COPA Reporting
Purpose
To Study the Reporting capabilities of COPA module

Prerequisites
None

Description
We will create various kinds of reports available in COPA, using various report components.

12-1 COPA Basic Report Creation

12-1 Create a basic report in costing-based CO-PA for analyzing various contribution margins by sales
organization, division, customer and product. You have been asked to display Sales quantity and
revenue in the report.
12-1-1 Call the new basic report COPA##, where # is your group number, and enter an appropriate
description. Create the report definition so that the sales organization, division, customer, and
product are sorted in this order.
Select all values from the Sales Control key figure scheme for your report.
Set the default values for the months 1 to 12 of the current fiscal year, select the plan/actual
indicator 0, and the record type F. Set the report so that it is executed in the operating concern
currency using summarized and current data.

Name: COPA## Description: (for example) Sales Report
Choose Basic report and then Create.
Select Operating Concern Currency. From the table on the right, select the appropriate
characteristics and copy them to the table on the left using the single arrow icon. Remember to
sort your characteristics.

Choose Sort user-def Characteristic, and make the necessary changes.
Select the desired key figures on the Key Figures screen. All value fields are displayed by default
on the right.
Select Sales Quantity and Revenues and cost of goods sold. Copy the key figures to the
table on the left using the single arrow.
Select the Variable tab and make the appropriate settings. All variables should be changeable at
execution.

For the report output, you have decided to use the Graphical report output option, with the
Info Control, Navigation Control, and Drilldown control output area.
Select the Options tab. In the Performance dialog box, choose Display Current Data. You
want to read summarization levels and, if no summarization is available, you want the
report to be executed without any warning or error messages being issued. These
performance settings will be discussed in more detail at a later point.
Save the basic report definition. Confirm the Choose Hierachy Dialog box.
12-1-2 Execute your report using the default settings you have made. You may receive a system
warning message that no summarization data exists. Confirm this message.

12-2 Report Components

The report shows both a drilldown list and the detailed list but no graphical display of the report
data.

To create a sample contribution margin report, display the Sales Control key figure scheme in the CO-PA
Customizing settings Report Components.

12-2-1 What are the elements of this key figure scheme? Indicate which elements are formulas:

12-2-2 Modify the report you created in exercise 1-1, to include this key figure scheme. Make sure you
delete the existing value fields in your report before you add the key figure scheme. Execute the
report, and write down the key figures that appear in the drilldown and detail lists.

Select the Key Figures tab, and remove the selected value fields from the table on the left.

Choose Value Field On/Off and click it once. This will remove the value fields from the
selection table on the right. Enter the Cust Profitability key figure scheme in the
appropriate selection field.
Add all key figures except from the Cust Profitability key figure scheme to your report by selecting
the double arrow pointing left.
Deselect three value fields selected in previous exercise i.e. Sales Quantity, Revenue and cost of
goods sold.
Save your report, and execute it for the same parameters as above.

12-2-3 Create a new key figure scheme in costing-based CO-PA reports, which will contain the
definitions for the marketing key figures that the CEO wishes to view in the profitability report.
Name the scheme ## (where ## is your group number), and enter a clear description. Create the
following four elements in the scheme: Net revenue, Contribution margin I, and Operating profit.
The CEO has stipulated that these key figures be defined as follows:

Net revenue Revenue minus discounts and rebates (incl.
cost-accounting value)
Contribution margin I Net revenue minus cost of goods sold
Operating profit Contribution margin I minus period costs
(Advertising and Promotional Expenses)

CO-PA for the IDEA operating concern.

Define Key Figure Schemes. Choose New Entries.

12-2-4 Define the details of the scheme. Select Details and then choose New Entries to define the first
element. For example:
Double-click Elements of Key Figure Scheme, and choose New entries:

Choose Basic formula. Select Choose Entries, and choose the following value fields:

Once you have confirmed the selected items, change the + signs to - signs in front of the sales
deductions (all items except Revenue). Confirm the entries. Save the definition.

Use the navigation buttons or the menu path Go to Next Entry to create subsequent elements in
the scheme. Each subsequent element can use the previous element as a reference, making it
relatively easy to carry out the definition process.
After the last element has been defined, save the structure

If time allows, create a new basic report using your key figure scheme.

12-3 Form Reports

A form is a formal structure of rows and columns that you can use in any number of reports in the same
operating concern. A form represents the content and the formal structure of a report. It is a type of
template. When you create a report, you can decide whether or not you want to use a form. You do not
need a form to define simple reports. However, if you want to run more complex reports or format the
display (for official reports), it is a good idea to define a form before creating the reports.

Most companies draw up quarterly reports, and the most efficient way of doing this is to use form
reporting in CO-PA.

12.3.1 In costing-based CO-PA, create a one-axis form without key figures to be used for a specific fiscal
year, company code 1000, actual data, record type F, and with the following layout:

Name the form SQ0#.
Description: Sales Quarter Report
Select the One axis without key figure option to Select Create to begin creating the form. Select Operating
Concern Currency.
Double-click the first element and choose Characteristics. Choose Period, and then enter the values 001
to 003.
Select the Change Short (ctrl + f8) , Middle, Long Texts Icon and Enter Quarter 1 in the text fields.Choose
Confirm.
Define the columns for Quarters 2, 3, and 4 in a similar manner, changing the period values to correspond
with the quarters.
Double Click the empty spaces beside the fourth column. Choose Formula for the Total column.
Define the formula as the sum of the first four columns. Enter Total as the text for the columns.
Edit Gen. Data Selection Gen. Data Selection.
select the characteristics Plan/act., Record type, Fiscal year and Company code. Specify values or
variables for these characteristics.
Select characteristics in the table on the right, and then select the left pointing single arrow to
copy them to General Data Selection.

12-3-2 Now, use the form you have just created to define a new report. You can do this directly from the
form by selecting Create Report.
Profitability Analysis Information System Define Report Create Profitability Report.
Select Report with form and enter the name of your form in the Form field and Report field. Select
Create. (Note: The report and form names do not have to be the same.)
Select the characteristics Customer and Product for the report, and select all the key figures from
the Cust Profitability key figure scheme.
Tab Characteristics: Select the appropriate characteristics from the table on the right and
copy them to the left.
Tab Value Fields: Select the Cust Profitability key figure scheme.
Click Value Fields on/off once to deactivate value fields. Use the double arrow pointing to
the left to copy all key figures.
Select Graphic Report Output as the output type, and use summarization data.

Save the form report definition without selecting any hierarchies.

12-3-3 Create a header, to enter the company code and fiscal year.

Choose Maintain (pencil icon) to add a new header Create
Select the Features icon. From the variables displayed in the window, select Company Code.
Change the text type settings to Description, and change the width to 20. Choose Enter. Place
your cursor in the empty space next the the Company Code text that appeared in the Header.
Select the Characteristics icon. Select Company Code from the list of variables displayed in

the window. Change the text type settings to Value, and change the width to 4.
Now go to the next line and repeat these steps for the Fiscal Year field.
Save the header definition and then the report definition.

12.3.4 Execute the report for the current fiscal year. Navigate to all the columns in the report using the
Page left/Page right arrows.

12-4 Line-Item-Based Reports

12-4-1 Create a basic line item report, LR0#, that displays all reference document numbers in the current
period for customer COPA##.
You also want to view the billing date. Choose Actual Data for your report and Billing a the record
type.
