Overview
1.1 Problem/Opportunity Statement

The marketing department of Polar Refrigeration in salem has computers that do


not meet minimum system requirements for the new database software. The computers in
salems marketing department are slow or do not perform critical tasks. Access to the
database from the salem marketing department crashes or errors out. The computers in
salems marketing department are not able to load the current database application
properly. The salem branch has twenty-five computers in marketing. All of them need to
be upgraded.

With the opportunity to upgrade the salem marketing department machines the
salem marketing department can access the database. The salem marketing department
wont suffer from slow applications. With upgraded computers email will load faster.
After the upgrade, the salem marketing department will be able to coordinate more
efficiently. After the new computers are installed access to the database will be more
efficient. Once the upgrade is completed there will be more productivity at the salem
marketing department.

1.2 System Context

The Polar Refrigeration Co.is a local distributor and retailer of refrigeration

2.1 Business Use Cases

Business Case 1:

I have noticed that at the Salem branch, our Marketing Department


has been experiencing issues with the database, particularly accessing it. The
computers that the Salem Marketing Department are currently using are severely
outdated prebuilt machines running on windows xp. Over time with updates to our
database software and expansion of the database the computers at the Salem
Marketing Department struggle to load the database, or the software ends up
crashing over a short period of time when accessing the database. Employees have
complained about not being able to complete reports and projects on time, due to
not being able to access the data they need from the database.

Dave Clemens (Clemens) is the head of the Salem Marketing


Department who has to deal with the issues first hand. Dave struggles with his
work week knowing that his branch is always lagging behind in what needs to get
done at the office. When it comes time for the weekly reports he usually gets them
three days late. When trying to schedule meetings instead of having a weekly time
designated for them, meetings have to be planned around when reports are
available for review. When surveys come in from customers and need to be
reviewed it is slow work leading to slower change in marketing tactics and loss of
sales.

Jenny Roberts (Roberts) is a Marketing Representative for the Salem


Marketing Department who deals with handling promotions and managing sales
inventory for clearance sales. Jenny on a daily basis struggles with the computer
systems setup at the Salem Marketing Department. When she tries to pull up new
promotional material for review it is slow and sometimes does not load forcing her
to reload the media. Whenever a clearance sale is planned and inventory has to be
checked for overstocked or older products it takes ten to twenty tries just to access
the database through our software, and the software may crash at random times
while in the database. Her work is constantly halted whenever she has to rely on
accessing our database from the Salem Branch.

Business Case 2:

Sarah ODonnell (ODonnell) is a Marketing Representative


working in the Salem Marketing Department. She creates reports, coordinates
meeting times and creates promotional media.

What kind of problems are you facing with the computers?

The computers here at the Salem branch are slow to the point that it
takes extra time when Im on the phone trying to open the database and use it that
organizing a clearance sale, or trying to figure out what stock we are trying to
promote is infuriating. The amount of time that gets wasted at the office is
substantial just trying to get anywhere in the database or the network. Whenever I
need to access something it takes a long time. By the time I have accessed what
Im trying to get to, whether it be sales numbers or promotional work weve done
in the past, its already been five minutes. After I have everything I need it takes
forever to draft up promotional pitches. Whenever I have to make reports for
anything it might take me half a work day just to get everything I need into one
report, due to the fact that it takes forever to access anything and if more than one
task is going at a time it slows down even more.

What can be done to make the current system better?

The potential for sales would be much better if we had a faster way
to access the system and we had more options for software. The faster we can
access the system the more work that can get done and also the more coordination
that we can achieve. Being able to get a message across faster would greatly
benefit the work flow. Most of the time when I come in to the office in the
morning coworkers are gathered around the coffee pot waiting for their mail to
load. Overall theres a lot of wasted time that just boils down to waiting for the
computers to try to load something, especially when it comes to making promotion
media. Whenever new promotional material has to be made it takes forever to be
made on the old programs we are using. The current system is just so inefficient
and time wasting.

3.1 1st Diagram

The network of the marketing department in salem has been split into four L.A.N.s. The
marketing employees are connected to the L.A.N. with the marketing printers in the
main room and themselves. The marketing offices for the heads of marketing are on a
separate L.A.N. with their own Printers. The VOIP phones are on a separate L.A.N. to
maintain call quality and functionality.

This diagram shows a top down view of the marketing department in salem. The
employees use the cubicles in the main area. The heads of marketing use the computers
in their respective offices. They have a break room for lunch.

This diagram is a simple diagram of the database that the salem marketing department uses daily.
By comparing inventory and sales the marketing department keeps track of what to mark down.
Using inventory numbers this database compares sales to what is sold. By keeping track of what
is sold marketing can put items on clearance that arent selling well.

This diagram goes through the procedure of logging into the database. First the user must be
verified and trusted. Second the database software gives a login successful message. Lastly the
user can browse and access the database contents that they are allowed to see.
