Contingency Plan

A key part of managing an event is to have a contingency plan in place in case
any problems arise. Below the contingency plan has been outlined and it shows
how we would have dealt with the following situations.

Artist/s running late or not showing up:


Have back up artists and bring them to the venue on the night.
Switch order of the set if artist is running late so there are no delays
in the music.
Headline act is a no show/running late, ask main support to take
over.

Venue cancelling:
Have a back-up venue.
Change date of event if back-up venue is not available.
Negotiations with venue owner on a compromise.

Equipment failure/damage:
Ensure there is back-up equipment available on the night.
Carry out risk assessment to ensure there are no potential
risks/hazards that could cause damage to equipment.
Reschedule event if no alternative equipment available.
Keep equipment out of the road as much as possible to prevent
accidents.

Health and safety issues:


Ensure there is a first-aid trained person on the premises in case of
any accidents.
Carry out risk assessment to ensure there are no potential
risks/hazards that could cause injury, illness, or death to any person
attending the event.
In the case of a fire, direct everyone to the nearest fire exit in a
calm manner to prevent further incidents and make sure everyone
is out and the fire brigade is called.

Team members running late/not showing:


Ensure at least 2 of the team can make it if unforeseen incidents
prevent other members attending.
Contact venue and check if there are any staff qualified in running
an event to step in if the whole team are unable to make it or are
running late.
