Proposed Project: Cavite State University Online Enrollment System

Abstract:

This project offers students, faculty members and administrators of Cavite State
University - Main Campus an alternative enrollment method. The proposed web application
system will extend the services provided in the existing webpage of the University. Via mobile
or portable devices and an internet access, users can have a 24-hour access to the site.
Summing up, this innovative project will be beneficial to all the stakeholders and fellow
members of the organization.

I. OBJECTIVES
I. a.) General Objective:

To improve CvSUs Enrollment System by providing an effective and at the

same time efficient, modern, more convenient and less hassle enrollment method.

I. b.) Specific Objectives:

1. To minimize the total time needed for the whole enrollment process.

The whole enrollment process for current CvSU students requires quite a
lot of time with all the processes needed to be done. Online enrollment system
offers a quicker and less hassle way of enrollment method.

2. To stimulate a more modern and up-to-date enrollment system.

As stated in the Mission and Vision, one of the University's goals and
objectives is to develop global competitiveness within individuals and of the
organization itself. Acquiring advanced technologies and present-day
innovations, just like the Online Enrollment System would greatly contribute to
the exposure of its associates towards a more modern, thus a more competitive
outlook of the organization.

3. To achieve a simple and convenient enrollment process.

This online enrollment system project aims to make the whole

enrollment process easier for both the students and employees of CvSU. This
 project also promotes a more convenient way of administering the enrollment
process because it will minimize the use of papers likewise the use of printers or
photocopying machines where, instead of producing printed copies, all the
entered information will be gathered and stored in a database. This method
secures information more than just a piece of printed paper.

4. To facilitate the process of registration for each College Department.

In just a short period of time and with minimal effort, online processing
of pre-registration of the students, subject evaluation, viewing slots availability
of subjects and other enrollment tasks would be much easier with just a few
clicks on the screens.

Project Scope

a. The scope of this project includes;

procuring a web application program for the online enrollment system.

procuring additional computer units.
upgrading internet connection.
assigning certain number of authorized personnel who will handle and
administer the program.
acquisition of additional manpower (if needed).
training the personnel involved.

For the enrollees/students (Regular, Irregular, Shiftee, Transferee, Returnee):

filling out pre-registration form.

automated subjects evaluation.
enrollment of subjects.
viewing subject slots availability.
automated adding, dropping or changing of subjects.

For the administrators (University Registrar, College Registrar, Facilitators):

students' clearance tracking.
students' information encoding and decoding.

b. The project scope specifically does not include;

 Accomplishment of student clearance.
submission for approval of letters (request letter for units overload, letter for
petition of subjects, grade completion)
