Q2 Task -> Explanation


1. Identify the inputs,outputs and processes ->check whats goes in and how is it
being processed and what is the outcome
2. Identify the problems with the system -> Problem with the system ; too slow or
late check
3. Identify the user and and information requirements -> what does the user want to
be added or how to correct the current aults
4. Identify suitable hardware and software -> if any special input or output device is
needed or how many clients are using

Q2 To get information:
1. Conduct observation
2. Conduct Interviews
3. Giving out questionnaires
4. Examination of existing documentation

Q3 Questionnaires:
- Questionnaires are given out to the workforce or clients to identify :
How are the works being carried out
What is their views on the current system
Information the new system need to give

Advantages:
1.Less time consuming to get answer from lots of people
2.Quick analysis of data by using OMR
Disadvantages :
1.No one to ask if questions are unclear
2.Often people didnt complete or submit their sheets

Q4 Conduct Interviews:
- The interviewer talks to people at various levels of business face to face

Advantages:
1. Questions can be asked if unclear
2. Allow lots of detailed answers to be gathered
Disadvantages:
1. Very Time consuming to talk to many people
2. Answers may not be honest

Q5 Conduct Observations:
- A system analyst walk around and see somebody use them to see how the
system is carried out.

Advantages:
1. See exactly what the system does well and not well
2. Someone to ask about old and new systems
Disadvatages:
1. Worker being observed may not feel comfortable
2. Worker being observed may act differently

Q6 Current system documentation:


- Involves looking at paperworks of the current system that are kept in filing
cabinets which contains the information needed to implement the new system .

Advantages:
1. Can estimate the size of the system needed
2. Can see how the current system operates
Disadvantages:
1. Can be very time consuming to look all through all the files
2. Time could be wasted if existing documentation is not relevant to the new system
