroll down to the Documents and Forms section of the settings. Click on the
+Add New Document button to upload the forms you want your students and
staff to have access to inside of the Documents and Forms Tab of the Pro Bono
module. In the Add Document pop up modal, give each document a name and
select the type of visibility this document should have.

Note - Documents that are visible to All will be seen by both students and staff.
Documents that are visible to Career Advisers Only will only be seen by users
with administrative access.

Student Pro Bono Experience


1. When a student logs into the 12Twenty system, they will now be able to see a
new Pro Bono section located at the bottom of the Background tab of their
profile. Here they will be able to click on the pencil icon to accept or decline
the Pro Bono Pledge.

2. This will open a new screen where the student will see the Pro Bono
Pledge text your team set up during the settings process. By checking the
I accept box and clicking on Save they are accepting the Pro Bono
Pledge.

3. The student will also now have access to the Pro Bono module in the left
navigation panel. Clicking on the Pro Bono module, the student can start
tracking their Pro Bono placements. Students can track multiple Pro Bono
placements at the same time.

To add a new Pro Bono placement, the student can click on the + New Pro
Bono button.

4. A new window will open up allowing the student to share all of the details
about their Pro Bono placement.

5. If the Pro Bono Employer is already in your Employer Directory, their


contacts will populate in the Supervising Attorney section. If the correct
supervising contact is not listed, the student can click on the Create New
Contact link to add this contacts information.

Note - If a new contact is added, your team will receive a notification and the
contact will go through an approval process before they are officially added to
your Employer and Contact Directory.

6. Once the student has saved this placement, their Pro Bono will be In
Progress, and they will be able to start logging their hours under the
Hour Log tab. Students can add the hours they completed along with a
description of duties by clicking the + Add Hours button.

7. Upon completing their Pro Bono experience, students will be able to download
your required documents from the Documents and Forms tab. Here -
students will also be able to upload the completed file for your review.

After all of their hours have been logged and all of the required documents
have been uploaded, students will be able to click the Submit for
Approval button in the top right-hand corner to notify your office.

Staff Pro Bono Management

1. Users with Administrative access will be able to review the Pro Bono
placements students have submitted for approval by clicking on Pro
Bonos at the bottom of the Pending Actions List. In addition, you will be

able to review any new Supervisor Contacts by clicking on Contacts from


the Pending Action List.

2. After reviewing the Hour Log, Documents and the students Pro Bono
placement Details you will be able to accept, reject, or edit the placement
by clicking on the Action button in the top right-hand corner.

3. Administrative users will also have access to the Pro Bono module in their
left side navigation panel. Here you will be able to review all of the Pro Bono
placements students have in progress, pending approval, or approved.
Using the filters at the top of this page will allow you to easily manage the
diverse types of Pro Bono placements students are engaging in.

4. Finally, you can use the Pro Bono Pledge filter in the Student Directory to
find all of your students who have either accepted (YES) or have not
accepted (NO) the Pro Bono pledge. You can add additional filters if you
want to narrow this group of students. You can also save this filter set by
clicking on the + Save Filter As button.

An example use case for this is to quickly find and communicate a new Pro
Bono placement opportunity to those students who have accepted the
pledge.

Pro Bono Reporting


1. There are two different types of Pro Bono reports that users with
administrative access will now be able to create using the Custom
Reports module.

2. The Student Report will allow admins to create a report that lists the total
number of approved Pro Bono hours a student has completed, whether or not
the student has accepted the pro bono pledge, and the number of
placements students are completing. Simply select the columns you would
like to report on under the Student Pro Bono section.

Note - This is a great way to track total hours.

3. The Pro Bono Report goes into much more detail and will allow admins to
create a report that captures all of the information students have submitted
using the Pro Bono module.
