Sub: Inclusion of Vendor Management System for Store Purchases under ERP module of Port
Operation Management System

Sir,
On above reference, we procure various items from the market as store purchases which are
essential for port operation as and when required.

Currently, There is a conventional paper procedure that is followed by the store since years and its is a
very long, time consuming, complicated, repetitive and cumbersome process that requires a lot of
manual work and labor.

Therefore, we intend to include a store purchase specific Vendor Management System under ERP
module of Port Operation Management System which would include a network of prequalified vendors
who can bid for our purchase requirements. We require the system to basically fulfill following
objectives for us.

1. To connect us with our prequalified vendors over internet or some app.

2. To allow us to add more vendors based upon their qualification and requests.
3. To float the purchase inquiry and simultaneously intimate our vendors via modern mediums.
4. To enable us receive queries and quotes from vendors.
5. Generation of various kinds of reports required for record keeping of stores as per norms.

Looking to the fact that we are holistically moving towards modernization of GMB operation through
POMS and this initiative being in line with that vision, it is kindly requested to look into the matter and
facilitate modernization of our procurement system that would enable us make faster procurements.
