Introduction
Timesheet Overview
SDLs Timesheet system is used to log time for every employee within the company.
Timesheet is central to the operation of SDL.
It allows Project Managers to see who has been worked on their projects and for how long.
It allows Line Managers and Departmental Managers to measure efficiency and utilisation.
It allows Cost Centre Managers to report on data for all their departments.
It allows Network Offices to measure internal costs against the revenue they get from Outsourcing.
It allows Corporate Management to report on data for the whole of SDL.
Timesheet runs in real time. When you tell Timesheet you have finished working on an operation, the data is
sent immediately via the internet to the Empower SQL Server database in the UK. The data is then instantly
available to reports. As Timesheet connects to Empower over the Internet, employees can run Timesheet from
any PC anywhere in the world (a separate version of Timesheet is available for use outside of the SDL
network).
Every Timesheet user logs to a Cost Code and an Operation Code.
The Cost Code reflects the type of work being undertaken.
Currently there are 3 types of Cost Code:
Project Codes: to be used for any work directly relating to a project
Departmental Codes: to be used for any work that is a departmental overhead and cannot be charged to a
project or internal code
SDL Internal Codes: to be used for any SDL Internal work, such as product development or support.
Operation Codes vary depending on the Cost Code selected. Employees can only select an Operation Code
that relates to the Cost Code they are using.

If an employee logs to a Project Code, they can only log to a Project Operation Code.
If an employee logs to a Department Code, they can only log to a Department Operation Code.
If an employee logs to an SDL Internal Code, they can only log to a SDL Internal Operation Code.

In addition, the Project Operation Codes are filtered depending on the department that you work in.
For example, this means that a DTPer can only see Project Operation Codes that relate to DTP, or codes that

Note:
If you are ever in doubt about which operation to
select, check the Description area where you will be
given a full explanation of the tasks that the selected
operation can be used for.

In the Description area you are provided with a detailed description of the operation code selected and what
tasks it should be used for.
Empower Timesheet has Productivity reporting capabilities which allow all production staff to log the number of
words, pages, graphics, screenshots they work on within Empower. For more information on this, see Operation
Codes that Carry Productivity Metrics.
Only certain project tasks (Operation codes) require this productivity information to be entered. For example:
number of screenshots or graphics, number of words translated or reviewed, etc. This enables Line Managers
to produce productivity reports using Empower.

The Timesheet Application


The Timesheet application starts when your PC is switched on. When you use it for the first time, make sure
that all the fields are completed, including the Popup time.

Note:
New Employees are recommended to set the Popup
to 20 minutes until they get used to using Timesheet
and selecting and changing different Cost/Operation
codes.

Timesheet Buttons
Refresh
If you cannot see a cost code you are expecting, click on Refresh, this forces Timesheet to
communicate with the Empower database, retrieving and sending data to and from Timesheet.

Away
The Away button is used on occasions where you are away from
your desk. The pop up stays screen while you are away and
should be used to let others know where you are.
If you are in a meeting, then give details of where and an approx
time of return. If you are away from your desk for another reason,
then use the Other option and give details of where you are and
approximately when you expect to return. This should help others
know how long you will be.
The Away button should not be used if you are visiting the Doctor
or Dentist, in this case you should inform the Onsite Personnel
Representative who logs the time as Healthcare.
Please not that time continues to be logged to Timesheet after the
Away button is clicked.
The Away button does not display over a locked PC screen.

Lunch
When you go to lunch you should click the Lunch button.
This enables others to estimate when you may be back since the
total time spent at lunch is shown.
If you are away for more than 60 mins the duration displays in red.
If you have minimised the Lunch popup, it reappears after 60
minutes.
It is company policy that every member of staff takes a lunch
break of a minimum of 20 mins and a maximum of 1 hour.

Exit
Selecting Work Outside Timesheet, allows you to exit the
Timesheet application but still log time. This is useful for
Engineers, Developers and Sales people whose activities may
interfere with Timesheet and vice versa.
It is important that if you do use Exit and then Work Outside
Timesheet that you understand that although Timesheet is closed,
your time is still being logged against the last activity you gave in
Timesheet. You must remember to log back into Timesheet to go
onto another activity or if you need to exit completely.
Click Exit Timesheet when leaving the office for the day. Always
do this before closing down your PC. Do not allow Windows to
close your Timesheet automatically as data may remain on your
PC until the next time you log in (which could be some time in the
future if you are going on holiday).

Timesheet Screens
You are reminded to take a break and change project/operation codes on
a regular basis by the Take Five Screen. The frequency of this reminder is
set by the Popup time field. It is important if you are completely PC based
to ensure that you do Take Five and spend some time away from your PC.
Contact your local HR Manager for local legislation on this subject.

Project Cost Codes
All project cost codes use the format shown below. The codes indicate the Client, Cost Centre where the project
originated (i.e. Cost Centre for Project Management & Budgets, etc.) and also the type of work being done.

When Project Cost Codes are set up, the Senior Manager selects the Cost Centres and Departments that need
to book time to the project. Timesheet access is automatically given to relevant departments for work
outsourced to the Network Offices.

Client Identifier
The Client Name Field is filled in using the Clients official company name. In all cases this should be the parent
company. Many companies have legal names in their own right. However, when owned by another company,
the parents name should be used.

Client Division
The Division within the client with whom we are working must also be identified. For example, if we are doing
work for GE Silicones, this is a subsidiary of the General Electric Company, so the Client name recorded in
Empower is General Electric Company and the Client Division is GE Silicones.

SDL Cost Centre Identifier


The SDL Cost Centre Identifier is automatically entered to reflect the Cost Centre that owns the project.

Invoicing Entity
On non Enterprise Product projects, this character is not used and will be shown as an X.
On Enterprise Product projects this character represents the SDL Financial Invoicing Entity (the part of SDL
that manages invoicing for this project). The Financial Entities and their letters are shown below:

The Project Number is incremented automatically per Client, per Project, per Division. For example:

For every project, a team is set up using Cost Centres and Departments. Only people within these teams are
able to access the project code. You must request access from the Project Manager to specific project codes if
this does not happen automatically.
The project code is automatically transferred to your Timesheet when it next contacts the Empower database
(refer to the previous section Timesheet Overview for more information).

Since not all work at SDL is Project Work or Internal Work, sometimes work should be logged against your
Department code.
When not to use a Department code
If someone has to do research to solve a problem related to a project, e.g. a translator researching unfamiliar
vocabulary they log this time to the Project Code.
Where a junior or trainee member of staff receives support from a senior colleague on a project, they should
both log to the Project Code.

SDL Internal Codes
Staff involved with Product Development, Support & Maintenance, Testing, Sales and Marketing use SDL
Internal Codes. Time is logged to one of the Internal Codes below; only the SDL Internal Operation Codes can
be logged against these.
These do not include work being carried out for a client on a specific project, for example installation and
consultation on a TMS project, or Customisation of ETS Dictionaries for a client. This work would be logged
against a unique project code.
The codes can also be used by Network Offices for outsourced work on SDL Internal Codes, e.g. SDLX team
need monthly materials in 10 languages. The SDLX team would outsource the work and the Network Office
would log to SDLX on Timesheet when producing the work, Also to be used by others in the company, involved
in testing of any of the products below, or when raising bugs, etc.

Productivity
From experience over the years, SDL has an idea of how many words/pages or screenshots can be translated
or completed per day. SDL uses Timesheet to measure if you were faster or slower than expected.
This information can be used in a number of places, for example:
By Line Managers to monitor their teams and to use in appraisals.
By Department Managers to monitor their departments and to use in appraisals.
By Corporate Management to compare one office/language against another.
To ensure that the company is working profitably and is charging it clients appropriately.
Productivity metrics are only associated with Production tasks carried out by Translators, DTPers, Engineers
and Audio departments.
When Production Staff first select an Operation code with a productivity metric attached to it, Timesheet will
ask for an estimate of the word/page/graphic counts.
When the task is finished and the operation ready to be closed Timesheet will ask the user to enter the
actual counts on the exact work that has been completed in the time logged.
We could presume that if it takes someone longer to complete a task than the metrics predict, there may be a
reason for that, e.g. staff may be slower than expected and may need more training, or the work could be more
complex than first thought and possibly the client needs to be charged more now or in the future.
When starting an operation (against which Productivity is logged) for the first time, the Initial Estimate of Work
popup appears:

You are asked to estimate the work to be done. You are expected to enter the number of words/pages/graphics
for the chosen operation. Typically you would expect to receive these details from either the Project Manager or
a lead on the team. These details can be edited at a later date if necessary, e.g. if you receive an update.
Once a week, on Friday morning, Timesheet automatically shows you all your incomplete operations (Work in
Progress) that carry productivity measures so you can confirm if the tasks have been finished. At this stage, it
is still possible to change the word/page/graphic counts and to add, edit or remove comments.

If the productivity data entered is unusually high or low, a message appears giving you the chance either to
confirm the details or to go back and edit them if there is an error. These screens are the High Productivity
screen and the Low Productivity screen.

This Work in Progress screen can also be summoned by the user at any time, by right-clicking the Timesheet
icon in the system tray and selecting Work in Progress from the list as show below:

Language Classification
Different departments class languages in different ways. For example Czech for the Translation department of
SDL would be classed as a Western Language, while DTP/Engineering would class the same language as Non
Western.
When Production staff log to certain Productive Operation Codes (see Operation Codes that carry Productivity
Metrics for more information) they are often asked to select whether the work being carried out is Western or
Non Western.

Logging time away from the office
There may be days when your Timesheet record is incomplete. This means that you have recorded less than
80% of your normal working hours for a day or more during the past working week.
This could have happened for several reasons.
Perhaps you were on holiday or had time off for sickness or healthcare appointments that was not entered
into Empower by your Timesheet Administrator.
Perhaps you were working away from your office and could not run your Timesheet.
Perhaps your PC crashed and Timesheet was not restarted.
Whatever the reason, Timesheet has recognised that your hours are lower than expected and is now giving you
the opportunity to add the missing hours yourself rather than your Timesheet Administrator (Onsite Personnel
Representative or OPR) having to do this on your behalf.

The Incomplete Timesheet Screen

The Time Away From Office Screen

If the hours that are missing are for Holiday, Healthcare, Sickness or Special Leave, your Timesheet
Administrator will do this for you. A HOLIDAY-SICK button has been provided on the screen. Click on this and
an email will be sent to your Timesheet Administrator asking them to add the hours on your behalf.
If the hours that are displayed on the screen are okay and you do not want to change them - perhaps because
you agreed with your manager that you would work fewer hours that day, click on the TIMES ARE OK button.
You will not be asked about these hours again.

The Time Away From Office screen displays the hours that have been recorded. If there are missing hours for
more than one day, you will be shown the days one at a time. You can move to the next day by clicking on the
Next Day button. Once you have finished with the screen, click on the Finish button.

Using the form on this screen, you can
Add new records
Change records that you have added
Remove records that you have added

Using the form to Add missing hours:


1. Select the appropriate Cost Code and Operation Code from the drop-down lists.
2. Enter details of the Start and End times.
3. Select a reason from the drop-down list (you may also be asked to supply details depending on the reason
you have chosen - this helps your manager when he/she approves the time you have entered).
4. Click on the Add button. The record you have added will now be displayed on the screen. If you wish to
enter more than one record, you can repeat steps 1-4, clicking on the Add button each time.

Using the screen to Change hours that you have added


1. Select the record you have added by clicking on it (you can only select records that you have added using
this screen). Records that were recorded using Timesheet can only be changed by your Timesheet
Administrator.
2. You can now change the details. When you are happy with the change, click on the Update button.

Using the form to Remove hours that you have added


1. Select the record you added by clicking on it.
2. Click on the Remove button to remove it. The record will be removed from the screen.

Adding a record when the Add button is disabled


If you have clicked on any of the records on the form, you may notice that the Add button has been disabled.
Click on the Clear button.
You can now add a new record.

A report of the time added in this way will automatically be sent to your Departmental Manager for approval on a
weekly basis.
Note: If you work in a different SDL Site, provided you can log onto a PC on the SDL Network you can
continue to run your Timesheet on that PC (this may require assistance from local IT).

If PC is left on overnight

Long Duration Check


This message is displayed if your Timesheet has been running continuously for more than 20 hours.

This can happen for several reasons.


1. You have been working for more than 20 hours.
2. You have forgotten to exit Timesheet before going home.
3. You have changed the time on your PC clock into the future so that it appears that you have worked more
than 20 hours.
In order to leave your Timesheet records in the correct state, you need to tell Timesheet what actually
happened.
You have two choices, depending on the reason above.
1. If you have worked for more than 20 hours, simply click on the OK button. Timesheet will record that you
have worked continuously for this time.
2. If you left your Timesheet running overnight by mistake, enter the time that you finished work and click on the
OK button. Timesheet will update your record with the correct End Time and then start the new day as
usual.
Never click OK without first reviewing the details.
3. If you have changed the time on your PC clock, you will need help from your Timesheet Administrator to
correct your Timesheet record. Click on the OK button and then Exit your Timesheet. Tell your Timesheet
administrator what has happened, giving them details of the date and time to which you changed your PC
clock. Remember to change the clock back to the correct time before re-starting your Timesheet.
If you MUST use your PC clock like this, always exit your Timesheet, selecting the Work Outside
Timesheet option BEFORE you change the clock and then change the clock back to the correct time before
starting up your Timesheet again.

Working Outside Timesheet
This screen is displayed when you start Timesheet if more than 8 hours have passed since you Exited your
Timesheet and chose to Work Outside of Timesheet.
The screen displays the Cost Code and Operation Code to which this time is being booked and the time you
started work on this task.
Please enter the time at which you finished the task into End Time.
If this was your last task for the day and you then went home, please click on the Then I went home button.
Otherwise, click on the OK button
Your Timesheet record will be updated and Timesheet will start.
If you really were working outside Timesheet for more than 8 hours, please contact your Timesheet
Administrator (OPR) and he/she will adjust your records.

You must check and re-enter the End Time if necessary. Never click OK without first reviewing these details.

If PC crashes
The Corrupted Timesheet Data screen will display when restarting your PC if it crashed while your Timesheet
was running (for example, because of a power cut). Confirm when your last task finished and click OK.

Working for Other Departments
Sometimes you might be required to work for another Department, e.g. a Translator might help a Project
Manager with some Admin or Quote work. When working on these tasks you must still log to the correct
Operation Code.
Your Timesheet will be set up to display only your own Departments operation codes. If you wish to book time
to another Departments codes, you can right-click your Timesheet icon (in the System Tray next to your PC
clock) and select Get All Operation Codes.
When you now look in the Operation Code drop-down in your Timesheet, you will see you have access to log to
many more operations.
When you have finished working for the other department it is advisable to de-select the Get All Operation
Codes option as it places many options in your Timesheet that are not required on a normal day-to-day basis
which increases the chance of you booking time to the wrong code.

PC Clock
Timesheet runs from the data on your PC Date and Time Properties. If you make changes to your calendar or
clock settings this could interfere or overwrite your stored Timesheet data.

The best advice is not to make any changes to your date and time properties, your settings should be correct
when your PC is given to you and any Summer or Winter time changes will happen automatically.
If you must change clock perhaps because you are using a laptop and travelling into a different time zone
please exit Timesheet completely before making the change, then re-start Timesheet. When you travel back to
you original destination, exit Timesheet again before returning the clock to the original settings.
Please avoid clicking your PC clock to check the date - instead you can use the calendar in your Microsoft
Outlook application.
