CHAPTER I
Introduction
Project Context

The multipurpose cooperative society has a large number of functions to

discharge. As the name indicates its responsibility for different purpose for which is has

been set up. It can work for arranging credit, improved seeds, agricultural implements,

fertilizers, sanitation, health etc. for its member.

Bacong Small Coconut Farmers Multi-purpose Cooperative (BASCOFADCO) is

one of the productive and emerging cooperative when it comes to coconut products.

BASCOFADCO offered different services to the members such as Savings Mobilization

and different Loan Programs such as Micro-enterprise loan assistance, Providential Loan

or Multi-purpose Loan, KABUKO Loan and Production loan. One of their common

problems of the applicant is how to avail membership with certain services. When

applying for membership there are some requirements needed like attending seminars,

membership fee and some documents. Most of the information in regards with applying

for membership can also be found in our developed system.

The researchers decided to develop a system for BASCOFADCO, to give a built-

in way to validate and store user credentials. The main goal of this system is to assist the

applicant on how to apply or register for membership in certain services and also to know

all the information of the company. BASCOFADCO Membership Record System is an

easiest and fastest way to interact with their cooperative and they can also process their

membership transaction faster.

Purpose and Description

This study aims to analyze, design, develop and implement a functional system for

membership in BASCOFADCO.

The purpose of BASCOFADCO Membership Record System is to develop a

system that would give a better service in improving the transaction process of the

applicant and to lessen the time and work of the employee.

It will reduce manual work as most of the work done by computer. As all manual

work will be done automatically so it will increase work speed and reduce time

consumption to complete any related work. This will reduce the manual workload and

give information instantly.

Objectives

This study aims to develop, to design, to test and implement a flexible, reliable,

and efficient system for membership in BASCOFADCO. The objectives of our System are

to deliver the following:

To develop an efficient and reliable system

To design a user friendly UI

To test the capabilities of the said system

To implement a fully functional BASCOFADCO Membership Record

System

Scope and Limitations

This part of the study presents the capabilities of the system as well as the

functions that are incapable to do and its limitations.

Scope

BASCOFADCO Membership Record System will be developed specifically to

improve the transaction process of the applicant and to help the admin or users to provide

excellent service to the company. Using this system any information can be easily

searched. The admin can view all the details of the applicant and can create new applicant

account and maintain its data efficiently and effectively. Which maintained constantly

update by system. The proposed system is more efficient, fast, reliable, user friendly.

Over and above the proposed system does not have any possibility of data loss during

processing.

Limitations

The system helps to enhance the useful membership record system for

BASCOFADCO but it has a certain limitations.

1) This system will not be available for the applicant, only the admin and its staff.

2) It does not support online services for the applicant.

3) The files are being kept confidential only for admin and staffs.

4) Allows only for inquiring and inputting the data.

Significance of the Project

This study is important because the implementation of this project can be used to

improve the transaction process of the applicant and to help the admin or users to provide

excellent service to the company .The results of this study would be beneficial to the

following.

To the Member. The implementation of this study would help them to lessen more time

to fill up a form for membership, unlike in the manual way.

To the Community of Bacong. This user-friendly system serve as the backup, and a

hassle free to the company who is will be benefiting its features.

To the BASCOFADCO. The result of the study would give their work phenomenon

become easier and no more worries for them to locate a file or form for the applicant. It

is a remedy for such instances in nature.

To the Future Researchers. The present study would be beneficial and useful to the

researcher who wanted to gain more knowledge in membership. This study will serve as

a recommendation for them to come up with another unique features that is associated

to the present study.

CHAPTER II

Review of Related Literature/Systems

This section of the study presents relevant related literature and studies with

significant bearing to BASCOFADCO Membership Record System. The researcher has

included some important facts and principles to which the present study is related as well.

Cooperative shall mean only organizations composed primarily of small producers

and of consumers who voluntarily join together to form business enterprises which they

themselves own, control and patronize. A small producer shall mean a self-employed

individual who, by himself or with this family provides the primary labor requirements of

his business enterprise or one who earns at least fifty percent of his gross income from

the payment proceeds or income of the labor he provides. Principle of Cooperatives:

(a) Open membership Membership in a cooperative should be voluntary and available

without artificial restriction or any social, political, racial or religious discrimination, to all

persons who can make use of its services and are willing to accept the responsibilities of

membership. (b) Democratic control In primary cooperatives irrespective of the number

of shares owned, each member can only cast one vote in deciding upon the affairs of the

cooperative. The affairs of the cooperative shall be administered by persons elected or

appointed in a manner agreed by the members and accountable to them. In other than

primary cooperatives, administration shall be conducted in a suitable democratic form. (c)

Limited interests to capital Share capital shall earn only limited interests, the maximum

rate of interests to be established by the Department of Local Government and

Community Development from time to time. (d) Patronage refund Net income after the

interest on capital has been paid shall be redistributed among the members in proportion

to their patronage. (e) Cooperation among cooperatives. All, in order to best serve the

interest of their members and communities, shall actively cooperate with other

cooperatives at local, national, and international levels. (f) Cooperative education. All

cooperatives shall make provision for the education of their members, officers and

employees and of the general public based on the principles of (studymode.com).

Donald A. Frederick, (2006), Cooperatives that do initiate a plan to update the

membership must prepare to deal with disgruntled persons stripped of their membership,

especially if their investments are not redeemed; possible mistakes in selecting

memberships to terminate; and short-term administrative expenses. Any cooperative with

the appropriate dedication can update its membership list and keep it current.

Multipurpose cooperatives play a huge role on economic empowerment of its

members and nonmembers, according to the study, all members understand

multipurpose cooperative as an essential tool to improve their economic empowerment

through all the community, multipurpose cooperative was also a tool for quality of

marketing service of the community, according to the study, cooperatives was identifies

by both side members and nonmembers as a tools for their economic change, principles

of the cooperatives is a guide line for cooperatives members and other non-members for

business operation, and it also an essential tool for natural risk among members Abadi

T. and Asres E. (2007).

A study by Kuch, Koang Koang (2013) designed to assess the role of multipurpose

cooperative in social and economic empowerment. The social and economic role of

cooperatives is ensured through voicing of common goals via cooperative that there was

a transformation of socio-economic empowerment through making many development

activities by providing credit services to the members and non-members who get services

from cooperative. Members of the cooperative are not only the users of their organization,

but also controllers, participation of cooperatives members need to be increase so that it

may broaden the understanding of cooperatives.

MuzonBagongPag-asa Multi-Purpose Cooperative. It is a cooperative that provides

financial assistant to those who are in need. The project has its limitations and it is not

sufficient to fulfill all their needs, but still its a way to help decrease the poverty of

barangay muzon. Now on their 10th year, now having 471 members and still counting

.There is no doubt that the process of inputting records data is not that easy. The

process they are using right now is manual. For example, if they want to search for

certain information about a member, they will do is to go and search that big pile of

folders which is a huge time waster. Another example is searching for accounts that are

already due. With having an automated system, this entire time waster will be solved

searching for a members information will be just a few clicks away and creating a list of

accounts with dues will be effortless. This system will automate all the transactions of

MuzonBagongPagasa Multipurpose Cooperative including the Membership application

and Savings Account, the client will normally fill up the form and pass it to the

teller/admin will encode the clients information the system. Loan Application, the client

must have the initial/shared capital before he/she fill up the form and the admin will

encode it to the system (studymode.com).

Abrasa Multi-Purpose Cooperative (Abrasa) provides a range of financial services

such as loans and microfinance, for livelihood projects and agricultural production to its

3,300-plus smallholder-farmer members (2016). Abrasa also trades rice, corn, sorghum,

cassava and vegetable seed, commercial fertilizers and farm inputs. Since 2010, it has

also run a small hotel. It has two stores and runs a grain trading centre established in

2005, which helps farmers to market their produce. Members get access to loans and

there is a scheme which promotes saving among members. The cooperative also runs

various educational programme to improve the members technical knowledge,

Oikocredit (n.d).

CHAPTER III

TECHNICAL BACKGROUND

This chapter presents the system analysis and design that deals with planning the

development of a BASCOFADCO Membership and Information System through

understanding and specifying in detail what the system should do and how the

components of the system should be implemented and work together.

This section served as a guide for the developers in order for the project to be

successful on-time. This section includes project schedules and project activity in

developing the BASCOFADCO Membership and Information System. This section gives

the overview of how and when certain tasks should be executed. The task that the

developers should perform is also defined here. The developers must strictly follow and

accomplish each task step by step. The scheduling will help the developers to know what

to do now and what to do next.

Planning is part of the project management which relates to the use of schedules

such as Gantt chart to plan and subsequently report progress within the project

environment. Managerial process in developing the application is being focused. Planning

involves selecting organizational objectives in developing

a BASCOFADCO Membership and Information System.

Theoretical Framework of the Study

Theoretical framework is for the theories being used for the systems flow. Helps

the researchers on making the system and the knowledge in finishing the system. The

framework lets the researchers know the usage of the system.

The theories that the researchers used are Socio-Technical Theory for a

methodology of the system and the Information Theory. The theories are the ones that

determine the systems efficiency. The theories are like the techniques for the system to

be successful on the specific time. However, the theories are able to obtain the good

maintenance of the system for a longer period of time. The techniques of being reliable

and effective for the system.

Socio-Technical Theory

Socio-technical theory has at its core the idea that the design and performance of

any organizational system can only be understood and improved if both social and

technical aspects are brought together and treated as interdependent parts of a complex

system. The technical subsystem comprises the devices, tools and techniques needed to

transform inputs into outputs in a way which enhances the economic performance of the

organization (IGI Global). The social system comprises the employees (at all levels) and

the knowledge, skills, attitudes, values and needs they bring to the work environment as

well as the reward system and authority structures that exist in the organization. Later

some authorities broadened the definitions to encompass the wider reach of the

organization by including customers, suppliers, and the rules and regulations, formal and

informal, which govern the relations of the organization to society at large. This became

known as the environmental subsystem. The cornerstone of the sociotechnical approach,

as the work of these researchers became named, was that the fit was achieved by a

design process aiming at the joint optimization of the subsystems: any organizational

systems will maximize performance only if the interdependency of these subsystems is

explicitly recognized. Hence any design or redesign must seek out the impact each

subsystem has on the other and design must aim to achieve superior results by ensuring

that all the subsystems are working in harmony (Mumford, E., and Banks, O., 1967).

An approach to understand the relationship between technology, individuals,

organizations and society in work place design. This systems based approach includes

(but is not limited to) the hardware, software, social, psychological, political, policy and

legal systems that comprise the overall organizational system. It focuses on

understanding the social aspects resulting from interactions among people in their

societies and technical aspects machines and technology in pursuit of optimizing a

corporate utility matrix.

Conceptual Framework

Input consists of knowledge, Requirements, Software Requirement and Form used.

Knowledge of the system is important. We also have the requirements which consists of

Management and Database. Management for the system and Database for the users and

clients. Software requirements consists of Xampp and Sublime Text for the programming.

Form used is membership form for the information of the clients.

Process consists of the different stages that will be used in creating and developing

the system. These are Requirements, design, Implementation, Verification and

Maintenance.

Output consists of the deliverable that the proponents developed, the Bacong Small

Coconut Farmers Multi-Purpose Cooperative (BASCOFADCO) Membership and Record

System.
