2 Quality Management System These files shall contain copies of audit reports, deviation reports, customer complaints and site problems.
Each PE shall maintain a file for all OFI and Deviation Reports

Observations for Improvement and the corrective actions taken, on the job for the concerned TCE.JOB

(OFI) and Deviation Reports discipline. The file shall also contain Quality Audit Reports on the NUMBER

The PM shall maintain a file for the Clients complaints received PJ OR

Each PE shall maintain a file for site problems reported and the TCE.JOB DISCIPLINE

Site Problems
The above mentioned discipline QMS files may be combined into a single QMS file for each discipline involved in the job, at the discretion of the PE, depending
size of the job and expected volume of QMS papers.

3 Project Engineering
These files shall contain all Inter-Disciplinary Data Transmittals TCE.JOB DISCIPLINE
IDDTs IDDT 1
(IDDTs). NUMBER - CODE -

These files shall contain all important correspondence and


documents such as consequential Client decisions which are to
be referred during execution and after the completion of job.
These files shall also contain correspondence containing TCE.JOB DISCIPLINE
4 Project Data - - PROJ. DATA -
important engineering data exchanged between the Client, TCE, NUMBER CODE
disciplines, vendors, etc. for quick reference and records. The
documents, which need to be sent to the Central Document
Reference Library (CDRL), shall not be filed in these files.

These files shall contain all correspondence from and to the


Client and bidders for pre-qualification, preparation of enquiry

5 Enquiries document, bid receipt, clarifications to and from the bidders, - - ENQ -
NUMBER CODE
Minutes of Meetings (MOM) with bidders, bid analysis and upto
purchase recommendation.

These files shall contain all correspondence, related to a


particular order or contract, from and to the Client, collaborator
and successful vendor or contractor and MOMs with vendor or
contractor subsequent to submission of purchase
recommendation till the order or contract is complete. Separate

6 Orders and Contracts file shall be maintained for each order or contract. These files - - PO or CO -

shall also contain:
Correspondence connected with vendor document receipt
and approval, Copies of inspection reports and sub-orders -
orders placed by main vendor or contractor, Certification of
contractors bills, test reports on materials etc.
These files are meant for filing calculations. Each PE shall

These files shall contain xerox copies of references on important TCE.JOB DISCIPLINE
