WORD PROCESSING SOFTWARE
Word processing refers to using computer technology to create, edit, save and print documents, which
generally contain a large amount of text, such as letters, legal contracts, newsletters, and reports.

Word process includes the following software’s:

Word perfect, Word star, MS word, Notepad, Word pad, etc….

WHY TO USE WORD PROCESSING

In general, word processing is used to do what was done on a typewriter before computers were
commonplace. One of the greatest advantages of using word processing over a typewriter is that you
can make changes without retyping the entire document, because the document is created and edited
on the computer screen instead of typing it directly on paper. Consequently, it can be saved and
retrieved from the disk as many times as necessary, and can be modified, resaved and reprinted, as
needed. Other advantages include the ability to insert drawings, photos and other images into your
documents, and add hyperlinks, video clips, and other multimedia items.

Virtually all formal writing today is performed using a word processing program. Among today’s best-
selling word processing programs are Microsoft’s word, Corel’s WordPerfect and lotus’s WordPro. Most
word processing programs offer hundreds of features, but virtually all support a core group of features
used to create, edit and format documents.

FEATURES OF MS WORD USING THE MENU BAR
FILE:
This feature allows you to create a new document, open the already saved document, closes the current
window in which you were doing work, save the current document, search for the documents, print the
document or change the current setting of the printer, also view the page setup which is to be printed.
Allows you to open recently created documents and the last but not least, it also allows you to exit from
the word.

EDIT:
This feature allows you to make changes in an already entered document. Changes that might have
required extensive retying with typewriter can now be made on the screen with a few keystrokes.
Edit supports cut, copy and paste facility, undo or repeat typing, gives access to office clipboard, clear
text, allow us to select the whole document, find and replace the text and others.

VIEW:
This prompt helps the users to view the document in different layouts and includes different features
like print layout, web layout and normal layout. Also helps users to use many accessories like the zoom,
full page, header and footer, ruler and others. The view prompt also helps to customize standard
toolbar.

INSERT:
As name indicates, it helps you to add additional features to your documents, thus making your
document more attractive. It includes the insertion/ addition of page numbers, date and time, text box,
diagram, symbols, hyperlinks and other relative options.

FORMAT:
This feature allows you to format portions of text (or complete text) to improve the general appearance
and readability of a document. It normally includes things such as:

 Selection of an appropriate font


 Selection of an appropriate font size
 Selection of an appropriate font style
 Selecting an appropriate justification
 Creating numbered or bulleted list of items
 Changing the background and themes of the document
 Selecting appropriate shading and borders for the documents, etc.

TOOLS:
It contains options like spelling and grammar check, research, speech, auto summarize etc.
The spelling & grammar option is very helpful it constantly checks the document we create, and give
suggestions.

TABLE:
This feature helps the user to draw or insert tables (or cells) in their document is of newsletter type,
reports or when a specific data is to be generated in form of columns and rows.

WINDOW:
Windows mainly function to open a new window, split current window, and arrange it and also showing
the numbers of MS word windows operating at a time.

HELP:
It includes all the help and information regarding the word and its accessories.
