EISTEDDFOD ENTRIES CHECKLIST
1. Display the syllabus on a notice board / where your candidates are able to read it. Tell your
candidates they can also find the syllabus on the website and Facebook page.
2. Ensure you and your candidates have noted all the relevant rules.
They appear in three places:
(a) Page 1-2 of the syllabus which apply to all entries;
(b) At the beginning of each section eg. African Vocal;
(c) Under each class heading - printed in italics.
3. Remember to enter all the candidates from your school - including those of other teachers:
Individuals? Groups? In all six sections?
4. Check that the classes entered are the appropriate ones for the candidates.
(a) Language of vocals - African in African sections, Western in Western sections
(b) Vocal classes - school grade / form
(c) Instrumental classes - musical grade / competence level
5. List all candidates for the same class on a single entry form.
6. Provide contact details - especially email and cellphone number.
7. Inform NIAA of any candidates with scheduling constraints, eg. sports commitments, church
attendance.
8. Calculate and pay the correct entry fees.

Dear Music Teachers and Musicians
Welcome to the 2017 Eisteddfod! The closing date for entries is Wednesday 18th January: we
urge you to study the syllabus now and start completing your Entry Forms so as to minimise your
load in the first week of next term. Please email the NIAA office without delay if you have a
query. Early submission of entries is welcomed.

We would like to draw your particular attention to the following:-


Compulsory Documents for Adjudicator. Every candidate performing in the Eisteddfod must
submit a supporting script for the Adjudicators use when Checking-in to avoid disqualification;
see Rule 3(a) for details.
Performance times. Penalties will be applied if these are not adhered to read Rule 3(e).
Late Withdrawals are an increasing problem please see Rule 3(j).
Maximum of 3 entries now applies to all classes. Please conduct auditions to select your best
candidates. Be sure to use the 2017 Entry Form which can be found at the back of the
syllabus. Note that candidate gender is now required we battle with unisex names!
African Instrumental, and all Vocal classes are now defined by school grade/form.
However, we still need the candidates Date of Birth on the Entry Form.
African Vocal classes. The Mbira may now be used for accompaniment in these classes but as
with all accompaniments, will not be adjudicated. See Rule 3(b).
Piano Solo classes. We have limited the classes available to junior pianists: Grade 1 and 2
candidates may enter Own Choice only, Grades 3 and 4 may enter Baroque and Own Choice.
Western Vocal solo classes. These have been changed significantly. The Popular
Contemporary category is no longer offered. Film and Country becomes Film Pre-2000 with
its own songlist that candidates must choose from. Sheet music for all the prescribed songs is
available from the NIAA Office. Candidates entering a Western Gospel class may choose any
gospel song by an artist on the set list. Pre-recorded accompaniments are now permitted
where an accompanist is not available, although an actual accompanist is always preferable.

Dates. The Eisteddfod runs over four weeks, including Saturdays and Sundays. Soloists and
small groups must be prepared to perform anytime from the first day of the festival. The first
week will predominantly be African Music classes but may include some Western classes. African
Choirs days will be in the second week; Western Junior School Choirs in the third week; and
Western Senior School/Open choirs, Orchestras, and Bands will be in the last week.

ZSMT Mini Eisteddfod will be on Saturday 25th February 2017. This event is open to beginner
instrumentalists and young singers. Please contact ZSMT Secretary, Dawn Siemers, for more
information: siemers@utande.co.zw.

NIAA needs more volunteers if it is to survive! Please could your school print the advert on
Page 9 of this syllabus in their next newsletter. If new volunteers are not forthcoming, we will
have no option but to reduce the number of entries accepted from each school.

support and enthusiasm which are so vital to the continued success of the Eisteddfod!

RULES OF THE FESTIVAL


Please read these rules carefully to avoid disappointment.
1. General
(a) The Adjudicators decision is final, and is not open for discussion. No public protests are permitted.
(b) Nobody may approach the Adjudicator while he/she is on duty.
(c) Stage access is restricted to performers and officials.
(d) No private pupil, relative or employee of the Adjudicator shall enter a section of which that Adjudicator is in
charge, except where:
(i) the individual is a member of a choir, band or orchestra; or
(ii) a panel of judges is in operation; or
(iii) more than 3 years has elapsed since regular tuition was received.
(e) All queries and requests must be put in writing, addressed to the Festival Director and copied to the NIAA
office. If a response is not received within a week please follow up.

2. Submission of Entries
(a) Pupils must enter through their teachers or schools to facilitate scheduling. Private entries will only be accepted
with permission from the Festival Director.
(b) All entries must be submitted on the current entry form (as provided with this syllabus), by the prescribed
closing date and with the stipulated fee. Please be sure to complete all the required information. It is the
responsibility of the school or teacher to ensure that candidates are entered in the correct class, otherwise they
may face disqualification. If changes are allowed in exceptional circumstances, a penalty fee will be charged.
See Rule 2(h)(ii).
(c) Maximum entries. 3 entries per class, per school or private studio. We recommend auditioning to select
your best candidates. All entries for the same class to be included on a single form. Teachers must apply in
writing to the Festival Director prior to closing date if they wish to enter more than the stipulated number
in any senior class. Refer also Rule 5(a).
(d) Candidates may enter only once in any class, with the following exceptions:
(i) In Quartet/Ensemble/Orchestral/Choral classes, an individual may enter a second time provided that
there is at least a 50 percent change in the composition of the group. In this event, names of all
participants in each group must be submitted at check-in.
(ii) In Instrumental classes, individuals may enter a second time provided that a different instrument is
played.
(e) All classes except the Open classes are for amateurs only.
(f) Candidate age.
(i) Please provide dates of birth (dd/mm/yy) or state over 21 for all entries (except choirs/orchestras).
(ii) In duet and group classes, the age/level of the most senior member determines the appropriate class.
(g) Candidate name. Please ensure the candidates name is clearly printed and correctly spelt, as this is what
will appear on the certificate. Please note:
(i) In duet and trio classes, the names of all the performers are required on the form or reverse side.
(ii) In quartet and ensemble classes, the Candidate Name is the name of the group, eg. school.
(h) Fees.
(i) Fees are not refundable in the event of non-attendance.
(ii) Changes are strongly discouraged, but if authorised will incur a penalty fee of $10.
(i) Special Requests. Please give details on a separate letter attached to your entry forms if:
(i) you have any special scheduling constraints you wish to have considered, eg: sporting commitments,
religious restrictions. We will do our best to accommodate these provided the schedule permits.
(ii) you have furniture requests eg. chairs.
(iii) your performance uses electronic equipment; or you require an MP3 player.

3. Performance Requirements
(a) All candidates, in whatever genre/class, must provide a supporting script for the Adjudicators use. This
must be labelled with the Class number and candidates Ballot number - no names of schools or participants;
and handed over at time of check-in. Failure to submit this will lead to disqualification.
(i) For African Music sections and Drumkit classes: a brief written outline giving the structure or story of
the piece to be performed;
(ii) For all classes in the Western sections except where otherwise specified; and also for the African SATB
choir classes: a printed (or handwritten) copy of the full music score.

(b) Supporting accompaniment.


(i) Must be played by one person (any age) on either piano, keyboard (in piano mode) or acoustic guitar; in
African classes either a pair of hosho, or one mbira, or one marimba, or a traditional drum would be
acceptable.
(ii) If no other option exists a pre-recorded single-instrument accompaniment may be used. Candidate to
supply music on a flash-stick in MP3 format.
(iii) Same instrument to be used throughout a performance.
(iv) An accompanist may not perform any other role eg. singing, humming.
(v) The supporting accompaniment is not adjudicated.
(c) Candidates performing in the wrong class will not be rescheduled. At the Adjudicators discretion, a
commentary may be given, but no grade will be awarded.
(d) Teachers are expected to ensure that candidates are adequately prepared. The Adjudicator has the right to
ask a candidate to leave the stage if their performance is sub-standard.
(e) Performances over the maximum time will be penalised, and under the minimum will be disqualified. If
a senior candidate is unable to perform their chosen piece within the specified time, a written request must be
submitted to the Festival Director at time of entry.
(f) The NIAA will provide a piano and an electronic keyboard (to be played in piano mode only.) An MP3
player will be available. All other instruments, music stands and equipment must be supplied by the
candidate.
(g) No special effects (eg. amplification, lighting, props etc) are allowed in this festival except where
otherwise stated. In classes allowing amplification, or where own keyboard is being used, the candidate
must supply all equipment, including cables and adaptors organised and labelled so as to streamline stage
set-up. Candidates in these classes must arrive at least 30 minutes before their scheduled start time.
(h) Dress Code.
(i) No costumes are allowed in any classes in this Festival, unless otherwise specified.
(ii) Candidates of school age should wear regular school uniform, number ones or a simple black
and/or white outfit; no fancy accessories or hairstyles.
(iii) Candidates in Open classes may wear their own choice of outfit taking note of (i) and (ii) above.
(iv) Female marimba and cello players should wear trousers - school uniform or black.
(i) The candidates performing on the day must be those named on the ballot. No substitutions may be made
without the express permission of the Festival Director.
(j) Withdrawals must be notified at least 24 hours prior to performance. Failing this we reserve the right to
impose a fine of $5 per entry, unless extenuating circumstances exist.
(k) A candidate (including groups and choirs) may not repeat any item in two consecutive years.

4. Grades, Certificates and Concerts


(a) Adjudication criteria are detailed on the next page. The adjudicator will place a tick for each relevant criterion
somewhere along the continuum between Outstanding and Weak. The distribution of the ticks will determine
the performers overall grade between Honours and Ungraded. Grades may include a + where appropriate.

(b) Candidates will not receive a certificate if their performance is Ungraded (a weak performance) or Disqualified
(which represents an infringement of syllabus).
(c) Only teachers or their accredited representatives may collect certificates.
(d) The concluding concerts will include a cross-section of the best performances from the Festival, selected by the
adjudicators in consultation with the Executive Committee. Performers by invitation only.

5. The Executive Committee


This is the administering body and reserves the right to:
(a) withdraw any class or challenge for which, in their opinion, insufficient entries have been received; and limit
entries where there are too many;
(b) accept or reject any entry submitted without being bound to give reasons;
(c) appoint an alternative adjudicator or a panel of adjudicators, should the need arise through illness or other
unforeseen cause; and
(d) settle all disputes concerning candidates or procedures. No public protests are permitted.

the back of the ballot before arrival at Check-in. State if own composition.
A brief written outline, in English, reflecting the structure of the piece is required for
the Adjudicator for all classes in this section. Marks will be deducted if not provided.
Candidates must provide their own instruments, or make a prior arrangement to
borrow from another school.
For duets and ensembles, players must perform in classes equivalent to, or above,
their solo level.
This is an Instrumental section: singing and movement are not encouraged. If used
they should play a minor role.
All performers must play an instrument except in classes 34-35.

A printed copy of the music is required by the Adjudicator for the SATB Choral classes
89-91 only.
All performers must sing.
A conductor who performs any additional role (eg. singing or playing an instrument)
will be included in the count as a performer.
A supporting accompanist is not a performer, therefore must not perform any
additional role, eg. singing, humming, clapping.
No drumkit; no amplification. Keyboard in piano mode only.
School choirs must include pupils only.

CHOIRS - AFRICAN TRADITIONAL (No known composer)


Min 10, max 50 singers, with or without traditional African instruments. One supporting accompanist permitted - traditional

SECTION 4 : WESTERN INSTRUMENTAL


PLEASE CAREFULLY READ THE RULES OF THE FESTIVAL IN CONJUNCTION WITH THOSE
BELOW TO ENSURE THAT YOU ENTER THE CORRECT CLASS.

Candidates must provide a printed copy of the music for the Adjudicator for all the
classes in this section unless otherwise stated. For duets and groups, a full score is
required showing each instrumental part.
The name of the piece and composer must be written on the back of the ballot before
arrival at Check-in.
Music grades are based on the ABRSM system or equivalent.
It is the teachers responsibility to ensure that pieces chosen are of the correct
grade and genre for the class and for the candidates level of play: eg. a candidate
entered in a Grade 1 class may not play a piece of pre-Grade standard.
In classes defined by music grade, Open candidates will be adjudicated as being of a
post Grade 8 standard. In other classes Open candidates will be adjudicated as
adults, except where otherwise indicated.
Repeats must be played where they are within the time limit.
Where a piece is written with accompaniment it should be performed accordingly.
See Rule 3(b) for notes on supporting accompaniment.
Teachers may help tune instruments for Grades 1-4 only.

Candidates may enter a maximum of four vocal solo classes.
Candidates must provide a printed copy of the music for the Adjudicator in all the

full score is required showing all vocal parts.
Songs must be age-appropriate and respect the family-friendly character of the
festival.
Teachers should ensure that songs are in a key suited to their candidates voice.
Transposition is permitted for candidates under 18 years, in which case the key
must be indicated on the music submitted for the Adjudicator.
Verses must be cut if necessary to comply with time limits.
Vocalists should be accompanied in all solo sections, with the optional exception
of the folk/traditional classes. Pre-recorded accompaniment allowed, but not
encouraged. See Rule 3(b). Recorded accompaniments for the songs in the ABRSM
Songbooks are available on loan from the NIAA.
No Popular Contemporary songs allowed in any class in this section.

SECTION 6 : WESTERN CHORAL


PLEASE CAREFULLY READ THE RULES OF THE FESTIVAL IN CONJUNCTION WITH THOSE
BELOW TO ENSURE THAT YOU ENTER THE CORRECT CLASS.

This section is for Western choral pieces, to be sung in a Western language.


Candidates must provide a full printed score (ie. showing all the parts) for the
Adjudicator in all the classes in this section. Where parts are compulsory they
should apply for the greater portion of the song.
The name of the piece and composer must be written on the back of the ballot
before arrival at Check-in.
Minimum performance 2 minutes except where otherwise stipulated. One or two
items may be sung.
Teachers are asked to ensure that they select age-appropriate songs.
Transposition is permitted for candidates under 18 years old; in which case the
transposed key must be indicated on the music submitted for the Adjudicator.
No props allowed except in the nursery school class.
School choirs must include pupils only.
