0 Introduction

Technology, as defined by Merriam-Webster, is the practical application of

knowledge especially in a particular area. From simple machines such as lever and

pulley, to room-sized computers, and now portable smart phones, technology has been

there to simplify daily activities and alleviate difficult tasks. The Digital Revolution that

began from 1950s to 1970s marked the alteration from mechanical and analogue

electronic technology to digital electronics. This revolution caused the adoption of

computers and digital record keeping of businesses, hospitals, schools, and other

institutions and continues to evolve until present time.

Educational institutions such as schools and universities benefited from

technology a lot, specifically in digital record keeping. One of the most essential records

that educational systems handle is the enrolment records. Public schools alone, for

elementary and high school, enrolled 21 million students during the school year of 2014

to 2015. Traditional pen and paper recording system of enrolment records are inefficient

and prone to error. Thus, the birth of enrolment systems, crafted from information

technology principles and theories. Enrolment systems aim to aid the institutions

enrolment process making it faster, effective, reliable, and more efficient.

 1.1 Background of the study

Chanceteam Christian Academy School is a small private school located at Punta

1 Tanza, Cavite. There are 235 students enrolled in the said school and is utilizing the

manual system in almost all phases of their work. It was established fourteen years ago.

The manual enrollment system was too slow and too difficult for the school to

manage thousands of records of the students and at the same time, it is too difficult for

the student to wait and stand for a long time just to be enrolled because of their manual

process. The purpose of this case study is to update the manual process into an automated

system, which is easy to perform any transactions on their business.

1.2 Statement of objectives

1.2.1 General objective

The main objective of this study is to design and develop a computerized enrolment

system for Chanceteam Christian Academy in order to lessen the workload of the

registrar, cashier personnel and to make enrolment procedure faster. Because their

manual system is difficult to use, the system to be developed contains many different

features that will help a lot to the school to change their manual system.

The only difference is it will be done by using a computer. Making it a computer

based system will help the students to facilitate their enrolment but the main reason is to

have faster and more accurate system on enrolling students.

 1.2.2 Specific objective

Specifically the study aims:

1. Develop a module that will manage the students information.

Using this system, the students record can easily manipulate or control by the admin

using add, edit and delete.

2. Design a module that will facilitate the registration, assessment of fees and payments

procedure.

Using the developed system, the payment procedure, registration of students, and

assessment of fees will be done easily. The system automatically computes all the

deduction on tuition fees.

3. Design a module that will generate all the necessary reports regarding enrollment.

The system will generate reports quickly such as registration form of the students,

payments, student, population, permanent record, sections and faculty list.

1.3 Significance of the study

The computers provide convenience to its user through the easier and faster way of

transactions. Population of students in almost all educational institution is rapidly

increasing so great demand in teaching force is also becoming higher. Fortunately,

todays generation of high technology machine and tools can substitute these workers.

This proposed Computerized Enrolment System will provide a high technology way of

retrieving and managing students data. It provides a clear definition of its functions. The

study will define the advantages with the use of the proposed system. It will identify new

 possibilities that may help ease workloads. It will serve as an instrument to gather more

people to recognize and use such system

The study will be great help of the following:

School

It will help the school compile every information of the students and it will not

consume large space in putting some cabinets because the storage is in the system

already.

Parents

By using this system, the parents can enroll their children easily and not

consuming their time because the system contains different features to make the

enrollment faster.

Registrar

By using this system, the registrar will know if a certain student has an unpaid

obligation or had fully-paid the given tuition fee.

Cashier

By using this system, the cashier can easily find the student balance and can

process transaction successfully because the system are computerized, all the records and

student balances are in database which can easily access.

The Future Researchers

This proposed system will help to the future researchers because this study

provides the necessary information in developing a computerized enrolment system. The

future researchers can improve their systems by making this as their guide. They can use

 this for the references for their study and developing the same system. They can use the

processes that had been made and they can apply it in their proposed system.

The Proponents

The proponent is the one who will benefit from this study because the proponents

will apply all their acquired knowledge and skills. And they will use it in developing a

system for the users and it will help the proponents to resolve problems.

1.4 Scope and limitations of the study

Scope

The system focused in getting relevant data including data of the students and

computation of necessary fees. The system will able to print the assessment and

registration of the student, and class list. It has an ability to save record and edit those

data and important information about the students, teachers, and school. The system is

password protected from any unauthorized user. Only administration has the full access

on the system. Student user account would only access in their personal records. New

student will be called Enrollee that can handle adding records of their own while old

student will only update their previous record. This will act as registration of student to

be enrolled. Accounting and registrar account will engage in their particular job mainly

transaction of students record and payments. On the other hand, directress user account

can access every feature of design system proposal.

 Limitations

The system is not web based. It cannot be altered or modified by the users. It

cannot show the results instantly to users. It cannot accept transactions with credit

cards/ checks and other mode of payment rather than cash basis. And only authorized

person allowed to use the system.
