Executive Summary

This Tender Application Submission is prepared by Windexs contractor representative, Joel


Cheah Rui Neng in order to tender to Lannister Company. This tender submission is prepared for
the evaluation of Lannisters designers Jackson Yong Zhen Hui ,Ong Ee Fang and Sheryl Wee Chin
Chin to acquire their design. Our company Windex shows great interest in this project and shows
high determination to acquire Lannisters design.Therefore, this shows Windex companys
commitment and hardwork to showcase that we are qualified to construct this desirable Mars Rover.

We have showed our contractors understanding regarding Lannisters design package. We


prove that we understand the full design of their Mars Rover. We also truly understand the
construction process and method. We have also provided a few diagrams to showcase our
understanding towards the design by labelling the materials used. We clearly describe the ways and
methods to construct the prototype in our own words to showcase our understanding regarding the
project . We acknowledge every bits and details regarding this project to the core and notice every
criteria we need to follow. We also understand and acknowledge every diameters and measurements
of the prototype. We noted the tools and materials needed to construct this prototype and have
planned out to prepared it before hand.

Most of the criteria by our client , EMPACT has been perfectly fulfilled.However, we do
find out there are some errors in fulfilling the design compliance to the client brief. We found out
that there is a problem regarding this design when the condition of the cargo must be easy to assess
without directly accessing the prototype. The cargo is said to must be visually inspected from the
distance of 1meter. The design of Lannister did not fulfil this conceptual constraints thus will face
failure from our clients perspective. However, measureable recommendations to amend this design
is given by our contractors from Windex. We suggested that a small opening on the wooden box to
be done so that the cargo will be seen at the distance of 1m. Therefore, this also fulfill the
requirement of the client brief and we do not have to alter the whole design.

We also suggested a few changes on replacing the axle from bamboo chopsticks to rattan
canes. We also suggested to add a foam sponge as the bumper of the prototype to provide external
support.We also suggested the usage of super glue to be replaced by the usage of hot glue gun in
order to save time and provide a stronger support.We have also suggested and compile a new table
regarding the new material list and price list as well as the supplier list as it is cheaper and more
convenient for Windex.We also suggested to reduce the usage of nails as connectors as it damages
the quality of the wood.

Regarding the Tender Evaluation Criteria, we believe the we perfectly fulfilled all the
criteria stated. We have provide sufficient and reliable evidence to prove that we are capable and
reliable to be the tenderer fo this project. We are innovative , responsible, have good time manage
ment skills , experienced and display manner of professionalism.

To conclude, this tender submission had clearly stated that our company has the
highest capability to construct Lannisters design. We hope that the construction of Lannisters
design will be successfully allocated to our company, Windex. Do give us a chance and we will
ensure that you will never regret your choice.

1.0 Introduction

This tender submission is prepared by the Windex Company to Lannister Company in


order to acquire their design thus convince and impress the designers of Lannister Company
to partnership Windex to complete this Mars Lander/Rover prototype by EMPACT.Windex
sincerely and eagerly request for this golden opportunity to construct this precise Mars
Lander/ Rover prototype designed by intelligent Lannisters designers, Jackson Yong Zhen
Hui ,Ong Ee Fang and Sheryl Wee Chin Chin for EMPACT based on the client brief
provided. In order to be qualified and obtain the contract by Lannister, the contractors of
Windex Company has tried our best to fulfill each and every criterion of the tender evaluation
criteria prepared by Lannister Company. A detailed explanation about how Windex fulfilled
all the criteria of the tender evaluation criteria has been stated in this client brief. This tender
submission also clearly show our understanding and our passion towards this project.
Moreover, this tender submission also showcase specific skills of our contractor members,our
professionalism level and our capabilities. All the evidences regarding the criteria required by
the designers group and our members abilities is attached in the appendix of this document.
Therefore, this tender clearly shows that Windex is qualified and professional thus should be
given the priority consideration. We look forward to our cooperation and partnership in order
to make this project a success.
2.0 Design Package Review

2.1.0 Understanding of Design

After analysing Lannister Companys design, our contractors found out that the
design package provided were very well-organised. We were able to understand and
acknowledge all the details regarding the design package clearly. Windexs faced no problem
in any language issues or find that there are insufficient explanation in the design package.
We truly believe this Mars Lander/ Rover prototype design is feasible and most likely
success if there is no other unexpected error. Our team also have confidence that we are
capable in constructing this design. Therefore, we contractors from Windex would like to
express and interpret our understanding on the design and construction in words to prove that
we truly understand the design package.

The figure above shows the bottom part of the prototype. The figure is obtained from
the design package of Lannister and then edited to show our contractors understanding on the
design. It is understand that the wheels, four of them both front and back is made out of
cardboard with the same measurement. The wheels are large in diameter and thick. The thick
wheels and a large diameter of wheels is able to allow the prototype to travel a longer
distance. Larger wheels are also harder to come to a halt when start rolling thus maximising
the total travel distance of the vehicle.
The wheels are then attached together through an axle which is made of bamboo
chopsticks. Eye hooks are also attached at the side of the of the prototype body in order to
ensure the axle to turn in a fix position inside the eye hook. This will prevent the axle from
falling and to ensure the wheels to turn in a constant motion and direction. Cable ties are also
used to secure the wheels from running out of position by tying two cable ties each at each
sides of the wheels.

We understand that the prototype consist of few parts and all parts have to combine in
the end in order to construct this prototype. The body of the vehicle consist of the wooden
cover and the wooden body. We also acknowledge the usage of the hinge at the top of the
wooden cover and its lock at another side of the wooden body. This is to secure the cover and
the body to be always closed and secure the cover and the body. Moreover, two hinges are
used at the position of 85 mm from the base of the body and 45 mm from both sides of the
body. It is to attach lower part which is the wooden body and the upper part, which is the
cover of car body. There is a lot of nailing works to be done to attach the wooden plank
together to form a wooden box. We also acknowledge that the 600ml water bottle , would be
inside the wooden box and covered by the wooden cover. The design is simple and easy to be
construct.
2.2.0 Understand of construction process

The construction process is very crucial and need to be precise in order to construct a
successful and desirable Mars Lander/Rover. Prefect understanding about the construction
process will lead to the success of the prototype and a smooth construction process. The
paragraphs below shows our contractors understanding regarding the building process.

2.2.1 Body of the Mars Rover

To build the body of the Mars Rover, materials such as wooden planks , hinge , hinge
lock , nails and screws are prepared. Tools such as saw , ruler , pencil , superglue , hammer ,
electrical drill and compasses are prepared. Firstly , a wooden plank with dimensions of
600mmx600mmmx10mm are prepared and visually inspected for any faulty and flaws. If
there is no errors, the wooden plank is then used to sketch the dimension of the material
according to measurement given which is 250mmx75mmx10mm for the base,
95mmx100mmx10mm for the front and back, 250mmx100mmx10mm for the left and right
and 270mmx95mmx10mm for the top. Once the sketch is done, the wooden plank is cut into
its respective pieces according to the dimension using a saw. The cut wooden pieces are
used to construct a rectangular shape wooden body using nails to connect them into their
fixed position. Superglue is applied to the contact surface of the wooden planks to fix them in
position as well. Hinges are then screwed into the sides of the body. One of the
hinge is screwed to the side face of the wooden body and another one is screwed to the side
face of the wooden cover. The hinge is also screwed at the top of the wooden cover and the
hinge lock on the side of the wooden body it is facing. Lastly, an eye hook is screwed into the
base of the wooden body to ease the installation of the axle.

2.2.2 Wheels

To construct the wheels, cardboard, compasses , pencil and cutting knife is prepared.
A cardboard with a dimension of 600mmx600mmx5mm is obtain and visually inspected for
any faulty errors. Then, twelve circles with 35mm radius is sketched on the cardboard with
the help of a compasses. The sketch of the twelve circles is then cut out. Since now we have
12 circles, 3 of each circles are glued together using superglue to form one hard and thick
wheel. A hole of 2mm radius is marked in the middle of the 4 wheels and the holes are cut
our using a pen knife.

2.2.3 Axle

A pair of bamboo chopsticks is prepared. It is visually inspected for any faulty errors.
The both ends of the chopsticks are cut into the length of 150mm each.
2.2.4 Combining All the Components

All the components stated above are gathered together to build the prototype. The
chopsticks are put in between the eye hooks attached on the both side of the prototype body.
Cable ties are attached on the both side ends of the bamboo chopsticks. The wheels are
attached to the chopstick and fixed them in position by tying two cable ties at the both side of
the wheels. The components are combined all together and a final check is needed to be
performed to ensure everything is done perfectly.
2.3.0 Design Compliance to Client Brief

Before the construction of the project is perform , we are required to meet and
fulfil each and every one of the clients requirement as stated in the client brief. A
small scaled vehicle a that is capable of deployment and withstanding a vertical drop
is supposed to be construct with the following constraints given by our client ,
EMPACT. EMPACT requires a vehicle to be constructed such that it is capable of
being tested by rolling down a slope between 30- 45 degrees for 2 metres, and falling
through a vertical drop of 1 metre without sustaining any significant damage.

2.3.1 Conceptual Constraints

According to the client brief , the prototype must be designed to travel in a


self-guided straight line for 2 metres, down a slope set to not less than 30 degrees.
Following this free roll, the prototype will be subject to a vertical drop of 1 metre, and
must land and stay on its wheels. Due to the nature of the project, the final design will
be required to carry a lot of heavy equipment. This has been scaled down to require
the prototype to carry a weight, in the form of 600ml water bottle. This cargo must be
loaded onto the top of the prototype, with no complex assembly required (i.e. closing
a box flap is acceptable, screwing a panel is not). The condition of the cargo must be
easy to assess without directly accessing the prototype (i.e. visual inspection from
~1m distant).

The design of Lannister company fulfilled most of the condition according to


the client brief given by EMPACT. However, there is an error spotted regarding the
conceptual constraints. The suggestions will be suggested in 2.4.6. The prototype is
designed to travel without any external force in the straight line. The wheels with
large diameter and thick are able to perform and travel down the slope without any
doubts. The strong material used, which is the wooden planks are sufficient enough to
withstand the impact of the 1 metre vertical drop and the pressure when landing. It is
expected to land with it wheels down without the prototype being shattered. The load ,
which is the 600ml bottle is planned in the design package to be put into the wooden
box constructed, thus the cargo in loaded onto the top of the prototype. There is a
closing of the cargo using the wooden cargo and clip with a hinge lock. However, it
stated in the client brief that closing of a box flap is acceptable with no screwing
involve. The prototype does not require a complex assembly work to be done and it is
of an easy constructing method. There is a problem regarding this design when the
condition of the cargo must be easy to assess without directly accessing the prototype.
The cargo is said to must be visually inspected from the distance of 1meter. The
design of Lannister did not fulfil this conceptual constraints thus will face failure from
our clients perspective. However, measureable recommendations to amend this
design is given by our contractors from Windex.
2.2.2 Dimensional Constraints

The entire footprint of the prototype vehicle must fit within an A3 sheet of
paper (420mm x 297mm), with no portion of the assembly overhanging the boundary.
The maximum height of any portion of the prototype is 210mm. There must be at
least two axles on the prototype and the wheels (or tracks) must allow the prototype to
move down a slope of 30 degrees minimum.

The design of Lannister fully fulfill the dimensional constraints given by the
client. The entire base of the prototype vehicle is only 250m x 170mm. The maximum
height of the prototype is only 110mm.There is also two axles and 4 wheels that will
allow the prototype to travel. This clearly shows that the design of Lannister is in sync
with the requirement.
2.2.3 Material Constraints

There is no restriction on the materials required to build the Mars Lander/


Rover prototype. However, the prototype must be designed to cost less than $30.
Table below shown the materials used and the price list of the materials given by
Lannister to build this prototype.

The total cost proposed by Lannister company is as stated which is RM28.28.


This clearly fulfil the budget constraint of RM30. Therefore, Lannister fulfilled the
materials constraints criteria. However, our company from Windex is proud to say we
manage to reduce the budget and it is stated in 2.4.4.

2.2.4 Impact and Cushioning Constraints

The prototype must be designed such that no manual control is required


between the release onto the slope, and the end of testing (after the impact on the
floor). The prototype must end testing with at least one set of wheels in contact with
the ground, and without damage or spilt cargo.

Lannister Company had also fulfilled these criteria. Besides, throughout the testing
process, the prototype vehicle should be fully self-guided. No external force and manual
control should be exerted on it during testing. Besides, the vehicle should also able to carry a
cargo which is a bottle of approximately 600g. The prototype designed is very stable and
rigid. Therefore, it will definitely have the stability to land on its wheels without shattering.
Contractors from Windex strongly believe that the vehicle designed are able to travel down a
slope between 30- 45 degrees for 2 metres, and falling through a vertical drop of 1 metre
without sustaining any significant damage. The wheels and axle are also in fixed position
which will allowed it to travel in a straight lin
2.4.0 Problems and Solution

There are some errors detected by contractors from Windex. There are also some
suggestions we want to give in order to improve this prototype and overcome these errors.
Below are the problems we detected and the solution to the problem.

2.4.1 Bamboo Chopsticks as Axle

We came up to a conclusion that bamboo chopstick is not the best choice as an


axle.The diameters of both end of the chopstick are not same. One has a bigger diameter
while one has a smaller one. Therefore, the turning effect on the wheels might become not
stable. We suggest that the axle should be replace by rattan cane which has a higher tensile
strength to withstand the high pressure when landing. It is also more flexible and easier to
handle during the building process.

2.4.2 The Bumper of the Prototype

We realise that there is no support on the bumper on the prototype. Therefore, we


suggest that a foam sponge to be used as the bumper support and attached in front of the
prototype using hot glue gun. A large piece of foam sponge aids in protecting the prototype
from cracking after collision. The length of impact time is increased and the foam sponge
provides an external protection to the prototype.

2.4.3 Usage of Super Glue

We realise the usage of super glue is suggested in the design package by the designers
from Lannister. However , we realise a lot of time will be wasted during construction process
as super glue takes a long time for it to dry off. Thus, we suggest the usage of hot glue gun
instead. Hot glue takes a shorter period to dry off and it also provides a stronger support. It is
also a cheaper alternative compare to superglue.
2.4.4 Materials List and Price

We realise the material list and price list provided can be improved. We also found
that some of the materials suggested can be obtained from recycle product. We have also
performed a survey in shops around Miri area. We found out that the supplier list provided by
Lannister is slightly more expensive than the one we found. The new supplier found is also
easier for contractors from Windex to access and more convenient. We also found that
cardboard pieces can be obtained from Nam Leong Senadin for free as it is recycled
item.Thus, below attached is a table we construct and hope to be put under consideration.
This lowers the budget list to a price of RM20.18 and improve our design.

2.4.5 Nails as Connectors

As stated in the design package, 30 nails are supposed to be used in constructing this
project. The contractors from Windex suggest that we reduce the amount of nails to just 20
nails. This is because too many nails might destroy the wood as many holes were made
throughout the nailing process. This also destroy the beauty of the prototype as it ruins the
outer appearance of the prototype. As an alternative, the support can be done by using hot
glue as well as an extra support.
2.4.6 Conceptual Constraints

The condition of the cargo must be easy to assess without directly accessing the
prototype (i.e. visual inspection from ~1m distant). However, the design from Lannister did
not fulfill this condition as the cargo is enclosed in the wooden box and it is not easily spotted
at a 1m distant. Therefore, we contractors suggest that we saw a small opening on the
wooden box so that the cargo will be seen at the distance of 1m. Therefore, this also fulfill
the requirement of the client brief and we do not have to alter the whole design. The changes
is stated as below represented by the diagram. The black box with red filling is the part where
we perform the sawing. The part of the wooden plank is removed so that the cargo is visible
and easily accessible.
3.0.0Tender Evaluation Criteria

This section is used to explain the Tender Evaluation Criteria and Marking Criteria set
by the Lannister Company. Potential contractors are expected to fulfil each and every of the
criterion in order to build a desirable prototype.

3.1 Methodology

Description to the criteria:

The tenderer must be capable of demonstrating innovative methods they would use to
produce a satisfactory end result. They should clearly describe the methodology and the
procedures they will uptake to complete the project successfully within the given time frame
to our agencys liking. We also welcome suggestions that would further improve and optimize
our existing design. The information we require includes program of works, key performance
indicator and the innovative procedures to be used. The tenderers are required to go through
the design package from our company. The tenderers are then supposed to explain their
understanding about the designs orally. Tenderers are required to explain the method they
are going to carry out the constructions and we require documents that will support their
understanding and description of the methodology. It is an important aspect because the
contractors should fully understand the design so they can build up the perfect car that we
have designed. We require atimeline and the location of the construction so the designers can
guide them.The tenderers are encouraged to interrogate our designers for their
comprehension of the design.

Addressing to the criteria:

We as the contractors of Windex are strongly capable of demonstrating innovative methods


that we will be using to produce a desirable end outcome. We have distributed our job evenly
as contractors and we have already construct a table which include the estimated timeline that
we will follow in order to complete the prototype of the project.The table is attached in
appendix as 5.2.3. We also provide suggestions that will improve and optimise Lannisters
design in 2.4.0. The program of works, key performances indicator and innovative
procedures are all stated in 2.0. We have already went through your design package a lot of
times and we are more than familiar with your design package. Moreover, we have already
explain the method of our constructions orally to Lannisters team of designers. Do refer to
our minutes of meetings on 15/4/17 where we perform our oral interview as attached in
appendix 5.4.2. This tender submission is the best document that will support our
understanding and description of your methodology and your design package. This tender
submission also thoroughly and strongly proved our understanding towards your design and
your expectation. We have also acquire and interrogate regarding your design in both our
meetings on 7/4/17 & 15/4/17 as refer to Appendix 5.4.
3.2. Time Management Skills

Description to the criteria:


The tenderer should be able to depict immense management skills. We require the tenderer to
complete the given task within the given timeframe smoothly and with great proficiency. We
highly discourage contractors who inefficiently carry out the work showing low level
ofcommitment and effort. We look forward to working with contractors
who will be able to set up a time slot for weekly meeting in which we expect a weekly
progress plan through which we can keep track of the construction of our design. We require
the tenderer to approach the project showing high level of competence and proficiency which
will be judged based upon their time management skills.

Addressing to the criteria :


We have clearly shown our time management skills as we will submit this tender before the
deadline. We will attached a screenshot stating the time we submit our draft tender
submission to the designers of Lannister as refer to Appendix 5.1.3 . We also showed our
time management skills as we already prepared a table regarding the timeline of our job
scope as attached in Appendix 5.2.3. We also have show a high level of commitment and
effort as we show our sincerity and eagerness by constantly contacting Lannister designers
and always asking questions in our WhatsApp group. The screenshot of this will be attached
as in Appendix 5.1.4. We have also set up a time slot where we will be expect a meeting
every week with Lannisters designers for the smoothness of the construction progress. We
also will be sending minutes of meetings and weekly progress report to Lannister as the time
comes. Our team Gantt Chart is also attached on Appendix 5.2.1 shows that our company do
value time and act professionally as we already have everything planned out.
3.3 Professionalism

Description of the criteria:


Professional behaviour by the tenderer increases their accountability, competency and high
level of confidence. We require organized, well structured and relevant supporting
documents during the weekly meeting that would support their weekly progress on the
construction of our design. We require the contractors to be well prepared before each
meeting as it increases the accountability and trust. We require the tenderer to submit
minutes of meeting in each meeting and be highly punctual as our agency values time
management and the integrity with others. It also increases our trust and dependability.

Addressing to the Criteria :


We have shown our professional behaviour throughout the time period we work together so
far. As far as we know , professional behaviour includes communication in our universal
language which is English as we are a multi-national company where our company have
contractors from other country. Our contractors are all equipped with good communication
skills and one of our contractor which is Joel Cheah obtain a A which is high distinction in
his Cambridge 1119 English paper ( Refer to Appendix 5.3.7. This truly proves that we ,
contractors of Windex have high level of communication qualification. We are also very
accountable and equipped with high level of competency and confidence. In according to that,
we have submitted a table in appendix 5.2.2 to show that we are very well prepared for this
project and accountable as we already sort-out the task and timeline of our project. We also
show that we values time and we submit our minutes of meetings every meetings on time.
We have submit our minutes of meeting regarding our meeting on 15/4/17 in a short period
of time which is on 18/4/17 has shown our level of proficiency and time management. Please
refer to appendix 5.1.2. This truly shows how trustable we are and our accountability.
3.4 Teamwork
Description to criteria :
Every tendering group members should rely on each other and give support when
encountering problems. The team leader is expected to lead every member to achieve the
necessary goals, respect each others opinion and listen to everyone suggestion to avoid
conflict while having discussion. Every team member must depict cooperative spirit
while doing the work. We require the given task to be distributed equally to every team
members according to their ability. We require a document that will describe each members
ability and the task they will be assigned to during the construction process during each
weekly meeting which will help us to keep track of each members contribution to the
construction of Mars rover.

Addresing to criteria:
Our team clearly shows a good teamwork as we have already work with each other for almost
2 months already. The team leader , Choo Chin Wen shows strong leadership spirit when
leading Windex and constantly solving our conflicts meanwhile maintaining good
relationship between our members. We respect each other and accept one and another though
we often faces differences among us. We shows clear cooperative spirit while at work and
always help each other when face difficulties. We have already distributed the task evenly to
each and every contractors in our group and a table regarding it is attached in Appendix 5.2.3.
Our team action plan has also attached in Appendix 5.2.2 to show our members ability and
strengths as well as our weaknesses. The team action plan clearly shows our teamwork and
our understanding to each and every member in our company.
3.5 Experience

Description to criteria :
The tenderers are expected to have sufficient experience. We expect the tenderers
participation in competitions, events or school projects. We look forward to meet tenderers
who have been involved in organising events or camps before. The reason for this is because
we are looking for tenderers who are active, innovative and creative. To prove their
experience, the tenderers are requested to show certificates of involvement in events and
awards they have secured in competitions. They can also show pictures of trophies they have
attained.

Addressing to criteria :
Our contractors in Windex has all gone through a subject taken during high school which is
Integrated Living Skills also know as Kemahiran Hidup Bersepadu in Malay. This subject
includes teaching of proper methods of handling tools and basic methods for construction.
This subject also includes wood work handling project which Joel Cheah and Brandon Yee
went through. The certs is attached in Appendix 5.3.1 & 5.3.3. Joel Cheah has also been
through a Physics Project Exhibition organised by Curtin University Malaysia where he had
to construct a portable air-conditioner. The picture of the project is attached in Appendix
5.3.8. Our contractor Joel Cheah is very well equipped with physics and chemistry
knowledge which will aid in this project as he obtained high distinction for both of this
subject in Foundation as refer to Appendix 5.3.2.Our contractor from Windex, which is
Akash Khowaja has a lot of experience in handling practical project and work. Akash has
been through UPS/Inverter Manufacturing and Repairing works and he has also attended
Disaster Risk Management Training in Pakistan. This shows his experience in repairing skills
and constructional works. He is also equipped with Risk Management Skills which will help
Windex contractors from all the hazard during the construction process. His certificates are
attached in Appendix 5.3.5 & 5.3.6. Joel Cheah has also equipped with First Aid Knowledge
from St John Ambulance Malaysia thus he is prepared for any hazard incident that is going to
happen throughout the construction process. ( Refer to Appendix 5.3.4) We truly believe
contractors from Windex has the sufficient abilities and experience to understand and
construct the prototype as stated in the design package prepared by Lannister Enterprise.

2.0 Specifications

2.1 Introduction

The following document contains the specifications of the Mars rover. This
document describes and identifies the Mars rover precisely. The purpose of
this document is to help the consumer to clearly understand the product and
smoothen the process of construction. It includes a detailed description of the
materials that would be used to produce the Mars rover as well as the
components of the Mars rover. Based on this specification, a fabrication
company will be able to successfully construct the Mars rover to the standards
expected by the client.

2.2 Material List and Price

Table 2.1.0 shows the list of materials that will be used in the construction of
the Mars rover. The table includes the purpose of the particular material, the
quantity needed, the cost of the material and the supplier for the material.

2.4 Tools

1. Saw: Saw is used to cut the wooden plank into small pieces according
to dimension.

2. Ruler: Ruler is used when drawing the dimensions on the material.

3. Pencil: Pencil is used to do a marking mark on the material.

4. Superglue: Superglue is used to stick the entire wooden plank firmly and
stick the cardboard circles together into wheels.

5. Hammer: Hammer is used to knock the nails when constructing the body
of model car to ensure the body car does not break easily.

6. Electrical drilling machine: This machine is used to screw the hinge and lock
onto the body of model car.

7. Duct tape: Duct tape is used to wrap around a small part of the axle to avoid
the cable tie from coming off from the axle.

8. Cable tie: Cable tie is to be fixed on the chopstick at both sides of the
wheels so that the wheels will not slip away from their position.

9. Compass: Compass is used to draft the circle on the cardboard.

10. Scissors: Scissors is used to cut the circles out from the cardboard.

11. Pen knife: Pen knife is used to cut the hole in the middle of the
circular cardboard.

2.5 Construction Technique

2.5.1 Body of the Mars rover

Obtain a wooden plank of dimensions 600mmx600mmx10mm to build the


body of the model car and visually inspect for any faults. Next, draw the
dimension of the material on the wooden plank according to the drawing
package. Cut the wooden plank into six pieces according to the specified
dimension using a saw. Use the cut wooden material to build a rectangular
shaped body based on the drawing package and use nails to fix the material
into position. Apply superglue to the contact surface of the wooden material
and allow the glue to dry. Next, put two hinges at the position of 85 mm from
the base of the body and 45 mm from both sides of the body. One side of both
hinges is screwed to the side face of the wooden body and another side of both
hinges are screwed to the side face of the wooden cover as shown in the
drawing package. Apply superglue to the contact surface and allow the glue to
dry. Then, fix another hinge at the top of the wooden cover and its lock at
another side of the wooden body as shown in the drawing package. Put the eye
hooks at the base of the wooden body 70mm away from the side as shown in
the drawing package.

2.5.2 Wheel
Obtain a cardboard of dimensions 600mmx600mmx5mm to build four wheels
and visually inspect for any faults. Draw twelve circles of 35mm radius on the
cardboard using a compass. Cut out the cardboard material according to the
dimensions as shown in the drawing package. Stick three circular cardboard
materials to make one wheel by applying superglue between the contact
surfaces of the wheels. Make another three wheels by following the same steps.
Make the marking of a hole of 2mm radius in the middle of the wheels.
Cut out the holes according to the dimension as shown in the drawing package
using a pen knife.

2.5.3 Axle
Obtain chopsticks to build the two axles and visually inspect for any faults.
Cut both the chopsticks to 150mm length as shown in the Drawing package.

2.5.4 Combining All the Components

Collect all the components to build the model car. Put the chopstick between
the eye hooks from both side of the car body. Fix the cable ties at 30mm from
both side ends of the chopsticks. Fix in the wheels at both sides of the
chopstick and fix them in position by attaching another two cable ties as
shown in the Drawing package. All the components are combined and a final
check is carried out to ensure that the Mars rover is in compliance with the
clients specification.

3.0 Tender Evaluation Criteria

3.1 Introduction

The following document will be used as a guideline to evaluate potential


fabrication company for the construction of the Mars rover. The marking
scheme for every criterion is listed on the table respectively. The inability to
meet the following criteria will lead to penalty which will result in the
deduction of marks. The successful tenderer for the construction of the Mars
rover will be the company that fulfils the following criteria.

3.2 Marking Criteria

3.2.1 Methodology

The tenderer must be capable of demonstrating innovative methods


they would use to produce a satisfactory end result. They should
clearly describe the methodology and the procedures they will uptake
to complete the project successfully within the given time frame to our
agencys liking. We also welcome suggestions that would further
improve and optimize our existing design. The information we require
includes program of works, key performance indicator and the
innovative procedures to be used. The tenderers are required to go
through the design package from our company. The tenderers are then
supposed to explain their understanding about the designs orally.
Tenderers are required to explain the method they are going to carry
out the constructions and we require documents that will support their
understanding and description of the methodology. It is an important
aspect because the contractors should fully understand the design so
they can build up the perfect car that we have designed. We require a
timeline and the location of the construction so the designers can guide
them. The tenderers are encouraged to interrogate our designers for
their comprehension of the design.

3.2.2 Time Management Skills

The tenderer should be able to depict immense management skills. We


require the tenderer to complete the given task within the given time
frame smoothly and with great proficiency. We highly discourage
contractors who inefficiently carry out the work showing low level of
commitment and effort. We look forward to working with contractors
who will be able to set up a time slot for weekly meeting in which we
expect a weekly progress plan through which we can keep track of the
construction of our design. We require the tenderer to approach the
project showing high level of competence and proficiency which will
be judged based upon their time management skills.

3.2.3 Professionalism

Professional behaviour by the tenderer increases their accountability,


competency and high level of confidence. We require organized, well-
structured and relevant supporting documents during the weekly
meeting that would support their weekly progress on the construction
of our design. We require the contractors to be well prepared before
each meeting as it increases the accountability and trust. We require
the tenderer to submit minutes of meeting in each meeting and be
highly punctual as our agency values time management and the
integrity with others. It also increases our trust and dependability.

3.2.5 Experience

The tenderers are expected to have sufficient experience. We expect


the tenderers participation in competitions, events or school projects.
We look forward to meet tenderers who have been involved in
organising events or camps before. The reason for this is because we
are looking for tenderers who are active, innovative and creative. To
prove their experience, the tenderers are requested to show certificates
of involvement in events and awards they have secured in competitions.
They can also show pictures of trophies they have attained.

4.0 Risk Management Plan

The following document contains potential hazards inspected for the design,
construction and performance testing stages and clearly describes the methods to
avoid these hazards and relevant actions to mitigate the same. Occupational safety and
health is a priority as we are keen in providing a safe and healthy work position for
our employee and those we care. It is necessary for the involved contractor be well
aware of these potential accidents.

4.1 Safety Plan during Design Stage

4.1.1 Fault in computer

All of the documents have to be done by using computer. It is useful


but risky. It may cause the risk of losing all the data and information.
This is because all the documents are saved in the computer. So if
there is a fault in the computer, all the information saved maybe lost.
This results in group members having to rewrite all the documents.
Group members may not be able to meet the deadline resulting in
mental stress. In order to avoid this problem, group members should
save more than 2 copies in different pen drives. In addition, group
members can save it in the Google Drive. Thus, group members are
advised to prepare a handwritten copy for each document. By doing
this, we can reduce the risk of losing all the information.

4.1.2 Estimate the dimensions

In the first stage, designers are supposed to prepare a sketch of the car
designs with correct dimensions. Contractors will be building the Mars
rover according to the sketch. However, there are always uncertainties
in the dimensions and measurement. All the dimensions are only
estimated by designers. Therefore, there is probability for the
measurement to be incorrect. The final project will be not be functional

if the given measurements are wrong. To avoid this, group members
are suggested to build a functional prototype before finalizing the
dimensions so that the dimension given in the sketch follows the
measurement taken from the prototype.

4.1.3 Unorganized time management

In a team, group members will be brainstorming each other to prepare


the best possible design for the Mars rover. However, not all opinions
are accepted. In contrast, too many ideas and modification causes a
risk as well. When too many ideas regarding the design are suggested,
the sketch of car becomes difficult to complete as there is a constant
change in design. This will eventually cause delay in other section. For
example, the list of materials cost of materials, construction method
will be delayed and the progress will become stagnant. To avoid this,
group members are advised to set time lines for each task. This will
alert the group members and can help manage their time better so to
finish the Design Package. For instance, the Gantt chart is useful for
group members to have a better time management.

4.2 Safety Plan during Construction Stage

4.2.1 Messy environment for construction

An untidy environment is not suitable to construct the Mars rover.


According to psychological research, it was discovered that a terrible
environment can distract our attention. It is suggested that contractors
conduct their work on the Mars rover in a comfortable and organized
environment. All sorts of hazardous tools should be located in a safe
place and contractors must be well aware of their environment
(Giancoli, 90).

4.2.2 Misuse of Materials and Parts

The lack of proper knowledge on the materials and tools that are being
used to construct the Mars rover can result in wastage of materials and
also hinder the project financially due to unnecessary cost on waste
materials. Hence, it is important for the members to have proper
knowledge on the materials that are being used and should be
familiarized with the same to execute the construction process
efficiently.

4.2.3 Mishandling of Tools

Necessary tools like saws, scissors and blades that are required to build
the Mars rover can cause severe damage when handled without caution.
It is advised that contractors practice caution to reduce risk of getting
injured while using the item. Gloves are recommended to be worn
while carrying cutting action. At any unfortunate case which results in
injury, the wound surface has to be cleaned immediately, antibiotic
ointment has to be applied and should be bandaged after cleaning. In
case of serious injury, healthcare attention should be sought instantly.

4.3 Safety Plan during Testing Stage
4.3.1 Height
The Mars rover might break due to impact when it slides down from
the slope and drops at the point which is 1 meter high. If the prototype
breaks, the team needs to reconstruct the Mars rover from scratch,
figure out the problem and solve it. Hence, it is advisable to construct
the Mars rover using high quality material that is durable and can
absorb the impact of the fall.

4.3.2 Failure to function


The Mars rovers inability to function is a major problem and this
could lead to marks being deducted heavily during the final testing. In
order to avoid this from happening, the Mars rover is advised to be
completed earlier than the due date allowing the contractor to get
sufficient time to modify before the final submission. It is advised to
conduct additional research in order to accurately analyse the materials
required for the construction of the design.

4.3.3 Stolen Mars rover


There is a possibility of the Mars rover being stolen before the testing
stage. This happens when other companies fail to complete the
construction in time and might take other companies Mars rover as
their own. Even if there were time to re-construct the Mars rover, two
companies would have the same design which leads to plagiarism.
Hence, it is advised that only the members of the company have access
to the Mars rover and ensure that the Mars rover is stored in a safe
place.
