VENUE HIRE AGREEMENT

This agreement allows the Client/s to hire the designated venue area for a specified time, whilst adhering
to all terms and conditions of this contractual agreement. The Client must pay all fees and charges
relevant to the venue hire.

3.0 Terms and Conditions
Booking confirmation
Once a booking has been made a deposit of 15% of total food bill is payable within 14 days of the
function date, management reserves the right to cancel or relocate the booking if a deposit has not
been received before the specified date. If you have made a tentative booking, this will be held for
fourteen days only. After such time management reserves the right to relocate your booking or cancel
the booking. (All attempts will be made to contact the person who placed the booking).
Menus & final numbers
All menus and drink packages must be finalised with final numbers 2 weeks prior to function. Pricing and
menu options are subject to change without notice. The client will be informed of any changes as soon
as they occur. The quotation of the food costs will be considered final and honoured.
Guests and the Responsible service of alcohol
The Walkers Arms Hotel, actively promotes a safe environment for staff and patrons alike, and
management reserve the right to refuse service to any guest who are deemed to be intoxicated.
Minors are permitted on the premise but are required to be accompanied by a legal guardian or
parent. Minors are not legally allowed to purchase or consume alcohol on the premise. Guests are
respectfully reminded that photographic ID may be required to purchase and or consume alcohol.
Guest Behaviour
Management reserve the right to evict any patron who is deemed to act in an aggressive, hostile or
displaying violent behaviour towards staff, guests and or property belonging to the Walkers Arms Hotel
and/or its guests. Management reserve the right to recoup any monies, including damages from the
person(s) involved. Guests are reminded that the premise is a Hotel and we accommodate a large
number of guests.
Smoking
All of The Walkers Arms Hotel is a smoke free hotel, except for the designated smoking areas.
Decorations
No signage or decorations are to be affixed to any walls or awnings. The client may bring balloons onto
the premises from an outside source. All other decorations must be discussed prior to the event with the
function manager. Table scatters and/or confetti are not permitted in the venue.
Catering
The Walkers Arms Hotel does not permit any items of food to be brought into the hotel, except birthday
and or wedding cakes, however a cake cutting cost applies. All cakes brought onto the premises must be
made by a HACCP approved provider. If your guests have special dietary needs please consult your
functions coordinator
Cancellation
The Walkers Arms Hotel reserves the right to retain all monies paid if the function is cancelled within seven
(7) days of the scheduled event. The Walkers Arms Hotel will return all monies paid if the Hotel cancels the
event due to acts of nature or unforeseen circumstances.
Pricing
All efforts will be undertaken to maintain all prices as quoted, however due to seasonal variations the
Walkers Arms Hotel reserves the right to adjust prices accordingly, all efforts will be undertaken to contact
the person responsible for the function.
Cleaning
General cleaning is included within the functions package however should venue require cleaning
that is deemed excessive, an additional charge will be charged.
Damages & Breakages
Any damage and/ or excessive breakages that are deemed the responsibility of the event organizer
will incur additional charges. This includes damage to hired equipment. The Walkers Arms does not
accept any responsibility to the damage or loss of client property left on the premises at the conclusion
of the event.
Minors & under 18’s
All children must be supervised by a parent / guardian at all times. All children must vacate the premise
by 11:50pm Monday-Sunday.

4.2 Additional Food and Beverage Requirements / Waiver for Responsibility

I/We (the Client) understand and take full responsibility for any food that is
brought onto the premises from an outside provider, and understand that the venue cannot be held for
any fault or injury as a result of such products.

5.0 Client Acknowledgement


I/We (the Client) have read and understood all the Terms and Conditions as
outlined in this Venue Hire Agreement.
I/ We agree to pay for all costs incurred that are relevant to the hire of this venue.
