Introduction

A MARC record is coding that allows the public to see information about a

material or item digitally. This manual will explain what MARC record fields are and

which fields are used for certain types of records. There are a few fields that will be

used in multiple types of records. Within this manual, there will be explanations as to

what each field means and what the indicators and subfields represent. When creating

a MARC record, it is helpful to know the fields or at least know where to look up the

various fields. This manual will also provide an example of each type of MARC record.

The types of records are for fiction, childrens, non-fiction, DVD, CD, and serial.

The first thing that a cataloger needs to do is determine the type of record to use

for each item. By determining the type of record, the cataloger then knows where to look

for the chief source of information. Once that is decided, the cataloger recognizes which

fields go with the type of MARC record. In this manual, there will be an example with

each type of record. Each example will also contain a legend or key because it will be

colored coded for the fields that are common and new fields that are added to the type

of record.

For many MARC records, there are fields that will be used over and over but

other times there are unique fields for a certain type of MARC record. In this section,

you will find the common fields and what they mean, along with their indicators and

subfields, and when they are used in a MARC record. Remember that not every

common field will belong in each certain MARC record.

Fiction Book MARC Fields

If a cataloger is creating a MARC record for a fiction book, he or she would


decide where to get the information from based on what type of item is being cataloged.
For a book, the cataloger would use the title page and its verso page as its chief source
of information. The cataloger would then copy the title word for word into the 245 field,
along with the author and any other contributors. After that is complete, the cataloger
will look on the verso page and write down the publication information in the 260 field.
The cataloger would then fill out the information for the 300 field, the physical
description the book, which includes page numbers and dimensions. Due to RDA
standards, a cataloger has to have the 336, 337, and 338 fields in a record. These are
there to help catalogers know what type of record is for the item. Depending on the
book, there will be an edition and a series tag that should be filled in. These are the 250
and 440 fields. A cataloger might also put in a note that could be a summary note, the
520 field, or a formatted content note, the 505 field. These note fields are not required in
the MARC record but is helpful for the cataloger and for the patrons in a library.
As noted above in the previous section, there are many common fields that are
used in many MARC records. This MARC fiction record has the fields above but also
can have these three fields added. The three fields that are added to the record are the
505 field, the 520 field, and the 655 field. Below will explain what each one contains.
Not all fields listed below will appear on every MARC record for this type of record.

Childrens Fiction MARC Fields

The chief source of information for this record type is the title page and its verso
page that contains the copyright information. For this type of record, there are many
fields that will be used from the common fields table. However, there will be two fields
that will be added for this type. These two fields are the 521 field and the 586. This type
of record will also use the 520 field, which was introduced in fiction MARC fields. Not all
fields listed below will appear on every MARC record for this type of record.

With this type of record, the chief source of information is the title page and its
verso. While most of the fields will be from the common fields section of this manual,
there will be four new fields that pertain to this type of record. A field that will be
repeated will be the 520 field. Not all fields listed below will appear on every MARC
record for this type of record.

DVD MARC Records use a different chief source of information. For this type of
record, a cataloger will use the title slide of the DVD, while DVD is playing, and if need
be the associating materials that came with the item. While this type of record has many
fields that have already been explained, there are a few new fields, which are the 024,
028, 110, 344, 511, 518, and 546 fields. Not all fields listed below will appear on every
MARC record for this type of record.

The chief source of information for a serial is the editors page. This record type
will have six new fields that may be used. The new fields are 130, 222, 310, 321, 362,
515. There are going to be fields that have already been mentioned in this manual. Not

Conclusion

The cataloger has a choice of which fields to include or not to include. Each

library has a different process and requirements for the MARC record. While many

libraries follow the Library of Congress format, they do have leeway to change and

modify the record to fit the needs of your library. Since RDA standards have come into

effect, library catalogers have to include the 336, 337, and 338 fields.

This manual has laid out the fields that could be used in a MARC record. Not all

of the fields listed in this manual will be used in each record, but most will. The

indicators and subfields have also been mentioned for each field. While this manual has

a lot of information within it, it also shows a new cataloger how to catalog an item. Once

a cataloger becomes familiar with the process of creating a MARC record, it becomes

easier to do.

Cataloging: Organizing materials and information in a logical and consistent way to


facilitate ease of access.
Chief Source of Information: The source of bibliographic data to be given preference
as the source from which a bibliographic description is prepared.
Copy Cataloging: Cataloging by copying entirely or editing an existing record from a
bibliographic utility's database, and incorporating it into one's own catalog.
Indicators: A character at the beginning of a variable data field containing codes that
provide information to the computer or give further information about the contents of a
field within a MARC record.
Main Entry: The entry chosen for a bibliographic record, whether it be a personal or
corporate name, or the title of a composite work, a collection, an anonymous work, a
periodical or serial, or a uniform title.
MARC: (MAchine Readable Cataloging) A type of record coding which allows
information to be shared in a variety of formats.
MARC Field: In MARC, a data field which begins with a MARC tag, followed by
indicators and then coded data.
Serials: A group of separate items related to one another by the fact that each bears, in
addition to its own title, a collective title applying to the group as a whole.
Statement of Responsibility: Subfield c of the 245 field which identifies the persons or
corporate bodies responsible for the intellectual or artistic content of the item.
Subfields: Within the MARC format, subfield codes are one-character codes that
identify individual elements of information within a MARC field.
Subject Headings: Controlled vocabulary access points and keywords.
Tag: Each variable field in a USMARC record is identified by a three-character tag from
001 to 999.
Title Page: A page at the beginning of the item bearing the title proper and usually,
though not necessarily, the statement of responsibility and the data relating to
publication
Verso Page: The left page of a book; also the second printed side of a sheet or page
(the back).
